Organizational Management
In Organizational Management the Danfoss Business (reporting) structure as well as the Legal
grouping is maintained. The Danfoss business structure is the nerve in the HR system setup. It is
important because access to data, authorization in general, IPE-levels, cost centre etc. is linked to
departments and positions in the business structure.
The business structure will be maintained locally in larger entities, smaller entities will be handled by
GHR-S.

Organizational objects
Organizational Unit
Each department is created as an organizational unit. Each unit is created with an abbreviation and a
name.
Departments will only be visible in Danfoss Directory if employees are placed in the department.

Job
The Job object is used to describe similarities in different positions, i.e. all positions are related to a job.
Each job object has a description (Typical tasks) and tasks (General description), which is displayed as
the standard job description.
The maintenance of the object Job (the job catalogue) is done centrally by GHR-S in Nordborg,
Denmark, and the object Job will therefore not be described in more detail in this document.

Position
All active employees at Danfoss have a position. The title of the position will be shown in Danfoss
Directory and on the business card.
Authorization roles are link to the position, which means the employee assigned to the position will
have the access defined in the attached role.

Person
The object corresponds to the employee number in PA, hence one person in PA equals one person in
OM.

Cost Center
The Cost Center is used to link Finance and HR together.

Task
The Task is used to specify tasks for a given object, e.g. Tasks for a Person, A position or a department
(Organizational Unit).

Basic information of the selected object is shown in the view.

Additionally, if the object selected is a department, the positions in the department will be listed. If the
selected object is a position, the name of the employee who is linked to position will be shown.
Furthermore, if a position is a manager position this will be marked as well.

Description (infotype 1002)


Object description divided into misc. types.
Primary usage is subtype:
Function Indicate that an organization unit must be shown on Danfoss Directory.
Division - Used to indicate that organizational unit is a Danfoss Division.
Business Unit Used to indicate that a given organization unit is a Danfoss Business Unit.

Account assignment (infotype 1008)


The controlling area and the cost centre and the company to which they are linked will be listed in this
view.

Address (infotype 1028)


The address of the company to which the employee belongs, will be shown in this view.

The Danfoss business organizational structure is the primary structure and is used for creating lines of
responsibility between departments (organizational units) and persons.

Legal Grouping
The legal grouping is used to assign organizational units from the business structure into the legal
company. Each company has its own legal structure and a responsible legal president is assigned as
manager to the top legal department. Legal company grouping is visible in Danfoss Directory.

General setup
Personnel Number interval
A personnel number will automatically be assigned to an employee when hired via a hiring action. The
personnel number requires an interval of numbers allocated by SAP within the following interval:
100,000 - 99,999,999

Screen Headers
A screen header is defined for each infotype. The screen header has been predefined globally. Local
country requirements can result in minor modifications of the global header.
This is an example of the global standard screen header:

Definition:
Line 1: Employee Group, Employee sub group, Company Code, Personnel Area
Line 2: Employment Status, Cost Center, Personnel no, Name label, User ID
Line 3: Position title, Department name (organizational unit), Superior

Free text notes


It is possible to add an open text note on all infotypes and it is possible to report the notes.

Logging of changes
In order to track the last person to create or change information on the various infotypes, a logging field
is added to the detail views of all infotypes.

*Not the last line in the header.

Besides the above basic logging, a number of infotypes and fields can be logged for all changes. This
will especially be relevant with Payroll relevant data. Logging can be requested.

Infotype menu
The infotypes will be structured on tab pages listing relevant infotype menu.
The following infotype menus have been predefined in the global SAP HR MasterSolution. Not all of
them will be relevant in all countries:

User groups / Info set / Info group


User groups, info sets and info groups will be created to support requirement for diversity in country
specific needs for actions, reports, local reports, authorizations and roles. Each element will be created
and aligned to fit relevant infotypes and fields per country.
Name standard will be:
"HR" + Country Code + serial number e.g. HRDK01, HRUS01 etc.
Per default only one User Group, Infoset and Info group will be created per country template.
Each infoset will contain one fieldgroup per infotype.
