WORD 2013 TIPS & TRICKS


Switch from the Styles Window to the main interface, without using your mouse.
First, open the Styles window, pressing Ctrl + Shift + Alt + S, or clicking on the button of the Styles
panel, as shown in figure 1:

Every time you press Ctrl +
Tab, it will jump from one
part of Word to the next one. If you also have the Navigation Pane open, then this will also be
one of the parts. The Status Bar at the bottom works as a separate part of Word, too; and is
therefore accessible via Ctrl + Tab.

Remove the separator line of any Footnote

This feature is undocumented


Footnotes usually come with a short line that separates the Footnote from the rest of the page
What if I want the line to be longer or shorter, or in red color? What if I want something else,
instead of a line? How about, no separation at all? Here is how to do this in Word 2013
First, find the Draft View on the bottom of your Word interface and click on it.

Next, click on the References menu, and then click on the Show Notes button, as seen on the
image below.

Because you are in Draft View, you should get something like the next image, along the bottom
of your Word interface:

Click on the little arrow next to All Footnotes, and select Footnote Separator, as you can see
on the picture below.

Now you should be able to edit the separator line to whatever you like. 3

Use the underscore to create a line


Anywhere in your document, do the following:

Press Enter anywhere in your document, to get to a new (empty) line.


Press (and keep pressed) Shift, and type the underscore some 5 to 20 times.
Release Shift.
Press Enter.

You should have a line along the page, like this one:

Different Tabs
There are several different tabs to choose from, as you can see in the picture below.
Note: If you dont see the ruler, go to View menu and turn on the Ruler checkbox.

Remove all the notes from a Wikipedia article (using Find and Replace)
Sometimes we copy an article from an Encyclopedia or another source; and the text we copy
usually comes with a lot of notes which are marked with a number placed between brackets, like
this: [1]. If we do not need them, we could delete them manually, but a better way to do this is
using the Find & Replace function. Here is an example of what I mean.
China (i/tan/; Chinese: ; pinyin: Zhnggu; see also Names of China), officially the People's Republic
of China (PRC), is a country located in East Asia. It is the world's most populous country, with a population
of over 1.3 billion. The PRC is a single-party state governed by the Communist Party of China, with its seat
of government in the capital city of Beijing.[17][18] It exercises jurisdiction over 22 provinces, five
autonomous regions, four direct-controlled municipalities (Beijing, Tianjin, Shanghai, and Chongqing), and
two mostly self-governing special administrative regions (Hong Kong and Macau).[19] The PRC also claims
Taiwan which is controlled by the Republic of China (ROC), a separate political entity as its 23rd province,
a claim controversial due to the complex political status of Taiwan and the unresolved Chinese Civil War.
Covering approximately 9.6 million square kilometres, China is the world's second-largest country by land
area,[20] and the third or fourth-largest by total area, depending on the definition of total area.[21] China's
landscape is vast and diverse, with forest steppes and the Gobi and Taklamakan deserts occupying the arid
north and northwest near Mongolia and Central Asia, and subtropical forests prevalent in the wetter south
near Southeast Asia. The terrain of western China is rugged and elevated, with the Himalaya, Karakoram,
Pamir and Tian Shan mountain ranges separating China from South and Central Asia. The Yangtze and
Yellow Rivers, the third- and sixth-longest in the world, have their sources in the Tibetan Plateau and
continue to the densely populated eastern seaboard. China's coastline along the Pacific Ocean is 14,500
kilometres (9,000 mi) long and is bounded by the Bohai, Yellow, East and South China Seas.
The ancient Chinese civilization one of the world's earliest flourished in the fertile basin of the Yellow
River in the North China Plain.[22] For millennia, China's political system was based on hereditary
monarchies, known as dynasties, beginning with the semi-mythological Xia of the Yellow River basin (c.
2000 BC). Since 221 BC, when the Qin Dynasty first conquered several states to form a Chinese empire, the
country has expanded, fractured and been reformed numerous times. The Republic of China overthrew the
last dynasty in 1911, and ruled the Chinese mainland until 1949.
In 1945, the ROC acquired Taiwan from the Empire of Japan following World War II. In the 19461949 phase
of the Chinese Civil War, the Communist Party defeated the nationalist Kuomintang in mainland China and
established the People's Republic of China in Beijing on 1 October 1949, while the Kuomintang relocated
the ROC government to Taipei. The ROC's jurisdiction is now limited to Taiwan and several outlying islands,
including Penghu, Kinmen and Matsu, and it has received limited diplomatic recognition.
Since the introduction of economic reforms in 1978, China has become the world's fastest-growing major
economy.[23] As of 2013, it is the world's second-largest economy by both nominal total GDP and
purchasing power parity (PPP),[24] and is also the world's largest exporter and importer of goods.[25] China
is a recognized nuclear weapons state and has the world's largest standing army, with the second-largest
defense budget.
The PRC has been a United Nations member since 1971, when it replaced the ROC as a permanent member
of the U.N. Security Council. China is also a member of numerous formal and informal multilateral
organizations, including the WTO, APEC, BRICS, the Shanghai Cooperation Organization, the BCIM and the

