Learning resource management system

Introduction:
This project is created to serve a need for practical, functional and usable software that meets
the requirements of a learning resource system. The software will conduct a simpler flow of
control where the demands are satisfied and achieved. Features will include a more sufficient
approach that simplifies the job of the faculty member whos in-charge of communicating with
other faculty, meeting dead-lines and coordinating the flow of control. The main feature
introduces a straight forward approach that allows the coordinator to reach faculty members on
an interface that allows the coordinator to manage and share according to the implemented
requirements.
Moreover, the system provides the best way to make all books and reference available for
students at the Bookstore. The learning resource coordinator will be able to manage all the
instructors and invoke them to provide names of all reference and books. Also, the coordinator
will be able to contact the book store to make them available at the University.

Purpose/Objectives:
Every semester, our faculty members go through the process of filling out forms
to request for books for the courses they teach and software they will use to reinforce
the learning. However, the process is tedious and often times very confusing and results
in time consumption as well as message flow to be incomplete and lacking at times.
Therefore, LRMS was developed.
The website provides a user-friendly interface that allows easy access and formfilling. The website saves all the information the faculty members placed and displays it
anytime once the need arises. They no longer have to exchange emails that repeated
and the confusion would lessen significantly as all the information is stored in one place.

Features:
The main features for LRMS are to make all books and resources for all modules at Prince
Sultan University available are listed below:
The instructors shall be able to:

Log in to LRMS using PSU username and password.

Fill forms:
1- Required Text books from
2- Alternative Text books form

Submit all forms.

Receive email notifications (reminder) regarding deadline date.

Coordinator should be able to view reports that show books, resources and reference
also should be able to:

Edit instructor information.

View reports:
o

Number of submitted forms report

Number of not submitted report

Can specify and edit deadline date.

Can send reminder for selected instructor or all.

The bookstore: (Future work)

Can indicate if the copies are available.


Can give information regarding the number of copies currently in the book
store.

More features can be added based on request from higher management.

Login: The log in page would be used by faculty/ learning resource
coordinator/department head / Deans& Bookstore.

The learning resource coordinator/department head can add/edit courses; add/edit


faculty and start the session by giving the start and end dates for faculty to request for
learning resources. All faculties would receive email notification regarding the
commencement of the session.

Add Course Page: Courses once added remain in the system however new courses
can be added and existing courses can be edited or deleted every semester.

faculty can be added and information regarding existing faculty can be edited or deleted

Choose book or software page: The faculty can request for a book or software by
logging in with his/her PSU account and order books/software for courses assigned.

Book Request Page: The required and alternative book form can be filled online by the
faculty choosing the course from the dropdown list.

Software Request Page: The software can be requested by a faculty by choosing the
course.

Note : The coordinator can use the system to send reminders to those who did
not submit their requests.

Generate Report Page: The learning resource coordinator/department head/deans/
bookstore can download the final report and add a digital signature to approve the book
list/software request.
