EXECUTIVE SUMMARY

I have done my internship in BANK OF PUNJAB Ghakar Mandi branch. I have learned many
bank operations in my six week internship. I have worked in all the departments of the bank
during my internship which are the Operation Department, Remittance Department and Cash
Department and understood the working of all these departments. I have also worked with the
CSO of the bank which is the Customer Service Officer and learned the operations of CSO that
how she deals with customers. .
Now a day BOP bank is providing a variety of services to its customers and trying to fulfill their
needs in a very proper way. Operations department is the main department of this branch or we
can say that this is the main head of the branch under which all working is done like deposits,
account opening, working of remittance department and cash department. Mr. leads all this
working as an operational manager in BOP branch. The branch is also remains in contact with
the main branch of the city near G.T Road Ghakar for advances and loan purpose.
During my internship I have understood that BOP Bank is offering various types of accounts to
its customers like Saving Account, Current Deposit Account and Term Deposit Account.. There
are also the sub accounts of these accounts which the customer can select according to his desire
or need.
I have also learned about remittance instruments like demand draft, pay order etc that hoe we
form and issue these instruments. I have also learned about the clearing of the cheques that how
we clear cheques from NIFT. And understood the reason behind clearing of cheques. Actually we
want to verify the cheque of other banks.
During my internship I got all the cooperation and attention from the staff of the bank. They
guide me operations of the banking in a very mannered way and provide all the basic information
about banking operations.

Bank is focusing on creating and building long term relations with the customers by providing
best services and facilities to the customers. However the bank is also facing some kind of
problems due to which it may go down. So I would suggest them to make proper planning for
customer and employees, improve marketing department and make continuous improvement by
complete take care of employees. Because they are the reason of the success of any organization.
At the end the conclusion and the recommendations are the part of the report. Bibliography is the

INTRODUCTION OF
INTERSHIP
1.0)

Background

of Studies:
As an part of the academic requirement for completing MBA (Master Business Administration)
of the students are required to undergo 6 weeks of internship with an organization. The
internship is to serve the purpose of acquainting the students with the practice of knowledge of
the discipline of banking administration. This report is about Bank of Punjab. BOP was
established in 1989 and since then, it has expended its network, becoming the largest commercial
Bank of the country. It offers different products of services to its customers.

1.1)Purpose

of Studies:

Internship is the capstone experience that provides students with hands-on, real-world experience
in a work setting. Ideally, internship will enable interns to:
(a) Integrate and use their knowledge and skills from the classroom,
(b) Discover where further competence is needed,
(c) Take steps to gain that competence under educational supervision, and

competence can

be applied.
1.2) What

is the scope of internship?

Basically the scope of the Internship is directly related to the experience of the candidate and the
duration of the Internship. All internees are welcomed as a member of staff and encouraged to
participate in all activities that occur within BOP and other organizations who offer the
internship program.
1.3) What

is the Objective of Internship?

The following list of program objectives has been extensively reported in literature discussing
internship programs. The College of Business subscribes to the following objectives but does not
expect each student to achieve every objective. Many of the program objectives will only be
important to a few students, but each student should achieve a substantial portion of those listed:
1. Internships will provide students the opportunity to test their interest in a particular career
before permanent commitments are made.

ORGANIZATION

Overview of the Organization:

2.0) what is the organization?


When two or more people get together and agree to coordinate their activities in order to achieve
their common goals, an organization has been born. There is really no doubt about the present
meaning of organization. Its purpose is to create an arrangement of positions and responsibilities
through and by means of which an enterprise can carry out its work. An academic textbook
definition of organization can be formulated as follows: a. the responsibilities by means of
which the activities of the enterprise are dispersed among the (managerial, supervisory, and
specialist) personnel employed in its service; and b. the formal interrelations established among
the personnel by virtue of such responsibilities.

2.1) Nature of Organization:


BOP is dealing with finance and money which is mostly in the liquid form. The bank is also
dealing in the substitutes of money like cheques, Pay Orders, bill of exchange, Demand Draft
and Mail Transfer. The bank is also providing some other financial services for example loan and
advances, letter of credit and guarantee facilities.
A bank basically borrows money firms, Government and the individual parties. With the help of
this money and the banks own capital the does its business. Actually the bank gives credit or
advances loans to different parties like individuals, small businesses, small businesses and some
other parties. To earn more profit the bank also makes investment in securities. The bank earns
profit by charging interest rates on loan given to different parties and through the commission of
services which the bank provides to its customers and other parties.

