Call for IPSF Executive Committee members 2013-14

Being on the IPSF Executive Committee is a challenging task, but at the same time it is a rewarding experience. While each portfolio has a different focus, each Executive Committee member should be able to work for IPSF on a daily basis with good and regular internet and email access. IPSF offers each Executive Committee member an annual travel stipend in accordance with the framework developed by the General Assembly, but you will be required to cover the cost of the rest of your IPSF work-related travel. It is recommended that Executive Committee members attend the two Executive Committee meetings, held usually in The Netherlands, as well as, the IPSF World Congress. Depending on your portfolio, it is usually beneficial for the development of the Federation if you can also attend other meetings or conferences to represent IPSF, to stay updated with issues pertaining to the pharmacy profession, and to network with key individuals and allied organisations. Applications for the Executive Committee need to be the submitted to the Secretary General by Saturday, 3rd of August 2013, 11:59pm, GMT+0. If you are not able to attend the World Congress, you can also submit your nomination form by email to secgen@ipsf.org and you must make yourself available at the selected time during the General Assembly at the IPSF World Congress to present your nomination speech and for questions via teleconference. Applicants for the Executive Committee are strongly advised to attend the Leaders in Training (LIT) event prior to the Congress, since this is a great opportunity to meet the Executive Committee to understand what it is like to be part of the IPSF team, know more about IPSF from a Executive Committee member perspective, and to gain important skills you will need during the Executive term. President As the President you are responsible for representing the Federation, coordinating and overseeing the development of activities and projects, ensuring sound financial standing and administration, fostering partnerships with allied organisations, maintaining communication with members and professional contacts, and offering leadership and direction towards strategic goals. Confidence and proficiency in oral and written English, presentation and communication skills, effective time management, and organisational skills are important to the position. One of the most important roles you play is in supporting your fellow Executive Committee members on projects, reviewing documents, publications and content for projects, and giving feedback on various issues. Hence, the ability to lead and work well in a team is vital to being innovative in solving problems, ensuring projects follow timelines and action plans, and developing new projects and ideas. Previous experience in IPSF and a leadership position is highly recommended. To meet these responsibilities you should be prepared to travel to attend local, regional and international events, correspond regularly with Executive Committee members and contacts, promote IPSF through all means, monitor progress on projects and activities, and actively investigate and follow up on opportunities for strategic development. It would be most effective to undertake this position with only very limited time pressure from other commitments. This position is best suited to someone who is able to take a year off work or perhaps undertake part-time commitments only so that you are able to commit at least 40 hours a week to the position. It is strongly recommended to move to The Hague, The Netherlands. It can be done while studying, but maybe not in the hardest year of the university. Candidates should be prepared to be able to support themselves financially over the year for coverage of travel costs to meetings such as the IPSF Congress, FIP Congress, FIP Board of Pharmaceutical Practice meeting, regional events, Executive Committee meetings, professional meetings at the WHO and UNESCO, and member association and pharmacy-related events. For further information please contact: president@ipsf.org Treasurer As the treasurer you are responsible for maintaining a healthy financial situation for the Federation. It is essential to keep the financial administration updated. It is a great help if you already have some background in financial administration such as bookkeeping. IPSF obtains assistance from a professional accountant, but the Treasurer should be able to understand basic financial administration and management. You will be the person who provides the other Executive Committee members with information about a range of payments from membership fees to reimbursement for expenses. You are also the IPSF contact to the bank. Communication with IPSF Members about membership fees is an essential part of the Treasurers portfolio. You will put together the financial part of grant applications and will need to keep separate administration to maintain evidence that the Federation spends funds according to the grant rules. The Treasurer is responsible for acquisition of the merchandising materials. You are supervising and working with the Development Fund (DF) Coordinator regarding all DF grants and also further developing the DF. The time that this position takes ranges from 20 - 25 hours per week depending on the time of the year. It can