LGBT Campaign Conference 2009

What time does registration start?

10.00am until 12.00 noon. Please make sure you arrive in plenty of time.

Where should I go when I arrive?

Make your way to the NUS Registration desk. Please ask the hotel reception for
directions as you enter the hotel.

Will conference training be provided?

Conference training will take place at 12.00 noon, followed by start of


conference at 12.30.

Is accommodation provided?

Delegates will be staying at either the Britannia hotel or the nearby Premier
Inn. You will be informed of your allocated accommodation at registration.

Delegates are expected to share unless Trans-safe accommodation has been


requested. Rooms are twins and triples with en-suite facilities. Towels and soap
are provided. Each room has a hairdryer and television. A wake-up call facility is
available if required and can be organised directly with reception.

Room keys will be allocated on arrival, however, please note that you may not be
able to get into your room until 3.00pm.

Can I book accommodation for the night before?

If you require accommodation the night prior to Conference please contact the
Events team via 0871 221 8221 or events@nus.org.uk to determine which hotel
you have been allocated. You will then be asked to contact your hotel directly.
Please note NUS will not pay for this additional night’s stay.
Additional Info
Will I be able to leave my luggage anywhere until I can access my
room?

A secure room will be available for you to store your luggage whilst your
accommodation is being prepared. Please note that luggage is left at your own risk.
Should rooms be ready for occupancy prior to this time, delegates may be able to
gain access to their bedroom earlier.

Are meals and refreshments provided?

Lunch will not be provided on Friday 24th April. All other meals will be provided
and are included within your delegate fee. If you registered with special dietary
requirements please make yourself known to hotel catering staff.

Breakfast will be served between 7.00am and 9.00am. All other meal times will
be served as per the order paper.

Room service meals and drinks will not be paid for by NUS.

Do I need to bring anything with me?

• Parent/guardian form if under 18 (attached)


• Completed personal details form (attached)
• Identity Check Note (signed letter of authorisation, on union headed
paper, confirming that you are the elected representative of your union)
• Your NUS card or equivalent

What should I do if I have a problem at conference?

If you have any problems, need advice or help please go straight to a staff member
of NUS who will be happy to assist you wherever possible. If you have any questions
about procedures at conference, please approach a member of LGBT committee who
will be happy to direct you to the most appropriate person.

What time will conference finish?

4.00pm on Sunday 26th April

Documents

Printed versions of the core Conference Documents will be available at


conference. You can also access these prior to conference from the LGBT
Conference event webpage (www.officeronline.co.uk/events). If you have
requested your documents in a specific format, please make yourself known to
NUS staff at registration.

Emergencies

Please familiarise yourself with the hotel’s emergency evacuation procedures.

Valuables

All valuables are left at owner’s risk.

Hustings

Hustings is an information session of LGBT Conference where you will have the
opportunity to question the LGBT Officer candidates. This will take place after dinner
on day one.

Smoking

Smoking is permitted in designated areas only

Entertainment

Organised entertainment will take place on Friday night in the hotel. Following a
gala dinner on Saturday night the LGBT committee will be organizing a night out
in Nottingham for those that wish to go along. Further information will be
available at conference.

We are currently working on a system whereby every delegate enters


emergency contact details onto our online registration system. If you’re not
sure whether we have those details, please fill in this form and hand it to a
member of NUS staff at Registration. Your personal information will be required
in the unlikely event of any medical emergency

Closest rail station: Nottingham. The Britannia Hotel is approximately 10


minute’s walk from the train station.

Leave the station via the main entrance. Turn right


and walk down Carrington Street towards the
Broadmarsh Shopping Centre.

Cross the road and walk through the Broadmarsh


emerging into the high street. Walk along Listergate
keeping HMV on your left hand side.

Once you get to a small crossroads with McDonalds


facing you follow the road straight ahead keeping
Specsavers and Virgin Megastores on your left hand
side.

After Virgin Megastores take the next turning on the


left onto Friar Lane (there is a Costa Coffee on the
corner), follow this road straight up onto Maid Marian
Way, Cross at the crossing and turn right. The
Britannia Hotel Nottingham is on the next street on the
left after the Tales of Robin Hood.

By car: It is recommended that you plan your route in advance


by visiting www.theaa.com or www.rac.co.uk.

Parking: There is an NCP car park next to the hotel, on St James


Street. A 30% discount is available for hotel guests –
please see hotel reception for further information.
