The Windows Mobile 6 Professional New Features Guide will help you familiarize yourself with the new features that come with Windows Mobile 6 Professional. Windows Mobile 6 Professional is the latest version of Windows Mobile for your PDA phones. It comes with new and improved features that make your PDA phone a powerful device to keep you productive, connected, and efficient while on the go.

3. Synchronise Your Device with the PC


Depending on the Operating System (OS) of your PC, you will need either Microsoft ActiveSync 4.5 (or later) or Windows Mobile Device Center to synchronise your device with your PC. If you are using Windows XP, you will need ActiveSync 4.5 (or later); if you are using Windows Vista, you will need Windows Mobile Device Center.

Getting ActiveSync or Windows Mobile Device Center


If you are upgrading from Windows Mobile 5.0 to Windows Mobile 6, you need to download either ActiveSync 4.5 or Windows Mobile Device Center from the Microsoft Web site. You can download these from: ActiveSync 4.5 http://www.microsoft.com/windowsmobile/activesync/activesync45.mspx Windows Mobile Device Center http://www.microsoft.com/windowsmobile/devicecenter.mspx If you purchased your device with Windows Mobile 6 pre-installed, you can install ActiveSync 4.5 or Windows Mobile Device Center from the Getting Started Disc.

Set up Synchronisation using Windows Mobile Device Center


When you connect your device to your PC and start Windows Mobile Device Center for the first time, you are asked to create a Windows Mobile partnership with your device. Follow the steps below to create a partnership. 1. Connect your device to your PC. Windows Mobile Device Center configures itself and then opens.
Note Some version of Windows Vista come with Windows Mobile Device Center already installed. If Windows Mobile Device Center is not available on your Windows Vista, install it from the Getting Started Disc or download it from the Microsoft Web site.

2. On the licence agreement screen, click Accept.

3. On the Windows Mobile Device Centers Home screen, click Set up your device.

4. Select the information types that you want to synchronise, then click Next.

5. Enter a device name and click Set Up. When you finish the setup wizard, Windows Mobile Device Center synchronises your device automatically. Notice that Microsoft Office Outlook emails and other information will appear on your device after synchronisation.

Use Windows Mobile Device Center


To open Windows Mobile Device Center, click Start > All Programs > Windows Mobile Device Center on your Windows Vista PC.

On Windows Mobile Device Center, you can do the following: Click Programs and Services to get updates for Windows Mobile, go to the T-Mobile Web site, and add or remove applications on your device. When you click Pictures, Music and Video > __ new pictures/video clips are available for import, a wizard guides you to tag and transfer photos from your device to the Photo Gallery on your Windows Vista PC. Click Pictures, Music and Video > Add media to your device from Windows Media Player to synchronise music and video files using Windows Media Player. Click File Management > Browse the contents of your device to view documents and files from your device. Click Mobile Device Settings to view and change synchronisation settings.

ActiveSync 4.5
You need ActiveSync 4.5 (or later) to synchronise your device with your PC. 1. Install ActiveSync 4.5 on your PC. 2. Connect your device to your PC. The Synchronisation Setup Wizard automatically starts and guides you to create a synchronisation partnership. Click Next to proceed. 3. To synchronise your device only with your PC, clear the Synchronise directly with a server running Microsoft Exchange check box then click Next. 4. Select the information types that you want to synchronise then click Next. 5. Select or clear the Allow wireless data connections (such as MMS or Internet Calling) on your device while it is connected to your computer check box according to your preference, then click Next. 6. Click Finish.
Note If you are connected to the Internet, you will be asked if you want to have access to IRM-protected (Information Rights Management) email on your device, click Yes or No according to your preference. See "Security" to learn about IRM-protected emails.

4.

Messaging

Windows Mobile 6 Professional comes with a host of new features that make email messaging more powerful and efficient.

Account picker screen


The Account picker screen lets you quickly choose the Messaging account you want to use. or create a new email account. You can disable the Account picker screen by tapping Menu > Options and clearing the Display account picker when opening Messaging check box. When disabled, the last Messaging account screen you accessed will be opened when you tap Messaging.

Set up your email using the Email Wizard


Windows Mobiles improved Email Wizard flow lets you set up your email accounts quickly. To set up an Internet Email account Set up an Internet Email account on your device if you have an email account from an Internet service provider (ISP) or other email provider, or a Web-based account such as Gmail, Yahoo! Mail Plus, etc. You can also add a work account that you access using a VPN server connection as a POP3/IMAP4 account.

