Abstract
On April 7, 2013, Engineers Without Borders (EWB) at the University of Maryland,

College Park, launched the first ExPO: Engineering Skills Fair. Three members of the Engineers Without Borders Executive Board developed the idea to hold an event where student organizations facilitate workshops, in the area of expertise of the student group, to teach practical skills through brief hands-on lessons. The workshops allowed facilitators to showcase their skills and hobbies, while participants had the opportunity to take part in hands-on learning. The Engineers Without Borders student coordinators worked tirelessly through the spring 2013 semester to make the event a success. This manual serves to document the planning stages of the event so that ExPO may more easily become an annual event hosted by Engineers Without Borders at the University of Maryland.

Executive Summary
Introduction The University of Maryland, College Park, Engineers Without Borders (EWB UMCP) is

a well-recognized organization within the A. James Clark School of Engineering and the University of Maryland as a whole. EWB UMCPs mission is to improve [the] quality of life [for those in disadvantaged communities around the world] through the implementation of environmentally and economically sustainable engineering projects, while developing internationally responsible engineering students. The University of Maryland (UMD) chapter has completed 20 projects in seven different countries since it was founded in 2004. Students who work on EWB projects spend six months to a year designing a system to address an issue for a developing community, such as a chlorine tablet dispenser to sanitize drinking water. Once the design work is completed and approved, the students travel on implementation trips during

which they construct their design with the help of the community members. Students have the opportunity to immerse themselves in another culture while applying their engineering knowledge and skills to solving a real life problem when they work on and travel with EWB (Engineers Without Borders). When students travel on an EWB implementation trip, they are expected to know how to properly handle and operate all of the tools and equipment the team will utilize during construction in-country. Traditionally, each project team holds its own power tools workshop to educate the travel team members before the trip. While planning these individual team workshops for the spring 2013 semester, EWB UMCP realized the Do-It-Yourself (DIY) skills the workshops teach are skills everyone should have the opportunity to learn, regardless of whether or not they are working on an engineering project. Do-it-yourself, or handy-work, projects are time consuming and require patience and some personal investment in order to be successful. Todays society advocates efficiency in order to accomplish tasks quickly and then enjoy leisure time. While the idea of leisure time is not a new concept, there has been a noticeable shift in how individuals utilize that time due to technological advancements. Teenagers would rather play video games and watch television, than be outside or work on a project that requires thought and skill. As a result, it has become less common for kids to work alongside their parents on home improvement projects, and, therefore, kids grow up not learning how to use the tools and equipment necessary for do-ityourself work. In addition, Helen Powell, author of Time, Television, and the Decline of DIY, discusses how the familial knowledge transfer of these types of skills has been lost due to the geographical spread of families and the increase in divorce rate in the recent decades (Powell).

According to a survey of 85 individuals affiliated with UMD, 40% of the undergraduates, graduates, and faculty that completed the survey feel they are only moderately confident in their ability to operate power tools and construction equipment. 74 survey participants were from the A. James Clark School of Engineering which demonstrates that even among individuals studying a discipline rooted in design and construction work, individuals still do not feel like they have the skills to complete DIY projects. The ExPO Event Coordinators utilized the survey results to gauge interest in the event and acquire ideas for workshop topics. EWB UMCP was very pleased that 90% of participants were excited about a workshop based event where they could enhance their DIY skills. Please reference Appendix F to see the survey questions and responses. It is very important that individuals have the opportunity to learn DIY skills, such as drilling, sawing, and soldering because from time to time all of us will face problems that can't be addressed with a laptop and a cellphone. In a genuine emergency, having some basic manual skills could be the difference between surviving comfortably and being totally helpless (Reynolds). The Maryland community would have a platform on which to foster DIY skills and hands-on learning if ExPO: Engineering Skills Fair becomes an annual event at the University of Maryland. 2.3 Event Description The purpose of the ExPO event is to allow student groups from all engineering disciplines to lead hands-on workshops that provide the whole University of Maryland community with the opportunity to engage with one another and learn skills applicable to both engineering and everyday life. Our vision for planning ExPO was to create an event where people would have the opportunity to be introduced to, or learn more, about skills in engineering, whether it be using a power drill, Computer Aided Design, or jump starting a car. We wanted the

event to be something the entire engineering community and student body in general could enjoy (Prendergast). EWB UMCP was able to accomplish this with the first ExPO, and this manual will help carry and expand upon this vision for years to come.

