Business Communication
Communication is the process of transferring signals/messages between a
sender and a receiver through various methods (written words, nonverbal
cues, spoken words). It is also a mechanism by which we use to establish
and modify relationships. Business Communication is a wide perception
taking into consideration of its importance in business as well as in personal
life. Now a day, business communication does not refer only to exchanging
ideas, views or thoughts. In addition, the most important thing is that
communicating in business world has become more necessary to fulfill
organizational objectives and achieve success. So communication is rather a
device or mechanism using by people to get benefit and improve their
condition than an exercise only of exchanging information.
Its Necessity and Realizations
It is necessary for the managers and employees to communicate with each
other for facilitating work of together and influencing their relationship as
well as achieving goals in the workplace. People of an organization do not
belong from the same culture or society. For better performance and
interactions with others in a diverse multicultural society, an effective
communication context is essential. Moreover, introduction to new
technologies and innovative ideas need a positive relationship between
workers and ease in communication process is expected. So communication
across the organization and outer side is an obvious need whether for an
individual or for the organization as a whole.
Various Communication Skills
As discussed earlier communication not only refers to giving and perceiving
messages but also refers to a concept-oriented exercise. Communication
skills are generally categorized into three main types:

Input skills: It includes observing, reading and listening to gather or


perceive data and information.
Processing skills: This refers to analyzing and synthesizing of
received message.
Output skills: This includes writing and speaking about the decisions
made from derived message.
Preparing message and presenting that in a graceful manner is also
considered as an important factor. Again creating a favorable communication
climate in the workplace is also a necessary skill of a communicator as a
manager.
These skills of communication in managers and their subordinates enhance
the effectiveness of development of an enterprise widely; these lead to the
contribution of socio-economic development of a country.

How Communication Skills can be developed


Good relations among members of a business are critical for success Good
communication skills are an important element for the development of good
relationships Poor communications starve a relationship while good
communications nourish it. This is true regardless of whether you are a
member of a committee looking at starting a business or a member of a team
operating a business. Therefore, improving communication skills is
important for success. However, this does not just happen. Both the receiver
and the sender must work at developing verbal and listening skills.
Developing good business communication skills is as much about the ability
to develop good content as it is about good content. Some notions or
concepts (idea) are given priority here to develop communication skills of
people in the workplace:
Improving the writing and speaking skill of the language used in the
communication process is highly referred.
Sender and receiver should have enough authority over the method
used in the communication process.

Timely Interaction with each other reduces sudden breakdown or


nervousness when communicating.
Determining the words, sentences and furthermore the ideas of the
message develops confidence of the sender.
Innovating new technologies and making their uses easy to the
employees are largely supportive.
Trained people are the real assets of an enterprise for their
effectiveness. Training helps people to communicate in a proper
manner according to their ability and responsibility.
Helping people to think over the problems more creatively develops
the analytical skills.

An example:
Managers of a multinational company are told to attend a seminar on
Interacting with subordinates using communicating skills. After having a
plenty of discussions and real life stories managers able to understand the
role of assertive communication and better workplace behavior. Parallel to
that a training program is arranged for the subordinates discussing on

Developing Communication Skills as a key factor of socio-economic

The ability to communicate effectively is important in relationships,
education and work. Development of communication skills impacts on
organizational improvement and in total contributes to the social life and
economic condition of a country. These skills help people to make their
social life better and fulfill the organizational demand by using them wisely.
Developing communicating skills can affect the socio-economic position in
certain manners. Among them, some are discussed in the next several points.

Organizational goals and objectives


Business communication is an effective exercise that is the socalled mechanism of achieving organizational objectives. People
communicate with each other to work together in a more preferable
workplace comfortably. Organizational goals are set to build a
desirable context for business and achieve its crest objectives.
Moreover efficient and effective communication skills of people
working around the enterprise influence achievement of
organizational goals ultimately.

Interpersonal relationship (Timely Interaction)


An interpersonal relationship is an association between two or
more people that may range from fleeting to enduring. This
association may be based on inference, love, solidarity, regular
business interactions, or some other type of social commitment.
Interpersonal relationships are formed in the context of social, cultural
and other influences. The context can vary from family or kinship
relations, friendship, marriage, relations with associates, work, clubs,
neighborhoods, and places of worship. They may be regulated by law,
custom, or mutual agreement, and are the basis of social groups and
society as a whole. Better communication skills help people to interact
with others more precisely and frequently. This is an important
dimension of communication skills to make relationship better.
Aggressive attitude towards the subordinates or having a negative
perception about the superior creates only conflicts. Respects to others
culture, ideas, views, perceptions and norms create a friendlier
working climate. When managers convey message to the subordinates
they should act tactfully using their ability and experiences; and when
reacting to the message or feeding back to it subordinates should
behave politely using their skills and experiences as well.

Innovative measures
For the achievement of goals and objectives of business, the use
of new and innovative technology is necessary task of the people
related to business organization. Therefore, it is an obvious duty of
superior of organization to make the best use of technology by making
the subordinates familiar and comfortable with the same. For this, the
superiors key handler is the effective and efficient communication
skills.
An example
Paul engineering industry introduced a new accounting program
based on 4th generation language (4GL) in their organization. Making
sure of the best use of that program across the organization, they
trained their executives of the department of finance & accounting. In
the training period, many problems were raised and solved instantly
by practical demonstrations by the software developer team.

