DESIGN AND IMPLEMENTATION OF A COMPUTERIZED

LIBRARY STOCK CONTROL SYSTEM


(A CASE STUDY OF E-LIBRARY, UYO)

ABSTRACT

This research work on the topic design and Implementation of a


Computerized Library Stock control System is aim at making the
readers/users of the system to know the importance of computers in the
control and monitoring of library stock/materials. Before now there were
several concerning issues that made both the libraries and users of the
library to be dishearted with the system of library workflow. Issues such as
the incessant theft of library materials, the errors encountered when
cataloging books in its right shelve, the time consumed when registering a
member/an individual that will be having access to library materials and
lots more. All these challenges will be well brought to rest at the
implementation of this research work. Also, included on this research work
are an overview on computerized library, modern library information
environment, types of library, performance measurement of typical library
and frame work for management information development.

CHAPTER ONE
INTRODUCTION
1.0

Introduction

Library is defined as a place in which books, manuscript, recordings, films,


or reference materials are kept for private or public uses. Typically, a library
must be able to handle some housekeeping information such as acquisition,
interlibrary loan, cataloging, circulation, serial management, statistical report
and references. A library management system software package is designed
especially o handle such housekeeping tasks. A rapidly growing of
information technology adds some features to library management or stock
control system software packages such as features to handle digital-media, ebook, e-journals, online public access catalog (OPAC), a feature to connect
and exchange information with a digital library system, an ability to connect

with networks of co-libraries, machine-readable cataloging (MARC)


standard support.
In an article wrote by D. Chudnov (1999) the founder of the open source
systems for libraries project, three pilot library-related open source software
projects were mentioned. These projects are the three main components of
library management system software packages. The first component is a
traditional service such as acquisitions, cataloging, circulation and serial
management.

1.1

Theoretical Background

Effective and efficient management and control of library materials/stock


has posed huge difficulties to libraries at different level over the years, the
high magnitude of material/textbooks theft, the general inconvenience
experience by both the users of the library and management as well. The elibrary environment which will be implemented at the end of this research
work will bring great relief to the general world of research as it regards
library and the control of its stock/materials electronically.

1.2

Statement of the Problem

As aforementioned, several problems has bedevil the operations of library


ranging from poor strategy of management of its resources, the problem of
inadequate finance to push for the proper resuscitation of the library to
electronic standard, the unabated theft of library materials, and the
unwholesome usage of the general facilities of the library.

To develop an electronic library that will help/support users to get
item that are available in the library.

To develop a system that will be use to control the inflow and outflow
of stock/materials in the library.

iii.

To develop a system that will reshape the structure of the academic


work.

iv.

To develop a system that will improve the academic and computerized


knowledge base of both users of the library and librarians.

Significance of the Study

It would help minimize the time of search to find the information of


the particular text.

ii.

The electronic system will be a user friendly system

iii.

It would create convenience to the library attendance/librarian.

iv.

It would help the government and school management to save more


funds.

v.

Cataloging of textbooks would be made easy.

Scope of the Study

This research works covers the implementation of a computerized library


stock control system that will be used to monitor inflow and outflow of
library materials in other to curtail thievery/theft.

1.6

Organization of the Research

This research work has five chapters. Chapter one contains the theoretical
background, statement of the problem, aims and objective of the study,
significance of the study, scope of the study, organization of the research and
the definition of terms. Chapter two focused on the review of related

literature. Chapter three is concerned with system analysis and design,


chapter four discussed on the system implementation and documentation;
chapter five contains, summary, constraint of the study, conclusion and
recommendation.

1.7

Definition of Terms

Catalogue: A list of items in systematic order.


Statistical: A fact or piece of information obtained by studying numerical
data.
Extrapolated: To estimate the value of a quantity that falls outside the range
in which its value are know.
Artifact: (software development), one of many kinds of tangible by product
produced during the development of software.
Sparsely: Occurring, growing, or settled at widely spaced intervals; not
thick or dense.

