Perfect Little Parties Terms & Conditions of Booking.

Definitions:
For the purpose of this document the terms we, us, our and Perfect Little Parties refers to Burns & Burns trading as Perfect Little Parties. The terms; you, client or customer refer to the person booking our services. The Term Equipment or services refers to any equipment or services we have supplied or agreed to supply to you the customer as detailed on the hire agreement sheet. The term third party/parties refers to any company organised to undertake in full or part any service fulfilment in relation to your event.

Our Commitment:
On confirming acceptance of your booking, Perfect Little Parties automatically agree to supply the services selected and reserve the requested date and time on receipt of the booking deposit. We are committed to customer satisfaction and will do our utmost to deliver your services as agreed, but in the unlikely event that we do not, may compensate/refund the customer where we deem ourselves responsible for failing to do so. For outsourced services supplied by a third party but organised on behalf of the client, the client is subject to the hire terms and conditions of the third party company and Perfect Little Parties cannot accept any liability for third party services.

Venue Space:
Please check that your party venue can accommodate the size of any hired equipment prior to booking. We will provide upon request, measurements and guidance of any applicable equipment so you can check this against your venue space. Where we are supplying party planning services for your event, we may undertake this responsibility on your behalf and will arrange a visit to your venue in advance to measure the space. Please also ensure that your venue is suitable for the number of guests/persons in attendance and for any activities planned.

Bouncy Castle requirements:


Our bouncy castle measures 12x12x12ft and requires a minimum of 3ft of clear space around the perimeter of the castle to allow for the safety mats, pins/sandbags, blower and electrical cable. Please make sure you allow for the 12ft height of the castle as well as the length and width as some venues do not have the ceiling height to accommodate it. We are unable to site the castle or any other equipment on public land without the full written permission of the Local Authority. Please ensure this is available to us before your event or we will refuse to set up the equipment on arrival if we cannot verify that permission has been obtained. This does not apply to private property/land.

Weather:
We cannot be responsible for weather related issues and ask the customer to consider the suitability of weather for their planned events. However, we realise this can be difficult to predict and should the weather prove unsuitable for your services on the morning prior to your event, we will be happy to transfer your booking to another date or venue providing you have contacted us no later than 8am of that morning. This is subject to availability so we cannot guarantee your desired alternative date will be available but will do our best to accommodate your request. If you have decided to go ahead with services despite the

possibility of unsuitable weather and we have already set up the equipment, we are unable to transfer this to an alternative date as our contract will be considered fulfilled on arrival. Therefore please consider this on booking. We will provide you with instructions on what to do with your equipment in the case of bad weather and you agree to follow this in the event of unsuitable weather and accept liability for any injury, damage or loss that occurs to any person or the equipment and venue as a result of failing to follow this guidance. We do have a rain cover for the castle and a Gazebo which can be supplied for the possibility of a light rain shower but this is not suitable for persistent /heavy rain or strong wind.

Booking & Payment.


Please wait for confirmation that we have availability of your requested date before paying your deposit. We aim to respond within 24hrs (often sooner) and if we do not have your requested date, we will respond with alternative availability as close to your requested date as possible. We will use the information supplied on your reservation form to complete your booking form but ask that you check this thoroughly before securing your booking with your deposit. If some information is TBA we can still accept your booking but ask you to supply any missing information as soon as possible and in good time prior to your event date. Once you receive your booking form and confirmation from us, the deposit becomes due within 24hrs. Once this is received you will receive a confirmation email (usually within 24hrs but sometimes longer during busy periods) confirming your reservation is secure and an invoice receipt for your payment. If we do not receive your deposit within the specified time frame we may automatically cancel your booking if you have not contacted us. Without prejudice, Perfect Little Parties operates a strict 24hr time frame from reservation to secured booking. Your booking is only secured once your deposit is received. Up until this point, we reserve the right to allocate your date to another customer without notice. On popular days such as weekends and school holidays we often experience high demand for the same slot. Ensuring that bookings are promptly secured ensures that customers who want to proceed with their booking can safeguard their desired date/time and that those who do not, are cancelled promptly so availability is up to date. If you require an extension of this time frame, we may consider it on a case by case basis at our discretion so long as you have contacted us within the 24hr time frame, but this is not guaranteed. Customers whom have cancelled on a previous occasion may not be permitted to make a further booking with Perfect Little Parties if they have failed to respond to previous contact after placing a reservation. If special offer rates were booked on initial reservation, these will not be reinstated/extended if the booking is not completed before the offer expiry. This policy reduces administration time when we are inundated with reservations and keeps as much availability open to our customers as possible. You can pay the deposit via Bank Transfer or Paypal/Card, the details will be emailed to you with your booking form once we have confirmed availability.