be done while studying, but maybe not in the hardest year of the university. As for all Executive positions it is important for the Treasurer to be able to go beyond his or her own portfolio to support other Executive Committee members if they need assistance. Chairperson of External Relations The Chairperson of External Relations is responsible for maintaining relations with professional contacts and allied organisations. You should participate in joint working groups with the Federations allied organisations,; ensure maintenance of contacts and liaisons between related outside bodies and the Federation and organise meetings where appropriate; to be responsible for securing new strategic partnerships as well as obtaining appropriate sponsorship and funding for the Federation with the help of the President. To ensure sponsors are acknowledged in the manner agreed between the Federation and the sponsor, in liaison with the Chairperson of Media and Publications and President. To actively publicise IPSF, and international pharmaceutical students events. One can expect to dedicate 25 - 30 hours a week to complete the External Relations tasks. While the business of the Federation is regularly conducted in English, a working knowledge of other official Federation languages (French, Arabic, and Spanish) would be a considerable asset. To be successful at this portfolio, candidates must have access to email on a daily basis. It can be done while studying, but maybe not in the hardest year of the university. Excellent communication skills, extensive knowledge of the Federation and how it operates, motivation to travel and promote the Federation and its activities, and a contagious exuberance for IPSF are definite assets in successfully completing the expectations of this position. Chairperson of Internal Relations As Chairperson of Internal Relations you will be responsible for maintaining communication with IPSF Member countries to ensure they are satisfied with what IPSF has to offer, and in turn bringing forth recommendations for improvement from Members to the IPSF Executive.

Administratively, the Chairperson of Internal Relations is responsible for updating information lists of Contact Persons as well as keeping the Contact Persons Handbook updated. The Chairperson of Internal Relations is also supervising the Regional Relation Officers in their duties. It is the duty of the Chairperson of Internal Relations to convene the scheduled Contact Persons meeting at the IPSF World Congress. The position is responsible for the management of the IPSF Contact Person and VIP e-groups. A significant portion of this portfolio is dedicated to the promotion of IPSF to Non-Member countries, It is also important to focus on promoting IPSF to current Members to maintain activity and strength in the Federation. The position is responsible for the management of the Membership Promotion Committee e-groups and should also coordinate the Individual Membership and Affiliated Individuals of the Federation in terms of administration and promotion with the Treasurer, Chairperson of Student Exchange and Permanent Officer. The Chairperson of Internal Relations should also be in close contact with the Honorary Life Members and Alumni. One can expect to dedicate 20-25 hours a week to complete the Internal Relations tasks. To be successful at this portfolio, candidates must have access to email on a daily basis. Chairperson of Media and Publications The Chairperson of Media and Publications is responsible with all communication channels within the Federation. The Media and Publications portfolio is involved in all other portfolios Pharmacy Education, Public Health, Professional Development, External and Internal Relations. This is because all publications and materials that are to be distributed to or from the Federation are regulated by the Chairperson of Media and Publications. Find below a clearer description on the work developed during the year: Publications The main IPSF publications are the electronic IPSF Newsletters (published frequently), the Pharmacy Education Newsletters (published twice a year), the Public Health SPOT (published twice a year), the IPSF Annual Bulletin (published once a year and printed), and the Phuture supplement (published once a year and printed). The responsibility of the Chairperson of Media and Publications is to decide on the content of the IPSF publications, then request the articles and send them for review by the Editorial Board (which is chaired by the Editor In Chief). Then, all the articles must be sent with a template of the publication to the Design Coordinator (new position this year) for insertion of the articles and design polishing. Templates for the publications have been created and are already available, to facilitate design choices and improve coherence of the communications. The Regional Offices publications are also under the supervision and subject to the approval of the Chairperson of Media and Publications. Consistency in communications The Chairperson of Media and Publications needs to ensure consistency in all communications channels, by implementing a clear branding strategy. This way, all new branded logos, publications templates, stationary, marketing and merchandise materials (branding documents) should be widely distributed electronically to all the Federation.

