POSITION TITLE: Front Desk Staff
DEPARTMENT: Front Office Department-Administration/Accounting Department
POSITION LEVEL: Staff
REPORTING TO: Report directly to Front Office Supervisor

JOB SUMMARY: The front desk personnel task is to answer all telephone inquiries,
walk in guest/clients with regard to the information about the retirement facilities, the
service being offered by the facility. Handle first hand information about client/
retiree’s/guest inquiries, complain and question in a professional, courteous and efficient
manner, which guaranteed to secure a satisfied client/ guest/retiree’s. Coordinate or
bridge to all other existing department. Operate the Q-Front Integrated Hotel System,
handles petty cash and billing procedure. Monitoring of all the in and out of all
resident/guest and prospective guest as well as employee of all

Duties & Responsibility:

1. Answer all phone calls promptly and in courteous manner


2. Be knowledgeable of the facilities including homes description, rates and any
other information necessary to answer guest inquiries
3. Know the layout of the facilities including all rooms types, program of the
facilities for retirees amenities and services being offered by the facilities
4. Have a complete working knowledge of the Q-Front Integrated Hotel system, in
put all necessary information needed in daily operation (reservation, registration,
billing posting and payment posting )
5. Be aware of all times of the selling status of the facilities
6. Secure all required information from the guest when making a reservation
7. Understand and follow reservation policy pertaining to guarantees, cancellations
and no show and communicate them clearly to each guest
8. Be able to post payment and sales everyday in Q-front system
9. Process all payment and advance deposit and post each deposit to guest’s
reservation or Q-Front system Balance shift audit and run necessary report daily
10. Handle all messages; respond to inquiries and make reservation as needed,
maintain correspondence files, mail out brochures as requested
11. Create and maintain positive relationships with all other department and know
they relate to the front desk area
12. Be knowledgeable of medical service offered rates and any other information
necessary to answer guest inquiries
13. Perform daily office duties and any other project assigned by managers
14. Be able to submit necessary report on the assign time
COORDINATES WITH:

1. All staff in front desk, Housekeeping. Maintenance, food & beverage for
follow up requirement necessary in daily task
2. All Department Manager for follow up requirement necessary in daily task
3. Participate in department meeting assisting in development of daily operation
and overall reservation department and related areas
4.

WORKING CONDITION:

1. Reports from 7:00-3:00 (Morning shift ) 2:00-10:00 ( Afternoon shift) 10:00-


7:00 ( Evening shift)
2. Requires occasional work extension (overtime) as required by superior
3. Occupies a permanent area in a Front desk or Reception area
4. Operates a computer with LAN- and general e-mail address
5. Requires occasional visit to other department offices

JOB SPECIFICATION:

1. Educational Attainment : Graduate of Bachelor of Science in Hotel


Administration, Hotel and Restaurant Management
And other related course
5. Computer literate on Microsoft. Typing speed should be 80 wpm and above
6. Working experience in related job for minimum of two(2)years
7. Sex : Female and Male
8. Status : Preferable single
9. Age range : 25 to 35