3.1

Event Details
Date The date for the first ExPO event was chosen based on the availability of the Kim

Engineering Building. Since the decision to launch the ExPO event was made just a few weeks into the spring 2013 semester and EWB UMCP wanted to be able to hold the workshops outside, there were limited dates for EWB UMCP to reserve the Kim Building. In the future, it is suggested that ExPO be held in the beginning of the fall semester. This would allow the event to occur while the weather is nice, and students who would run workshops and participate in the event are not loaded with work at the beginning of the semester. In addition, the First Look Fair at the University of Maryland offers a great opportunity to market the event to the entire student body (ExPO Feedback Interview). When choosing a date for ExPO, it is critical to ensure there are no other large campus events occurring on the same weekend. For the first ExPO, there were many other campus wide events occurring that weekend which meant EWB UMCPs event was competing for participants. Scheduling and marketing the event as early as possible is critical to its growth and success as a James Clark School of Engineering annual event. It is also suggested to schedule a rain date for the event. The EWB Executive Board members who organized the April 2013 ExPO decided the event would not have been as successful, or as fun for participants, if it had had to be entirely inside due to weather issues.

Therefore, the 2012-2013 EWB Executive board recommends that a rain date be scheduled for the event. This way the majority of the workshops can be held outside (ExPO Feedback Interview). 3.2 Location The Kim Engineering Building is the ideal location for event because it offers indoor and outdoor space to hold the workshops. The ExPO in April 2013 utilized the Kim Plaza, Kim Rotunda, the Kay Board Rooms, the B&G Computer Lab, and the Black & Decker Computer Lab. As will be discussed later, the workshops in the computer labs were not very popular, so it may not be necessary to reserve the computer labs in the future. There are outlets inside and outside the Kim Building which means workshops which require electricity can be held in either location as long as there are extension cords available. In addition, the key to the water spigot outside the Kim Building can be obtained from Julie Berry (Appendix C) in the Deans office if there are workshops which require access to water. Reserving the Kim Building: 1. To reserve the Kay Boardrooms, Rotunda, and Plaza visit http://www.eng.umd.edu/facilities/room-reserve and fill out the form on this page (Facilities). You will need the EWB UMCP FRS account number. A link to check the availability of the rooms in the Kim Engineering Building is on this page as well. 2. To reserve the Pepco Room visit http://www.bioe.umd.edu/pepco.html and fill out the form on this page. You will need the EWB UMCP FRS account number (Facilities). 3. To reserve the computer labs in the Kim Building you need to contact Gabby Barnhart (Facilities). Her contact information can be found in Appendix C.

Contact Facilities at x52222 to verify that they know about the event and will ensure the building is open and the lights are on for the event (Facilities). 3.3 Workshops As soon as the event date is set, event organizers should begin contacting student organizations to invite them to host a workshop at ExPO. For the first ExPO, EWB UMCP only invited the smaller clubs within the James Clark School of Engineering to host workshops. The event coordinators did not want there to be lot of workshops and not enough participants, and since the ExPO in April was the first one, there was no basis on which to decide the appropriate number of workshops. Now that there is clearly widespread interest in the event, more groups could be invited to host workshops. ExPO attendees were excited to see the engineering community at UMD come together to put on something so educational for students and other community members. There is a lot of useful knowledge in the staff and student body that needs an outlet outside of the traditional academic structure and now ExPo is that outlet (Emling). This is an event student organizations, as well as faculty and staff, should be excited to participate in; therefore, as long as event planning begins far enough in advance, there should not be any issues finding enough workshop facilitators. The workshop hosts, their contact information, and workshop details can be found in Appendix A. The workshops held in the computer labs in the Kim Engineering Building were not as successful as EWB UMCP hoped they would be for a few reasons. First, the weather was beautiful on the day of the event, so participants wanted to stay outside on the Kim Plaza as much as possible. Second, the computer labs in the Kim Building are on the second floor which made it difficult for people to easily flow in and out of the room. Finally, it is difficult to provide