G-20. China has been characterized as a potential superpower by a number of academics,[26] military
analysts,[27][28] and public policy and economics analysts.[29][30]

In this paragraph, we have several occurrences of a number within brackets. In fact, we have
more than five of these just in these three short paragraphs. The easiest way to eliminate these
is using the Replace command, like in the image below. Once you click on the Replace button,
make sure to expand the window by pressing the More >> button. This will give you a lot more
options to deal with what we have to find and replace. In our case
we need to find every time there is a number within brackets.
Luckily for us, this document does not use any brackets for any
other use than these numbers which we want to get rid of. But
there is a problem. The number inside the brackets is not the
same very time; and whats more, some of the numbers have one
digit (such as [5]) and some of them have two or even three digits
(such as [20] or [133]); so we dont really know what number we will find within those brackets.
Therefore, we need to use WILDCARDS! Find the checkbox that says Use wildcards and
checkmark it!
If you click on the button that says Special you should see the options we have there. Choose
the one that says () or more Characters, because we are looking for one, two or more digits.
You should see that your Find what: box now has an asterisk.
Next, we also know that what we are looking is between brackets, so type in an opening bracket
before the asterisk, and a closing bracket after it. Now you should see something like this in your
Find what: box:

However, because we are using wildcards, we cannot find brackets by just typing a bracket;
because brackets are used to find something else when using wildcards; namely Character in
Range (explanation to that later on). Therefore, we need to tell Word that we do not want to
use the brackets to find a range of words or letters; instead, we are looking for the actual brackets.
To do that, we need to add a backslash ( \ ) in front of each one of our brackets. So then, in the
end we should have something like this:

Inside the Replace with: we just type nothing, because we
want to replace all this with nothing.
Now, you can click on the Find Next button to check if Word
is seeing what you are trying to make Word see, and if you are happy with that, click on the
Replace button. You can also click on the Replace All button to delete all the brackets at once.
Easy, huh?

Checking how many times you saved a document


Anywhere in your document, click on the Insert menu, then on the Quick Parts button. Next,
you should click on the Field submenu, and get your Field window open. Inside it, select
Document Information in the Categories: option box, and then select DocProperties in your
Field Name: option box. Last, make sure that you select RevisionNumber in your Property
option box, just like in the image below.

Click OK. This is what I get in my case:

This document has been saved 5 times.

Note: You can test this, by simply pressing Ctrl + S (Save), although the number will NOT
update automatically. For that, you need to right-click on the number, and choose Update
field, like on the picture above.

Different Headers and Footers in the same document


Sometimes we want to have different Headers and Footers in a document. For example, if you
look at this document you will see that the bottom of the page shows the page number, and
the top of the page shows the name of the author on one side and the title of the book on the
other side.
This is very easy to do. First, you need to open the Design menu for Headers and Footers. To
do that, first click on the "Insert" menu, and then on the "Header" button, so that you can click
on the "Edit Header" submenu. Look at the images below to see what I mean.

Now you should be inside the Design Menu, and along the menu bar, you should see something
like this.

If you want a different Header for the title page, then make sure that the checkbox for
"Different First Page" is checked. If you want a different header for odd and even pages, then
the second checkbox should be checked. You can uncheck the third checkbox if the text of your
document is bothering you while you work on your headers and footers.
Inside your document, you will see something like this:

Notice that I am pointing at three things you should notice here, and I marked them with three
thick read arrows:

There is a hanging blue tab that says "First Page Header.


Note: Maybe you see something different inside your tab; that depends on where in the
document you are. If you want to jump to the Footer of your document, just press

(Page down) on your keyboard.