1. Tap Start > Messages > Messaging > New E-mail Account. 2. Enter your email address, and select the Try to get e-mail settings automatically from the Internet check box. By selecting the option, the device attempts to download email server settings from the Internet* so that you do not need to enter them manually. Tap Next.
Note Your device includes a list of email providers in its database. If your email provider is preconfigured in the device, it will retrieve the email settings within the devices database and will not connect to the Internet.

* This will incur additional costs.

3. After Auto Setup finishes, tap Next.


Note If Auto Setup is unsuccessful, select Internet e-mail from the Your e-mail provider list on the next screen. You will also be asked to enter email server settings during the setup process. See To specify email server settings for details.

4. Enter your name. You can also edit the Account display name field to specify the name of your ISP or email provider. Tap Next. 5. Enter your login name if it does not show automatically in the User name field. Also enter your password, then tap Next.
Tip Select the Save password check box so you do not need to enter your password everytime you check for new email.

6. At this point, the automatic email setup is complete. In the Automatic Send/Receive list, choose how frequent you want email messages to be automatically sent and downloaded on your device. 7. Tap Finish. To specify email server settings If Auto Setup is unsuccessful, contact your ISP or email provider for the Incoming mail server and outgoing mail server settings so you can enter them on your device.

Other options that you can select include the following: Select the Outgoing server requires authentication check box, if required by your provider. If the outgoing email server requires a different user name and password for sending email, clear the Use the same user name and password for sending e-mail check box. You will prompted to enter these information. Tap Advanced Server Settings, then select the Require SSL check boxes if your email provider uses an SSL connection for more secured email. From the Network connection list, select the data connection that you use for connecting to the Internet. To customise download and format settings Before you tap Finish when setting up your POP3 or IMAP4 email account, you can tap Review all download settings to choose download options, message format, and other settings.
Options Automatic Send/ Receive Download messages Send/receive when I click Send Description You can select a time interval for connecting to the Internet automatically to send and receive messages. Set the number of days of messages that you want to be downloaded to your device. By default, messages are immediately delivered when you tap Send. If you prefer to save outgoing messages to the Outbox folder first, clear the check box. (In this case, you will need to manually send messages by tapping Menu > Send/Receive). This allows your device to data roam when there is a set time interval for connecting to the Internet automatically. Since this may result in higher connection costs, you may want to leave the check box cleared. Choose whether to delete messages from the mail server when you delete them on your device. Select HTML or Plain Text. Select the email download size. If you have large volumes of email, use a lower size or select to download headers only.

To set up an Exchange Server (Company email) connection 1. Tap Start > Messages > Messaging > New E-mail Account. 2. Enter your email address. Clear the Try to get e-mail settings automatically from the Internet check box, then tap Next. 3. Select Exchange server in the Your e-mail provider list, then tap Next.

4. Tap Next again. 5. In Server address, enter the Exchange Server name, and tap Next. 6. Enter your user name, password, and domain, and tap Next.
Tip To change the rules for resolving synchronisation conflicts, tap Advanced.

7. Select the check boxes for the types of information items that you want to synchronise with the Exchange Server.

8. To change synchronisation settings of an information type, for example, Email, select the type of information, and tap Settings. 9. Tap Finish.
Note If you synchronised emails with your PC before, open ActiveSync on your device and tap Menu > Add Server Source to set up an Exchange Server connection. When you're prompted to select information types for synchronisation, you need to clear the E-mail check box under the Windows PC item first before you can select the E-mail check box under Exchange Server. After you have set up your Exchange Server account, you can change the schedule when to check for emails by tapping Start > Programs > ActiveSync > Menu > Schedule.

Tip

Picture Messages
Accessing Picture Messages and its settings have been made more intuitive. You still get all the Picture Message features from before, . To open Picture Message Tap Start > Messages > Messaging > SMS \ MMS. To configure Picture Message settings 1. Tap Start > Messages > Messaging > SMS \ MMS. 2. In the SMS \ MMS screen, tap Menu > MMS Options.

Create and send Picture Messages


You can compose Picture Messages in a combination of slides, where each slide can consist of a photo, video or audio clip, and/or text. To compose a Picture Message 1. Tap Start > Messages > Messaging > SMS \ MMS. 2. Tap Menu > New > MMS. 3. When you see the Choose a MMS screen, tap a preset template, or tap Custom to open a blank Picture Message.
Note If you prefer to always create a blank MMS message, select the Always choose custom check box.