someone with a comprehensive introduction to multifaceted, complex computer programs, such as Computer Aided Design and Visual Molecular Dynamics, in a 15 minute sessions (ExPO Feedback Interview). 3.4 Materials Acquisition Workshop facilitators were responsible for obtaining the materials necessary for their workshops, including a table on which to set up their workshop. For the April 2013 event, EWB UMCP offered to rent tables from UMD Facilities Management for any organization that could not provide their own table. In the end, EWB UMCP rented nine tables from facilities. Please reference the final budget in Appendix B to see the cost of the tables. Tables can be ordered by contacting Mike Niels, the UMD Facilities Management Special Events Coordinator (Appendix C), at least two weeks prior to the event. Obtaining extension cords and power strips for the outdoor workshops is important. Bryan Quinn, Director of Technical Operations in the Electrical Engineering Department, allowed EWB UMCP to borrow extension cords and power strips from his lab (Contact information in Appendix C). However, it might be worthwhile for EWB UMCP to invest in enough extension cords and power strips for the event (ExPO Feedback Interview). 3.5 Budget and Funding EWB UMCP spent approximately $250.00 of its own funds on the first ExPO event. The EWB UMCP Executive Boards goal was to make sure the event was launched and had a good turnout the first time. Therefore, they were not too concerned about how much of the funding for the event came out of the EWB UMCP account. EWB UMCP believed that if they could make the first ExPO a success then obtaining funding for the event in future semesters would be much easier. EWB UMCP hopes that for the next ExPO, event costs, excluding workshop materials

which can be left to workshop facilitators to obtain, can be completely covered by sponsors. In order to achieve this goal, funding requests should be made as soon as the event date is set (ExPO Feedback Interview). For the first ExPO in April 2013, EWB UMCP received funding from VentureBoard, a UMD student startup, and the Clark School of Engineering Alumni Association. The student entrepreneurs at VentureBoard were very excited to support the event with a $100 donation in exchange for being able to promote their business idea at ExPO (VentureBoard). The Clark School Alumni Association Student Outreach Committee has an application through which student organizations in the engineering school can apply to receive funding for an event. Josey Simpson, the Director of Alumni Relations in the Clark School of Engineering, provided EWB UMCP with the funding request application and helped the Event Coordinators connect with other useful resources at the University. Reference Appendix C for Josey Simpsons contact information and Appendix D for the Clark School Alumni Chapter funding application for the April 2013 ExPO event. EWB UMCP will need to request a new application form from Josey Simpson for funding from the Alumni Chapter for the next ExPO (Engineering Alumni). Finally, EWB UMCP wrote a letter (Appendix E) to Dr. Daryll Pines, Dean of the Clark School of Engineering, to request his support in promoting and funding the event. Unfortunately, EWB UMCP requested his support only a few days before the event, at which time the Dean was out of the country, and did not have the opportunity to allocate funding for ExPO. However, EWB UMCP received his verbal support of the event afterwards, and it is likely that he would provide monetary support of ExPO in the future. Therefore, the EWB UMCP Executive Board recommends contacting Dean Pines as soon as the date is set for the next ExPO (ExPO Feedback Interview).