This is indeed the most important part of the portfolio to make sure all materials that are designed look consistent. The design itself is a task that can be delegated to the team members (Design and Creativity Committee via Design Coordinator), but it is the Chairpersons responsibility to make sure they all look consistent therefore the Chairperson should create templates that can be used by the Regional Offices (implemented by the Regional Media and Publications Officer), Design and Creativity Committee and DC. It is also the responsibility of the Chairperson of Media and Publications to moderate the communication materials from the Reception Committees of the IPSF events, as well as help them with guidance and human resources (if necessary). IPSF Websites IPSF has a main domain and a few subdomains, all which are under the management of the Chairperson of Media and Publications. It is not necessary to know a lot about website management since it is quite user friendly, but some basic knowledge is advisable. The IPSF events websites are hosted on the IPSF domain, under subdomains. As recommendation, the main website should be changed completely to a new more dynamic one this should be focus for next year. The creation of a new Public Health database focused on online advocacy and the renovation of the Pharmacy Education website (transfer it to a more dynamic platform) should be in mind for next year. Collaboration with other portfolios The Chairperson of Media and Publications is responsible with all the promotional materials (media or publications) of the Federation. Hence, the Chairperson of Media and Publications should help coordinating the promotional campaigns in any portfolio, providing guidance and expertise, as well as designed materials. Team management The Chairperson of Media and Publications has quite a few teams to manage, including the Editorial Committee (chaired by the Editorial Committee Coordinator), the Design and Creativity Committee (chaired by the Design Coordinator), the Marketing Coordinator, the Merchandise Coordinator and the Regional Media and Publications Officers. The time commitment for the position ranges from 20 hours to 25 hours a week, depending on periods and on team members. It can be done while studying, but maybe not in the hardest year of the university. For further information please contact: publications@ipsf.org Chairperson of Pharmacy Education As Chairperson of Pharmacy Education you will be responsible for coordinating and developing the educational, practice and professional development opportunities for the Federation. You will coordinate the publication of Phuture, IPSFs annual scientific/educational supplementary publication, and oversee the Federations Moving On research projects. You are also liaison to the International Pharmaceutical Federation (FIP) Board of Pharmaceutical Practice (BPP) and are responsible for investigating collaboration opportunities with BPP Sections together with President and Chairperson of Professional Development. There are a number of annual forums and symposia within this portfolio. You will organise the Education Symposium and related workshops and events at the IPSF World Congress. You aid and supervise the organising of Scientific Symposia and Poster Exhibitions at Congress and regional events. You are also responsible for organising sessions and representing IPSF at meetings related to your portfolio at the annual FIP Congress.

This position would suit someone who has a significant amount of interest in and awareness of educational and social trends and issues relating to the profession. Past involvement in IPSF and the ability to work independently are a must. Previous experience in organising campaigns or events, multi-tasking or good time management skills, as well as fluency in written and spoken English are highly beneficial. You can expect to dedicate an average of 20 hours a week. It can be done while studying, but maybe not in the hardest year of the university. This portfolio offers boundless opportunities for you to explore IPSF and the pharmacy profession. People intending to run for this position are highly encouraged to consider attending the next FIP Congress in Dublin, Ireland, in September 2013. For further information please contact: education@ipsf.org Chairperson of Professional Development As Chairperson of Professional Development you will be responsible for coordinating and developing the pharmacy practice and professional development opportunities for the Federation. This portfolio encompasses the Patient Counselling Event (PCE); the Clinical Skills Event (CSE), the Leaders in Training (LIT) programme, as well as, the Pharmacy Profession Awareness Campaign (PPAC) and Compounding Event (CE). You are expected to provide support and advice to IPSF Members running the relevant events. You are also liaison to the International Pharmaceutical Federation (FIP) Board of Pharmaceutical Practice (BPP) and are responsible for investigating collaboration opportunities with BPP Sections together with President and Chairperson of Pharmacy Education. You will coordinate the organisation of the IPSF Leaders in Training (LIT) programme at the World Congress and regional events. The Chairperson is responsible for organising workshops