2013 Employee Ticket Program

Please note that the 2013 BCD Travel Employee Ticket Program is offered based on airline certificate tickets only. Availability of tickets (airline certificates) may vary. Applicable fees vary by airline and are the sole responsibility of the employee. The program may change at any time due to industry changes, airline conditions, or any other change at the sole discretion of the company.

Eligibility
Must be employed by BCD Travel for at least six months at the time the ticket is booked. Must be a full-time or part-time (24 hours per week or more) employee. Temporary employees are not eligible. Must have a valid IATAN card (a copy will be requested by the Employee Travel Department) Must be employed by BCD Travel on the dates of travel An employee on final written warning cannot receive tickets until they are off the final warning. Participation of all other employees under Performance Counseling is at managements discretion. May not be used by employees while on leave of absence Not valid for employees who have provided notice of termination Tickets are non-transferable Any bartering, selling, or misuse of the tickets is subject to forfeiture of the tickets and further disciplinary action

Allocation of Tickets:
Anticipate one (1) pair of domestic* coach round-trip tickets for employee and companion traveling together or two (2) domestic coach round-trip tickets for employee only. All ticket requests will be fulfilled only when airline certificates are available. Where applicable, travel is permitted within the Continental United States (48 states), Canada, Mexico, and the Caribbean. Airlines used will be at the total discretion of the Employee Travel Department based on availability of tickets. Please Note: Some airline certificates may not be available for employee personal travel.

Regular full-time or part-time employees with at least 6 months of service, at time of booking, are eligible for 2 domestic coach tickets in 2013. Tickets are valid for travel in 2013 only. If you do not use your tickets within the year, they do not carry over into the following year. It is at the discretion of the Employee Travel Department to determine available certificates. The potential exists that you will be asked to modify your schedule to accommodate availability for certificate usage.

Requesting Tickets:
All requests for travel must be submitted to your manager using the Ticket Request form. Your manager must complete and approve the managers section and forward requests via e-mail to the Employee Travel Dept. Requests sent to the Employee Travel Dept without Manager Approval will be returned to the employee. Do not submit requests sooner than 120 days prior to your planned travel dates and not later than 30 days prior to your travel dates. Availability may be limited due to carrier blackout dates or airline restrictions and requirements. Please, no phone calls to the Employee Travel Department. Your request will be acknowledged within 3 business days and fulfilled according to availability, carrier rules, and order of submission. Do not book any reservations in your GDS unless instructed to do so by the Employee Travel Department. This applies to ALL airlines! Under no circumstance should an employee contact an airline sales office or airline sales representative requesting deviation or exception to the airlines policies including, but not limited to, waiving blackout dates, or clearing class of service. Most carriers assess ticket processing charges. These generally range from $50.00$100.00 per ticket, plus all applicable taxes and fees, including overnight mail costs. The employee must provide the Employee Travel Department with a valid credit card number for these expenses, which are usually paid to the carrier directly. All costs associated with processing will be non-refundable. Any ticket certificate that has been provided must be returned to Employee Travel, if unused. You may still request a reduced rate AD50 (subject to availability) to supplement the free tickets and/or destinations available through this program. Please mark the appropriate box on the request form.

Program Tips and Reminders: With the increased demand in company travel, it has become difficult to guarantee the usage of a specific carrier when utilizing the Employee Ticket Program. Below are some tips & reminders to assist with your planning when utilizing this employee benefit:
Travel can only be requested within the Continental United States (48 states), and to Canada, Mexico and the Caribbean Always provide a minimum of 30 days advance notice when submitting your request but no more than 120 days. SPECIAL NOTE: The airlines offer very limited inventory during major holidays so it is strongly recommended that you submit requests for holiday travel at least 90 days in advance to increase your chances for availability. Remain flexible and provide alternative airports and/or dates. Please fill out the ticket request form completely. Employee Travel does not finalize reservations or make charges to the form of payment without the consent of the employee. Carrier usage is based on current certificates available at time of request. Most airlines charge a processing fee and/or applicable taxes which is the responsibility of the individual traveler and are non refundable. Your IATAN card must be current. If card has expired, please renew prior to requesting ticket usage. Tickets are not transferable and must be used in the calendar year. Changes to reservations once ticketed may be subject to additional penalties which are the responsibility of the employee.

Important Notes: Please note that it is the policy of BCD Travel that half (50%) of any free airline tickets received locally in any company office must be sent to the Employee Travel Department. (This does not pertain to individual tickets earned through any preferred vendor incentives initiated by the Supplier Relations Department.) Supplier Relations must be notified of and approve any vendor incentive programs prior to their implementation. BCD Travel does not permit incentive programs with vendors that are not classified as preferred with the company. Free & reduced rate travel is a privilege of employment with BCD Travel. When traveling, you and your companion are representing BCD Travel. Your conduct must be professional and appearance should be neat and in accordance with the airline dress policy. Our supplier partnerships and availability of free tickets are jeopardized by non-compliance with these rules. Additionally, your personal non-compliance may result in revocation of travel privileges and disciplinary action, up to and including termination of employment. Any individual found not complying with this policy may be subject to disciplinary action, up to and including termination of employment.
