MAKING TELEPHONE CALLS AND LEAVING


VOICEMAIL.
First enter the day they missed (FTR)
Second enter the day you called
Example:
Put T/C, which means telephone contact with any person other than
the probationer.
You can also put: T/P with Def. advised them to report on the
________.
T/C (with friend, female or male if you dont know who it is, or fail if
there is no voicemail or answer.)
Third put the new date under the old
V/M (voicemail) ADV DEF to report on ________.
Footnote: The phone message you can leave should go like this. This is
__________ with Intertech Probation I am calling because you missed your
appointment on the __________ we will need to see you on the _________.
If they answer; hi may I speak with ______________? This is Ashley
with Intertech Probation I was just calling because John Doe missed his
appointment on the _________ so you will need to come in on the
_____________.
If they ask questions just say you will have to come in and speak with
your probation officer.

The payments made online must be entered manually.
Probation payment is going to be the first code to pop up.
On transaction total add what they paid.
The payment type is always going to show up as money order. (You
can change it to cash if they paid with cash, or credit card.)
In the receipt box put credit card.

Footnote: you will use a code whenever


making entries or putting in payments. 00 codes
are for adding drug test and community service,
also if there is a mistake with the amount
entered the 0 codes are a good way to adjust the
amount.
Mail in reports is for people who live more than
50 miles away. They are due by the 20th of each
month or 15th depending on the officer.
If you need to deduct money then you would
use the 200 codes.

And for the love of all that is holy do not use 100 codes.

When talking to a probationer.


Start with how are you?
Then ask is all your information the same?
Have you gotten into any trouble? (Police contact)
How much are you paying today?
If they have a clinical evaluation ask about it. (How did it go?)
When do you think you can make a payment?
Next payment makes sure you figure out what they need to be
current.
Document when their next appointment is and write down any needs
they have. (Conditions of the case they need)
If they have a time sheet always document how many hours are in their
timesheet so you can keep better records in case they loose it or there is a
discrepancy. Show how much they have been doing per month, how much of
a credit they have, this will help you have a better idea on how much they
owe on a fine. Just have it to refer back to.
Also, if they are doing community service they have to sign an insurance
waiver release. In the amount of $15.00 for 40 hrs worth of insurance.
On the computer, look the person up, then go to the comment section.

IN COURT.
The probation officer will look at the clerks slip. They will then fill out
paperwork for the new client.
They will ask the following

Name
Birth Date
Weight
Eye Color
Social Security
Home Address
Phone Number
Relative or number they can be reached
Where they work
Tell them how many months probation they have
Tell them to report as directed
Tell them the fees they have to pay each month
Let them know that if they move or get a new number they have to report it
to there probation officer, they cant violate any laws and may not have drugs
or alcohol during probation.
They will also be subject to random drug test, also they must truthfully
answer all questions asked by their probation officer.

Felony, some plead to misdemeanor.


Split up into 2 negotiated, and guilty
on all counts.
Traffic, City code violation.

Take total number of the fine so for 12 months you would say 10 months
divided by the fine amount.

Conditional Release

Last name and then first name of client. Followed by the court the case
was in, if it was Temple it would be (TE). TD stands for Termination date.
Next label the index card with basically the same information
Lastly, put in big writing at the bottom if this is a pretrial, first
offender, or conditional release.