Look where your pointer or cursor is. If you start typing, that is where you would type.

If you click on this button, the Alignment Tab Dialog Box will appear and you will be given
the choice to type in the middle, or on the right side of your Header. Look at the picture
below to see what I mean.

I usually choose the "Center" option, so that my header shows whatever I want centeraligned.

Additional Info
If you want the first page to NOT to have any header of footer, simply make sure the checkbox
"Different First Page" is checked, and then delete anything that is on header of the first page.
The content of the headers of any other pages will not be deleted.

However, here is a question. Imagine you want the first ten pages to have no headers, not just
the first page. In this case, you will have to create a section on Page 10, and unlink the two
sections. That way, the two sections will operate independently from each other, and each one
will have its own "first page", and its own rules for "odd and even pages", and so on.
To create a new section in your document, first you will have to exit the Design Menu; in other
words, close the header and footer section.
Go to the page where you want the second section to begin, and make sure that your cursor
is at the beginning on that page.

Warning! If you miss to do this point, your section will not work properly!
Then go to the "Page Layout" menu and find the "Breaks" submenu. Look at the following
image, to see what I mean:

Next, you will select the option that says "Continuous", as shown on the image below:

Next, go into the Design menu again; we will continue working on our headers and footers.

Now you should see that those blue hanging tabs show you the Section you are in, like on the
image below. Play around by pressing PageDown and PageUp and keep an eye on the blue
tabs. Look at the picture below to see what I mean:

The next step will be to UNLINK the two sections so that you can actually do different headers
and footers between the two sections.

If you don't do this right, the whole thing will NOT WORK!
Once you are inside the header (or footer) of Section 2, notice that there is a blue tab on the
RIGHT SIDE that says "Same as Previous".
You must unlink this by clicking on the button that says "Link to Previous"!

Remove all Hyperlinks


Remove all Hyperlinks shortcut (even if they are inside a table):

Ctrl + Shift + F9
Again, this is definitely not worth an image

Arrow to the left


Type twice the minus sign, then type the greater than sign, and you will immediately get an
arrow sign If what you really wanted was two minus signs and one greater than (not sure
why you would want it, but anyways), just press Backspace, and Word will understand that you
did not want the arrow
--> This is either before pressing Enter, or after pressing Backspace
This is after!

Lorem Ipsum
Type in the following in a new line and then press Enter:

= lorem()
(Note: Do NOT type the space between the equal sign and the word lorem!)
You should get something like this, as soon as you press ENTER:

This will give you some paragraphs of random text in Latin Sort of like a text filler. Why Latin,
you might ask. Well, some say this is intentional so that you do not waste time trying to read it.
However, do not worry. If you really hate Latin, you can also type the word rand instead of
lorem, and you will get the same effect in English.
Note: If you type in some numbers inside the parenthesis, you can actually decide how many
paragraphs and how many sentences you want. For example a =lorem(4,7) would create four
random paragraphs with seven random sentences each.

Cant see your scroll bars?


It could happen that you cannot see your scroll bars, no matter what you try to do.
This simply means that Word has been set to hide the scroll bars. Click on the File menu, and then
click on the Options button.
Click on Advanced button (again on the left side), and then scroll down until you find the part
that deals with the Display of Word 2010.
There you can find the two check boxes that need to be turned on, for you to see the scroll bars.

What we want to do here is to add a space between the flags and the name of the country, using
Words Find and Replace feature. Surely, we could do this by hand, since there are only 10
countries in this list, but think of the work you would have to do if this list would have all 200+
countries.
This is the way to do it: Since we do not want to add a space in front of EVERY word, we will first
make the county names RED color. Word will only look for words in red. Once you have the
country names in red, click on the Format button and select the Font option, like shown in
the image to the left.
Once you get the Find Font window open, tell Word to look for
words written in red, like on the picture to the right:

Make sure that Use wildcards is check-marked. Then, in the Find what: box, type in the
following:

<?
This means we are looking for every beginning of a word in red. The greater than sign tells
Word to look for beginning of words; the question mark tells Word to look for any ONE (one
and only one) character. Next, in the Replace with: box we will type in the following:

^&
Notice that there is a SPACE before the ^ sign!
This will tell Word to replace what we found with a space, and then
whatever Word found, each time. The ^& (power sign and ampersand
sign) is very useful to find whatever the Find what: box contains.
Now you can click on the Find Next button, and you will see that Word selected the letter R
from the word Russia. Click on Replace and voila, you have your space! Now you can click
on either Find Next to do a one-by-one replacing, or on Replace All.
Nevertheless, if you selected Replace All, now you have a little new problem: Some words, like
United States now have two spaces between the words United and States. What you can
do is a new replace operation, replacing all the double spaces with a single space
Last, you can turn the words in red back to black. If we had not done this, our search would have
covered the other columns too, and we would have had a lot more work to do

Hate it or love it, its the Paragraph Mark!