Negotiation
Negotiations between parties are associated with their skills and
ability of interacting with each other. In order to make win-win
atmosphere skillful negotiation is necessary. Again, negotiators should
develop their communicating skills in a tactful manner for both partys
satisfaction. The success of a business enterprise relies on proper
exchange of commodities by effective negotiation.

Multicultural Society
People of an organization belong from different cultural
background. When they work together, they build a unique pattern of
communication. They respect each others norms and traditions. The
customs and conventions affect how people work as individuals or as groups
in the workplace. When people are interacting with each other with respect
to their individual perceptions, they actually support one another.
Developing communication skills enable them to consider the factors
affecting the multicultural climate in the organization.
An example
German engineer is sent by his company to Japan for several
months to
Work together with a Japanese team of engineers on a project. He
speaks English well, is a very competent technical specialist and is
therefore expected by his company to consult with the Japanese, come
up with a solution and implement it.
He looks forward to the opportunity not only to demonstrate his
technical abilities, but also to gather international experience. There
appears to be no serious language difficulties on either side, so
cooperation is smooth over the following months. There are no
obvious signs suggesting miscommunication of any kind. A satisfying

solution is found, implemented and the project concludes. The


German prepares to return home.
On the second last day before his departure, however, he unexpectedly
discovers that a serious error has indeed been made. To complicate
matters, the source of the error is traced to the Japanese. Under time
pressure to correct the problem, he is able to define three possible
solutions from which they can choose to correct the problem, but
takes care to approach his Japanese counterpart with a greater degree
of politeness and indirection than he would probably take with
German colleagues under similar circumstances. He is careful to avoid
implying blame, for instance, by not using the direct "you" address
and softening his general wording to sound more like suggestions.
He offers the first possible solution, to which the Japanese responds
"yes". He points out, however, that the second solution can also be
considered, to which the Japanese also replies "yes". Finally, he offers
the third possible alternatives. Again, the Japanese responds in the
affirmative. By this time, the German is thoroughly disoriented and
suddenly does not know how he should now proceed. He is unwilling
to appear too pushy with the Japanese; however, he is under time
pressure to conclude this project. It would be a great disappointment
to have to return to Germany after all these months of productivity
without a satisfying conclusion. The options are discussed, in the end,
however, the Japanese counterpart does not make a decision and the
German must indeed return to his company without a solution.
The German engineer considered three possibilities:
1) At this moment, his Japanese colleague realized that his English
skills were indeed insufficient for him to reach a decision
confidently and take responsibility for its consequences,
especially under such pressing circumstances. He was too
embarrassed to admit this openly.
2) If he did not understand linguistically, he very likely does not
understand conceptually, which means he very likely did not
recognize the seriousness of the situation.
3) His Japanese colleague tried to pretend not to understand for
whatever reason.

Ethical Positioning (factors)


Ethical communication is an important consideration in an
organization. Employees must consider ethical factors conducting
with others. Every organization has a written code of ethics. People
around the organization can develop ethical behavior certain skills of
interacting with others such as sending and receiving message neutral
and non-offensive manner. Ethical effective communication skills in
business strengthen its corporate culture, resulting in a more attractive
bottom line. When communication does not adhere to ethical
standards, the consequences can include unhappy employees, a poor
public image and a decrease in the bottom line. Ethical business
communication is intended to care for the emotional and perceptive
needs of its employees and customers.
Human Resource Development
By developing upward and downward communication,
organizations can arrive to their goals and enhance the standard of
living of its human resource. Well communication climate bring it to
the light of the employee satisfaction. No matter it is inside of the
organization where employee satisfaction is necessary by
communicating with them with positive skills or outside of the
organization where selection of the job applicants is made good
communication skills are necessary. In the job search process,
developing communication skills is important for searching job,
preparing the application documents, constructing the resume, writing
the application and so on.

Considerations
The economic development of country relies on the businesses across her.
Social and economic life of a human being is influenced highly by the
activities of the business enterprises. As communication skills hidden in
people need to be justified to fulfill the requirements of the organization he
is appointed by, development of such skills is necessary. Considering
Corporate Social Responsibility (CSR) and solution of different social
problem enterprises need to have some skillful managers operating these

activities. Developing the organizational needs fulfilled the socio-economic


growth can be assured. In every sphere of social life, communicating
personally or on behalf of any organization is as difficult as to finish the
duties in a stressful situation. Proper communication skills help to convey
justifications to the mass people; moreover, these help to negotiate in the
international trade or in foreign policies.

Some vain attempts


In the perspective of our Bangladesh, we may draw several unsuccessful
communication attempts negotiating with foreign countries. In the case of
Tista water distribution contract with our neighboring country India, we
failed to conclude it successfully. It can be easily derived that our
government authority and officials could not draw the plan properly with
developed ideas to communicate.
Another case may be drawn as an ethical issue. The failure of getting loan
for Constructing Padma Bridge for corruption in the higher level of the
government. This is unfortunate for us as a third world country. If ethical
issues were considered, the development was enhanced properly.

Conclusion
As a multi-dimensional exercise, communication skills of conveying
message and provoking others to reply on it lead a manager to the highest
point of success. Because the responsibility on him can be derived only by
one way; and that is interactions in a better and probably in the best way.
For any kind of socio-economic development activities, the skillful
communication is an obligatory consideration for any nation. Therefore,
there should not prevail any arguments that developing communication skills
can be measured on a scale that can justify the importance of it as a prerequisite for the development of social and economic condition of any
country.
