NOTICE OF PRE-HEARING MEETING YOU ARE INVITED TO ATTEND

Topic 002 EPlan and Miscellaneous
Purpose To facilitate a resolution of a matter or an issue relating to the
proposed plan.

You are invited to attend this pre-hearing meeting. Please ensure you inform any person
representing you such as your lawyer, planner or support person of this pre-hearing meeting.

What is a pre-hearing meeting?

A pre-hearing meeting is the first step in the process to try and resolve issues before the formal
hearing takes place.

This pre-hearing meeting is to better understand the issues and determine the most appropriate
pathway to deal with your submission(s); whether it should go directly to a hearing, to
mediation/facilitation, expert conference or some other agreed process.

When and where will the meeting take place?

The pre-hearing meeting on the above topic will be held as follows:

How is my submission proposed to be dealt with?

The Parties and Issues report relevant to this pre-hearing meeting can be found on the Independent
Hearing Panel website at http://www.aupihp.govt.nz/hearings/ and click on topic 002-Eplan and
miscellaneous on the right hand side of the page. Please ensure you read this report to find out how
the Panel proposes to deal with your submission on this topic.

Do I need to attend the pre-hearing meeting?
You only need to attend the pre-hearing meeting if you do not agree with the proposed pathway for
your submission.

If you do not agree with the proposed pathway or you believe your submission has not been
addressed correctly in the Parties and Issues report, you need to attend this meeting. If you are
being represented by another person, please ensure they have full authority to make a decision on
your behalf at the meeting.

What do I need to do now?

You need to contact the Hearings Administrator J ulie McKee on 09 977 6993 or
julie.mckee@aupihp.govt.nz no later than 27 August 2014 and say if:

(1) You agree with the pathway set out in the Parties and Issues report for your submission and
will or will not be attending the pre-hearing meeting. If you will be attending, please advise the
Hearings Administrator if you will be bringing any other persons to the pre-hearing meeting
with you, and if so, who they are;

OR

(2) You disagree with the pathway set out in the Parties and Issues report for your submission
and will be attending the pre-hearing meeting. Please inform the Hearings Administrator:

a. if you will be bringing any other persons to the pre-hearing meeting with you, and if so,
who they are; and

b. what it is you disagree with in the Parties and Issues report.

AND

(3) If you intend to call any expert witnesses at the future hearing the panel would like to know
who you intend to call and their area of expertise.

If the Hearings Administrator has not heard from you about your attendance within 24 hours of the
meeting, it will be assumed that you agree with the Parties and Issues report and the pathway your
submission has been identified as taking.

General Information

The hearing rooms at 205 Queen Street have limited capacity due to building safety requirements.
Should the participant numbers for this pre-hearing meeting exceed the floor capacity, a second
session may have to be scheduled and you will be informed if this is the case.

While it is difficult to determine the length of the pre-hearing meeting in advance, please set aside a
minimum of 3 hours. You are not required to prepare any written material or evidence in advance of
the pre-hearing meeting.
After the pre-hearing meeting, the chairperson will produce a report and this will be available on
http://www.aupihp.govt.nz/hearings/. You will be sent a notice informing you when this is available.
