KDU UNIVERSITY COLLEGE SCHOOL OF HOSPITALITY, TOURISM & CULINARY ARTS Industry Placement Handbook (IP 001 / IP 002)

Policies, Guidelines, Learning Outcomes & Assessments 1. What is Industry Placement? As part of your academic studies, you are given the opportunity to undertake at least one compulsory period of industry placement. Industry Placement is a period of employment in an establishment to enhance your skills and experience and provide opportunities for the application of theory to the world of work. 2. Do I need to do an industry placement? a. All students (except those who are given exemption) MUST complete ONE compulsory period of industry placement BEFORE they are awarded the FINAL qualification for which they are studying. b. For example, and following from point 2 (a), if you propose to leave after taking and passing a diploma course, you must complete ONE compulsory industry placement. If, however, you are proceeding to the Degree course, you may defer your compulsory industry placement until after that programme, if the Degree course is the last course you are taking. c. A student who, gets terminated from industry placement has only ONE chance for appeal to the HOS. The most serious outcome of the appeal could be the loss of the right to graduate with an award as industry placement is a COMPULSORY component of completion of a course.

d. Upon successful and satisfactory completion of industry placement you will receive a grade on your transcript. 3. When should I do my industry placement? As indicated in point 2 above, you may choose to defer your compulsory industry placement if you are continuing to a higher level course. Thus, the compulsory industry placement can be completed after the Diploma, Higher Diploma (for culinary students) or BA course. A decision on industry placement must be informed to the Placement Manager at the beginning of the semester before the scheduled period of placement. 4. Where can I do my industry placement? The school selects establishments from the industry partners list. Industry placement usually takes place at operational level in a hotel or restaurant or other tourism-related business where possible, and lasts at least 22 weeks in Malaysia or abroad. SHTCA will try to provide you with a suitable place according to your selection criteria. However, the school does not guarantee a place of your choice for industry placement nor any particular position during your industry placement. In the event your selection criteria do not match up with the list, we reserve the right to place you in any alternative establishment.

If a foreign student wishes to do his/her industry placement at his/her home country, the student is advised to notify the schools Placement Manager at least 1 semester ahead of time. The student must identify a placement venue/s and furnish the school with contact details of the establishment/s. The school will then contact the establishment, and apply for a training position on behalf of the student. However, the school cannot guarantee successful placement. , The said establishment reserves the right to accept/reject student application for industry placement. Thus, the student is advised to furnish contact details of at least 2 or more establishments in his/her home country, and/or have alternative plans.

SHTCA also provides optional industry placement abroad, for all students. Industry placement abroad is arranged by SHTCA in collaboration with Industrial Placement agencies, local and foreign. For those interested, the first briefing is usually conducted on the first month of the semester before training. This allows the student enough time to make a decision, and for the Industry Placement agencies to arrange for their student visa, which usually takes about 6 months to process. After the first briefing, students will be scheduled for a face-to-face interview with the representatives of the agencies. The interview marks the initial process of application and selection for industry placement abroad. During the interview, the students are advised to bring the following documents: Original passport 4 passport photos with white background All examination results Resume Other academic/work certificates and testimonials Acceptance letter from KDU University College 5. What kind of job can I do for industry placement? The choice of the appropriate organization and department will have an important influence on the outcomes of your training. There are many questions you need to answer before you make a decision. Be aware that you will benefit from training in any type of organization, and that a large or high standard establishment does not guarantee a better industry placement! Your training will normally give you the opportunity to work in one of the following four departments. Service, where you will be in contact with customers, and interact with the kitchen. It is an exciting and busy department, requiring good food and wine knowledge, very good service skills, and excellent customer care. Kitchen, where you will be involved in the costing and cooking of food. It is a highly intensive and creative department, including basic preparation, cost calculation and control, and menu pricing. Housekeeping, where you will be concerned with the organization and control of rooms. It is the heart of hotel activity, involved with room preparation, the administration of check-ins and checkouts, and ensuring guests well-being. Reception. Reception positions are the hardest to find and in order to stand even a chance of obtaining such a post you will need to show particular competencies and knowledge in: o electronic reservation systems; o phone skills; o guest interaction; o work organization; and o Most importantly, languages (good conversational level at least). 6. How do I apply for industry placement? a. Industry placement information meetings are held at the beginning of each semester by the Placement Manager. These must be attended, as you will be provided with essential information. You are welcome to visit the Placement Manager anytime during office hours or e-mail to shtca.idt@kdu.edu.my. However, if you need substantial assistance, you will need to make an appointment. Please refer to the dedicated notice boards for regular information on industry placement matters.

b. To apply for industry placement you MUST, hand in your FULL application to the Placement Manager by the second month of the semester with the following attachments: o a learning objectives report (see point 7 below) o an application form with professional picture ; and o a signed industry placement application form (available on the School website).

KDU UNIVERSITY COLLEGE SCHOOL OF HOSPITALITY, TOURISM & CULINARY ARTS Industry Placement Handbook (IP 001 / IP 002)

In addition, you MUST e-mail a COPY OF YOUR APPLICATION FORM ONLY (write CV and add your student number in the subject line of your email, e.g. CV - 48201) to shtca.idt@kdu.edu.my. c. No late applications for industry placement will be accepted, and if you do not meet the deadline stated in (b) immediately above, you will not be able to do an industry placement. You will find all the necessary information and forms, including the industry placement application form, on the School website.