CHAPTER TWO
LITERATURE REVIEW
2.0

Introduction

This chapter which is specifically the literature review focused on the


overview on computer library, modern library information environment,

types of library which include, public library, college and university library,
national library. Performance measurement, framework for information
development.

2.1

An Overview on Computerized Library

The information services are operating in an era of continuously changing


environment. Technology and social changes are presenting a new
opportunities, challenges and issues for libraries and information services.
About 30 years ago we was the automation (computerization) of the librarys
manual routines and about 15 years ago we saw the mushrooming of library
websites, we catalogues, etc it signaled the emergence of the digital library
era. Today broadband, wireless connectivity, computing and communication
technology have become on integral part of our working lives. Library users
are very techno savvy. Information and communication technology (ICT) is
much in use in teaching, learning and research environment. Current
information environment is fragmented. It is presenting difficulties for the
libraries to provide access to the collections in coherent and unified manner.
Library management systems have become the technical backbone, to

deliver library services and manage its operations efficiently and cost
effectively.
2.2

Modern Library Information Environment

Libraries Information Environment is chang9ing rapidly. Libraries are no


longer warehouses of information that provide access to great printed troves
of human knowledge. Ina networked information environment, abundant
information resources, Dempsey Lorcan (2006) can be found with a click of
mouse. Libraries cannot expert their users to change their workflow to fit
with the library workflows and spend their valuable time to discover
information. Libraries will need to penetrate into users infosphere and
workflows through sophisticated resource discovery systems and web
services. Secondly, collections to connection, shift has created self-sufficient
generation for users, we operate in an autonomous manner and may not see a
library as a centre of or even a small part of their infosphere. Librarys role
as a gatekeeper of a resources warehouse is diminishing but its role as a
facilitator will be increasing.

2.2.1 Lib-Infosphere: The term infosphere is said to have been coined by


Luciana Florodi (2006) to describe the changing information environment
i.e. information scarcity to information overload and proliferation of tools to
access this information anywhere and anytime. The infosphere denotes the
informational environment constituted by all information entities (including
informational agents as well), their properties is iteractions, processes and
mutual relations. It is an environment comparable to, but different from
cyberspace (which is only one of its sub-regions, as it were) since it includes
off-line and analogue spaces of information.

2.3

Types of Library

The types/categories of library are;


i.

Public Library: Pubic libraries offer their collections and services to


all members of the community. The libraries may range in size from
one-room facilities in sparsely populated areas to large multi branch
systems that serve millions of people in urban areas. Urban public
library systems generally maintain a large central library in the
downtown area as well as several smaller branches-known as

neighborhood or community libraries in the various neighborhood


of the city. Some public libraries provide services to rural areas of
their communities.
ii.

School Library: School libraries serve elementary schools, middle


schools, junior high schools, and high schools. The main function of
the school library is to support various educational programs and to
develop students skills in locating and using information. Teachers use
school libraries to access information needed to develop and support
their classroom instruction. Students use the materials in school
libraries to perform their class work. School libraries usually maintain
collections in variety of media. In addition to books, magazines, and
newspapers, school libraries may contain photographs, films, sound
and video recordings, computers, CD-ROM, games and maps. Some
school libraries contains real artifacts such as various types of stones
for the study of geology. An increasing number of school libraries
have computer labs with computer workstation.

iii.

College and University Libraries: Research plays a central role in


academic work of student and faculty at college and universities. As a

result, college and universities libraries also called Academic


libraries are often considered the most important resource of an
institution of higher education. Because students and faculty at
colleges and universities may wish to conduct research within any
conceivable academic discipline, the collections of academic libraries
usually reflects a vast range of interests and formats. Academic
libraries range in size from the modest collections found in small
liberal art colleges to the immense collections found at research
universities. Research universities maintain some of the largest
libraries in the world. Most academic libraries are linked to other
libraries in cooperative networks, enabling them to share scarce and
little-used materials required for advanced research. Many academic
libraries open their collections to the public, although borrowing
privileges are often limited for users not affiliated with the college or
university.
iv.

