Email Signature Generator:

Admin Manual

Purpose:

The Email Signature Generator is used to Automatically make users Email Signatures, it has been tested
and used with:
Windows 2000
Windows XP
Windows Vista Business
Microsoft Office Outlook 2002/XP
Microsoft Office Outlook 2003
Microsoft Office Outlook 2007

This guide is current as at version 1.5 of the Email Signature Generator.


(The version number can be seen at the bottom of the Program GUI.)

Installation:

The Email Signature generator is designed to be as portable as possible. It can be distributed as a sin-
gle .exe file, but will create three additional .ini files to store data to allow customisation by anyone.

To install just extract the files to a folder on the network or on your computer.
End users must have write permissions on this folder.
The program will work over UNC paths, so there is no need to be in a Network drive.

Enitities INI File:

The entities file is used to represent what aspect of the WHK the user is a part of.

By default the ones listed below are included in the installation but others can easily be added by copy-
ing and pasting a section and altering the details.
Conversely, you can delete a section as well.

Also, the Program will sort them Alphabetically when launched, so there is no need to worry about or-
der.

Offices INI File:

The Offices.ini file is used to represent what location a user works from.

You will need to create duplicates if different departments have , for example, a different phone number.
i.e [Hamilton] and [Hamilton FP].

By default the ones listed below are included in the installation but others can easily be added by copy-
ing and pasting a section and altering the details.
Conversely, you can delete a section as well.

Also, the Program will sort them Alphabetically when launched, so there is no need to worry about or-
der.

Users INI File:

The users.ini file stores user preferences to save time re-entering details after the first use of the pro-
gram.

The users.ini file can be altered manually, but it really doesn't need to, as it can all be controlled by the
GUI.

You can however rather simply remove terminated employees though the INI file if desired.

Silent Usage:

The Email Signature Generator can also be used as a silent program. This allow the Administrator to put
the Email Signature Generator in the login script to make sure users are always up to date, especially
when a change need to be pushed through.

To use Silent Mode simply call the program with a /S, for example, \\server\share\EmailSigGen.exe /S

If a user has not got sufficient details in the INI file, the GUI will be displayed, and therefore, the INI
file will be updated with correct details.
