Information Ethic Guideline about accessing to Loyola

We established regulation for protecting personal information in April of 2003 and try to use and protect the personal information properly in Sophia University. This guideline was organized with range of the every university student access, restrictions, and guiding note for accessing to Loyola. Please respect personal information, right to privacy, and right to intellectual property such as copyright and handle them properly/carefully. System user Students who can access to school supporting system, Loyola are listed as below. Undergraduate students Graduate students Non-Matriculated students

Guiding Note 1) User certification by user ID and password Authentication of the user is conducted with combination of registered user ID in Loyola and the relevant password. User ID will be your student ID number. Password will be created as below. a) Initial password is automatically created by Loyola and will be distributed with user ID. b) Change to the password that only person oneself knows at the stage of first user certification with initial password. Password must be created with more than 6 letters of character string certainly including alphabetic and numeric characters. The password needs to be changed by the user on regular basis. Do not let other people use or know the user ID and password. 2) Reissue the password You need to reissue the password at Center for Academic Affairs (at help desk) if you forget your password. Reissuing the password basically needs to be done at Center for Academic Affairs (at help desk) during opening hours. Check student ID for identification. 3) Session control Session is the time after determining user authentication and before logging out the system. Pay attention as following information while the session is valid. Do not leave from computer while session is valid. a) Avoid from third person using the computer abusively by locking the screen if you need to leave from computer. b) Make sure to logout from Loyola when you are in the circumstance of not being able to lock the screen in PC. Loyola is set that the session will automatically be invalid when the system continues inactive above a certain period of time for security reasons. Therefore there might be a case that the work you have done before the timeout will be invalid.

During the session, system log of all users such as system usage history and communication record will be reported in the system and will be saved for a certain period. The purpose of system log record is shown as below. a) To specify user individual if abusive and improper use of the system occurred. b) To draw upon system operation and maintenance control 4) Control of terminal equipment such as PC control It is desirable that terminal such as PC for accessing to Loyola is controlled as below. Anti-Virus software is installed and updated properly. OS update is done regularly that there is no security hole. Do not use the auto completing function for user ID and password. 5) Reminder when using Loyola from on campus Please pay attention as below when using Loyola from PC on campus. Be aware of a risk of your information in the screen read out from visual contact of surrounding area and use it if you use the system in the public such as computer lab. Make sure to pick up all the printed results if you print out data from Loyola. Also pay attention to put unnecessary printing materials through a shredder in order not for your printed data to be abused. 6) Reminder when using Loyola from off campus Please pay attention as below when using Loyola from PC off campus. Be aware of a risk of your information in the screen read out from visual contact of surrounding area and use it if you use the system in the public. Avoid using Loyola from PC with unclear security measure such as internet caf and comic coffee shop which is used by unspecified number of the general public. If you use printer to print the data from Loyola, make sure to pick up all of the printed results or pay attention to print out the data after you checked that you are able to pick up the printed results.