7. How is my industry placement assessed? Industry placement is an exciting and important part of your programme. In order to maximize the benefits and outcomes of your training, you will need to assess and reflect upon this practical experience. The first step is to complete an industry placement agreement (see point 6 above). The assessment components are as follows: Hotel Evaluation (70%) Reflective Summary Report before training (10 %) Reflective Summary Report after training (20 %) These assessments will take place as follows. 7.1 Learning objectives Before you start, you will reflect on the following: a. Choice of a career in the hospitality and tourism industry, objectively considering the area you want to work in; b. Current level of skills and experience, outlining the levels you want to achieve; and c. Personal achievement/s you would want to gain during and upon completion of placement.

This will help you to set objectives regarding your expectations, and also your needs when undertaking your industry placement. This should be done in the form of a short report of 1,000 words, and, as indicated in point 6 above, submit to the Placement Manager by the second month of the semester. 7.2 Learning outcomes AFTER completing your industry placement, you will: a. Reflect upon your practical experience with the establishment you worked with highlighting the general organization, level of service, etc. b. Assess your personal achievements during this placement period against your reflective summary report before your training commences. Was your expectations met? Did you fit into the organization? Was the skills and knowledge learnt from the programme at the University College sufficient? c. Analyze the gaps (if any) between the skills and knowledge acquired during the programme and the actual practices and demands of the establishment.

d. You suggestions for improvements during the placement period. This will benefit your juniors. e. Your advice to junior students who are yet to complete their placement.

f.

Your future plans. Will you still consider working in the industry? If yes why? And if no why?

The above should be done in the form of a report of 2,000 words, and submitted to the Placement Manager two weeks after the completion of your industry placement. Your report will be marked and returned to you within one month. 8. What about interviews? An interview, even organized by SHTCA does not guarantee a position. The interview is crucial. It is also good practice for the future. You MUST take it seriously. The following are important rules to observe. Make sure you know where you are going, and how to get there. Be on time. Punctuality is crucial. Be well dressed and well presented. You may wear your school official suit (uniform) or smart business dress/suit. Bring your CV. Show motivation and interest by asking pertinent questions related to your industry placement. Be prepared for questions the interviewer may ask you (see 10.1 below) Relax Your interview should last for about 45 minutes. Most importantly; do remember that you are going for an interview for industry placement and NOT TO BE INTERVIEWED for a managers position. You are not ready to be a MANAGER! After you attend an interview, you must report to the Placement Manager the next day. 8.1 Questions you could be asked during the interview What do you know about our company? (Are you informed?) Tell me a little about yourself. (Life and travel experiences, personality, personal interests) Why would you like to work for us? (Personal goals, attractiveness of the workplace, potential of the company...) What personal values do you want to develop from this position? (Skills, knowledge, experience...) What are your medium and long-term goals? (Where would you want to be in 3 years?) How would you rate your own success? (Goals set, goals achieved...) Where, other than in your professional career, have you been successful? (Sports, leisure...) 9. What is the Code of Practice during industry placement? You now have the opportunity to put theory into practice. But remember: your training is part of your programme, and you are still learning! The key word is attitude. Show your interest and your commitment, absorb as much as you can, take any opportunity to participate in further training, be friendly, helpful and approachable. Pay particular attention to the following code of practice. Show flexibility: business does not always run smoothly and according to plan. Show your capacity to adapt to exceptional situations. Demonstrate motivation: this is your choice of career. Build up your skills, and develop your potential as a future manager. Be punctual: accurate time-keeping is not only a managerial aptitude; it is also a matter of self-respect, and respect for colleagues and guests. Follow: the general rules on personal hygiene and appearance applied at SHTCA. Follow: all house rules and regulations of the establishment where you are employed whether these are verbal, written or implied, they must be strictly adhered to. These rules and regulations may include:

o health and safety practices; o fire regulations/security procedures; o procedures in the event of sickness and absenteeism; o timekeeping and arrangements for work shifts; and o Uniforms and dress code. Absenteeism and/or sickness: should be notified to the establishment immediately, details of absences for sickness lasting for 3 working days or more must be notified to the School. Appropriate dress: must be worn at all times if a uniform is not provided. Do your feet a favour, and wear comfortable shoes. Avoid any excessive jewellery and particularly apparent piercing. In the absence of directives from the establishment, the following guidelines apply. Demonstrate maturity: some of you might encounter some difficulties during your industry training, particularly in the first few weeks. Dont give up! Raise any issue with your direct supervisor, and avoid conflict. If problems persist, please feel free to contact the Placement Manager. We will try to help you find a solution. For those students completing their industry placement period in Malaysia, the Placement Manager will arrange for students to be visited at least once during your training. Similarly, every effort will be made to visit students on overseas training placements. Comply with all School arrangements: all arrangements made by the School in connection with the industry training must be adhered to, unless prior written permission is obtained to make alterations. SHTCA will not take any responsibility for inconvenience or financial loss resulting from arrangements not originally agreed upon. Do not leave an industry placement: under no circumstances should you leave an industry placement allocated to you without the prior permission of the School.
