2016 Summer Internship

Pay, Taxation and HR Processes


1.1 Contacts
If you are a UK-based intern, all payroll queries relating to tax, student loans, other deductions
and HR administrative issues (e.g. change of address, personal information, status changes, &
salary queries) should be directed to the HR ASC as follows:

Please Note - Once your internship has begun you will need to submit your HR queries online via
the 'Contact Us' link at goto/hr-uk.

1.2 Payment
Timing and Method
Payment is made on the 25th of each month (or the Friday preceding if the 25th falls on the
weekend) for the period 1st - 31st of each month by BACS, directly into your bank or building
society account. However, if your start date is on or after 20th of the month you will be paid in
the month preceding your start date. All Interns are paid on a PAYE basis.
UK Bank Accounts
If you do not have a UK bank account set up you will need to open one. NatWest are able to do
this for you. In order to set up an account with them you will need to complete a form which can
be found at http://www.natwestinternational.com/geb/global-employee-banking/which-bankingservice.ashx. NatWest have agreed that you can choose either account.
Please ensure your original paperwork is with NatWest by June 8, 2016 to enable the account to
be opened in time for your start date.

Payslips
Payslips are published online one day prior to pay day. No paper payslips are produced except for
the month that you terminate.
The payslips can be accessed online via the following website under the 'Payslips' section
https://emeahr.swissbank.com/ePay/LandingPage.aspx. They can be viewed here, downloaded
and printed locally.


You will automatically gain access to view your payslip once it has been published however you
will have no access to this section of the website prior to your first payslip being published.

1.3 Tax
Tax Status Queries
Tax status queries can be resolved by telephoning HMRC on 0300 200 3300 and quoting
reference 951/SG341.
National Insurance
If you are a visitor to this country and work in the UK, you have to register for a National
Insurance number and start paying National Insurance contributions in the UK.
If your earnings do not exceed the primary threshold, employee National Insurance contributions
will not be deducted from your pay.
Please apply for a national insurance number via the following link https://www.gov.uk/applynational-insurance-number
UK Nationals
P45 & P46
Have you got a P45 from your previous Employer?
If Yes - Please send parts 2 and 3 to the address below and keep part 1a for your self-assessment
- no further action needed.

If No - Please complete a P46 once you start employment. The P46 form can be found under the
'New Joiners' section at https://emeahr.swissbank.com/ePay/LandingPage.aspx.
When completing the 'Your Present Circumstances' section of this form, please consider the
following:
Have you been employed at any time since April 2015?
Yes - Please select Statement B
No - Please select Statement A (you are declaring you have had no earnings in the current
tax year)

you only click 'Submit' once ready to avoid multiple submissions.


Foreign Nationals

P46
Are you coming to work in the UK for the first time?
If Yes - Please complete a P46 once you start employment. The P46 form can be found under the
'New Joiners' section at https://emeahr.swissbank.com/ePay/LandingPage.aspx
When completing the 'Your Present Circumstances' section of this form please select as follows:
Non-EU National Please select Statement B
EU Nationals Please select Statement A

If No Please provide us with the original P45 form (parts 2 and 3) which you will have received
from your previous employer. If you do not have your P45 please complete a P46 once you start
employment. The P46 form can be found under the 'New Joiners' section at
https://emeahr.swissbank.com/ePay/LandingPage.aspx
When completing the 'Your Present Circumstances' section of this form, please select as follows:
Have you been employed at any time since April 2015?
Yes - Please select Statement B
No - Please select Statement A (you are declaring you have had no earnings in the current
tax year)

If at the end of the tax year you believe you have overpaid tax, you should speak to the tax office
and they can calculate what you have paid or you can request a repayment form, P50.

P85
If you are a Foreign National and you are returning home after your internship, you will be able to
claim back your income tax deductions (not your National Insurance contributions).
To do this you will need to complete a P85 once you have received your P45. If you think you
require a P85, please visit HM Revenue and customs website and download the relevant form
http://www.hmrc.gov.uk