related to the portfolio at the World Congress. You will supervise the multi-disciplinary events including P-square project and Teddy Bear Hospital (TBH) project looking for collaboration opportunities with International Federation of Medical Students Association (IFMSA). The Chairperson is responsible to promote the multi-disciplinary events to IPSF member countries and to give them necessary assistance. This position would suit someone who has a significant amount of interest in and awareness of issues of pharmacy practice and professional development. In addition it would be beneficial if you had some training experiences. Past involvement in IPSF and the ability to work independently are a must. Chairperson of Public Health As the IPSF Chairperson of Public Health you are the head of the Public Health team. This team comprises of the Public Health Committee (PHC), the Committees of the special projects and the coordinators of the various campaigns and projects. It is your responsibility to ensure not only a perpetual planning, promotion, improvement, and implementation IPSF Public Health campaigns and special projects but also spreading the latest information surrounding these topics to the IPSF Members. The Chairperson is a liaison between IPSF and other professional contacts at the World Health Organization (WHO), the International Pharmaceutical Federation (FIP) and many other student and professional healthcare bodies. As Chairperson of Public Health, one can expect to dedicate at least 20 - 25 hours per week on maintaining the portfolio, but this of course depends on how the individual would like to expand the Call for IPSF Executive Committee members 2013-14

projects within this division of IPSF. It can be done while studying, but maybe not in the hardest year of the university. Baseline knowledge of IPSF Public Health Campaigns and the current special projects, especially of what is required to successfully plan and implement them, as well as familiarity with Public Health topics and IPSF in general are definite advantages to carrying out a successful year. For further information please contact: publichealth@ipsf.org Chairperson of Student Exchange The Chairperson of Student Exchange is responsible for the smooth running of the Student Exchange Programme (SEP). This includes communicating with Student Exchange Officers (SEOs) and assisting them with their work, helping applicants and potential applicants, working together with the Student Exchange Committee, overseeing the Student Exchange Database, acting as the SEO for Individual Members and resolving conflicts in problematic situations and coordinating the work of the Internship Coordinator. Besides this, the Chairperson of Student Exchange can carry out projects together with the Student Exchange Committee, like the Big Sister Project and Helping Hand Project, as well as administrative work like revising the SEP documents and creating support materials for Student Exchange Officers. As the Chairperson of Student Exchange maintains regular contact with many students from various countries, they can also help the Chairperson of Public Relations in recruiting new members for the Federation and as they have regular contact with SEOs who are representatives of member associations. The Chairperson of Student Exchange also works together with the Treasurer in sorting out Student Exchange fees of Member associations and SEP grants, together with the Development Fund Committee. This position is best suited to someone who is able to take a year off work or study or perhaps undertake part-time commitments only so that you are able to commit at least 15-20 hours a week to the position. The Chairperson should be able in a financial position where they are able to attend regional events, Executive Committee meetings, member association and pharmacy related events. As Chairperson of a Regional Office, it is a wonderful opportunity to become deeper involved with IPSF, to be inspired as well as to inspire others are you ready to take the challenge? Permanent Officer An essential role for all elected Executive Committee members to consider is the opportunity to be appointed Permanent Officer (PO) and move to The Hague, The Netherlands to work full-time at the IPSF Headquarters. This position provides a backbone to IPSF and allows IPSF to operate efficiently on a daily basis. This can be done on a rotational basis between Executive Committee members throughout the year, for example 2 to 3 months per person, or as negotiated amongst the team for suitable rotational timing. The tasks of the PO, apart from his/her own portfolio, is to take care of IPSF mailing and correspondence, support other Executive Committee members and other various office work at the IPSF Headquarters. Call for IPSF Coordinator and Committee positions 2013-14 Coordinators and Committees work under the IPSF Executive Committee and their work is more specific to certain activities. Call for Coordinators and Committees 2013-14