At present BOP maintains its position as Pakistan's. It is the business partner for the Government
of Pakistan with special emphasis on fostering Pakistan's economic growth through aggressive
and balanced lending policies, technologically oriented products and services offered through its

2.3) Role of the Organization in Pakistan:


The functions for which a group exists should be the foundation for everything its members do
including the choice of an appropriate way to organize. The idea is to create a way of organizing
that best suits the functions to be accomplished, regardless of the way in which other, dissimilar
groups are organized.
Only when there are close similarities in desired outcomes, culture, and methods should the basic
form of one organization is applied to another, And even then, only with careful fine tuning. The
danger is that the patterns of activity that help one group to be successful may be dysfunctional
for another group, and actually inhibit group effectiveness. To optimize effectiveness, the form of
organization must be matched to the functions it seeks to achieve. As we now organization plays
a vital role in the economic development for this purpose we see the role of commercial banks,

because commercial banks are the very best type and example of organization in Pakistan. The
basic question why Im choose banking sectors organization the whole economy depend on the
cash and banks are the big store of cash in any country over all the world. So we discuss the role
of commercial banks in the Pakistan.

2.4) Overall Organization and Functions of the Organization:


There are two types of organization in Pakistan public and private sector. Function of public
sector organization like BOP

Paying insurance premium, rent or other obligations of the

3.0) Brief History of Bank of Punjab:


The BOP was established in 16 NOVEBER, 1989 Under.The Bank of Punjab act 1989.the first
branch which was opened the main branch Lahore. In 1989 BOP was mended as a non-schedule
bank on in the province of Punjab. It was opened to support of Government of Punjab. Because
in beginning the main deposit was Government. In 1994 the BOP was converted into a schedule
bank. It opened its branch all over the country

3.3) Scope:
As an internee in The Bank of Punjab the main focus of my study research was on general
banking procedures is one of the branches of BOP. These operations include the remittances
deposits, Fixed Deposit, cash receipts/ payment/collection of utility, bills daily voucher ticking.

According to the business volume of the BOP, we analyze that the bank is performing its duties
well and is making good progress day by day. The banks profits are increasing day by day due to

increasing deposits every year and making heavy investment each year. This a good sign for
bank. Increasing deposits mean customers satisfaction is increasing.
In the last years the bank has also issued a heavy amount of loan and has got a good amount of
interest charges which is also the reason of good performance and profits.
Although the bank has earned heavy profits during last years, but the bank has also paid a big
amount of taxes.
As the capital share of the bank is also increasing every year which means that people are more
interested to make investment in BOP Bank. This is a sign of good reputation and position of the
bank in market which the bank has got due to its best performance.

3.5) Rewards and success story of BOP:


The major reward of BOP Bank in last few years which the bank has got is the customer
satisfaction. Customers are the main asset of any organization. Because these are the persons for
whom the company does business. And if the customers are satisfied then we can say that the
organization is performing very well. So the performance of the bank in previous years is very
satisfactory because they have their customer support.

honored with "Top Bank for Agriculture Loans" and "Best Bank Crop Insurance" under 3rd
Kissan Time Awards year 2006.

Award" for the Financial sector, adjudicated jointly by the Institute of Chartered Accountants of

The report is the based on my 6 weeks of internship in Bank Of Punjab. The methodology
reported for the collection of data is primary as well as secondary. The biggest source of
information is my personal observation while working with staff & having discussion with
them. Formally arranged interview an discussion also helped me in this regards.

Government of Pakistan through SBP has provided backing to the banking industry by
the decreasing cash reserve requirements to CRR 6% from 8% .
This has provided liquidity to the bank worth Rs. 180 billion.

imperative for the government in order to provide investment conducive environment to
both local & foreign investment.

