Terms and conditions:
1.TERMS OF PAYMENT:
All payments are to be made by means of a DD drawn in favour of M/s. ARCAN SOLUTION, Payable at
Bhilai. Make individual DD for stall booking or staying Facilities.

2. ALLOCATION OF STALL:
Allocation will be on first come first serve basis, on receipt of completed exhibit space booking form with
requisite payment. Subleasing of any part of the stall is strictly prohibited and illegal. Stalls are not
transferable and cannot be shared. One fascia will be displayed per stall booking form. The display of goods
shall be in accordance with that mentioned in the booking form.

3. VISITOR TURNOUT:
The organizers will not be responsible for poor visitor turnout at the exhibition due to unforeseen
circumstances or natural calamities or any other reason, whatsoever. In case of
such occurrence, no refund of payment made will be made to the exhibitors under any circumstances as
the organizers would have already made payments for the necessary arrangements required for the
exhibition.

4. STALL INTERIORS:
All stall interiors and decoration should be completed 5 days prior to the inauguration of the event. While
the exhibitors are free to decorate their stall, they should not cause any damage to the walls, panels and
floors through use of nails, paintings or any such activity.

5. FORFEITURE AND RE-ALLOTMENT OF STALLS:

If the total payment is not received one month prior to the exhibition, the organizer reserves the right to
cancel the booking and forfeit the payment made and reallocate the stalls. In the event of cancellation, no
refund of advance paid will be made under any circumstances as the construction of your stall would be
completed.

6. POSSESSION OF STALLS:
Possession of stall space will be given only on production of the stall possession letter, which will be issued
to the exhibitor on receipt of full payment of stall fees and any extra charges.

7. MODIFICATIONS:
Any changes in the stall structure, provision of facilities etc. are to be undertaken by approved contractors
only. External/Internal decorators are allowed to decorate the stall with written permission from the
organizers. Any additional facilities and changes required in the stall can be co-ordinate with the
organizers, which will be provided at extra cost. The request for the same should be given in writing in the
appropriate forms to the organizers on or before one month in advance. No alteration to the size or
position of the participant stall can be made without prior written approval to the organizers. The
exhibitors shall have no right whatsoever to use/ block any area of the exhibition other than the area
allocated to them. The organizers reserve the right to modify the layout of the stall, gangways and
pathways etc. Entrance/Exitto “Samruddhi” [An initiative by Arcan Solutions] is as per the layout. No
equipment can be operated which emits excessive noise/ smoke. The participants are requested to make
sure that the fellow participants are not disturbed when using audio-video presentation. No banners etc.
are will be allowed in the exhibition premises or on the roads in the vicinity unless their design
specifications, installation and location have been approved by the organizers, without which a penalty will
be levied.

8. NON OCCUPANCY:
Every participant shall occupy the full stall area allotted to him. In case of non-occupancy of
stall space, the organizers reserve the right to sell the stall/ space (confiscate/re-allot) and the amount paid
stands forfeited. The participant shall not assign, subject or grant license in respect of the whole or a part
of the stall. No cards advertisements or printed matter of a person or firm who are not bonafide
participants of this event may be presented or distributed from any stall.

11. SECURITY:
The organizers will make general security arrangements only. However, participants should take all
possible precautions and will be responsible for the security of their goods and stall displays. Individual
security arrangements should be made only though an approved agency and the guard on duty must be
introduced to the organizers. No claim on theft/ loss will be entertained by the organizers. Security
arrangements are participant’s responsibility. Entire exhibition will be closed and opened in front of stall
holders hence all the stalls and belongings are the responsibility of the exhibitor only.
