Maintenance Management System Objectives
The purpose of a Maintenance Management System (MMS) is to improve the quality
and to reduce the cost of maintenance. The MMS has both scheduling and analytical
functions. It provides a means of quantitatively evaluating maintenance cost, response
time, downtime, repeat write-ups and training. One of the most important outputs
from a maintenance management system is to provide the factual data necessary the
justify maintenance expenditures. Every facility is unique yet all share the following

The most fundamental requirement for a is good technical documentation for the
facility and equipment. Set up a technical library containing all of the following
documents.

Equipment List including Equipment ID Number.

Equipment I nventory Control
Physically inventory all of the equipment in the facility that will require maintenance
either by staff or outside contractor. Assign an equipment ID number and verify that
technical library has a copy of the Operations & Maintenance Manuals.
Develop an equipment inventory database.
Review facility drawings and identify each item requiring maintenance.
Physically survey the facility and/or meet with owner to identify equipment
that has been or will be added.
Obtain technical data from vendor and initialize technical library.

Master Maintenance Plan
Bass Associates Inc. works with the owner to develop a master maintenance
plan that will define the maintenance organization and provide a realistic plan
for developing it.
Determine maintenance manpower requirements.
Prepare a maintenance organizational chart.
Prepare a maintenance policy manual that defines the authority and
responsibilities for each functional block.
Define minimum skill level requirements for each position on the
maintenance staff.
Prepare a list of the tools and equipment that must be procured by the
facility.
Prepare list of spare parts that are to stocked by the facility.

Maintenance Management System Architecture
The Maintenance Management System will be designed to be accessible from a
Local Area Network (LAN) or as a stand alone system.
The system database format will have Open Database Connectivity
(ODBC) so that it can be accessed by other database systems.
The system will be interfaced to the Local Area Network (LAN) if one is
available.
The system will include all of the databases listed below.
The system will be able to generate all of the reports listed below.
The system will automatically generate Periodic Maintenance
Workorders for the equipment put on the system.
Requests for maintenance can be entered from any computer connected
to the LAN.
Persons having the correct access permission will be able to generate
reports from their desktop computer.

System I mplementation
Bass Associates Inc. will set up a complete Maintenance Management System
including Computer Hardware, Software and Documentation. The system will
provide complete record keeping; including all forms, reports and computer
facilities.