3.11) Contribution of Organization toward Economic Development


Bank of Punjab is playing very important role towards economic development of the
country. From the time of its incorporation it has played very important role for

improving economic condition of the country. It is trying to serve the community in a


better way to improve their living standard.
It provides finance for the developmental projects in the country. It also provides short
term loans to for the small and medium enterprises and in this way encourages new and
young entrepreneurs through which they can run their own business.
It is also playing important role for the development of agriculture sector by providing
different loans to the farmers. With the help of which they can they can raise their
agriculture productivity and income which may automatically improve their living
standard.
Another major and important role of BOP Bank is that it is providing employment
opportunities to the people by providing good jobs in bank and also providing finance or
credit for their own business and overcoming the problems of unemployment from the
country.

BOP Bank also provides the facility of on line funds transfer. Now any one can easily
transfer money from developed areas to undeveloped areas.

4.1) Retail Banking Division:


Retail banking division of the bank deals with the customers and executes their transaction
directly. It provides the services of saving account, mortgage loans, personal loans, debit cards,
accounts checking, credit cards, ATM cards.

4.2) Special Assets Management Division:


The Bank will invest on behalf of its clients and give them access to a wide range of traditional
and alternative product offerings that would not be to the average investor. It includes the
automatic sweep of cash balances into a money market fund, as well as brokerage services.

4.3) Credit Administration Division:


In this division, banks deals with the credit, banks give loans to individuals and to the
corporations.

4.4) Human Resource Division:


This division performs the duty of hiring the employees, training the employees as well as
retaining the employees and if necessary, firing the employees.

4.5) Finance Division:


This division controls the overall activities relating to finance i.e. monitoring the investment
activities, financing activities, Debit and Credit of funds and reasons there of with proofs.

4.6) Information Technology Division:


This department controls and record the data related with the bank. The backup of all branches is
sent to IT department on daily basis.

4.7) Operations Division:


This division controls the whole operation of all the branches and controls the cash activities,
cheques, account opening and other things about operations.

4.8) Training, Research, Communication & Public Division:


This division conducts research on new products, trains newly hired employees, train old
employees on new and innovative circulars in banking sector. It also provides training on
customer relation management.

4.9) Audit and Inspection Division:


This department of bank includes the Audit of all the branches; they do audit of the branches and
give some opinions to execute their transactions.

In this division of BOP, lawyers are employee to solve the cases of the bank.

The organizational structure of BOP Bank is centralized. It means all the decisions are made by

Bank is very crucial and important in organizational structure. Because it is the management
which makes all polices and does planning for future. All the success and failure depends upon
top management decisions. It is a great honor for bank that it has best top level management who
always take right decisions at the right time. This centralized structure is very helpful because
quick decisions are made at time. A tight control is also possible under this structure because
everyone knows that the decision will be taken by the higher authorities. All decisions are made
only for one time by top management and no one can change this decision at the branch level.
Although there are many benefits of centralize structure but there is also a problem in this that all
the decisions are made by management. Sometimes they take wrong decisions about customer
services due lack of knowledge which can affect the customers because they dont have direct
interaction with the employees.

5.0) Brief Introduction of BOP Branch in Ghakar where I did
Internship:
I have done my internship in Bank of Punjab in ghakar mandi branch from the date 10-06-2013
to 22-07-2013.

I have learned many bank operations in my six week internship. I have worked in all the
departments of the bank during my internship which are the Operation Department, Remittance
Department and Cash Department and understood the working of all these departments. I have
also worked with the CSO of the bank which is the Customer Service Officer and learned the
operations of CSO that how she deals with customers. .
Now a day BOP bank is providing a variety of services to its customers and trying to fulfill their
needs in a very proper way. Operations department is the main department of this branch or we
can say that this is the main head of the branch under which all working is done like deposits,
account opening, working of remittance department and cash department. Mr..leads all
this working as an operational manager in BOP Ghakkar branch. The branch is also remains in
contact with the main branch of the city near G.T Road Ghakkar for advances and loan purpose.
During my internship I have understood that BOP Bank is offering various types of accounts to
its customers like Saving Account, Current Deposit Account and Term Deposit Account.. There
are also the sub accounts of these accounts which the customer can select according to his desire
or need. I have also learned about remittance instruments like demand draft, pay order etc that
how we form and issue these instruments. During my internship I got all the cooperation and
attention from the staff of the bank. They guide me operations of the banking in a very mannered
way and provide all the basic information about banking operations. Bank is focusing on creating
and building long term relations with the customers by providing best services and facilities to
the customers. However the bank is also facing some kind of problems due to which it may go
down. So I would suggest them to make proper planning for customer and employees, improve
marketing department and make continuous improvement by complete take care of employees.