National Libraries: Most government of the world maintain libraries


to serve the needs of elected officials and their staff members. Usually
these libraries are open to the general public as well. The Nigerian

state maintain government libraries at both the national and state


level. Nigerian government has its national library located in Abuja
the capital territory of the nation. In addition, most government
maintain national archives, which collect and maintain historical
records, including government documents of enduring value. A
National libraries acquires, preserves, and promote its country
published heritage by acquiring copies of as many domestically
created work as possible. In the United States, Canada, Nigeria and
UK and most other countries, authors are required to submit copies of
their published work to the national library in order to receive
copyright protection for that work. By functioning as legal copyright
depositories, national libraries collect and preserve their countrys
cultural; heritage.

2.4

Performance Measurement

The importance of performance measurement has been recognized by


Liberians for many years. The first systematic studies in Nigeria were
carried out in the 1970s, and included public library issues and analyses of

academic library management decision making. Even earlier studies of the


scientific literature had provided a systematic basis for decisions on
periodical stock. In recent years interest in performance measurement has
been intense and variety of studies have been published on both sides of the
Atlantic. The reasons for this interest are not hard to find. Pressure on
resources has led to an ever-more intensive search for efficiency of
operation, while a concern to serve users needs has focused attention of
effectiveness Founders have not only demanded that value for money be
achieved but that it be demonstrated by reference to factual data. Users, and
other stakeholders, have become more vociferous, while the adoption of
access in preference to holdings strategies has led top greater reliance on
external providers and with it greater use of contracts, service live agreement
and the like.

2.5

Framework for Management Information Development

There are three main reasons for gathering and using management
information on libraries, and these remain as valid in the context of
electronic services as in the traditional library.

2.5.1 Internal Management of Services: Clearly, much management


information is needed for the internal management of the operational
library. The equipment of book issues may be used to rank the
popularity of dataset so as to help decisions on purchase or removal.
The information on equipment usage may inform decisions on
replacement, upgrading and sitting.
2.5.2 Forward Planning: Information for forward planning will generally
be at a broader level, but will again includes usage and expenditure
patterns, extrapolated to give a view on likely future trends. To this
will be added information on the environment-ranging from
intelligence on the sector as a whole and on library development, to
institutional plans, for example on students numbers.
2.5.3 Evaluation and Review: All university libraries need to review and
analyze their activities, management information is vital to this
process.

The

structure

of

the

effective

academic

library

recommendations might form a useful basis for thinking through the


management information needs of the electronic library in respect of
evaluation and review within the five-fold structure suggested in that

publication it would be possible to identify the electronic


equivalents: or complementary measures which would apply to the
electronic library.

CHAPTER THREE
SYSTEM ANALYSIS AND DESIGN
1.0

Introduction

Specifically, this chapter which is the third in this research work contains the
research. Methodology being used, the system analysis which are analysis of
the existing system, problems of the existing system, analysis the proposed
system, advantages of the proposed system and disadvantages of proposed
system. Also, included are system design, input layout, program flowchart,
output format.

3.1

Research Methodology

The research methodology that was used in this research work was through a
rigorous observation of the existing system as well as intense interview with
the staff and management of E-Library, Uyo.

3.2

System Analysis

In this context, system analysis is meant to give an enhance breakdown of


the general functionality of both the existing and proposed system.

3.2.1

Analysis of the Existing System

The existing system of library stock management is mainly done manually,


which as a result demand users to waste more time to accomplish the given
task as well as creating an undue inconvenience to them.

3.2.2

Problem of the Existing System

It is very much expedient to know that the existing system has been exposed
to several flows that demand for the introduction of a new system. Its major
problem is how to locate a particular textbook in the library.

