INTRODUCTION
NAME OF THE BUSINESS

AEON Company (formerly known as JAYA JUSCO STORES Bhd.)

is a

leading retailer in Malaysia with a total revenue of RM3.51 billion for the
financial year under review. The Company was incorporated on 15

September 1984. AEON Company was set up in response to the Malaysian


Governments invitation to AEON Japan to help modernize the retailing
industries in Malaysia. The AEON name today is well established among
Malaysians as well as foreigners, especially due to its association with the
international AEON Group of Companies.
AEON has established itself as a leading chain of General Merchandise
Stores (GMS) and supermarkets. AEONs constant interior refurbishment of
stores to project an image designed to satisfy the ever changing needs and
desires of consumers is clear evidence of this. The Companys performance
has been further enhanced by the managements acute understanding of
target market needs and the provision of an optimal product mix
AEONs stores are mostly situated in suburban residential areas,
catering to Malaysias vast middle income group.
The AEON Group of Companies consists of AEON Company and over
250 consolidated subsidiaries and affiliated companies. In addition, to its
supermarket and convenience store operations, AEON is also active in
specialty store operations, shopping centre development and operations,
credit card business and services. The AEON Group of Companies is an
integrated Japanese retailer and is active not only in Japan but also
throughout ASEAN and China.
At all times, in every market, AEONs activities are guided by its
unchanging Customer First philosophy. Its aim is to surpass expectations by
combining excellent products with unique personal services that enhance the
shopping experience to make customers smile every time they shop.
We have choose AEON Mall Bukit Mertajam (branch of AEONCompany)
for our assignment. With the opening of this shopping mall on 4 June, AEON
Mall Bukit Mertajam is the 23rd in a series of AEON stores in the country and
expectedto serve as one of the largest retailers in Penang. AEON Mall Bukit
Mertajam is located in Seberang Perai City, halfway between the two large
Penang Bridges connecting Penang island and the malay peninsula.
AEON Malaysia change, in steps, the names of its directly managed,

mall-type shopping sites into uniform AEON MALL. By doing so it aims to


make the group more widely accepted as a shopping arcade operator and
bolstering its leasing power.

children and their parents to share its exciting moment. This fun place
will create closer relationship between the child and parents, even the
grandparents.
AEON Mall Bukit Mertajam provide customers with a variety of

distinctive services. Some of the major brands with outlet at AEON Mall Bukit
Mertajam include Popular Bookstore, Uni Qlo, F.O.S and Daiso. The Penang
Library also operates a cyber library within the mall. The shopping mall itself

1.TRAINING AND ORIENTATION
HR professionals also need to hold induction programems to provide skills training and
understanding of their responsibility towards organizational goals. Providing necessary training
in terms of course and technique is essential to ensure that the employees have knowledge and

skills required to accomplish the task. This process helps to familiarize new employees with the
working environment and working culture. Consequently, HR professional will be able to
administer performance management and establish appraisal system.
At AEON Company, range of training is about 6 month or more. Some employees being training
for a year to become an employees that give good work and quality. After 6 month or less a year,
if the employees show a excellent work, it will become permanent staff. If not, the employees
cannot be permanent but trainee.
During the first 3 months, you will undergo an intensive induction program covering the
principles of operation and management. This includes:

Management workshops in leadership, teamwork and managing change

Familiarization visits to all areas of our operation

Experience sharing with managers and staff

Briefing from senior management on business strategy

Group project

Aeon conducts training to disseminate and is still the Aeon Code of Conduct as a buttress for
corporate ethics, primarily through four program: training for executive management, training
for code of conduct promotion leaders, general training, and training for new employees. A
code of conduct curriculum is also incorporated into problems asked on hiring examinations and
in recruitment training.
Training for Executive Management(since 2003)
Executive management from Group companies learn about and shares the situation
surrounding corporate ethics and risk management both within and outside their own respective
companies. The curriculum aims to empower participants with the ability to make their own
decisions based on the Aeon Code of Conduct and to lead as well as set a precedent for general
employees.
Training for Code of Conduct Promotion Leaders

Participants learn about corporate ethics and how to proceed with related practices. They also
acquire skills for conducting study sessions at their own workplaces on the material covered.
General Training (since 2006)
All employees of the Aeon Group participate in general training once a year to review the
Aeon Code of Conduct. Reconfirming the necessity of corporate ethics helps create a shared set
of values among employees.
Training for New Employees(since 2004)
New employees of Group companies receive training as a part of new employees orientation.
Through the Aeon Code of Conduct, employees learn about acting and making decisions while
putting customers front and center.

