All volunteers shall make every effort to present the Festival to the public in a positive way and shall not do anything to intentionally embarrass the Festival. There shall be NO consumption of alcohol and/or illegal substances by any volunteer who is on duty on the Festival Site. If you plan to drink alcohol at the Festival after your shift, you MUST wear a wristband, so please make sure you bring your proper identification. Disregard of these regulations will result in immediate dismissal of the volunteer (s) from the Festival.
Breaks
Please make sure you eat before starting your shift. This is important as there may be no time for meals once you begin your shift. You should also make sure to stay hydrated throughout your shift. Bottled water is free for our volunteers. Please do not disappear...if you need to take a phone call or a break longer than a few minutes, make sure to notify your shift supervisor or colleague when leaving and returning.
Booster Clubs- These individuals are separate from the volunteers Badge. Cancellations & Sickness
If you are ill or for any reason unable to fulfill your commitment as a volunteer, make sure to contact the Volunteer Coordinator as soon as possible.

No volunteers shall use to their own advantage any property or money belonging to the Festival. All volunteers are expected to be honest and trustworthy.
Disciplinary Procedures
We reserve the right to revoke your volunteer privileges if you are observed doing any of the following: Being verbally or physically abusive towards other staff members, volunteers or festival attendees Consuming alcohol or illicit substances while on duty Not reporting to your shift Sharing or selling your issued wristband/badge Theft Poor customer service Discrimination of Patrons/ Guests/Team Members Inappropriate Dress Code (see page 12)
Emergency Procedures
If an emergency occurs, Choctaw Oktoberfest staff and the Choctaw Police/County Sheriff are vitally concerned with getting patrons, performers and volunteers safely off the grounds. Every volunteer on site may be needed to help out.

First Aid
There will be a First Aid Kit in the Volunteers Center near the Main Entrance for minor injuries. If someone needs Cooling off, please bring that person to the Office near the Main Entrance. For severe injuries, call 911 immediately. Please make sure you know these emergency procedures before starting your shift.

We recommend that valuables be left at home. Should you choose to bring any personal items with you (i.e. purse, cell phone, etc.) we suggest you leave those in your vehicle.

We will have Job description sheets available at our volunteer meetings. These will give you a chance to study each area that you are considering for volunteering, so that you are ready to go and know what to do when you start your shift.

Kinder Tent
All Arts and Crafts are Free of Charge at the Kinder Tent Here, children read and relax in the Reading corner, play in sand boxes or paint on the creative Arts-Canvas and of course, be creative in many other ways. We always welcome help from volunteers in this fun area. All children need to have their parents or guardians present to supervise their children. Choctaw Oktoberfest is not responsible to babysit kids. Parents with alcoholic beverages will not be allowed access inside the Kinder Tent. Please be advised that the Moonwalks, of charge...
Lost Persons
When a child reports to a volunteer that he/she has lost his/her parents or family, please retain the child by your side and ask another volunteer to contact the Office. Security/Police will then take further steps to reunite the child with his/her parents or family. In the event that a parent or family member(s) is looking for their child, please follow the same procedures.
Money Runners
Volunteers will be personally introduced to money-runners, who will pick up money... You shall not give any money to anyone but to these particular individuals . For safety purposes, you will be instructed at the beginning of your shift on how to proceed with overflow bill storage.