Since it is reasonable to have each organization provide their own materials for their workshop, the main general expenses for the event includes food, t-shirts, tables, and event fliers. A breakdown of the budget from the April 2013 event can be found in Appendix B. T-shirts ended up costing EWB UMCP about $450.00; however, they would have been at least $100 cheaper if EWB UMCP had ordered the shirts further ahead of time. 3.6 Marketing When an event date is set, contact Josey Simpson and request that information about ExPO be included in the Clark School Alumni monthly ENewsletter. Ted Knight, the Clark School of Engineering Assistant Dean for Communications, can also help by posting information about the event on Clark School calendars and listservs, as well as the Clark School Facebook page and twitter (Appendix C). Since EWB UMCP would like ExPO to be a campus wide event attended by students, faculty, and staff from all schools and departments at UMD, every department chair should be contacted with information about the event. Request that department chairs post the event information on department listservs and events calendars. In addition, event fliers should be posted throughout campus. After the ExPO event in April 2013, David Mikulis, a facilitator for the Theta Tau Coed Engineering Fraternity workshop, advised, targeted advertising is difficult, but worth the effort to increase attendance from [non-engineering] students on campus. We would love [non-engineering students] to come because there [are] so many things [they] can learn (Mikulis). Advertising the event at the First Look Fair in the fall is a good way to reach students from every major, especially freshman who are eager to partake in campus events.

Conclusion
The first annual ExPO: Engineering Skills Fair was a success in all respects. While there

are ways the event can be improved, nothing went terribly wrong and at least two hundred people attended the event. Workshop facilitators and event attendees were satisfied with the way the event was run and felt they learned something new by attending ExPO workshops. Matthew Smith, an event attendee, described ExPO as a bit of show and tell - different groups were explaining what they did, and teaching their fellow students the basics of how they did it (Smith). ExPO is a platform for UMD community members from all disciplines to learn how to use tools and equipment that allow them to complete DIY projects, as well as an opportunity for engineering students to see engineering theory from the classroom come alive in a tangible way. Its all too easy to see engineering as being abstract, when in reality it has and always will be grounded in very practical skills (Smith). This document will serve as a guide for the EWB UMCP Events Chair to follow when organizing the ExPO: Engineering Skills Fair in the future. EWB UMCP would really like to see this become an annual event within the Clark School of Engineering, and in order for that to happen, the event planning information must be institutionalized and readily available from yearto-year.

The purpose of the ExPO: Engineering Skills Fair is to allow student groups from all engineering disciplines to lead hands-on workshops that will provide the whole University of Maryland community with the opportunity to engage with one another and learn skills applicable to both engineering and everyday life. These workshops include everything from surveying to auto repair to concrete mixing and more. Our vision is to create an event to teach practical skills and incite interest for engineering while appealing to the Maryland students, faculty, staff, alumni, and external community as a whole.

When is the event occurring? Do you foresee any concerns with this date?

The event will be held on Sunday, April 7th from 1-3 pm. The only concern with the date is that it is in just over a week. The inception of the event idea occurred not long before spring break, and EWB decided to move forward and take advantage of our current opportunities rather than wait until next semester. Like any pilot event, we wanted to be sure we had interest and commitment from our fellow student organizations to participate in the ExPO before we began promoting it across campus. Now that we have confirmed interest and excitement from the student body about this event the EWB Executive Board is working diligently to promote it across the campus and finalize the details. We would like ExPO to become an annual event hosted by EWB and supported by the Clark School and the Engineering Alumni Chapter. Where is the event occurring? Do you have this location reserved?

The event will take place in and around the Kim Engineering Building. The Kim Plaza, Kim Rotunda, Kay Boardrooms, BG&E Computer Lab, and Black & Decker Computer Lab are reserved for the ExPO event. Please describe your plan for holding this event?

