SYSTEMS ANALYSIS REPORT

I. REASONS FOR SYSTEM ANALYSIS

Timeliness of information especially in times of calamity or
announcements from the school.
Dissemination of information to ensure that all students were able to
be informed.
To increase awareness among students and the administration.
To eliminate the receiving of spam messages within students.

To be able to have a centralized information system in disseminating
information.
To be able to decrease lag time in sending information.
II. SCOPE OF STUDY

B. Changes in scope
The scope of the study is the students and the administration in El
Consejo, and Ateneo de Zamboanga University, as a whole.
III. PROBLEMS IDENTIFIED WITH CURRENT SYSTEM
A. Techniques used for gathering facts
The team used the technique of observation in deriving at the
proposed system.
As part of the observation technique, the team also is involved in the
current system by becoming an existing participant in the task of
disseminating information.
B. Problems encountered in the fact-gathering process
During the fact-gathering process, the team found out that the current
dissemination of information requires a number of representatives
that will be appointed to disseminate the information to various
students. Per class requires a representative, and that means all
representatives must be informed first before the information will
reach the whole student body. The problem with this is that, some of
the representatives will not be able to send information due to factors
like, not having enough load or not engaged enough in disseminating
the information because of busy schedules. Now that this is
established, some students under these few representatives will not be
able to learn about latest and important information, which is very
disadvantageous for them.
C. Analysis of facts
The process of disseminating information to the student body requires
a lot of unnecessary burden towards the student representatives that
are assigned to deliver the messages. Not all of have the capacity to be
able to perform the task at the right time. Delivering message through
text will be burdened towards the students, they will be the people
wasting money for load, but then at the end of the day, not all of the
students that they have delivered the message to, will give attention to
the messages being sent to them. This dissemination process must
therefore be a part of the El Consejo, or ADZU, since they hold the
student body per se. It must be their task to deliver the necessary
information to the students. It will be best to allow a centralized
information system for the dissemination of information because this
will decrease the burden of the students and the need for unnecessary
wastage of individual student budget. The school has funding and is
equipped with the right IT assistance, and will be able to work this
project out, if this will be approved.
IV. STATEMENT OF USER REQUIREMENTS
A. Specific user needs in key areas, such as:
1. Output requirements
The user of the system must be able to obtain the necessary
information or news to be disseminated to the students. This
information must be recent and current to be relevant. All
information must be sent on time, so that the students will be
informed on time.
2. Transaction volumes
Every day, information such as news and announcements are
available. The need for dissemination must be observed on a daily
basis. Therefore the transactions per day will depend on the number
of information to be sent, and the number of students to deliver the
message to.
3. Response time
The user of the system is required to be prompt and must be able to
adjust time, so that the delivery of message will reach the students at a
time where the message will still be relevant and informative to the
students. This must be observed by the user on a daily basis, and he or
she should maintain timeliness.