4. In To, enter the recipients phone number or email address directly, or tap To, Cc, or Bcc to choose a phone number or an email address from Contacts. 5. Enter a subject for your message. 6. Tap the Insert icon ( ) to select and insert a photo or video clip. When selecting a photo or video clip, you can: Tap Menu > View to view it first, then tap Select to insert the selected photo or video clip into the MMS message you are composing. Tap to take a photo and insert it into the Picture Message. Tap to record an MMS video clip and insert it into the Picture Message. Tap the Exit icon ( Message. ) to quit selection and return to the Picture

7. Enter text and insert audio clips by tapping the respective areas. 8. To add more slides, tap or tap Menu > Slides > Insert Slide. Repeat steps 5 and 6 to insert a photo/video, text, and audio into each slide that you added. While on a slide, you can: Tap Tap to preview the slide. to go to the previous slide.

9. While composing a Picture Message, you can also do the following: Tap Menu > Options > Background to choose a background colour from the list. Tap Menu > Options > Text Layout, then choose whether to place the text above, below, to the left or right of the photo/video. Tap Menu > Options > Send Options to specify the sending time, expiration, priority, category, and other settings for a message. Tap Menu > Attachment to include a contacts card, calendar appointment, or any file as an attachment. 10. Tap Send to send the MMS message.
Notes You can also send a Picture Message directly from the Pictures & Videos or Camera program. Do one of the following: In Pictures & Videos, select a picture from My Pictures, and tap Menu > Send  via MMS. Capture a photo or an MMS video clip using the camera, and tap the Send  icon ( ). In the Send File dialog box, tap Send via MMS.

To create a Picture Message from a template While on a Picture Message, tap Menu > Template > Select a Template to compose a message using a predefined template.
Note To save a message as a template, open the message and tap Menu > Template > Save as Template.

To add text to a Picture Message When you tap Insert text here on your MMS message, an empty screen appears where you can enter your text. You can insert the following types of information:

Enter your own text Choose from common words or phrases from the My Text list Include a Favourites link Add an emoticon Insert contact information Insert calendar appointment

Tip

To edit or delete a phrase on the My Text list, tap and hold a string, then tap Edit or Delete from the shortcut menu. To create and add a new phrase to the list, tap New.

To block a phone number from sending you Picture Messages If you do not want to receive Picture Messages from a particular sender, you can add the senders phone number to the Picture Message Blacklist. 1. When you receive a new Picture Message, open and view the message. 2. To avoid receiving Picture Messages from this sender next time, tap Menu > Show > Message Detail. 3. On the MMS Detail screen, tap Menu > Show Contact Details. 4. Tap Menu > Save to Blacklist. 5. Tap Done.
Tip To view the numbers you have blacklisted, on the SMS \ MMS screen, tap Menu > MMS Options > Blacklist tab. To unblock a phone number and allow the sender to send you Picture Messages, remove the number from the Blacklist. Tap and hold the phone number in the Blacklist then tap Delete.

Filter the Inbox message list


You can filter your Inbox to only display the messages that contain a particular sender, email subject, or message text you are searching for. To filter your Inbox Enter the sender name, email subject, or message you want to look for using the on-screen or hardware (if available) keyboard. As you press keys, the message list narrows down to the conditions you have set. For example, pressing or tapping M, then E narrows the list to only the messages that contain sender names, email subjects, and message text that have ME.
Note This feature works for all Messaging accounts.

View and reply to HTML emails


You can receive, view and reply to HTML emails from any type of email account. The HTML format is retained, without layout shifting or resizing.
Note HTML email support in Microsoft Office Outlook Mobile is only available if your company is using Microsoft Exchange Server 2007.

1. Set the message format to HTML. To set the format, open ActiveSync on your device and tap Menu > Options, select E-mail, then tap Settings. 2. Tap Start > Messages > Messaging, select your email account, and open an HTML email that you received. 3. If shown, tap the Tap to scroll right option to be able to scroll sideways and get a complete horizontal view of the message. 4. Tap Get the rest of this message thats shown at the bottom of the message to download and view the whole message.
Note If the email does not download immediately, tap Menu > Send/Receive.

blocked then tap Download Internet pictures.

6. Tap Menu and choose whether to reply to the sender(s) or forward the message. 7. Enter your response then tap Send.
Tip Email can contain hyperlinks to Web pages.

Use Keyboard Shortcuts


You can use keyboard shortcuts to quickly access messaging functions, such as reply, forward, etc.
Note You can only use keyboard shortcuts if your device has a hardware keyboard.