1. President portfolio Policy Committee (PC) Coordinator The duties of the Policy Coordinator shall be: - To chair the Policy Committee as well as initiate and direct its activities; - To liaise closely with the President and Executive Committee regarding future plans and progress of the work developed by the Committee; For more information contact president@ipsf.org . Policy Committee (PC) The Executive Committee requires assistance with developing and implementation of policies relevant to the profession, global health and workforce strategies. The need for policy development needs to be kept under constant review and as such would be a responsibility of the Policy Committee (PC). The list of responsibilities of PC entails: - To research and inform the Federation of important issues in the highest interest of the Federation relevant to the profession, global challenges in global health, health education, and workforce strategies. - To determine relevance of issues to the Federation with stakeholder discussions; - To submit motion proposals to investigate particular issues of interest for the incoming Policy Committee; - To develop policy statements; - To plan ways for the Federation to carry out a body of work in line with approved policy statements; - Perform yearly review of all policy statements in effect to determine need to continue or cease plans to carry out body of work; - To assist the Executive Committee with the implementation of policy work, particularly at events relevant to advocacy efforts. - The Policy Committee shall work under the Policy Coordinator, and is supervised by the President. The Committee shall also include Regional Project Officers as co-opted members to ensure relevant input is collected on the regional level and to assist member organisations in their policy efforts. Treasurer portfolio Development Fund (DF) Coordinator With the supervision of the Treasurer, the DF Coordinator coordinates the DF Committee and is responsible with the development of strategies for the promotion of donations and with ensuring the proper use of the DF. Therefore, it is essential to understand the aims and objectives of the DF. The DF Coordinator manages DF grant application forms, calls for applications, correspondence with applicants as well as the review of applications. The DF Coordinator must have regular internet access available and be able to read and reply to emails daily over the periods when the DF applications are submitted and reviewed. The Coordinator should preferably be from a developed and high-income country to prevent any conflict of interest with possible applicants. Development Fund Committee (3 members) The main task of the members is to review grant applications for DF congress grants, SEP grant and other DF grants. In addition, committee members will assist with promotion of donations.

You should have a regular internet connection for this position. Time commitment varies depending on the time of the year - the period between January and April is the busiest. The DF Committee members should preferably come from high income countries to prevent any conflict of interest with DF applicants. Secretariat portfolio Constitutional Working Committee (CWC) The Constitutional Working Party assists the Secretary General in reviewing and editing the IPSF Official Documents. CWC members should be familiar in general with the Official Documents and they should also have a sufficient knowledge of English to be able to edit the Official Documents. Furthermore, the Constitutional Working Committee helps the Secretary General to write and prepare the minutes of previous General Assembly. It is also required that applicants for the CWC have a deep and thorough understanding and knowledge of the Federation. Internal Relations portfolio Membership Promotion Committee (MPC) The Membership Promotion Committee (MPC) consists of the appointed members, the Regional Relations Officers and the Chairperson of Internal Relations. The main duties of this group would be to assist the Chairperson of Internal Relations in promoting IPSF to non-membership associations and to discuss together better ways of promoting or extending IPSF membership to non-membership countries. It is also the responsibility of the MPC to contact pharmacy and pharmaceutical students, encourage and guide them in the creation student leadership structures where such do not exist. Members to this committee should preferably speak a second language other than English. Possibility to travel to neighbouring countries to preform presentations about IPSF is also advisable. External Relations portfolio Corporate Relations Coordinator The Corporate Relations Coordinator works under the portfolio of the Chairperson of External Relations. A new position has been created this year to help the Chairperson of Pharmacy Education to assist him with the compilation of the same. The duties of the Coordinator shall include editing and screening of the articles received for publication in Phuture, identifying authors and requesting them for articles on topics of interest, liaison with the Chairperson of Publications and designated members of the Editorial Committtee for designing, printing and publication of the magazine. Media and Publications portfolio Editorial Committee (EC) Coordinator All communication with the Editorial Committee is managed by the Editorial Committee Coordinator ECC), who acts as a contact person between the Chairperson of Media and Publications and the committee, as well as a moderator of the EC. Among other