INTRODUCTION
Post Offices are very much the centre of the local community and
are operated by independent, self employed, astute business
people. Often referred to as SubPostmasters, the majority are
members of the National Federation of SubPostmasters (NFSP).

Following several meetings with George Thomson, General


Secretary of the NFSP, a new trading agreement between Kleeneze
and the NFSP has resulted in an exclusively approved Kleeneze
offering to their members. From September 2009 a new specially
designed ‘display kit’ was launched, that offers customers the full
range of Kleeneze products from within their local Post Offices.
Customers will able to browse through a full set of catalogues that
have been especially laminated and displayed on a custom
designed display unit.

This new trading partnership is exclusive only to the 6500


Federation Members of the 11,000 post offices. Each year Post
Offices have the potential footfall of 24 million people per annum,
offering huge potential to Kleeneze, the federation and to its
members. It must be noted however that this opportunity is a ‘one-
off’ unique opportunity only available to Sub Postmasters who are
NFSP members.

Offering the Kleeneze range of products within the Post Office is


similar to operating a concession, more like a business within a
business. The use of a display counter, handing out catalogues to
customers and talking about the Kleeneze offer to customers in a
Post Office, is a major step change from the normal distributor
activity of for example, blanket dropping and supporting a
traditional customer base.

This exciting opportunity has brought together to well known and


trusted brand names, Kleeneze and The Post Office and working
closely together we can all look forward to a better future.

SIGN UP PROCEDURE OF A SUB-POST OFFICE
The Special Post Office Kit is only available to Federation Members that provide a
membership number.
1) The Post Office Starter Kit will supplied be in two parts:
Part 1 will be the Standard New Starter Kit,
Part 2 will be the Display Stand, Laminated Catalogues and Posters
2) All registrations will be manual. Process as follows, please refer to Document (completion of Distributor
Agreement Form)
a) The sponsor will order a standard business starter kit for £75.00 (normal sales aid code) (NB. Starter kit must
contain current catalogues)
b) Post Offices must be registered in the individual subPostmasters name
c) The address must be that of the Post Office. All communications and deliveries will be direct to the Post Office.
d) The sponsor will complete the distributor agreement form (and the credit agreement form) with the
subPostmaster.
e) Ensure the Sub Post Masters Federation Number is clearly written at the top of the agreement form.
f) Clearly mark that only £49.50 has been paid for the starter kit and put a line through £75.00.
g) Payment of £49.50 is to be made to the Sponsor by the SubPostmaster.
h) Send/Fax completed distributor agreement and credit agreement to the Service Centre. Fax Nos. for
Registrations Only: 01254 303264 / 303043. We will not be able to register the Post Office without both signed
agreement forms.
i) Please Note: make sure you fax the agreement forms before posting due to potential postal strikes in the
following weeks ahead.
j) Please write Post Office underneath the Distributor Agreement Form Number (bottom right)
k) On receipt of the distributor and credit agreement forms by the Service Centre, details will be checked and
verified. (Post Office Address and SubPostmasters Federation Membership Number)
l) On approval and acceptance, details will be entered onto the database, and Part 2 of the Kit will be despatched

m) On receipt, the Sponsor will need to make a further appointment to set up the display unit, offering training,
support and assisting in launching the offering, promoting awareness. This is not a distance sponsoring

3) A series of follow up visits by the sponsor should be arranged within two weeks after the display unit has been
set up.

Starter Kits:
The post office starter kit consists of two parts.
Part A is the standard Kleeneze Starter Kit which you should have already received.

Part B consists of the Display Unit, Laminated Catalogues and Posters.

Post Office Starter Kit Part B contains:

1 x Post Office Catalogue Display Unit (POCDU) which has screw slots so it can be affixed to a counter top (screws
supplied).
1 x set of laminated catalogues (to be clipped into the POCDU)
1 x Set of Posters (1 x A2, 1 x A3 and 1 x A4)
1 x Additional pack of order forms. There are slots in the top of the POCDU to place in the order forms.

The POCDU should be fixed to the counter top using the screw slots as shown below:

Please make sure that the display unit is securely sited.

Installing the laminated catalogues is a simple process.
There are three packs of catalogues; Main Book, Health & Beauty and Special, (Currently Christmas).
• Open the ring binder clips on the unit and working on the right hand side of the unit place the clips through the holes
of the catalogues, starting with the Christmas catalogues, ensuring that when installed, the front page is at the top.
• Repeat process with Health and Beauty
• Finally repeat process again and install the Main Book.
• When complete, close the clips. The front page should be of the Main Book.
• Flick through the pages to ensure they are all correctly installed.
• Note: The catalogue order can be rotated, e.g. Main Book, Health & Beauty, Xmas, then change to Xmas, Health &
Beauty, Main Book and so on. (The picture below shows how to put the catalogues on the ring binder).

Unpack the order forms and ensure they are all loose to make it easy for a customer to remove one. Place the order
forms in the slots at the back, as shown below.
(Useful tip: Use the backing card of the order form to help hold up the forms in the unit)

Additional posters will be available to order – details to follow)

Use the posters to help draw customers’ attention to the display unit. Always try to place the display unit and posters in
a prominent position in the Post Office. Discuss with your Postmaster the best position to locate the posters.

Useful Hints:
• Place the large poster (A2) in the window or in the vicinity near the till.
• Place the A3 poster above the display unit to draw attention to the catalogues
• Place the A4 poster near the Post Office Counter or in any other position that attracts customers eg near newspaper
stand.

Some Handy Tips:


• Make sure that there is a pen near the unit to allow customers to fill in their orders
• Encourage your Post Master to hand out catalogues to their regular customers if they don’t have time to browse.
• Use the Easy Start Guide ‘Planning for Success’ to structure your conversation
• Complete the Checklist (page 13)
• Talk through the FAQ’s (page 5)
• Arrange a personal follow up visit within the next two weeks.
