Glossary of Terms
Activity
An activity is a service you provide for a pet that involves some action. It can be anything, such as a walk, playtime, swimming, etc. It could also be some quiet time with a staffer solely for companionship. Each activity can have its own price and frequency. Each reservation or folio can have as many activities as you want. Each activity is an item in the price list. Each can have its own price and you can specify any schedule on each reservation or folio. Each activity must be entered into the price list before it can be selected on a reservation or folio.

Actual
The actual date/time is when something happened, typically arrival or departure on a reservation or folio, according to the computers clock. This may be different from the reported date/time, which is when you said something happened.

Adjustment
An adjustment is a way to force an owner's account to have a certain balance. It doesn't involve real money. You will normally make an adjustment to correct a small mistake. For example, if the charge is $1.10 and the customer gives you $1.10 but you mistakenly entered $1.01 as the payment, the owner's account would say they owed you $0.09. To correct this you would make an adjustment of $0.09 to force the owner's account into balance.

Check In
A check in occurs when the pet arrives at your facility and its owner transfers responsibility to you. When a pet checks in, its reservation is converted to a folio.

Check Out
A check out occurs when the pet leaves your care and you transfer responsibility back to its owner. Once a pet checks out, its folio is converted to a history and is made a permanent part of the database. History can't be changed.

Clone
Cloning is the process of creating duplicates.

When you click the Clone button at the top of a reservation or folio, you will see a window listing each date for the next year. When you select dates by clicking their associated boxes, KennelSuite will create a reservation for each date. Cloning is normally used for bookings where the details of the service stay the same but the dates change, such as daycare (every day next week) or grooming (same thing every 6 weeks). Note that cloning requires extra attention on your part. KennelSuite can remember the services from the last visit but it can't know the date range for the current visit, in the case of boarding, or any new information about the pet's feeding or med schedule. You must talk to your customer and verify the details. A clone will bring the previous details forward but you must be vigilant. For example, the last time Spot was under your care, he needed 1 tab of Phenobarbital 2x/day. It could be that his vet has changed the dose to 2 tabs since then. Spot may get the wrong dosage while under your care if you accept the previous settings without talking with your customer.

Event
An event is something of significance that happened and is listed in the Events report as well as on the Events tab for each owner and pet. Examples include but are not limited to: A new reservation is created, changed or deleted A pet checked out A payment was received A folio was deleted An e-mail reminder was sent

Events are stamped with the date/and the current user. In Basic, the current user will always be "Administrator" since Basic does not include user security and works only with the administrative account.

Folio
A folio is an active document that records a pet's charges during its visit to your facility. It is essentially a copy of the original reservation and was created when the pet checked in to your facility. The term folio is derived from Latin meaning "leaf". In this application, it is a leaf/page in a book. This is a standard term in the hotel industry and accurately describes a living, yet temporary, document that records the charges against a guest's account during a specific visit. You may add, subtract and change items on a folio during the pet's visit. The only thing you can't change is the check in date & time, since that has already happened and you can't change history. When a pet checks out, the folio is converted to a history.

Group
This does not apply to the Basic Edition Each person who uses KennelSuite is a member of at least one security group

History
A history is created from the folio when the pet checks out. It remains in the database permanently. In KennelSuite, as in real life, history can't be changed. If you discover a mistake after a pet has checked out, you can enter adjustments by clicking the Adjustments button on the owner's Account tab. The ability to preserve history, yet allow for adjustments, helps protect you from fraud and maintains an accurate trail of what happened.

Location
Location is a generic term that means the place where the pet is housed while under your care. It may be a run, a room, a cage, a crate, a condominium, etc. KennelSuite expects that each of your locations will be numbered with a code. You should limit your location code to about 6-7 characters because space is limited on many run card and reports. If you choose, you can incorporate identifiers in your location codes that will help your staff understand their meaning. You should also try to keep your location numbers approximately the same length KennelSuite uses alphanumeric sorting, which allows you to mix letters and numbers in your location system. We encourage you to spend some time thinking about the way you identify your locations. Some planning on your part now will make life easier in the end. For example: BW012 This might mean that the location is in building B on the West wall and is number 12. Or: CM05 This might mean that the location is a Condo, is Medium in size, and is number 5. The important thing to remember is that KennelSuite sorts the locations alphanumerically, not numerically, so you shouldn't number 0, 1, and 2. Instead, number 000, 001, and 002. None of this matters to KennelSuite. You can develop your own system and KennelSuite doesn't care one way or the other. Locations are identified with a code that you create by clicking Tool-Options-Locations. When you are working with a

reservation or folio, the locations you created will be available from the dropdown list in the Locations section. A pet under your care must be located somewhere. If you don't tell KennelSuite the pet's location, KennelSuite will assign the pet to the "?" location, which means "unknown" and may cause some confusion among your staff.

Mean
The sum of a list of numbers, divided by the total number of numbers in the list. Also called arithmetic mean

Median
The "Middle value" of a list. The smallest number such that at least half the numbers in the list are no greater than it. If the list has an odd number of entries, the median is the middle entry in the list after sorting the list into increasing order. If the list has an even number of entries, the median is equal to the sum of the two middle (after sorting) numbers divided by two.