responsibilities, the ECC receives the tasks from the Chairperson of Media and Publications and delegates them to the EC, communicating the result to the Chairperson within a given deadline. The time commitment for this position can become quite intense at some times, but its generally quite light. Before publications and the World Congress there is always an augmented workload. Editorial Committee (EC) This Committee is chaired by the appointed Editorial Committee Coordinator, and is responsible for proofreading all documents intended for distribution within or outside the Federation. Design Coordinator (DC) The Design Coordinator is the chair of the DCC and is in charge of task delegation, working as a contact person between the Chairperson of Media and Publications and the DCC. Although this is a Committee, work is usually carried out in individual tasks based on the members aptitudes and skills in different kinds of media. For instance, people with video editing skills are chosen to edit videos (that can be requested from any portfolio of the Federation) and people who are better at web design will be chosen to help with website management. Marketing Coordinator (MaC) The IPSF Marketing Coordinator is in charge with defining digital marketing strategies to promote IPSF activities to pharmacy students and to market IPSF to new members, external partners and sponsors. In practical terms, this will means managing all the Social Media accounts, as well as analysing the statistics and being informed in the latest trends in digital marketing. The MaC is responsible with implementing the IPSF branding strategy created by the Chairperson of Media and Publications in the marketing channels. The MaC is also responsible with making sure the Regional Offices maintain their Social Media channels updated and in order with regional strategies to which the MC should contribute. In general, the MaC works quite closely with the Chairperson of Media and Publications throughout the year, helping with all necessary tasks related to the portfolio, including social media campaigns for Public Health, Pharmacy Education, Pharmacy Awareness, Student Exchange, or even Internal and External Relations. The IPSF events are also excellent opportunities for digital marketing, so the MaC should coordinate activities related to these events. The MaC should help the Chairperson of Media and Publications in regulating the use of Social Media within the Federation, for instance by regulating the Facebook Groups or by helping the Executive Committee members make a better use of these tools when attending events or advocating for a cause. The IPSF Marketing Coordinator should be creative and motivated person with high communication skills and solid understanding of all IPSF aspects and activities. It is preferred to have a passion about marketing and technology, with previous experience in managing Social Networks and good

The BC can hold writing contests (in collaboration with the Editorial Committee) or other types of campaigns to promote writing creativity. The IPSF Blog works with Wordpress, which is a quite easy platform to work with, so no experience is required (although general aptitude for digital platforms is advisable). This is quite a simple position that does not require a lot of time commitment, but it needs periodical reminders to authors and a good organizational capacity. This person will be in charge with creating and managing the IPSF Online Store. The website will be quite easy to create since it will use a preexisting online tool only basic web managing skills required. The Merchandise Coordinator will be in charge with updating the database with all the merchandise materials, mark their prices, check shipping prices to different areas of the world and finally ship (in case the coordinator is in the Netherlands) or coordinate shipment of the orders. The Merchandise Coordinator also has the responsibility of ordering new materials, in coordination with the Chairperson of Media and Publications and the IPSF Treasurer. The design of such materials must follow the IPSF branding strategy and are at the responsibility of the Design Coordinator and subject to approval by the Chairperson of Media and Publications. Since this position requires working with shipments from the Netherlands (at least at an early stage of development), it is advisable for the Merchandise Coordinator to be someone who lives in the Netherlands. This position might require some time commitment in setting up the store, and depending on the amount of orders it might be more or less time consuming. Still, even with a lot of popularity, about 3 weekly hours should be enough to fulfil the overall duties (except close to the events, when it will be necessary to make more orders). Student Exchange portfolio Student Exchange Committee (SEC) The Student Exchange Committee (SEC) consists of ten members appointed by the IPSF General Assembly: five SEP Regional Coordinators and five ordinary members. SEC members have to be former Student Exchange Officers (SEOs). The main duty of this committee is to provide guidance and ensure the smooth and fair running of the IPSF Student Exchange Programme (SEP). As a SEC member you are required to be in constant communication with the Chairperson