Below this the operational manager Mr, Abid Ali works and handles all the operations in bank
quickly and excellently. He mostly deals with the customers and employees in the branch and has
positive attitude with them.
In cash department there are two employees which work and both of them are female. Miss saira
receives the cash which is deposited in accounts, online cash receipt, utility bills and the receipt
of prize bonds. Services of cash payment are performed by Miss Adeela.
Miss Kiran Meer is working for Remittance department and performs all the functions for
clearance of cheques. She issues pay order, demand draft and make sure online transfer payment.
Mr. Amir handles foreign remittances and all the issues regarding cheque books. He maintains
the complete record of cheque books.

TRAINING PROGRAM

5.1) First Day in Bank of Punjab:


I started my internship program on 10 june2013 at the bank of Punjab which ended on 22 nd
july2013. On first day of my program I was briefed by the branch manager about different
branches of the bank I was also told the major rules and regulations which were being observed
by the management of the bank I was also giving some briefing by the Manager Operation which
proved as a miles stone during my internship program. I also met different members of the staff
in different branches of the bank where at I SWOT for basic knowledge about those branches.
Then I started my working in accounting opening department. I have performed duties almost in

All this working is done under the main department named Operations Department. And Mr
Abid Ali the Operational Manager of branch handles and manages all these operations of branch
under his full tight control on employees. Now I will describe all the departments and working in

Customer Service Centre:


For the first one week I have done my work in Customer Service Centre under the supervision of
Miss Maryam who is the Customer Service Officer(CSO) of branch. CSO deals with the
customers and guides and facilitates them for their transactions in bank.
CSO basically performs all the functions of Accounts and Deposit Department. CSO maintains
all the records of financial transaction in bank. She directly interacts with the customers and
gives direction and information regarding their accounts on branch and facilitates them about the
new products and services introducing in bank. She manages existing relationships with the
customers and focuses on creating new relationships with the customers.
Firstly customer comes at Customer Service Centre and CSO facilitates them by providing
guidelines to customers. CSO also performs many other following functions

fills deposit slips of every kind for the customers who have to deposited
fills slips for online transfer of funds
Provides information to customers about their accounts in branch on phone
Makes sure that the customers accounts are active who have to make transaction in their

account
If accounts are not active then guides them what to do

Account Opening Department:

Account Opening Form:


Customer approach to bank and an account opening is given to him for competing and
signed by the account holder at different places of the form.

Completion of the Form:


Account form is completed in all respect and checked by the bank officer and is duly signed by
the customer which is also verified by the Operation Manager.

Specimen Signature Card (SSC):


Signature specimen card is compulsory for opening an account in the bank. Without getting
signature of customer you cannot open the account.

Signature Difference Form:


If client signature differs from the CNIC, the signature of the client is taken on a signature
difference form.

Computerized Checking:
The bank officer connected via internet to the NADRA website checks the record of his
customers social life. If the record of the person is ok, then the officer of the bank authenticates
the record under his signature and stamp and send it to the Branch Manager.

Account Number:
Account number is written on the cheque book requisition. After completion of all procedures,
the bank prepares a letter and sends it to the client at his postal address to pay gratitude to the
customer.

Cheque Book Issuance:


The first cheque book consists of 25 leaves and no charges are deducted from the account the
account of client. There after bank sends a recommendation for 25, 50 and 100 leaves with
different prices and charges are deducted from the account of clients.

Procedure for Closing of an account:


If customer wants to close the account, he fills up an account closing form and signs there in,
account balance should be zero, approval is taken from the Branch Manager Specimen card is
taken back and is attached with the form and account is closed.

Types of Accounts:
Following are the main types of accounts which are available in MCB Bank Limited, the
selection of account is depends upon the customer need and requirements because different
account treats differently, every account gives piece of mind to different people that why
different account are provided by the banks according to the customer needs.