Mode
For lists, the mode is the most common (frequent) value. A list can have more than one mode. A data set has no mode when all the numbers appear in the data with the same frequency. A data set has multiple modes when two or more values appear with the same frequency.

Percentile Rank
Your customers' percentile ranks are one of the most informative ways to gauge their relative importance to your business in terms of the amount of money they spend. A percentile rank is the proportion of points in a distribution that a specific point is greater than or equal to. For example, if Mrs. Smith spent $2,000 at your business last year and this amount was greater than or equal to the amount spent by 90% of all your customers, then Mrs. Smith's percentile rank would be 90 and she would be in the 90th percentile. You will notice that the percentile ranking divides your customers into 100 groups (0-99), and each group has approximately the same number of members. This makes it easy to see the reason for the "80/20 rule", which says that 20% of your customers tend to provide 80% of your income.

Range
The range of a set of numbers is the largest value in the set minus the smallest value in the set. Note that the range is a single number, not many numbers KennelSuite sometimes uses this term to refer to a span of dates, e.g., a Sales Summary report may contain all sales that occurred between Jan 1, 2007 and Dec 31, 2007. In this example, the range is 365.

Reported
The reported date/time is when you said something happened, typically arrival or departure on a reservation or folio. This may be different from the actual date/time, which is when something happened according to the computers clock.

Report
A report is data that KennelSuite can print on paper. Sometimes we use the term to refer to information that you may view on your monitor, which you may also choose to put on paper.

Reservation
A reservation is something that is scheduled to happen in the future. KennelSuite counts reservations when creating your forecasts, such as occupancy and revenue, but a reservation hasn't happened yet and the situation may change. All visits to your facility begin with a reservation.

Sale
A sale occurs at the moment of check out. Although you may have provided services or products during a pet's visit, KennelSuite does not consider them to have been sold until the folio is finalized during the Check Out process. Sales are listed on the Sales Summary reports.

Surcharge
A surcharge is added when you provide a special service. A surcharge is normally used when an owner arrives late or early for their appointment, or even before you have opened or after you have closed. If you have configured check in and out times (Tools-Options-Days & Times), KennelSuite compares those times with the actual time of the check in or out. If the actual time is on the wrong side of your threshold, it will ask you if you want to add the appropriate surcharge. You always have the option to select "do nothing" and the surcharge will be ignored. There are other types of charges you may add for extra services which could be considered surcharges, such as charging for the extra work of brushing a pet that is matted, but KennelSuite considers them regular services that you add to the folio. KennelSuite's standard surcharges relate to the time of the check in and out.

Transaction
A transaction occurs at the moment when money changes hands. The Daily Transaction reports (detail & summary) list the payments you have received. Transactions are not coupled with sales. Your transaction reports will show the payments you received but this is not related to your sales. The transaction reports are usually used to balance the till at the end of the day and prepare bank deposits.

There are many reasons for a transaction, such as a customer paying their charges at the moment of check out, paying in advance for a service (someone else will collect the pet), a deposit to hold a booking for a future holiday, paying after the service (they forgot their money and you extended credit), etc. The transaction reports list the actual payments you received, for any reason, on the date you selected.

Worksheet
Worksheets are fundamental components of KennelSuite and to the operation of your business. There are many types of worksheets and each has a specific purpose. Worksheets contain specific instructions to your staff regarding feeding, medication, activities, and grooming. You should print worksheets immediately before they will be used. Your instructions to the staff should be "If it's on this worksheet, please do it, initial it, and give it back to me when you are finished". You can file the initialed worksheets for some period as documentation that you did what your customer asked you to do.

Since the worksheets contain only instructions for a specific part of each day, your staff can do their work quickly and efficiently. The Morning worksheet will probably be different from the Afternoon version but staff doesn't need to be concerned with analyzing or interpreting the details: If it's on this worksheet, please do it. You will normally print worksheets as a group immediately before they are used. This assures that the information is current and that all pets under your care will receive their correct service at the correct time. It's usually a bad idea to print worksheets early. If you print the afternoon worksheet in the morning, there may be a problem. For example, if a new guest with meds checks in after you printed the afternoon worksheet, he won't be on the list, and may miss his afternoon meds because staff didn't know. Printed reports about the future may not be trustworthy. They can become obsolete with the next phone call. You should try to work with the most current information available.

Welcome to KennelSuite IX Help To your left you will find a table of contents divided into books and topics. There is also an index. You should find the answers to your questions here. If you prefer working with a printed manual, we have included the KennelSuite IX User's Guide. This manual contains the same words as this help system but is formatted for printing. You can take your CD to any printer or reprographics shop. They will print the manual (Users Guide IX.pdf) and bind it for a reasonable cost. The manual is in color but you will save a considerable amount of money by asking them to print in grayscale. You should ask them to print double-sided.

Installing
Installing KennelSuite is mostly automatic and requires little input from you. Unless you have a specific reason for not accepting the default choices, you should simply click Next when prompted.