3.2.3

Analysis of the Proposed System

The proposed system will thus be an automated or a computerized method


that will specifically replace the existing or current method of financial
accounting.

3.2.3.1

Advantages of the Proposed System

The advantages of the proposed system thus include;


i)

It will generally improve the knowledge base of computing in our


society.

ii)

It will help to save time when compared to the existing system of


financial accounting.

iii)

It will help the management to know the exact number of


textbooks that are in stock.

iv)

It will reduce the regular loss of textbooks due to poor


management.

v)

It will create convenience and user friendliness to the operators.

Disadvantages of the proposed system

The disadvantages of the propose system include;

The system cant be put to use when there is power outage.

ii)

The system will thus cost a fortune to maintain its regularly.

System Design
In this study, several components are put together to make up the system.
This will serve as an information unit, the operational unit of the system to
be designed.
Production system is designed with features of an 00 programming language
using visual basic. System design is also the process of planning the logical
step of the proposed system. It involves series of procedures such as; input
and output as well as program flowchart.

Introduction

This chapter which is the system implementation specifically focused on the


system diagram the choice of programming language employed in the
research work, the analysis of the modules programming environment, the

hardware and software requirements, as well as the implementation of the


system.

4.2

Choice of Programming Language

Generally many programming languages are in existence such as JAVA,


PASCAL, VISUAL BASIC, to mention but a few. However, for the purpose
of this research project VISUAL BASIC edition is chosen. Because it help to
develop program that runs on all platforms with a user-friendly interface.

Search text This is where users can search for the availability of
textbooks in stock.

Report: This contains all the general records of both available and
rented textbooks made as well as report.

Several compatible hardware and software resources were used in


accomplishing this research work which a re specifically categorized
research work which are specifically categorized below;

Implementation
This is system testing phase of the system development life cycle

which includes the installation of the system and the initial use of the
complete system.

For any system to output result, the user must be able to use the
system effectively. This is user friendly, menu-driven, flexible and
interactive. Thereby, offering users the ease of learning and training staff on
the use of computer based system. Once the training is completed, the
system is implemented and the manual system has to be replaced. The
following changes over procedure are available in this study.
i)

Parallel Conversion This method of conversion allows both the


new and old system to run along side each other. It allows the need
system to prove itself before the old one is taken offline.

ii)

Pilot conversion this is quite similar to parallel implementation or


conversion, with the pilot system only a portion of the new system
is run along side the new system.

iii)

Direct conversion This is where old system stopped and the new
system is started.

iv)

Phase conversion Part of the old system are replace by the new
system. That is part of the new system are used for training
purposed until the next part is ready for implementation.

The method specifically used for this research is the parallel


conversion which allows for the new system to be tested with a real
world set of data, which can be compared to the old system.

SUMMARY, CONCLUSION AND RECOMMENDATION
5.0

Introduction

This chapter which is specifically the final of this research work is consists
of constraint of the study, summary, conclusion and recommendations.

5.1
i.

Constraint of the Study


The challenge of unsatisfactory response from the staff at E-library

Uyo.
ii.

Materials related to the research work was highly limited at the school
library.

iii.

The transport fare that was paid to where the most and reliable
materials where gotten posed another challenge.

iv.

The time given to complete the work was too short.

5.2

Summary

As aforementioned, that the new system when fully operational will be used
to effectively manage the inflow and outflow of library materials as well as
stock control for the general and efficient workflow of the library.

5.3

Conclusion

Conclusively, this research work has successfully accomplished a


computerized library stock control system that has replaced the
manual/existing mode of control the stocks/materials of a library.
5.4

Recommendations

Below are the recommendations of this research work


i.

More compatible computers should be procured to run this


application.

ii.

Staff of E-library Uyo, should be taught on how to operate it


effectively.

iii.

The computer should be maintained by expert at regular intervals.

iv.

Antivirus software should be installed on the computers.

v.

The systems should be secured with password to prevent intrusion.