To see the list of keyboard shortcuts 1. Tap Start > Messages > Messaging and select a messaging account (Text Messages, MMS or an email account). 2. While on a message list, press and hold the H key on the hardware keyboard until the shortcuts list is displayed.
Note If this is your first time to use keyboard shortcuts, a message window will appear first. Tap OK to close the message window.

To use a keyboard shortcut, press and hold the respective key. For instance, to delete a message, press and hold D.

5.

Working with Company Emails

Stay connected to your office with Windows Mobile 6 Professional company email features. Manage your company emails more efficiently with tools such as Fetch Mail, Remote email search, and email flags.
IMPORTANT Most of the new company email features require Microsoft Exchange Server 2007 or higher. Please check with your network administrator for the Exchange Server version your company is using and the availability of these features.

Download your emails instantly


The Fetch Mail feature downloads an entire email immediately without the need for you to perform a full Send/Receive action. This limits the download to just the email message that you want and helps save data cost.
Requirement Fetch Mail works for your device only if your company is using Microsoft Exchange Server 2007 or higher.

1. Tap Start > Messages > Messaging > Outlook E-mail. 2. Tap an email message to open it. 3. By default, only the first few kilobytes of the message is shown. To download the whole email, scroll to the bottom of the message then tap Get the rest of this message. 4. A Downloading message status appears. Wait for the remainder of the message body to be downloaded.

Search for emails on the Exchange Server


You can access messages that are not available on your device by searching your Microsoft Exchange Server mailbox. The search results will be downloaded and displayed in a Search Results folder.
Requirement Your company must be using Microsoft Exchange Server 2007 or higher.

1. Tap Start > Messages > Messaging > Outlook E-mail. 2. Tap Menu > Tools > Search Server. 3. In the Look for text box, enter the search keyword. 4. Choose the date range of messages to search from. 5. From the Look in list, choose whether to search from your inbox or outbox only or to search all folders. 6. Tap Search.

View documents linked to a SharePoint server


When you receive an email that contains a link to a document such as a PDF or Microsoft Office document located on SharePoint or an internal file server, you can view the document on your device.
Requirement You can view the document only if you have a Microsoft Outlook account that synchronises with Microsoft Exchange Server 2007 or later. Exchange Server must also be set up to allow access to SharePoint document libraries or internal file servers.

1. On the Today screen, tap Start > Messages > Messaging. 2. Select an email account, then open a message with a link to a SharePoint document. 3. Tap the link to open and view the document.

Flag your messages


Flags serve as a reminder to yourself to follow-up on important issues or requests that are indicated in the messages. Flagging messages, which has been a useful

feature on desktop Outlook Email, can also be done in Outlook Mobile on your device. You can flag received messages on your device.
Requirement Flags are enabled only if emails are synchronised with Microsoft Exchange Server 2007 or higher. Flags are disabled or hidden if emails are synchronised with earlier versions of Microsoft Exchange Server.

To flag or unflag a message 1. Tap Start > Messages > Messaging > Outlook E-mail. 2. Select a message, or open a message. 3. Tap Menu > Follow Up and select one of the following options:

Set Flag Mark the message with a red flag to indicate that it needs follow up. Complete Flag Mark the message with a check mark to indicate that the issue or request in the email is already completed. Clear Flag Remove the flag to unmark the message.
Note Email message reminders are displayed on your device if the messages are flagged with reminders and synchronised from the Exchange Server.

Set out-of-office auto-reply


Outlook Mobile lets retrieve and change your out-of-office status. Just like desktop Outlook Email, Outlook Mobile automatically sends an auto-reply message when youre not available.

Windows Mobile 6 Professional New Features Guide Requirement Out-of-office reply is only available if your company is using Microsoft Exchange Server 2007 or higher.

To send out-of-office auto-reply messages 1. Tap Start > Messages > Messaging > Outlook E-mail. 2. Tap Menu > Tools > Out of Office. 3. From the I am currently list, select Out of the Office. 4. Enter your auto-reply message then tap Done.

Calendar

The improved Calendar view lets you easily see your schedule for the day, week, or month.
The highlighted hours here indicate the time of your appointments. Tap to view appointment details.

Indicates that there is a conflict with another appointment.

Tap to switch views.

7.

Managing Meeting Requests

When you schedule and send meeting requests from your device, you can invite attendees to your meeting and check their status to know about their availability. When you receive a meeting request, you can reply by accepting or declining the request. The meeting request also clearly indicates whether or not there are conflicting or adjacent meetings.
Requirement Your company must be using Microsoft Exchange Server 2007 or higher.