Installing the Basic and Professional Editions


1. Insert the CD and the installation will begin. Or you can access the CD with My Computer and double-click the executable, typically called setup.exe Follow the prompts from the installer and make the choices that suit your needs. For installation type, make sure you choose Standalone (default).

Installing the Enterprise Edition


You should consider hiring a professional to install and configure your network and install KennelSuite for the first time. Plane Software's technical support can help you install our software but we can't help you with installing, configuring or maintaining your network.

Network & Windows


1. Decide which computer will be the server. There is only one server. All other computers are called clients. The server may or may not be the most powerful machine. Many factors, including physical security should be considered. KennelSuite does not require a dedicated server. Your network must be up and running. We do not recommend wireless. KennelSuite runs on a wireless network but wireless is very slow and unreliable compared to copper wire. Each computer and the hub or router should be supported by an uninterruptible power supply (UPS), also known as a "battery backup". All peripheral equipment, such as printers, modems, etc. should be supported by good-quality surge suppressors. The drive or folder that will contain the database must be shared. Security must be set on the server computer to allow clients to connect and modify the database.

Or you can access the CD with My Computer and double-click the executable, typically called setup.exe Follow the prompts from the installer and make the choices that suit your needs. For installation type, make sure you choose Server. The location for the program must be the folder you shared in step 6 of the network installation phase. When the installation completes, KennelSuite will give you the opportunity to license the program. Only the server needs to be licensed. If you don't install your license, KennelSuite will run as an evaluation at the Professional level and you won't be able to access the database from multiple computers.

For installation type, make sure you choose Client. You will be asked to browse across your network to locate the shared folder you created on the server that has the database.

Licensing KennelSuite
When KennelSuite starts as an unlicensed evaluation, you will have the opportunity to install your license. Only the computer with the database must be licensed. When you purchased your KennelSuite license, you received your credentials. They look something like this:

Enter this information exactly as shown into the licensing window. If you are working with an e-mail you received, you can copy/paste.

Documentation
Take a moment to document what you have done and put it in the file for future reference. For example: KennelSuite's location on the hard disk The name and location of the server (Enterprise) The data folder's sharename (Enterprise) The license serial number The location of the original program disk The location of the data backup disks The name and phone number of a local technician who knows you and your hardware.

Starting
During installation, a KennelSuite icon was added to your desktop and new items were added to your Program Files menu system under the WIndows Start button. To start from the desktop icon, double-click it with your left mouse button. To start from the Windows menu system, click Start-Programs-Plane Software-KennelSuite IX.

The evaluation copy of KennelSuite includes a sample database that already contains plenty of data. When you purchase your KennelSuite license, it will delete this and you can begin adding your own information for production.

Logging In
This section does not apply to the Basic Edition. Since Basic has no security, and therefore no concept of individual users, it's not necessary to login or logout.

To login to the Professional and Enterprise editions: 1. 2. Enter the username and password assigned by your administrator. Click OK or press Enter

If you are just getting started, login with the username 'Administrator' with no password. You will configure your security settings later.

The main window is your gateway to all the features of KennelSuite

Main List

The Main List is located on the Main Window, which is what you see when you start KennelSuite. The Main List has two parts.

The bottom part lists your customers (KennelSuite calls them Owners) and their pets. The top part is a search tool that gives you various ways to locate them. You can always scroll but it's usually faster to let KennelSuite find what you are looking for by using the search tool. To search: 1. Choose the type of search by selecting an item from the dropdown list or by clicking the up/down arrows on the right side. The image will follow along with your choice and give you a visual indicator of what search type is active. If a Beginning search is selected, only names that begin with the characters or digits you entered will be found. If an Anywhere search is selected, all names that contain the characters you entered will be found. Example: Characters = stein Type = Beginning Results: Steinberg Steinhart Type = Anywhere Results: Bernstein Steinberg Steinhart It works the same for other types of searches.

Type a few characters or digits and press the Enter key or click the Go button. They do the same thing. If your search found more than one match, you will see a window that asks you to select the one you want. You can click or use the arrow keys to select and then press the Enter key or click the OK button. They do the same thing.

The selection in the main list will reposition itself to what you selected.

Main List Settings

When you right-click on an owner or pet, a popup menu gives you more choices. The choices apply to the item selected in the list. The Display options apply to the list itself. See Also "General Options" on page 31

Main Toolbar

QuickLook Reservations

Click the triangle to see a list of items under the QuickLook button. These are frequently used views of the status of your facility. This will display a new window with a list of the selected pet's reservations. If there is none, you can create a new one. You can also select an existing reservation to view or modify. A pet must be selected in the main list. This will open the folio for the selected pet. Only pets that are in the facility (have checked in) have folios. This will display a list of the selected pet's previous visits. By marking a box next to a previous visit, you can view the details and print a copy of the original receipt. This will begin the process of checking the selected pet out. If an owner is selected, and if the owner has one or more pets in your

facility, KennelSuite will allow you to check any or all of them out as a group. View New Owner New Pet Reports Product Sale Clicking this button will open the record for either an owner or a pet. It depends which is selected in the main list. Click this to add a new owner to the database. Click this to add a new pet to your database. The new pet will belong to the owner selected in the main list. This button will display a new window where you can select reports to view or print. Click this button to make a retail sale that is not related to a pet's stay in your facility. This would be somebody who simply stopped by to buy something. Click this when you leave the computer. It will log you out of KennelSuite, secure the system, and present the login dialog so the next person can quickly login. Click this to exit KennelSuite and return to your Windows desktop.

