It is created, resides in a database
where it may be changed, is archived,
and is eventually deleted. A compre-
hensive strategy for information lifecycle
man age ment (ILM) strikes a balance
between total cost of ownership, risk,
and legal compliance.
A chief objective of ILM is controlling
the data from its creation up to its final
deletion (destruction). As soon as data is
no longer needed in everyday opera tions,
it is archived to reduce the data base
volume. However, due to an increase in
legal regulations concerning data reten-
tion and destruction for example, for tax
auditing or product liability tradi tional
data management approaches no longer
suffice. Operating multiple envi ron ments
or legacy sys tems complicates the pic-

Management supports two main IT activi-
ties that are critical for effective ILM:
Retention management
System decommissioning
SAP NetWeaver Information Lifecycle
Management is based on data archiv ing,
which has been available for several
years: the software writes business-
complete data from the database to
archives and deletes the original data
from the database. Data archiving
helps reduce online database volumes,
increase system availability, and better
use existing system resources, which
results in improved system perfor mance.
Further, SAP NetWeaver Information
Lifecycle Management enhances stan-
dard data archiving functions to support
retention management and system
decommissioning.
For retention management, you are
provided with tools and technologies to
cover retention-policy management func-
tions that support the entire information
lifecycle from creation to destruction
of data. You can create rules and poli-
cies that incorporate relevant criteria,
such as where the data is stored, how
long the data is to be retained, and
when data can be destroyed. The poli-
cies usually based on external legal
requirements or internal service-level
agreements can be maintained for
both structured and unstructured data
on all media types, including paper.
Enforcement of the rules is applied to
data in the SAP software environment.
An integrated ILM-aware storage device
can store and destroy the data accord-
ing to the applicable rules. The SAP
soft ware includes functions that support
legal case management, legal hold man-
agement, and automated electronic
discovery.

system decommissioning This ser-
vice analyzes the system to be decom-
missioned, captures system charac-
teristics, and classifies all the data it
contains in order to identify the data
that needs to be extracted. It also pro-
poses possible extraction methods.
This combination of bottom-up analy sis
and a top-down business view gives
you a holistic view of the system to be
decommis sioned. The service deliv-
ers a strategy to decommission the
targeted system and a detailed imple-
mentation plan, including a proj ect
timeline and list of resources required.
The implementation service for accel-
erated system decommissioning
Based on the results of the analysis
service, this service delivers a fully
decommissioned system, with the
relevant data extracted, the relevant
retention policies applied to the data,
and the data stored according to those
policies in an ILM-aware stor age solu-
tion. The software is also configured
for data retrieval and reporting through
the SAP NetWeaver Business
Ware house component.