Demand Deposits:
It is clear from the name that Demand deposit is one which is payable on the demand of the
customer this includes two major accounts current account and saving deposit account

CURRENT ACCOUNT:
Current accounts are running accounts. It is also known as a checking account, it is a bank
account in which your proceeds can be deposited and from which you can manage your finances
during the month. Current or cheque accounts provide you with a one-stop facility for managing
your finances. The current deposits represent the current liability of the bank.

Features of Current Accounts:


Following are the main features are the current accounts.

Any person can open account with minimum deposit of Rs. 1000.
There is no limit for deposit and withdrawals.
No limit for maximum deposit.
There is no profit distribution on it.
All cheques and other instruments should be crossed before they are credit to the account.
Bank is not bound to inform account holder for debiting his account for charging

different expenses like commission, fee or mark up etc.


The account holder should maintain a minimum balance of Rs. 10,000 per month

otherwise, the bank deduct of Rs.50 per month account maintenance charge.
Account statements are provided to the depositors mostly half yearly intervals or

whenever required by him.


These accounts are completely exempted from zakat and with holding taxes.
If the customer is not performed any transaction for the six month the account
automatically converted into dormant. After 3 years to inoperative account register. To reoperate such account an application is written in the name of branch manger.

PLS SAVING ACCOUNT:


Savings accounts are used to save the money and earn profit. This saving account is opened with
a minimum balance set by each individual bank. There are usually exceptions for minors such as
a lower or no minimum balance to open. Saving accounts are mostly opened by those types of
customers whose baking transactions are not frequent. They want to save money and earn profit

on it. Normally lower and middle income groups, small traders, professionals, farmers and other
salaried classes usually make such deposits to save small amounts to meet their needs. Funds can
be deposited frequently through cash, cheques, demand drafts, pay orders, telegraphic transfers
and other such instruments.

Basic Banking Account:


Basic banking Accounts are basic accounts of starting banking relationship. These accounts are
usually open students and low salary person. No account maintenance charges applied if the
account holder restricted to two deposits and two withdrawals. No zakat is applicable on these
accounts.

Features of Basic Banking Account:


Following are the main features are the current accounts.

The BBA account is opened with small initial deposit of Rs. 1,000

ii.

No minimum balance maintenance required.

iii.

No monthly account maintenance charges.

iv.

Two deposit & withdrawals are allowed (Cash & Clearing).

v.

Unlimited cash withdrawals are allowed through ATMs.

Fix or Term Deposit Scheme:


Fix Deposit accounts are used for investment purpose. The money is fixed for some time period
ranging from one month to onward. The profit rates are higher than other accounts. The profit
paid monthly, quarterly, half yearly and yearly depending on the customer request.

These are the remittance instruments through which we can easily transfer money even without
having account in MCB Bank.

Demand Draft:
It is one of the remittance instruments with the help of which we can easily transfer money from
one city ti another. The person who wants to to transfer money, makes a request for the
preparation of demand draft. It is prepared on a written form. The beneficiary name, applicants
name, amounts in words and figures, purpose of transfer of money and services charges are
written on demand draft. It is made either for cash or through cheque. The bank is charged
commission on it.

Pay Order:
It is more liquid as compare to the cheque. It is used for the transfer of money within the locality.
Bank gives a printed form to the client which he fills and deposit the amount for transfer. For the
provision of this service bank charges withholding tax and commission.

Telegraphic Transfer:
This is also a remittance instrument with the help of which we transfer money. It is a faster
transfer of money. Transfer is made through telecommunication on behalf the customer and
remaining requirements are same as to the demand draft.

Mail Transfer:

This transfer of money from one place to another is made through a mail. It is fast and save mode
of transfer.Now a days telegraphic transfer and mail transfer are not common as demand draft
and pay order.

4.5.2.2 Clearing of Checks:


In this department I also learned about the clearing of checks. Bank sends checks which it
receives in day to the NIFT for clarification purpose. There is two types of clearing

Inward clearing

Outward clearing
Inward Clearing:
Bank receives inward clearing in morning. In inward clearing bank receives checks being issued
by their own account holders to the account holders of other banks. The teller receives the check
and make sure that all cheques are in order that all stamps are made on it and the account holder
has the sufficient balance in his account. If there is any defect in the check then it is returned.