Guests

This list includes all pets that have checked in and are in your facility. Their scheduled departure date is shown in the Chk Out column. If any guests were scheduled to depart before today, the date will display in red. It's common to have overdue departures because customers often change their plans but you should avoid having overdues. If your customer has been delayed, you should double-click the row to open the folio and then advance the departure date. If there are medications, special feeding or activities, you should also adjust those. These schedules are tied to arrival and departure dates so the pet may not get the correct service. For example, if the pet was scheduled to go home yesterday, its medication requirements won't print on today's worksheet. See Also "Checking Out" on page 100

Arrivals

This list includes pets with reservations that have not yet arrived and checked in.

Status

This section shows that general status of your facility as of now.


Arrivals & Departures This shows the number of pets who are arriving and departing today. The bars labeled pending show the events that are scheduled but haven't happened. The complete bars show the events that have happened. These bars show the number of pets who are checked in and are scheduled for these services.

Boarding, Daycare & Today's Grooming

The table at the right shows the number of guests grouped by different criteria. The table will change when you select a group from the dropdown list above the table.

Account

The Account tab shows all charges and payments relating to the pet or owner selected in the main list. When the balance is zero, it is displayed in blue for easy identification.

Report Toolbar

Print Export Zoom

Prints the report to the default Windows printer. This option doesn't allow you to change the printer but you can control which pages you want to print. Click this to get a selection of formats for exporting the report data. This sets the way the report fills the screen. KennelSuite normally selects the best choice but you may want to change this. Your changes apply only to the current view. Click this to go to the first page in the report The page before the current page, if there is one. The number of pages in the report. When some reports are first opened, this will be "1 of 1+". To improve performance, KennelSuite only loads the first page and therefore doesn't yet know the total. The next page in the report, if there is one. The last page in the report. Clicking this on a multi-page report will reset the Pages display to indicate the total. Click this to search the report for any type of data.

Logo
This view is useful if you will be away from the computer and don't want a casual observer to view any information. A better solution is to click the Log Out button on the toolbar, which will secure the system.

Main Status Bar


This status bar appears at the bottom of the main window. It is divided into sections and each section contains one or more panels. Depending on what is selected in the main list, and the current user's group membership, different panels will be displayed. Depending on the available information and on the width of the main window, some information may be truncated. You can click a panel to get the full details.

If neither a pet nor an owner is selected, only the calendar and the progress indicator are visible. If an owner is selected, then the calendar, owner and progress sections are displayed. If a pet is selected, then everything is displayed.

Actions
Clicking a panel in the owner section will open the owner's record to the appropriate tab. Clicking a panel in the Pet section will open the pet's record to the appropriate tab. Passing the mouse pointer over a panel cause a popup that explains the panel.

Security
Members of the Staff group cannot see the owner's phone number and cannot open the owner's record or the pet's record.

Status Bar (Calendar)

The calendar automatically adjusts its format to your locale and updates approximately every 10 seconds. Even though a clock normally displays on the Windows task bar, we have put one on the KennelSuite window so you can maximize your viewing area by hiding the Windows task bar, yet still be able to see the date and time from KennelSuite. Keeping Current
Each time KennelSuite starts, it checks with the Plane Software server on the internet to see if there are any updates available. If there are, and if you are a member of the Administrators or Managers group, it will ask if you would like to install the new software. Minor updates are very easy to install. You won't have to answer any questions except "do you want to install this update?" If you have the Enterprise edition, you must update all computers on the network. If not all computers can access the internet, you have several options. From a computer that does have internet access, download the update and make it available to the other computers. You can do this by putting the update on a disk or other portable medium and taking it to each computer. Download the update and put it in a shared folder on your network that the other computers can access. If the previous options don't work for you, you can be sure to always have the most current version by subscribing to our CD Delivery Service. If you subscribe to this optional service, we will mail a fresh CD each time we release an update. You can order from our website or call our sales office.

KennelSuite comes preloaded with a large selection of breeds which you can change to suite your needs. You may notice that some of the size assignments don't necessarily agree with your personal experience. The sample database was generated by computer so there are some idiosyncrasies. You may change existing items and add or subtract from this list to suit your needs.

The size refers to the size of the animal and not the size of the enclosure in which it will be housed. The size list is populated from the list you defined on the Sizes tab. You can't delete a breed if there are any pets in the database that are of that breed.

Vaccinations

Species

Add the vaccinations for each species. Selecting the species in the left column will show only the vaccines appropriate for that species. The items in the Species column come from the definitions you entered on the Species tab.

