What is Aconex Local Copy?
Aconex Local Copy provides you with a local read-only copy of up-to-date project data during
the life of your project. It is similar in appearance and function to working with your project in
Aconex.
You can:
Search for documents and mail with standard Aconex search capability.
Export search results to Microsoft Excel for reporting.
View all of your documents, including mark-ups and document history.
View the event log for every document.
View sent or received mail, including transmittals and associated attachments.
Easily open and save mail attachments.
Access full mail thread information.
Print mails.
Datastore licensing
To create a datastore, the Local Copy administrator must supply a:
Valid license file that is specific to the project and the Aconex user login of a project
member.
Matching license key that unlocks this license file.
A datastore license has an expiry date which is typically the date that the Aconex service
agreement ends. Youll still be able to access all the information currently in a datastore with
an expired license, but the datastore wont be updated past the expiry date. Notification about
the impending license expiry is sent to the Local Copy Administrator.
If a project is extended, your Local Copy administrator can renew the license for the datastore.
If necessary, your administrator can also change the Aconex user login that a datastore uses,
but a new license file and license key for the new user is required.
Opening Local Copy Viewer
1. Open the Aconex Local Copy Viewer from the Windows Start menu. Click All
Programs >
Aconex > Local Copy > Local Copy Viewer.
Tip: You can also open the Local Copy Viewer from a computer on your local
network. Ask your Local Copy Administrator for the Local Copy Viewer
URL.

Tip: Click the Refresh button to update the archive list to show any new
archives.
2. From the Datastore List, double-click the name of the datastore you want to open.
3. If required, enter the datastore password in the Password field and then click the OK
button.
Note:
This isnt your Aconex password.
You wont be asked for a password if one hasnt been set one for this datastore.
Tip: Ask your Local Copy Administrator for the datastore password, if required.

Viewing Documents
1. Open the Aconex Local Copy Viewer and open your datastore. See Opening a Datastore.
2. Click the View Documents button.

3. To search for documents:
a. Enter search criteria as required.

b. Click the Search button.
4. Choose one or more of the following actions:

Choose the document
fields displayed in the
search results list
Click the:
Show All Columns button to display all available document
fields.
Show Default Columns button to display the standard
document fields.
View a documents
properties
Click either the documents:
Title under the Title column, or
Option icon, and then click Properties.
Open a document Click either the documents:
File icon, and then click the Open button, or
Option icon, and then click Open File.
Save a document locally a. Click the File icon to the left of the document number.
b. Click the Save button.
c. Browse to the location where you want to save the file and
click the Save button.
d. Click the Close button in the confirmation message.
View document event log Click the Option icon to the left of the document number, and
then select Event Log.
View document history Select the View Document History checkbox and then click the
Search button.
Export search results to
Excel

Viewing Mail
1. Open the Aconex Local Copy Viewer and open your datastore. See Opening a Datastore.
2. Click the View Mail button.

3. To view:
Received mail click the Inbox tab.
Sent mail click the Sent tab.
4. To search for mail:
a. Enter search criteria as required.
b. Click the Search button.
Tip: To export the search results to Excel, refer to Exporting search results to
Excel below.
5. To view a project mail, click the link under the Subject column.

6. When viewing a project mail, choose one or more of the following actions:
To Do
Download all mail attachments
as a zip file
a. Click the Zip Downloads button.
b. Click the Save button.
c. Browse to the location where you want to save the
file, and click the Save button.
d. Click the Close button in the confirmation message.
Download a single attachment a. Click the File icon.
b. Click the Save button.
c. Browse to the location where you want to save the file
and click the Save button.
d. Click the Close button in the confirmation message.
View another mail in the thread Click the mail number in the Mail No column.
Print the mail in letter mode Click the Print Mail button.
Print the mail in screen mode Click the Print Screen button.

Exporting Search Results to Excel
These steps apply to exporting both document search results and mail search results.
1. Enter search criteria and click the Search button.
2. Click the Export to Excel button.
3. Click the Save button.
4. Browse to the location where you want to save the file, and then click the Save button.
5. Click the Close button in the confirmation message.

Changing the Datastore Password
1. Open the Aconex Local Copy Viewer and open your datastore. See Opening a Datastore.
2. Click the View Documents button.

3. Click the Settings tab.
4. Enter the current datastore password in the Current Password field.
5. Enter the new datastore password in both the:
a. New Password field.
b. Confirm Password field.
6. Click the Save Changes button.

Changing the Datastore Time Zone
When you change the time zone for a datastore, the displayed time for documents and mails
is adjusted to reflect the local time and date for this time zone.
1. Open the Aconex Local Copy Viewer and open your datastore. See Opening a Datastore.
2. Click the View Documents button.

3. Click the Settings tab.
4. Select the new time zone from the Time Zone list.
5. Click the Save Changes button.

Expired Datastore License
All Local Copy datastores are licensed for a specific period of time, usually to the end of the
Aconex service agreement. When the datastores license expires, Local Copy wont update
the datastore again unless the license is renewed. The Local Copy administrator can obtain a
renewal license from Aconex and then use Local Copy Manager to renew the datastore
license.
You can still access all information currently in the datastore exactly as you have previously,
but no new documents or mail will be added unless the license is renewed.
