One practical example of this
exibility is the Diary function
in RoboVet. Having merged
patient and client data with that
of 2 other practices, she has
needed to be really innovative
in her allocation of time and
surgery space, and has used the
diary function to its full potential.
With access to over 30 different
diaries, Gillian is able to structure
and view information held
within the system in the most
appropriate way.
When we merged practices,
we considered building an
additional surgery, however,
using RoboVets exibility I have
been able to tweak the diaries
to ensure we are always using
available surgery space to its
optimum capacity, scheduling
appointments into the most
appropriate space. This has
resulted in us being able to
remain in our existing location
without the need to invest in
building for more than 2 years.
This has been a real eye-opener
for me and just shows what
can be achieved with a good
exible system and a little bit of
foresight.
The Group is using Lablink for
managing their in-house lab
analysis and as Gillian explains,
the ability to centralise the
process management of tests
has increased efciency across
the whole Group. Blood tests
can be taken in any of our ve
practices, and the information
transmitted to either of our two
main branches. It takes around
10 minutes to actually run the
tests, the results are attached
to the individual patient le and
returned to the appropriate
practice, all within a timeframe
of less than half an hour. The
ability to provide this level of
service is something that Gillian
regards as being vital for the
Groups reputation and brings
immediate results and peace-of-
mind to clients.
To be able to provide clients
with test results quickly and
efciently leaves them with the
best possible impression of the
practice. And a good impression
means they are much more likely
to recommend us to their friends
and family enabling us to attract
more new patients.
Gillian has also recently
introduced text messaging
(autoSMS) in another effort
to bring greater efciency to
the practice and meet client
demands for fast and effective
communication.
Our reception staff are
very busy and have a lot of
information they need to request
from clients. An up-to-date
mobile phone number is yet
another question to ask, but we
are explaining to clients that it
will make their lives easier if we
can communicate with them
in this way. Our challenge is to
keep this information up-to-
date as mobile numbers can
change frequently, so asking this
question needs to become one
of our embedded processes.
One service area in which
autoSMS has shown real value
for the Group is for their
grooming parlour. In response
to the problem of large
numbers of clients simply
forgetting to attend their
appointment, Gillian introduced
a process by which every
appointment is now sent a text
reminder 24 hours prior to the
appointment. Gillian recognis-
es that although this does not
necessarily make clients attend,
it does act as a reminder and
encourages them to phone and
re-schedule an appointment if
it is inconvenient, and therefore
reduces no-shows.
The veterinary market is, like
most others at the moment,
feeling the strain of the current
economic climate, but Gillian
is a great believer in the British
willingness to protect and care
for their pets and in return she
believes that her Group of
practices is duty-bound to deliver
efcient and effective service
for the benet of clients and
patients. The technology now
being introduced into the practice
via their management system is a
proactive tool enabling Gillian and
the team achieve this goal.
Millcroft Veterinary Group
Millcroft Veterinary Group is a mixed practice treating small and large animals and equine cases across
the West Cumbria region. With 15 vets, 6 of whom are Partners, and more than 50 staff across their 5
practices, Millcroft needs to have a high standard of operational efciency. Having merged recently with
2 other practices, Group Practice Manager Gillian, Sharp has needed to not only manage a large group
of people, but has also needed to integrate different processes into a single system. She tells us how

The CR 7 VET considerably simplies imaging, making image plate