A Volunteer who does not report for their assigned shift and does not call or make any effort to notify the Volunteer Coordinator of the extenuating circumstance may be taken off the list for the following years festival.
Parking
All parking at Choctaw Oktoberfest is free of charge. There is no assigned parking for volunteers. Ladies, please ask for an Officer or male assistance after dark, for your safety. Choctaw Oktoberfest is not responsible for loss or damage to your vehicle, its accessories or contents resulting from theft, vandalism, fire or any other cause.
Policy of Minors
At no time shall there be any children under the age of 21 near the Bar, Beer stands, Stage area, Kitchen, or behind any Tents, Bathrooms/Porta Potties. No children under the age of 18 should attend the Wrap-up Party unless accompanied by a parent or other responsible adult.
Pets
There are NO pets allowed on the Festival Grounds, unless used for handicap assistance (these animals are distinguished by the service vest they are required to wear).
Site-Set Up
As you can imagine, it takes a great deal of work to get Choctaw Oktoberfest ready to go. We can always use a hand in setting up and decorating Choctaw Oktoberfest. We will start this task on the weekend before the festival starts. If you are interested in helping us out please just drop by for a while. Every effort will be greatly appreciated. It is hard work but also fun and of course there will be a lot of socializing involved. You can sign up for set-up on the Volunteer website.
Training
Additional Training: Some Jobs require additional training. Our Volunteer Coordinator will get in touch with you if there is need for special training prior to the festival. On the spot: If training is not needed prior to the festival, you will be trained at the event. Therefore, please arrive early. 5|Page
Please attend all Choctaw Oktoberfest meetings that you can to be truly informed and ready for your assignment. The better prepared you are the less stressful will your shift be.
Volunteer Identification
The most important items are your identification voucher, your wristband, (if you are serving alcohol) and of course, your festival T-shirt. You are required to wear all of these items at all times while on duty. By doing so, you have access to: Water/ Sodas/ Coffee (Please be considerate of taking the soda/water for you as the volunteer, not the whole family) Meals Access to the Festival Wrap Party
Volunteer Orientation
Dates and Times... Attendance is strongly encouraged. Pick up your Oktoberfest T-shirt; you will also have a chance to ask all the questions you may have. Your Volunteer Coordinator will inform you on all you need to know. You will also get the scoop on all the last minute Festival news before we open the gates on Friday afternoon. A perfect opportunity on getting to know everyone helping out on this years Oktoberfest. This is also the night where we will set up all Tables and Chairs. Please make sure to attend.

Volunteer Shifts
1. 2. 3. 4. 5. 6. Know your shifts Punctuality please arrive early for your shift to minimize unattended areas and allow volunteers to pass information from shift to shift. ( 15 minutes is preferred) The Festival Volunteer T-shirt, Dirndl or Lederhosen are required. Enthusiastic and courteous demeanor. Knowledge of the Festival Program and specific areas you will be working in. Know your job assignment and shift, and be prepared - where to park and sign-in and out.
Volunteer Summary
It is essential that volunteers promote a positive image of the Choctaw Oktoberfest Festival. Be available and on time for assigned shifts. Inform your Coordinator well in advance if you are unable to work any scheduled shift. Attend all meetings-if you must miss a meeting, arrange to obtain all information that was discussed. Mandatory Check-in and-out. Be aware of all volunteer benefits and services. Behave in a friendly and courteous manner treat other volunteers, performers, staff and guests with respect. Be a team player-focus on the tasks at hand and on achieving your crews goals. Contact your Volunteer Coordinator if you have a serious problem or concern or if you are unable to resolve a situation. Make arrangements for child care, although we love children and hope they have a good time, they cannot be in the areas you are working due to liability reasons. Wear your T-shirt, Wristband (if 21 or over) and Voucher visible, while on duty. These will identify you to others as a member of the Festival organization. Consider volunteering again next year-the Festival relies on your help. Know your way around and know everything about the Festival. A willingness to follow direction and pass on information from shift to shift. And most of all be flexible and willing to help wherever we are in a pinch. At any given time, all areas may have patrons waiting in line. It is important that you are prompt when assisting and ensure timely service. While working in the Beer stands and Bar, every volunteer must wear a wristband and serve those with a wristband. For safety purposes, friends and family members of our volunteers will not be allowed access behind the festival areas at any time. Also, if a volunteer is attending the festival as a customer, the volunteer will be denied access to any area behind the festival.
Weather
Rain or shine, please report to the Volunteer Center for your assignment. As they say The show must go on! If conditions become threatening, the Festival Staff will announce on Stage on how to proceed.
Wristbands
Anyone serving and/or drinking alcohol is required by Law to wear the wristband provided by Choctaw Oktoberfest. No other wristband will be valid. Please try to keep track of your wristband. Do not sell or give away your wristband to a Minor. It is imperative to Old Germany Restaurants Liquor License and Choctaw Oktoberfest Festival to follow these instructions. Disregard of these instructions can cause your dismissal from the festival. Make sure you are with friends and watch out for each other. If you notice something unusual report it to staff members. Think about securing a designated driver! Once again THANK YOU!!!! For helping us making the Choctaw Oktoberfest Festival one of the biggest events in our Community. Hope to see you again in 2014