2.RECRUITMENT AND SELECTION METHODS


Recruitment is the process of locating and encouraging potential applicants to apply for
existing or anticipating job openings. They are two types of recruitment. The first type is internal
recruitment. For this type of recruitment, AEON CO (M BERHAD) use several method. That is
job posting and bidding. The job opening are internally publicized through the companys
bulletins. It is for the employees to read and aware of the job openings and listing the job
attributes such as qualifications, work schedule and pay rate. Other that than method, this
company use the method of promotion from the within. They rewards their employee who has
the best performance by giving them a better promotion. This is intended to encourage them to
continue their good efforts that give the benefits to the company. This method lead to improving
morale within the organization. For the next type of recruitment that is external recruitment, this
company use the method of doing advertisement in the mass media. They often use the line
recruitment website to announce the job openings. Its the most common methods to attract
applicants because it is cheap and has the advantages of reaching a large audience of possible
applicant. They also put notices for the job openings at the super market wall where there are
large of people which more likely will see them. This company also use the internet to
recruitment. This company have their own website which is used for the purpose of advertising
their products and services. The information about the available of vacancy are placed on the site

for no cost but large number of people will see them.


Selections is the process of choosing individuals who have relevant qualifications to fill existing
job openings. The importance of the selection are enhance productivity of an organization,
reducing turnover and absenteeism, and for legal implications affected employer. There are seven
process in the selection process that is submission of resume, completion of application,
interviews, reference and background checks, pre-employment tests, medical exam/drug test and
lastly, hiring decision. This company use the technique of application forms and resume. This
technique provide a quick and systematic way of obtaining a variety of information about the
applicant. The forms can be obtain from the counter that is located at the lower ground floor.
Information that will be carefully looked into is personal details of
applicants, educations qualifications, working experience and interest or recreational
activities. Next technique is selection interviews. An interview will be conducted in order to get
the best candidate for the job. There are few types of selection interviews. This company use
structured and directive interviews. It is an interview where the interviewer follows a set of
questions with an establish set of answer. The acceptable answers by the respondents are
specified in advance and evaluate and compared and rated consistently. This company also use
the one on one interviews. There will be only one interviewer and interviewee. The interviewer
will ask questions directly to the interviewee and the interviewee will answer the questions orally
and sometimes the questions may need written answers. When the candidate are done with their
interview and they are successfully passed through all the stages, they will be given a contract of
employment for the position that they applied for. Contact of employment is an agreement that is
entered into orally, in writing, expressly or impliedly, where a person agrees to employ another
person and this includes apprenticeship. There are terms need to be included in a contract of
employment. A contract of employment may consists of both terms and conditions of
employment. Terms need to be agreed by both the employer and employee. The terms included
in the contract of employment can be divided into two terms that is express terms and implied
terms. For express terms, this company include the job title, remuneration, working hours, and
notice period required prior to termination. The working hours for this company are 10a.m to
10p.m. and they must be temporary workers for the first six months and when the HR department

feel that they are qualified, then they can be the permanent workers at the shopping mall.
Meanwhile for the implied terms, the employee will be obedient, work with care and work in
good faith. As for the employer will provide a safe working environment, maintain a relationship
based on mutual trust and confidence and pay the agreed wages.

3.SAFETY AND HEALTH at WORKPLACE


Safety is define as free or absent of or from danger. It is condition or a method or
technique in which the physical well-being of people is protected. Meanwhile, health is define as
the state of physical, socially and mentally well-being of a worker or an employee. The employee
is defined as healthy if he is not having a mental problems and having a good physical condition
in working.
The policy statement in the AEON CO. (M) BHD. of safety and health policy is based on
the Occupational Safety and Health Act (OSHA) 1994, in order to achieve the highest degree of
excellence in the matter connected therewith. AEON CO. (M) BHD. will undertake its duty to
ensure, as far as it is practicable, the safety, health and welfare at work of all its employees, and
others who may affected by its operations and safeguard its assets.
The AEON CO. (M) BHD. will conduct its operations in compliance to OSHA 1994 to
meet its objective as follows:

To prepare a written policy with respect to the safety and health at work of it's employees
in the organization and to bring such policy to the notice of all of it's employees.

