NURSERY MANAGEMENT SYSTEM

1.0

Introduction
Nowadays there are a lot of nurseries that are still using the manually system or also call

file system. Therefore, online nursery management system is developed to help in managing the
nursery more efficient. Online Nursery Management can be used via internet connection. The
target users for this information system are administrator who can control most of the system,
staff of the nursery and parents. As a result, all the user target of the nursery can easily access
the information by using this system. Enrollment has always been a time-consuming process,
both for schools and parents. Therefore, this system allows parents to go online, review the
programs and activities at the nursery and the program offered, as well as complete the entire
enrollment process in minutes without any paperwork.

In this online nursery, guardians and staff can make online registration after checking for
the vacancy of the nursery according to their children's ages. This online nursery management
will provide menus like other websites including feedback packages and email system for all
staff. A user can find out the status of payments made by guardians. Not only that, this online
nursery system allows staff records to be kept with basic information. A biography of the staff
with experience and education, and a photo can also be included for marketing purposes.
Moreover, it also gives a secure and convenient way to communicate online with parents. The
nursery may send menu, newsletter or monthly bulletins or send information about field trips,
classroom news, curriculum or schedule updates. It can remind parents when a child's physical
and vision test is due. In addition all of these communications are sent electronically over the
Internet, therefore we can increase the interaction with parents without call parents to come to
the nursery.

2.0

Problem Statements
There are some problems while using the manual system, which is :
2.1

Unsystematic record
The record may be lost, risk to get data redundance, damaged, or not updated.

Besides that, the nursery management shall provided more spaces to store all the
information and file.
2.2

Too much paper being used


The current announcing information to parents is through the use of paper or

phone calls which are actually involves a lot of money.


2.3

Inefficient services
The manual process delays tracking of information on children, guardians and

staff. Parents shall go to the nursery during working hour. In fact Parents need to queue
for their children registration. It is waste of time.
2.4

No report provided
Besides, there was no report in listing of current children records and other

information related to the nursery in actual system.

3.0

Objectives of the system


The objectives of the system are :
3.1

To make record management process more efficient


System will store the record of parents , children , staff , payment and related

information in the database. Easier record management since all record is stored in
database and user just need to use the system to find and manage the required record.
3.2

To make process of checking status of payment easier.


Staff can check status of payment made by parents by using the system and save

time to find the information than using manual way.


3.3

To make announcement to parents easier.


All latest information and announcement can be view online. Staff can use the

system to make announcement to all parents and save cost than using manual way which
is contact all parents by phone.
3.4

To generate report.
System enable admin to generate and print some report including monthly

income, list of children group by class and all information for each child.

4.0

Project Scope
The software product to be produce is Nursery Management System as requested by the

client which is to help nursery in manage the major nursery operation. The system will allow for
a better management of nursery management for example like registration for children in
nursery, store staff detail, parents or guardian detail and children itself. In addition, the system is
apply in web based so that customer can access the system via the internet. The function of the
system are listed as below:
4.1

Registration
The registration function have two main function which is registration for parent

and registration for children. Parents shall be able to create new account through online
registration service as a member. After that, parent should able to make registration for
children through online.
4.2

Child Approval by Staff


Staff shall be able to manage the process approval child to the nursery. Each child

should be divided to class based on their age. Staff also has given priority to delete the
useless record from applicants.
4.3

Stored parents and childrens detailed


All the information of parent and children shall be recorded into database system

for example address, age, date of birth, contact number, allergy and so on. Children
should be assigned the class and program by referring the age of children. The registered
parent will able to check their payment fee history, any updated news in nursery,
important information and status. Parents also able to update their data in system.

4.4

Stored staff details


The information of staff shall be recorded in databases system and parent can

view staffs basic information to find contact of their childrens teacher.


4.5

Recording monthly fee payment


Cash payment are made by parents to the nursery and staff should be able to

check and update the payment history and status of the payment.

4.6

Generate report
The system shall allow administrator to generate report like list of children in

nursery grouped by class, listing monthly income, and display and print information for
each children in nursery.
4.7

Information to parents or guardian


The system shall enable for staff to add some announcement to parents if there are

urgent changes to be made. System should automatically sending the message in


telephone parents to inform them.
4.8

User feedback
Parents shall be able to provide feedback about the nursery or any complaint

related to the system and staff.

5.0

Target User
The target users for the Nursery Management System are the administrator, the staff of

the nursery and the guardians.


5.1

The Administrator
The administrator is the head of the nursery. The administrator who is the one that

can control most functions of the system.


5.2

The Staff of The Nursery


The staff of the nursery will be able to manage the approval registration child to

the nursery and staff allow to register child if the parents have problem through online
registration. The staff can check whether the guardians had paid the monthly fee and also
can update the payment status and history of the payment. Staff will be able to make an
announcement about updated issues or information to inform parents. Staff also can
manage their personal details in the system. Staff able to view report of student. Finally,
staff has given priority to delete the unwanted information or record in the system.
5.3

Parents
Parents shall be able to make online registration for their child and they can check

whether the registration is approve or not. The registered parents shall be able to update
their details in the system and they can view the basic information about their childrens
teacher. Guardians will have opportunity to check their payment fee history, updated
issues and information of nursery. The system also has a space for parents to give their
feedback or complaint that related to the system and staff.

6.0

Advantages and Limitation


The benefits that are available in this system is, easy for a user to record information

more efficient, easier checking status of payment made by parents, nursery staff easy to make
announcement to parents and generate report. The vulnerability in this system, the user must
have an internet connection to use this system. In addition, not all users can adapt using
technology such as computers.
7.0

Conclusion
This system allow parents to stay up to date about latest information. Record

management also easier since all record will be stored in database. Staff and parents can access
the system from any place with internet connection. Staff can send announcement to parents.
System allow admin to generate and print report such as monthly income of nursery.