Payment of Balance:

We are happy to accept the remaining balance on arrival at the venue in cash. We can also accept it in advance by any of the above methods but cleared payment must be received before or upon arrival.- We do not accept cheques. We are also happy for you to spread the cost of your party booking into multiple payments for bookings over 100 so long as this is via bank transfer and the full balance is received either before or on arrival.

Deposits and Hire Agreements:


You will be asked to read and sign our hire agreement contract(s) on arrival if we are leaving any equipment with you. This will detail any equipment that we are leaving with you and instructions for use. It is a condition of booking that you accept liability for any loss or damage that occurs whilst the equipment is hired to you. We may also request a refundable security deposit against this possibility depending on the equipment hired. This can be paid by Paypal or cash and will be returned to you on satisfactory collection of all equipment. In the event that any item is damaged, unacceptably soiled or missing, you agree that this security deposit will be taken off the balance of any outstanding amount due to rectify or replace the item(s) in question. This includes, but is not limited to any loss of earnings/business resulting in the absence of this equipment and as such it is advisable that any amounts are paid swiftly to avoid the cost to us and you, increasing over time. We will pursue any outstanding amounts that remain unpaid after invoice, to our solicitor who will take legal action to recover any monies due as well as any legal costs incurred in pursuit of this recovery. We will only ever charge at the rate of repair or replacement plus any loss of earnings and interest where applicable and will always issue a breakdown of these costs on invoice.

Cancellation.
If you wish to cancel your booking, please call or email us as soon as possible. This means we have more chance of reselling your booking to another customer and you have less chance of losing your booking deposit. - We ask for a minimum of 7 days notice to cancel your booking on hire equipment such as bouncy castle hire, and will return your full booking deposit and any other amount paid towards the balance to you if you cancel before this time period. For party packages we require a minimum of 28 days notice as much more planning, resources and staffing goes into these events. If you do not cancel within the specified notice period, we reserve the right to return balance payments only and withhold your deposit and apply it as a late cancellation charge towards the loss of business of your booked time slot and any time we have already spent on the administration or organisation of your booking so far. In some circumstances we may agree to transfer your deposit to another date or issue a gift voucher refund to use on future bookings as a gesture of goodwill but this is on a case by case basis and not guaranteed. Party Planning cancellations - we do not offer refunds on party planning services if the work of organising/planning the event has already been undertaken in part of full. We are unable to return payments/deposits/refund services contracted to third party suppliers on your behalf but where the services are supplied directly by us, our normal cancellation policy will apply. Third party services will have their own cancellation policies that we have no control over and the most we can offer is to contact the suppliers on your behalf and advise you of their response.

Health Safety & Wellbeing:


We always ensure that our equipment is safety checked and in compliance with current safety legislation standards applicable to the UK, however we can cannot be held responsible for any loss, damage or injury resulting in any misuse or where our guidance/instructions have failed to be adhered to. It is in the interests of all parties to read and follow these, or if in doubt, contact us straight away. It is the responsibility of the customer booking our services to take reasonable steps to ensure that the services and/or equipment hired is suitable for the intended audience/participants. This includes, but is not limited to ensuring the suitability of strobe lighting, advising us in advance of any allergies or medical implications that may be exacerbated as a result of something we may supply in the way of party prizes (such as sweets, toy prizes) or use in the course of a party game (such as chocolate, small parts) or supply as part of any hired equipment (such as popcorn. Candy floss, bubble fluid, smoke machine fluid). It is assumed by Perfect Little Parties unless we are advised otherwise, there are no issues that may restrict or prevent the normal course of activities or items supplied.

Correspondence.
We send all our correspondence via email as standard. We can, upon request, send it by post. We will bring printed documents for you to sign on the day.

Party Invitations & Online Gift Lists:


If you are booking a party package we can supply up to 25 party invitations free of charge and set up an online gift list for your child if requested. Please let us know if you would like to make the most of this service and advise us of the address you would like your invitations sent to and the information for your gift wish list. Should you have any queries or do not understand or accept the above conditions, please do not proceed with the reservation as you will be unable to proceed without acceptance of these terms which form the contract between Perfect Little Parties and the customer making the booking. In place of an actual signature we accept the check box as an electronic signature until we provide you with hard copies, and accept your booking deposit as confirmation that you agree to the above terms and conditions.