Vaccine Required

When you click the New or Change button, you can name the vaccine. Mark the box if you require this vaccination. If you want to track a pet's vaccination status for shots you don't require, you should enter the vaccines here. They will display on the pet's record but KennelSuite won't warn you about expirations because you don't require them. On each pet's record, you can indicate that that pet doesn't require a certain vaccination, even though you require it for other pets. When you are working with a reservation, KennelSuite will tell you that there is a problem with a pet's vaccinations but it won't prevent you from accepting the pet.

General Lists
You can add whatever items you need for the way you operate your business. The items you add here are used in other parts of the program as a way to enforce consistency and reduce typing.

Medications

You use these items when you schedule meds on a pet's reservation or folio. You may change existing items and add or subtract from this list to suit your needs. You use these items when you schedule a diet on a pet's reservation or folio. You may change existing items and add or subtract from this list to suit your needs. You use these items when you schedule a diet on a pet's reservation or folio. This list is sorted alphanumerically. These items are available when you receive a payment. You may change existing items and add or subtract from this list to suit your needs. You use this list of skills to match a certain grooming service with the groomers who have the skills necessary to do the job. KennelSuite Basic does not support Grooming Skills. If you will be using the skills matching, this is the first step in creating the system. After you list your skills here, you must then assign them to the grooming services in your price list and to each groomer.

The "None" vet is required by KennelSuite and can't be deleted. Each pet must have a vet but if you don't know, assign "None".

Location

Your company's name and basic address are encoded in your license and you can't change them by yourself. If you have changed your business name or moved to a new location, we will issue a new license with the current information. Please contact us if you need a revised license.

Tax/VAT ID

If your government requires you to display your tax number on receipts and invoices, enter it here. If there is data in these fields, KennelSuite will print it at the top of quotes, receipts and invoices. This lists the dates that you consider holidays. KennelSuite uses these dates to set the colors on many calendars and to warn you if you are scheduling something for a date when you are closed.

The time you open to the public The time you close to the public. The earliest time a pet may check in without the possibility of incurring a surcharge. Set this to be the same as the opening time if you don't want to enforce this option. The latest time a pet may check out without the possibility of incurring a surcharge. Set this to be the same as the closing time if you don't want to enforce this option. Mark this box if you close for a period during the day. Mark this box if you want KennelSuite to display the check in and out times on the snapshot tab on the main window. If you don't enforce these times, you can save space and make the snapshot easier to read by not selecting this option.

Grooming Options

Groomer Open Close Holidays Appointment Length

Select the groomer whose schedule you will be working with. Only members of the Groomers group are listed here. The time the groomer begins work on the selected day The time the groomer stops work on the selected day These are dates the groomer will not be working because of a personal holiday The default length is used when you schedule an appointment on a reservation or folio. When you enter the appointment time, KennelSuite calculates the Promise time, or the time you say the pet will be ready, based on this value. You can always change the promise time on a reservation or folio. For a boarding pet, many facilities try to groom on the day the pet will go home but many others prefer to do it the day before. Enter your preference here and KennelSuite will pre-set the grooming calendar on a boarding reservation if you choose to add grooming.

Appointment Day

Each folio with grooming has a checkbox that indicates whether the grooming is complete and the pet is ready to go home. When the groomer completes a pet, she marks the box. If the receptionist begins the checkout process on a grooming pet and the pet is not ready, KennelSuite will give you a warning. This feature is normally used with the Enterprise edition when there is a computer in the grooming room.

Files & Backup Options

These items tell KennelSuite where it will find its data. Unless you have a specific reason to change the defaults, it's usually better to work with KennelSuite's standard settings. The exception is the backup location. You must tell KennelSuite the correct location. This information depends on your preference and your computer's hardware.
Database Location This is the path to the main database. Do not change this unless you have a specific reason. Making a mistake here may prevent KennelSuite from starting. If you have the Basic or Professional, it will look something like this: C:\Plane Software\KennelSuite IX\data If you have Enterprise, it will look something like this:

\\COMPUTERNAME\Sharename
The locations for images and templates are always below the data folder. Backup Location KennelSuite will use this path for writing its backup. This can be any place except the same folder as your active database. This path should be on a removable medium, such as USB flash drive, Zip drive, tape drive, or CD-RW. It can also be a folder on another computer on your network. If you run an automated backup process, you still must manually backup the KennelSuite database daily because it does important maintenance to keep the database healthy. Image Location This is the path to the images (photos) you have added to the pets' records. When you add a photo to a pet's record, only the path to the image is stored in the database. If you store photos, you must decide on the location of the actual files and be consistent. Templates Location Verify backup disk label This is the path to the HTML templates KennelSuite uses to send e-mail to your customers. If you are backing up to removable media (USB, CD-RW, etc.) you should use a different disk for each day of the week. If your hard disk can

fail, so can a backup disk. One technique is to have one disk for each day of the week and give each a volume label, e.g., MONDAY, TUESDAY, etc. If you select the Verify option, KennelSuite will check to see if the label on the backup disk matches the current day of the week. Compression Encryption Backup compresses the database into a single file thats compressed according to standard WinZip format. We recommend the Low setting. Backup can secure your compressed backup by encrypting. AES encryption is a standard used by industry and government for sensitive data. Its essentially unbreakable so dont lose your password and keep it secret. Write it on paper and keep the paper in a secure location, such as a fire safe. If you forget your password, you will never be able to use that backup.

