Introduction
Primavera is a Project Management software developed by Oracle. Which is used for globally
prioritizing, planning, managing, and executing projects, programs, and portfolios. Latest version of
Primavera available in market is 15.1. which is an upgrade of Primavera P6 Version 8.1. There are no
Versions 9 to 14 because Oracle changed their naming convention with the release of 15.1 so the name
is the same as the year of the release. Before Primavera, Software like Primavera P3, Microsoft Project,
Sure Trak and Asta Power project were used. But Primavera P6 is advanced and more reliable Project
Management Software, hence it is Preferred.

Purpose:
The purpose of planning is to have a clear image in our mind that what will be done and when will be
done? The ultimate process of planning is to build a model that allows us to predict which activities and
resources are critical to the timely completion of the project.
By doing planning we can have clear idea about availability of resources, their excess or
shortage. Once we get the idea of shortage, we can then implement the strategies to make sure that
these activities and resources are managed properly. And hence ensuring that project will be delivered
on time as well as within budget. Both of these parameters are very important to measure the success of
any project.
When we open Primavera, the following window appears showing all existing organizational structures
and their Projects.

Purpose of Planning
The ultimate purpose of planning is to build a model that enables you to predict which activities and
resources are critical to the timely completion of the project. Strategies may then be Implemented to
ensure that these activities and resources are managed properly, thus ensuring that the project will
be delivered both On Time and Within Budget.

Project Planning Metrics


The components that are normally measured and controlled using planning and Scheduling software:
Scope
Time
Resource Effort/Work (these are called Units in Primavera P6)

Cost

Other project management functions that are not traditionally managed with planning and
scheduling software but may have components
reflected in the
schedule include:
Document Management andControl,
Quality Management,
Contract Management,
Issue Management,
Risk Management,
Industrial Relations, and
Accounting.

The development of Enterprise Project Management systems has resulted in the inclusion of many
of these functions in project planningand scheduling software.
Primavera includes modules for:

Risk Management, and

Document Management.

Planning Cycle
The planning cycle is an integral part of managing a project. A software package suchas Primavera
makes this activity much easier .

Updating a schedule assists in the management of a project by recording and displaying:


Progress and the impact of project scope changes and delays as the project progresses,
The revised completion date and final forecast of costs for the project,
Historical data that may be used to support extension of time claims and dispute resolution
Historical data that may be used in future projects of a similar nature.

CREATING A PROJECT PLAN


The aim of this chapter is to give an understanding of what a plan is and some practical guidance on
how a schedule may be created and updated during the life of a project.

Enter the breakdown structure of the project deliverables orproducts into the software. This is
often called a Work Breakdown Structure(WBS) or Product Breakdown Structure (PBS),

Break a project down into the work required to create the deliverables and enter these into the
software as Activities under the
appropriate WBS,
Assign durations, constraints, predecessors and successorsof the activities and then calculate
the start and finish date
of all the activities,
Assign resources and/or costs, which represent people, equipment or materials, to the activities
and calculate the project resource
requirements and/or cash flow.
Optimize the project plan,
Set Baseline Dates and Budgets to compare progress against
Record the consumption of resources and/or costs and re-estimate the resources and/or costs
required to finish the project.
Produce management reports

WBS Summary

Task Dependent Activity

Scheduled only according to the Activity's calendar


When you want to control the Activity's duration yourself
Activitys Resources are scheduled according to the Activity's Calendar
Use this Activity Type for all construction / physical activities

Resource Dependent Activity

Scheduled according to the calendars of assigned resources


Resources are scheduled according to their own calendars
Used when several resources are assigned to the same activity, but may work separately, or
when availability can affect Activity's duration

Level of Effort Activity

Commonly known as Hammocks


Has a duration which is determined by its dependent activities, from the earliest start of its
predecessors to the latest finish of its successors
Should be linked to its predecessors with a SS, and to its successors with a FF
Overhead-type activities are typically Level of Effort, e.g. Site Cleanup

Can be used for monitoring purposes, e.g. "Project Duration", it includes

Start Milestone/Finish Milestone

A zero-duration activity with no resources


Used when an activity is intended to signify the commencement/completion of a significant
stage, rather than a physical work product
Examples : Notice to Proceed, Substantial Completion, etc

WBS Summary Activity

Has a duration which is determined by a group of activities that share a common WBS level.
The Activity's duration will equal the overall duration of activities assigned to the same WBS
level.
Resources that drive activity dates cannot be assigned to WBS summary activities.

Creating calendars:

Enterprise Command Menu Calendars


Choose Global
ClickAdd to create a new calendar or Modify to edit an existing one
Choose the Calendar that you want to use as a template for new Projects
Modify the Work Week
Double-click to add work/non-work days
Check in the Default Box to make this the default Calendar for all future projects
In the main Calendars window, choose Project
Add the Global Calendar that was created in Step 3 above
Holidays will be inherited automatically
Go back to the Home Page, RightClick on the new project Project Details
In the Defaults Tab, choose the new Calendar from the drop down menu

Constraints:
Definition:
A Constraint is a restriction imposed on the start or finish date of an activity It may or may not
override logic, depending on the Constraint Type Should be used sparingly, only to represent
external factors that are not within the control of the organization, e.g. easements, ADOT ROW,
etc..

Constraint Types:

Start on :

imposes a start date. Can delay an early start or accelerate a late start to satisfy the imposed date.
Unlike the mandatory start constraint, doesnt violate logic.

Start on or after :

Also known as "Start no earlier than".Affects only early dates. Limits the earliest time an activity
can begin so that early start date cannot be earlier than the constraint date. Logic however, may
cause the early start to occur later.

Start on or before :

Also known as "Start no later than".Affects only late dates. Limits the latest date it can start. When
calculating a schedule, it is used in the backward pass only if the calculated late start date will be
later than the imposed date. This constraint may decrease total float.

Finish on:

Similar to the "Start on". Imposes a finish date. The finish on constraint can delay an early finish or
accelerate a late finish to satisfy the imposed date.

Finish on or after :

"Finish no earlier than". Limits the earliest time it can finish so that the finish of an activity is not
scheduled before the imposed date.

Finish on or before :

"Finish no later than". Limits the latest time it can be finished. The finish on or before constraint
affects only late dates. Reduces Total Float.

As late as possible :

Pushes the activity to start as late as possible without delaying its successors, if it has available
float.

Mandatory start / Mandatory Finish :

sets early and late dates equal to the date you specify. Overrides logic..Do not Use..!!!!