Outward Clearing:
In outward clearing branch sends checks of other banks for clearance in afternoon which are
presented by our account holder.
The functions of clearing are performed by with in the city and other cities. The services of NIFT
of other cities are called intercity clearing. NIFT also provides services in same day which are
called same day clearing in which they clear checks wit in a working day.

In this department I have learnt about the entries for clearance of checks which we sent to the
NIFT. Actually we have to maintain the complete record of every thing so we pass entries to
keep record with in the bank. In this we write the detail of the check for example

of Sir Amir. In this department I learned basic functions for foreign remittances and some other

this department also handles and manages the functions regarding checkbooks

Foreign Remittances:
Foreign remittance is the amount which the overseas Pakistani sends from abroad to their home
country Pakistan. From any where in the word overseas Pakistani transfer money and their
families receive this amount from bank. It is not necessary to have an account in bank for this
purpose.

life. I also felt that there is very tough and hard work in banking sector. From this experience of
working in bank I can easily decide either I should join this field or not. If I choose banking

In my internship I have also learnt about the concepts of professionalism and time management.
But the main thing which I feel in myself after doing internship is my improved confidence and
knowledge. This working also helped me to improve my communication skills. Because the best
thing which I observed in bank is the communication skills of bankers. In daily routine life of my
six weeks I have to interact with many other bankers which are in this field from the years so
there was a great opportunity for me to get knowledge and experience from them which will be
very helpful for my future life.

The human recourse department is not performing well in the organization
Bank is not introducing new products so bank should boost the product development and
increase the range of facilities offered for customers. And the rate of interest on its
various product has been reduced.

OPPORUNITIES:
Government is taking very bold step to promote IT in Pakistan BOP has an opportunity
to improve in IT stock exchange is very volatile and takes immediate effects so in times
of crises conservative investors turn to saving deposits.
BOP is surrounded by many competitors but it has an opportunity to aggressive
marketing to increase its business.

THREAT:
BOP has many competitors who are continuously increase their products and marketing
aggressively its may cause its customer to shift to its competitor.

RECOMMENDARION:
PROBLEMS:
During my internship at this particular branch of BOP, there are following problems that
I have found which are directly effect on an efficiency and performance of the bank so
there are problem also called internal problems so there are discussing below:

1) Lack of communication among the employees:


During the period of my internship i found this problem of the biggest problem that they
are not very effective communication between themselves. they do not share the
experience each other and do not care the other employee. So finally it is very needy for
public services organization to keep atmosphere to friendly among the management and
employees.

2) Low efficiency of employee:


Efficiency of employee is also very low at this branch. Sometime any employee has
done wrongly posting and not work efficiently perform.
Lack of computing skills:
Computing skill are also very low, some executive are very efficient in computing skills.
But some are not totally aware from this system.

3) Misuse of resources:
Resource are very needy, so there are must be avoid to misuse the resource but in this
branch there are very reserve case, there are very wrong use of resources, employee
does not take care of resources and not use them in right direction.

4.5)ANALYSIS AND SUGGESTIONS AND RECMMENDATION:


Computerization:
IT have changed old method of making business, so computerization in BOP become the
basic need .Though BOP has the computer system yet the system has not totally shifted
on computer. Manual procedure is still there, hence computer facility is not fully availed
many branches are working without computer system.

procedure.

Ecommerce:
This world is now called globe world because it is connected through computer
network.BOP should also adopt the ecommerce so that it will be able to computer with
the national and international bank.

Performance appraisal and compensation:


Employee appraisal is major part good and effective HRM .It is consist of systematic
evaluation of an individual with respect to its personal trait and characteristics his on job
performance & his potential for development..In BOP there is no appraisal system is
exists. No relationship has so far been established between appraisal and staff
motivation. No weight is assigned to appraisal in making decisions on promotion posting
etc.

Appearance:
Physical appearance of the location and inside the building also matters. it help to lot of
attract the customer. Some branches of BOP is very attractive but not all the branches.

Refresher training course:


There should be proper staff training refresher course program train the employees latest
tool and technique of the banking. They should be given be given computer training.