You have seen the paragraph mark around, havent you? Well, besides the fact whether you hate
it or love it, it has its uses. However, all you need to know right now is how to turn it off (or on),
very quickly. Here it is:

Automatic numbering column


Let us have a look at the two tables below. Notice that the only difference between them is that
one has an extra column (to the left), with automatic numbering.
Sure, you do not exactly need to do that if your table only has two or three rows, but this can be
a lifesaver if we are talking about tables with hundreds of rows.

So, once we have added our column (to the left), we can start working on this little used feature.
Remember that FORMULAS do not work exactly like in EXCEL. Many times, in Excel, you just need
to drag and drop to achieve this, but in Word, there is a work-around. First, we will type a number
1 in the cell that is next to the word Russia in our example. Next, click inside the cell where
logically we want the number two to show up, and then go to the Layout menu. Once there,
click on the Formula button, and change the Formula: and the Number format: fields just
like on the image below:
Inside the Formula: box type in the following:

=COUNT(ABOVE) + 1
Inside the Number format: box, simply type in
a number 0 (zero). This is not necessary for this
exercise to work properly, but it could be useful
if you decide to number your table with roman
numbers, or add some decimal points.
You should see the number 2 show up where it was supposed to be! So far, so good! Now select
that number (it will show grey color, not blue; because you are selecting a formula, not just a
plain number), and press Ctrl + C to copy it.
Then click on the cell where the number 3 is supposed to show up, and drag your mouse down
all the way, depending on how long your table is.

UNDOCUMENTED TIP:
You can also select the entire column FROM WHERE YOU ARE (means it will NOT select above your
current position), by (1) turning off NumLock, and then (2) pressing Alt + Shift + 3 (the one that says
PgDn, on the numeric pad).

Try it out; it works like a charm!

Next, you need to paste what you copied before: Ctrl + V. Of course, you will see the numbers,
but they might not be EXACTLY what you wanted them to be.

While your cells are still selected, press F9 to refresh Word!


Your numbers should be fine now. All you need to do is the aesthetic stuff, such as alignment,
color and so on!

Take a look at the two little tables below, and notice that the only difference between these
tables is that China is on row 3 in the first table and on row 1 in the second table.
This is incredibly easy to do, not even a copy-and-paste needed!

All you have to do is click inside any cell inside the row that you want to move (yes, just one click;
no need to select anything!), and then press the following key combination:

Shift + Alt + Arrow Down (or Arrow Up, if you want to move it up)

Making text bigger (or smaller), the real quick way


Select any text, and then use the following key combination:

Ctrl + Shift + >


To make text smaller, obviously you need to use < instead of >.

Inserting a Screenshot
Most computer users probably know this, but I wanted to put it up here anyways.
If I go to my Insert menu, then click on the Screenshot button, and then click on the
Screen Clipping button, I will get a nice chance to clip whatever I want, and have it on paper
in an easy, modern, painless way. Have you ever tried it?

Nicely designed quote in a paragraph


Here is what I like to see, never too often in an article: a main idea, or a thought, or a sentence
that summarizes the entire article, nicely placed alongside the article, with a quotation mark in
the background. If you look at the paragraph below, you will see what I mean. If you intend to do
something like this in your work, please notice that you have to add some paragraph space on
the left side of your text.

Viewing your Document


Sometimes it is nice to see your document, many pages together. Look at the picture below.

This is very easy to do.


Just go to the View menu and find the Zoom button. You should get a window like this one:

Click on the button that shows the monitor with the little arrow and says "Many pages" next to
it. Then just drag the number of pages you want to see.

This is actually easier to do than you thought. Simply go to the Insert menu, then click on the
Shapes button, and then select the Rectangle shape. Format the shape to a size you like, and
select the Fill of the shape to be a JPG image, in my case a quote.jpg that I made earlier. Here