of Student Exchange and assist them with work in the following areas: Help IPSF member organisations, especially new organisations, in establishing or improving their exchange programmes in a scheme known as the Big Sister Project. Work on improving the SEP Domestic Rules and Training Manual for Student Exchange Officers. Create promotional and support materials for Student Exchange Officers. Oversee the Student Exchange Database and aid in resolving disciplinary issues arising in the programme. Decide together with the Chairperson of Student Exchange, Treasurer, DF Coordinator and DF Committee the DF SEP Grant recipients. Promote and investigate the implementation of SEP in IPSF Member associations who are not part of the project yet, as well as in all non-IPSF Member countries, as part of the Helping Hand Project. The Chairperson of Student Exchange and SEC members gather for a meeting once a year, where important issues pertaining to SEP are discussed. It is usually held after the second IPSF Executive meeting (usually March-April) but when and where it is held is up to the Chairperson and SEC members of the particular work year. SEC members are required to be contactable regularly via email and need to be able to respond promptly to messages. Hence good and regular email access is required. Hence, the ability to lead and work well in a team is vital to be innovative in solving problems, ensuring projects follow timelines and action plans, and to implement new projects and ideas. Previous experience in a leadership role is necessary. To meet these responsibilities you should be prepared to travel to attend local, regional and international events. As Chairperson of the Regional Office you are also an IPSF Executive member and therefore will be expected to correspond regularly with Executive members. You should promote IPSF and your Regional Office through all means; monitor progress on projects and activities; and actively investigate and follow up on opportunities for strategic development. This position is best suited to someone who is able to take a year off work or study or perhaps undertake part-time commitments only so that you are able to commit at least 15-20 hours a week to the position. The Chairperson should be able in a financial position where they are able to attend regional events, Executive meetings, member association and pharmacy related events. Secretary As the secretary, you are responsible for ensuring that the Regional Office runs smoothly in close cooperation with the Chairperson. It is also the responsibility of the secretary to issue notice and to distribute the agendas and minutes of all Regional Working Group meetings. Call for IPSF Pan American Regional Office (PARO) Regional Working Group (RWG) 2013-14 IPSF is calling for interested members to run for the positions in the IPSF PARO RWG 2013-14. The IPSF Regional Office is a functional extension of the IPSF Executive Committee structured by elected pharmacy students from IPSF member countries of a specific IPSF region, forming Regional Working Group. Its mission shall be to advance and support the aims and objectives of the Federation at regional level. Previous experience in a leadership role is necessary. To meet these responsibilities you should be prepared to travel to attend local, regional and international events. As Chairperson of the Regional Office you are also an IPSF Executive member and therefore will be expected to correspond regularly with Executive members. You should promote IPSF and your Regional Office through all means; monitor progress on projects and activities; and actively investigate and follow up on opportunities for strategic development. This position is best suited to someone who is able to take a year off work or study or perhaps undertake part-time commitments only so that you are able to commit at least 15-20 hours a week to the position. The Chairperson should be able in a financial position where they are able to attend regional events, Executive meetings, member association and pharmacy related events. Secretary As the secretary, you are responsible for ensuring that the Regional Office runs smoothly in close cooperation with the Chairperson. The Secretary needs to be familiar with the Regional Office Documents as it is their responsibility to ensure that the Regional Office complies with the Regional Office Documents. It is also the responsibility of the secretary to issue notice and to distribute the agendas and minutes of all Regional Working Group meetings. In addition to administrative activities, the secretary is expected to keep accounts of all financial transactions of the Regional Office so it is important for the Secretary to have some experience or familiarity with budgeting, writing financial reports and bookkeeping. Essential abilities of the secretary are to have proficient in written and spoken English, to be organised, have an eye for detail and good communication, time management and personal relations skills. The secretary is expected to maintain contact with all members of the Regional Working Group and will be expected to contact with members, IPSF exec and other external organisations. To complete the activities of the Secretary, approximately 10 to 15 hours per week is required.