General Options

Inactivity

In this context, inactivity means that you are not typing on the keyboard or moving the mouse. If a computer is in a semi-public place, it's good practice to logout when you leave the area, which secures the system and prevents someone from using your login for his or her own purposes. This may or may not be important to you in your environment. The timer is calibrated in seconds, so 600 seconds is the same as 5 minutes. When the time has elapsed, the program will be suspemded and the Login dialog will appear.

Required at Check Out Confirmation Number

Select these options to require your receptionist to collect extra data during check out. Each new reservation is assigned a unique confirmation number. If this item is selected, the number will be displayed when you save the reservation for the first time. A confirmation number is a unique, arbitrary series of letters and numbers that form a code. You shouldn't be concerned with its meaning. If you make a reservation while your customer is present or on the phone, you can immediately tell them this number.

Overdues

When KennelSuite starts, it checks to see if there are any reservations that should have checked in before today. It also checks for any folios that should have checked out before today. It's important to keep your database current so you should deal with the overdues promptly. If it's an overdue arrival, it may be necessary to delete the reservation if the owner has changed their plans and won't be coming. If it's an overdue departure, you should open the folio and advance the departure date. Members of the Administrators will always see the overdue list when they login to KennelSuite. If you want others to see it, typically managers and receptionists, mark the appropriate boxes.

Text Location Filter

These control the size of the text on the toolbar and alphabet buttons. When working with a pet's reservation or folio, you have the opportunity to assign its location. This setting applies to all reservations and folios. You can change the setting while working with any reservation or folio but it will revert to this setting the next time it is opened. All: All locations are listed. Vacant: Only those locations that are vacant for all the days in of the pet's stay are listed. The Vacant setting won't help you unless you set the arrival and departure dates before selecting the location.

Override Color

When you work with a pet's reservation or folio, KennelSuite will go to the price list and get the correct price for the selected item. In some circumstances, you may want to override the regular price or quantity. When a quantity or price is manually changed, the background will change to this color as a visual indicator. Frequent manual changes indicate that you should spend more time configuring your price list so KennelSuite can do the work for you, and your bookkeeping will be more consistent.

Main List Pictures

The Main List is the list at the left of the main window that contains the owners and their pets. This setting changes the way KennelSuite displays the small boxes next to each owner and pet name. You can also change this setting by right-clicking on an owner or pet name in the list and selecting from the popup menu.

User Defined Owner Data

On the Status tab of an owner's record, there is a section called User Defined. This is a place where you can store bits of information for your own use. To help your staff remember what this special field is for, you can add your own label here. The text you add will be automatically preceded by an underscore under the first character, so you can use the Alt-<letter> combination to select it quickly. KennelSuite will also automatically add a colon (:) at the end to be consistent with Windows conventions.

Logo Options

KennelSuite can display an image, such as your logo both on the screen and on the printer. You may want to consult with a graphics professional to develop images that will work well both on the screen and on paper. The images must be in BMP, GIF, JPG, or WMF format.
Screen This image appears on the Logo tab on the main window. A good starting point when designing an image for the screen is about 450x400 pixels at 72 dpi. To add an image, click Select and browse to locate it. If you later move the image or change its name, KennelSuite won't be able to find it and will display an error. To remove an image, click Clear. Print This is the image that appears at the top of some printed reports, such as quotes, receipts, and invoices. Your printed image will be centered at the top and should not exceed about 2 inches (50mm) on a side at 300 dpi. KennelSuite will try to accommodate a larger size but it may encroach on other information, such as your business name and address. To add an image, click Select and browse to locate it. If you later move the image or change its name, KennelSuite won't be able to find it and will display an error. To remove an image, click Clear. Border Style This controls the appearance of the border that frames your logo on the main window. It doesn't apply to the print logo.

Hardware

You do not need any special printers to use KennelSuite. Almost any modern inkjet or laser printer that uses standard (Letter/A4) paper will do everything you need. If you want to take advantage of KennelSuite's advanced printing abilities, you may want to have different printers for different jobs. KennelSuite will automatically route print jobs to up to three different printers. The available printers are the ones you have installed in the Windows Control Panel. KennelSuite reads the list provided by Windows and doesn't know anything about these printers. They are just names. Since you are the only one who knows what these printers are, you must be careful to select the correct ones and choose the correct paper sizes. If you have only one printer that supports standard full-size paper, select it in each of the three sections.

Receipt Printer
This printer will print receipts. If no printer is selected, receipts will not print. Be careful to select the paper size that matches your printer.