ExPO will consist of a series of 15-30 minute interactive demonstrations led by student experts from various campus engineering organizations. The table below outlines the workshop lineup. EWB ExPO planners have been in contact with each group to make sure the workshops are well prepared prior to the event. The full event outline will be released the week of the event, and will include workshop time-slots and other relevant logistics. We will begin to serve food at 1:30 PM; however, participants need to attend at least one workshop to receive a voucher for food. The goal is for participants to casually rotate from workshop-to-workshop as they please. We want to keep the workshop groups a reasonable size for a fully interactive experience, so students have been designated to monitor group size and encourage participants to attend other workshops in the event that one is over populated.

How is your event going to increase awareness of the attending students of the Alumni Chapter? In order to make attendees aware of the Alumni Chapters support of ExPO, EWB will hang the Alumni Chapter banner in the Kim Rotunda during the event. In addition, the flyers and promotional materials for the event will feature the Alumni Chapter logo as an event sponsor. Finally, the Alumni Chapter is welcome to promote their organization at the ExPO event in any other way they see fit. We are currently designing event t-shirts for the workshop facilitators. The Clark School logo will be on the back of the shirt as an event supporter. We would be more than happy to also include the Alumni Chapter logo on the shirt; however, we will be placing the t-shirt order tomorrow in the late morning (Friday, March 29th). We would need to know if we have the Alumni Chapters support by Friday morning in order to include the logo on the shirt. We understand if this is too quick of a turn-around for a response, and, in that case, we hope the Clark School logo can be representative of the Alumni Chapters support. How many students are coming to this event? What have you done to guarantee these numbers? We estimate around 100 students and UMD community members will attend this event. We are marketing this event across campus with flyers, through Facebook, and through department and organization listservs and calendars. We are also going to be providing food and awarding t-shirts to some participants, which will attract students to the event. How much funding do you need? If you are planning on doing a room rental or food request, are you going to need catering or help from UMD facilities? We may need to request tables from UMD facilities; however, we have asked every workshop facilitator who needs a table to attempt to acquire their own table for the event in order to reduce event costs. When do you need the money for each task or total sum?

EWB needs the money as soon as possible; however, EWB can cover the cost of materials until the outside funds are received. Please detail the impacts if funding is not fully funded. For example, if funding request is $500 but we can only fund $200, how does that impact your event? Does it cancel it? If our funding request cannot be fully met, EWB-UMCP will cover the costs in order to make the first, of what we hope to be an annual event, occur successfully. We understand that we are planning this event on a very tight schedule. The EWB Executive Board, as well as the participating organizations, feels as though this event has enormous potential to be a very successful annual event which is why we are determined to launch the first ExPO: Engineering

Dear Dean Pines, I would like to formally invite you, all of your staff, and the Clark School of Engineering to join Engineers Without Borders at the University of Maryland College Park (EWB-UMCP) in launching the first annual ExPO: Engineering Skills Fair on Sunday, April 7, 2013. The purpose of the ExPO event, which will take place from 1-3 PM in the Kim Engineering Building and Plaza, is to allow student groups from all engineering disciplines to lead hands-on workshops that will provide the whole University of Maryland community with the opportunity to engage with one another and learn skills applicable to both engineering and everyday life. These workshops include everything from surveying and auto repair to concrete mixing and soldering. Our vision is to create an event to teach practical skills and incite interest for engineering while appealing to the Maryland students, faculty, staff, alumni, and external community as a whole. The inception for the event idea occurred not long before spring break, and like any pilot event, we wanted to be sure we had interest and commitment from our fellow student organizations to participate in the ExPO before we began promoting it across campus. We are very pleased to tell you that Clark School students are very excited to help facilitate and participate in the engineering fair. The ExPO is also a great opportunity for Clark School students, faculty, and staff to engage with non-engineers and share our practical skill-sets with one another. ExPO will consist of a series of 15-30 minute interactive demonstrations led by student experts from campus engineering organizations, including Terps Racing, Steel Bridge, Startup Shell, Theta

Tau, and more. A comprehensive list of the student organizations involved and the workshop each is facilitating is attached. EWB-UMCP would like to request your support of our efforts by helping to fund some of the event. The budget for the event is attached.
