Procedure of recording Students daily
attendance
in Attendance Roster in
People Soft

Purpose of this write-up is to provide a


self teaching guide to faculty members
to enable them to feed in the People
Soft Attendance Roster, daily
attendance of students in their classes
to generate computerized attendance
position of the students.

Student Attendance Roster Procedure in People Soft
In the first step, Faculty members as usual, will use class attendance sheet as
being down loaded by them using the route Main Manu, Reporting Tools,
Query Report Viewer, Search, View Report, to get attendance sheet
in Excel or PDF format in People Soft, as shown below.

In the next step, with the help of above class attendance sheet, faculty members
will enter the attendance of each student daily in Class Roster in People Soft for the
purpose of generating permanent attendance record as MIS for use by;
Academic ,Examination, Finance and Transcript Departments and the faculty
himself. Following procedure is required to be followed :
1. Use route Main Menu, Curriculum Management, Attendance
Roster, Attendance Roster By Class to reach at Attendance Roster By
Class window as appearing below:

2. Following steps to be taken to fill in the boxes appearing in Attendance
Roaster By Class:
2.1 Click magnifying glass sign against Academic Institution. Look Up
Academic Institution window will appear. Click on IOBMU.
2.2 Click magnifying glass sign against Term. Look Up Term window will
appear. Click on desired term. For example 1502 for Spring-2015.
2.3 Click magnifying glass sign against Subject Area. Look Up Subject
Area window will appear. Click on your Subject Area. For example
ACC for accounts

2.4 Enter Class Nbr. Enter Class Number if you already know it.
Otherwise, find Class Number in My Schedule Window (Route: Main Menu
Self Service Faculty Center My Schedule), appearing below the subject
code. Come back to Attendance Roster By Class window by clicking in left
corner of the screen.
2.5 After filling the above four boxes click Search button, appearing at the
bottom left side of the page.

3. This process will take you to Attendance Roster by Class Window, shown
below:

3.1 Fill in the date of start of your first class (for example 1/19/2015) against
Attendance From Date: and set Attendance To Date. as last day of the
class. Click Save
3.2 At the end of last class of the semester all the rows appearing below the
last date of the class to be deleted by clicking - sign.
3.3 Click on Generate button (This button will freeze after the click). A
new drop down window will appear as shown below.
Note of caution: Strictly follow the above sequence first 3.1 and
then 3.3

3.4 In this step three clicks are required: 1.Select the date of attendance and
Click on the box appearing in Override column and apply check () in it
.This step updates final status of students after addition in or drop out from
the course. 2. Click on Create. This step generates a refreshed strength
of the students in the class on that particular date and 3. Click on View.
This step will take you to an up dated Daily Attendance Sheet, appearing
below:

3.5 check () will appear by default showing all students of the class as
present. Faculty will Uncheck the box against the name of student absent
on the date of attendance and click on save and return to update the
attendance record of a particular date. Please note that Checks () represent
presence of students in the class. Removing the check will mark him absent.
Note: Press ctrl+F , enter ID of the absentee in the box that appears.
This will highlight the ID of absentee in the students attendance
roster facilitating removal of check for marking of absent.
3.6 For next day same process will be repeated from step 1 to step 3.5
(except 3.1,3.2 and 3.3) as detailed above.

4. Faculty members can recheck each students daily attendance position during
the semester in Attendance Roster By Student Menu. Use route Main Menu,
Curriculum Management, Attendance Roster, Attendance Roster By
Student to reach at Attendance Roster By Student.

4.1 Directly enter ID of any student in your class against ID. Click on magnifying
glass sign against Academic Institution. Look Up Academic Institution window will
appear. Click on IOBMU. Click on Search.

4.2Following window will appear showing different subjects. Click on the class
number of your choice.

4.3 Following Report will show you an up-to-date position of a student of your class