Run Card Printer


This printer is dedicated to printing run cards (cage cards, kennel tags, etc.) If no printer is selected, no run cards will print. Options
Owner address The owner's home address will print at the top of the fullsize run card if this option is selected. You may want to turn this on if you will include the contract section for the owner to sign You may want to turn it off for security if you will be posting the run card in the kennel. Contract The contract text you defined in Tools-Options-Contract will print on full-size run cards if you select this option.

Signature line

If you want the owner to sign the contract, turn this on and a signature live will print at the bottom of the full-size run card. The preferred method for giving your staff feeding instructions is with a worksheet (Reports-Worksheets-Special Diet) but, if the diet is simple, and doesn't change, you may want to print it on the run cards. Be careful because space is limited and the complete instructions may not fit.

Diet details

Use color

If you have a color printer for run cards, selecting this option will print the indicators for medication, activities and special diet will print in colored boxes, and the run card alerts, which you defined in Pets-Miscellaneous-Alerts or at the bottom of a reservation or folio, will print in red. You may want to reduce expenses by turning this off and printing in grayscale.

Cash Drawer
If you have a supported cash drawer and you want KennelSuite to open it when you receive a payment, make your selections here.

Display
If you have a customer (pole) display, make your selections here. For a serial device youll need to know the port and speed required by the device and the settings for your computers serial port. Youll get this information from the manuals that accompanied your display and computer.

Report & Invoice Printer


This printer prints everything that isn't a receipt or run card. You should select the correct paper size that is supported by your printer. Problems may occur with certain printers when printing specialty jobs on odd-size paper or card stock. This is especially true when printing index cards on some inkjet or laser printers, or receipts on some dedicated receipt printers. We cannot guarantee that everything will print correctly on your specific printer or paper size Receipts and run cards will print correctly on the dedicated receipt printers we sell and support but we don't have a way to test on all the other brands and model available on the market.

PetDetect
If you print collars and labels with the PetDetect system, select the PetDetect printer here. If there is a printer selected, you will see this dialog when you print run cards collars & tags. If a pet is scheduled for medication or special diet, the Count field in the Tag section will update automatically. If you dont want to print anything, you can click Cancel or press the Esc key.

Location Options

Locations

This is where you add your locations and assign your own identifying location code. The locations are grouped by the Sizes you defined in Pet Details section of the Lists configuration. Note that the sizes refer to the pet's size and not to the size of the location. KennelSuite does not understand the significance of your numbering system. The location codes are simply a way for you to keep track of where a pet is being housed. You should keep your location codes short, perhaps a maximum of 7 characters, because there is a limited amount of space available on some screens and reports. Location codes can contain letters, numbers and punctuation. Locations are sorted alphanumerically in the lists on reservations or folios, so it is helpful to make all the codes the same length, especially if they are all numeric, so they will sort correctly. are met or exceeded. The Physical column contains the number of locations you have configured in the Locations list at the left of this dialog. The Warning column is where you put the threshold where KennelSuite should warn you that you are approaching capacity. The Capacity column is where you put the threshold where KennelSuite should warn you that you have reached or exceeded your capacity. You should use your experience to set your thresholds. For example, if you have 50 large runs and you know that large runs tend to sell quickly during busy times, you may want to set the Warning threshold to 35. This will alert you to start being more selective in the bookings you accept so you can save space for your good customers who may call late. If experience has shown that there tend to be 3-4 cancellations at the last minute, you may want to set the Capacity to 53. KennelSuite will never prevent you from accepting a booking based on your physical capacity because it can't understand the nuances of your policies. It simply changes the colors on your Occupancy Forecast when a threshold has been met or exceeded and you decide how you want to handle it.

Contract Options

This is where you enter the text of your contract. The contract prints on the full-size (Letter/A4) run cards if you have enabled that feature. You should keep the size of the contract small enough so it fits in the space provided on the run cards, which may take some experimentation. If your contract is long or has special formatting, you should print your contracts separately using word processing software.

Localization Options

Localization refers to the adaptation of a product, application or document content to meet the language, cultural and other requirements of a specific target market (a "locale"). Most of KennelSuite localizes itself automatically by getting your preferences from Windows. This includes formats for dates, numbers, currency, collating sequences, etc. This is where you set your preferences that are specific to KennelSuite.
Language The user interface (what you see on the screen) is available in different languages. The French version is mostly in English but many words involving finances have been translated. KennelSuite produces financial documents that conform to the requirements of some bi-lingual locations such as Quebec, Canada. Select the style you want for your default address. This format is used for your owner and veterinarian addresses. You can switch the format for each customer and vet if he or she lives in a place that uses a different format than the default. Country Telephone Format This should normally be set to your own country. This is where you define the format (appearance) of telephone numbers. Phone numbers are stored in the database as strings of digits and the formatting is applied according to these settings before they are displayed on the screen. Number with less than 5 or more than 16 digits are not formatted. To apply your own formatting style, select each and click Change. The "#" will be replaced with the actual digits. You can enter any letter or punctuation you want. Alphabet If your alphabet has more characters than the English alphabet, you can add them here.