To provide such information, instruction, training and supervision as is necessary to


ensure, so far as is practicable, the safety and health at work of his employees.

To maintain any place of work under the control of Company, so far as is practicable, in a

condition that is safe and without risk to health and the provision and maintenance of the
means of access to and egress from it that are safe and without such risks'

To provide and maintain a working environment for the employees that is, so far as is
practicable, safe, without risk to health, and adequate as regards facilities for their welfare
at work.

To establish better relations between the Management, Employees and Public.

In conducting its business activities, AEON CO.(M) BHD.'s employees and others involved
would strive to:

Prevent all near misses, accidents and injuries.

Prevent all occupational illnesses and diseases.

Prevent fire hazards and other obstacles for safety of our employees and other who may
be affected by therein.

GOALS
The AEON CO.(M) BHD.'s primary goals is to manage the Company by developing a
Safe Working environment and Operating Culture in the business operation and activities
leading to an accident free workplace, maintain at all times good healthy practices for its
employees and also ensure the necessary co-operation with the relevant government bodies to
develop and execute contingency plans to deal with possible emergency and adverse impact to its
employees and general public.

FUNCTION OF SAFETY AND HEALTH COMMITTEE


There are several functions of safety and health committee by the AEON CO. (M) BHD. :

Assist in the development of safety and health rules and safe systems of work.

Review the effectiveness of safety and health programmes.

Carry out studies on the trends of accident, near-miss accident, dangerous occurrence,

occupational poisoning or occupational disease which occurs at the place of work.

Report to the employer of any unsafe or unhealthy condition or practices at the place of
work together with recommendations for corrective actions.

Review the safety and health policies at the place of work and make recommendations to
the employer for any revision of such policies.

PHILOSOPHY AND GUIDING PRINCIPLES OF OCCUPATIONAL SAFETY AND


HEALTH ACT, OSHA 1994.
The philosophy of OSHA 1994 is the responsibilities to ensure safety and health at the
workplace lies with those who are create the risk and with those who work with the risk. The first
philosophy and occupational Safety and Health Act, OSHA 1994 use in the AEON CO.(M)
BHD. is Self-regulation. Self-regulation is to promote safety and health awareness and establish
effective safety organisation and performance through self-regulation schemes designed to suit
the particular industry or organization. Next, is consultation. Consultation is the Act provides for
the gradual replacement of existing safety and health requirement stipulated by existing
legislation, by revised and update provisions in the form of system of regulation and approved
codes of practice and prepared in consultation with tripartite organizations. The last philosophy
use in this company is Workers Cooperation and Participation. Workers Cooperations and
participate is cooperate with employers and others in meeting statutory requirements. The act
also requires employees not to interfere with or misuse anything provided to protect their safety,
health or welfare in compliance with the Act.

RECOMMENDATIONS
Orientation and Training
1. For off-the-job training, the company can use the computer based training (CBT) it will
make the trainees can learn at comfortable pace.
2. Needs to focus more on the company policies and procedures such as smoking
restrictions for the trainee during the orientation.
3. Need to explain to the trainee more about the benefit package of the company such as
group insurance and sick leave.

Recruitment and Selection Methods


1. Use the method of rehiring which offering the vacancies to the former employees, it
provide advantages as former employees and the current employee have known each
other and the basic thing about the company.
2. As for the external recruitment method, the company can use the campus recruitment
exercise which is relatively cheap to find recruits and academy qualifications.
3. The company can use the all at once interview for the selection interview, this is because
it can save more time.

Safety and Health at Workplace


1. Focus more on conducting risk assessment to identify where and when incidents may
occur in the shopping mall.
2. The company can appoint a qualified safety officer that can submit report to the employer
every month on matters relating to health and safety at the workplace.
3. The employer should provide personal protective equipment (PPE) to be use by the
employees.

CONCLUSION
In this project, we can conclude that the AEON CO.(M) BHD. has followed the Human

Resource Management function, starting from Orientation and training, Recruitment and
Selection and Safety and Health at workplace. As for the orientation and training the company
training for code of conduct promotions leaders (since 2003), general training (since 2006),
training for new employees (since 2004) and training for executive management (since 2003).
Meanwhile for the recruitment and selection, this company use two types of recruitment. The
first type is internal recruitment. The company use job posting and bidding and promotion from
the within. For the next type recruitment that is external recruitment, the company use the