To reply to a meeting request 1. When you receive a meeting request email, a notification message will be displayed on your device. Tap View to open the email. 2. Tap Accept to reply and accept the meeting request, or tap Menu > Decline if you cannot attend the meeting.

Windows Mobile 6 Professional New Features Guide Tips Before responding, you can check your availability during the time of the requested meeting by tapping View your calendar. If the time of the meeting conflicts with your other appointments, a Scheduling Conflict status appears on top of the email.

3. Choose whether or not to edit your response email before sending then tap OK:

4. If you accepted the meeting request, it will automatically be added as an appointment in Calendar on your device. To view the list of meeting participants 1. Tap Start > Organiser > Calendar. 2. Tap a meeting request that you previously sent, then tap Attendees. The list of required and optional attendees will be listed.
Notes  For information about creating a meeting request, see To send a meeting request in the main manual.  If you select a meeting that you have organized, the list shows who has accepted or declined the meeting.  To view an attendees contact information, tap the attendees name. If the attendee is included in your contacts list, you will see the contact information immediately. If the attendee is not in your contacts list, tap Company Directory to view the contact information.

Security

Windows Mobile 6 offers added security for your device and emails.

Set permissions on an email message


Protect your email messages by restricting permissions using Information Rights Management (IRM).
Requirement This works only if your company is using RMS Server SP1.

1. Tap Start > Messages > Messaging > Outlook E-mail. 2. Create a message, then tap Menu > Message Options. 3. In Permissions, do one of the following: To allow anyone to read the message, select Unrestricted access. To prevent the message from being forwarded, printed, or copied, select Do not forward. 4. Tap OK.
Tip An IRM-protected message received on your device can only be replied to or forwarded if the message permits it.

Encrypt files on your storage card


Protect your storage card from being accessed by unauthorised persons by encrypting the data in the storage card. Encrypted files on your storage card can only be read by your device. To encrypt data on your storage card 1. On the Today screen, tap Start > Settings > System tab > Encryption. 2. Select Encrypt files placed on storage cards.
Important If Encrypt files placed on storage cards is or was enabled before, then backup all files from the storage card before using Clear Storage, hardreset or updating the ROM system software. Otherwise you will no longer be able to access the encrypted files on the storage card. Use ActiveSync or Windows Mobile Device Center to transfer files between your storage card and computer. After the procedure, copy your files back to the storage card.

9.

Internet Explorer Mobile

Internet Explorer Mobile has been improved to increase stability and performance. It also offers better support for popular Web pages. Internet Explorer Mobile now has additional standards support such as IFrame support, Mobile CSS Standard Compliance, ActiveX Controls, DHTML support, and more making your browsing experience much more enjoyable.

10. Windows Update


Link to Microsofts Web site and update Windows Mobile on your device with the latest security patches or fixes.
Note Downloading updates and patches from the Microsoft Web site using Windows Update will incur additional cost to your bill.

To set up Windows Update The first time you run Windows Update, you need to set up how you want Windows Update to check for patches on the Microsoft Web site. 1. Tap Start > Settings > Systems tab > Windows Update. 2. On the Update Setup screen, tap Next. 3. Select how you want to check for updates, Manual or Automatic, then tap Next.
Note If you select Automatic, you will be asked if you want to use your current data plan to check for updates. Check or clear the Use my data plan to check for and download updates check box and tap Next.

4. Tap Finish.

To change Windows Update options 1. Tap Start > Settings > Systems tab > Windows Update. 2. Tap Menu and select the option you want to change. Tap Connections to change how the device connects to the Internet when checking for updates. Tap Change Schedule to change how Windows Update checks for patches on the Microsoft Web site.
You can check for updates whenever you want by tapping Check Now on the Windows Update screen.

Tip

11. SAPSettings
The SAPSettings application has been moved from the Programs screen to the Settings Screen. To open SAPSettings now, tap Start > Settings > System tab > SAPSettings. To learn more about SAPSettings, please refer to the main manual.

12. External GPS

The F-Secure Mobile Anti-Virus software now comes pre-installed on the device. When you start up your device, the anti-virus program automatically opens and asks you if you agree to the terms and conditions of the software. ActiveSync connection problems
If you have problems with connecting your device to your PC using ActiveSync, you can use the troubleshooter in ActiveSync to try to fix the problem. You can access the troubleshooter by clicking Help > Troubleshooter for ActiveSync in the ActiveSync program in your PC.