FlexRate Options

FlexRates apply only to services in the Boarding category. You set your FlexRates prices in the price list (Lists-Prices-Items). You can enable or disable FlexRates for each boarding service.
Flex Names You may wish to change the default names to suit your preferences. The names you enter will be used by KennelSuite and will print on your customers' quotes, invoices, receipts, their pet history, and in their account. Select which FlexRate level applies to each day of the week. KennelSuite will automatically adjust the pricing for each day of the pet's visit. You can select individual dates or ranges of dates. The selected dates take precedence over the days of the week. For example, let's say you selected Wednesdays to use the Economy level, and you selected Dec 27, 2009 to use the Premium level. Even though that date is a Wednesday, KennelSuite will use the Premium price.

Days Dates

FlexRate Pricing
In addition to KennelSuites regular FastPath pricing, there is another dimension called FlexRate. You can assign individual days of the week, or different dates (or ranges of dates) to a different FlexRate level: Standard, Economy or Premium. Each level can have a different price. A date takes precedence over a weekday when the price is calculated. For example, if you have set each Wednesday to have an Economy price, and you have set each day between December 20 through January 2 as a Premium day, then each Wednesday in that date range will be a Premium day.

Once you have enabled FlexRates and set the days and dates, KennelSuite will automatically calculate the correct mix of prices for the boarding services on reservations and folios. If FlexRates is active, the boarding items on receipts, invoices and quotations, will be listed on separate lines so you and your customer can easily see the different quantities and prices for each FlexRate level. FlexRate indicator You will notice a small graphic next to the Extended Price field that explains how the price was derived. Click the graphic to see this:

The boarding charges for a single visit may be comprised of many different rates depending on how you have configured FlexRates. Since there is only one space each for quantity and price on the reservation and folio screen, it may be necessary for KennelSuite to display an average of the prices. If this is the case, both the quantity and price fields will be disabled and cant be manually changed. KennelSuite must control these fields. Examples:
This indicates that the boarding charge is derived from FastPath's Size level and FlexRates is active but all days are at the Standard level. Since all days are at the same FlexRate level, you can manually override the price. This indicates that the price is derived from FastPath's Breed level and that the Standard and Premium FlexRate levels are in use. Since FlexRates is using different levels, the price displayed is an average and you can't manually override the price.

Color Options

People have individual personal preferences and requirements regarding colors. These color settings can be customized by each KennelSuite user and are used each time that user logs into KennelSuite.
Calendars This is where you change the colors KennelSuite uses to indicate special days on many calendars, especially on reservations and folios. To change a color, click the corresponding Color button. If you want to set the colors back to KennelSuite's defaults, click the Reset button. On most calendars that use these settings, you can pass the mouse pointer over a colored day and KennelSuite will tell you what the color means. Status Charts These charts appear near the bottom of the snapshot view on the main window. Pending means that something is scheduled to happen but hasn't. Complete means it happened. To change a color, click the corresponding Color button. If you want to set the colors back to KennelSuite's defaults, click the Reset button. Grid This applies to many of the grids used by KennelSuite, such as those on the snapshot tab on the main window, and the Performance tab on owner and pet records. To change a color, click the corresponding Color button. If you want to set the colors back to KennelSuite's defaults, click the Reset button.

Internet Options

Most of the information in the E-mail section will be provided by your Internet Service Provider (ISP)
Servers These are the addresses of your mail servers. Get this information from your Internet Service Provider (ISP). You will also find it on e-mail program's configuration section. The name that will appear on the From line of the mail you send The address that will appear on the From line of the mail you send. If the recipient replies, the mail will go to this address. The name or ID you use to logon to your e-mail account. Get this information from your ISP The password you use to logon to your e-mail account. Get this information from your ISP If this is selected, you will be asked if you want to send a confirmation each time you save a new reservation. If this and the previous box are selected, you will receive a duplicate of the message sent to your customer. The text that will appear in the subject line of the message you send to your customer KennelSuite will use this file as a template for your confirmation message. This is an HTML document that you will edit and customize to suit your needs. It is normally stored in the \templates folder, which is located under your \data folder but you can put it wherever you choose. Test Settings Use this after you have entered all the information in the Server, User Name and Logon areas. If you entered the correct settings, it will send a test message to you, which you should receive almost immediately in your normal email program. If the test message is not sent or received, verify your information. Please do not call KennelSuite technical support because we cannot help with your personal account

information, or with your personal e-mail software. Errors In order to improve our software, KennelSuite is able to send errors directly to Plane Software. This data is inserted into a database and it helps us identify what problems our customers are having problems with the software. The only personal information that is included is your company name and the name of the computer that had the error. You can remove this information by checking the Anonymous box. If you choose to include your companys name and computers name, we may contact you to learn more about the error or to suggest a resolution. However, our privacy policy prohibits us from using this information for any purpose other than to help you. We hope you will allow your name to be included in the message. We strongly encourage you to leave the option set to Automatic because we can fix problems faster if we get realtime reports from our customers. KennelSuite can detect whether you have an internet connection and it wont try to send an error if you arent connected. Its best to leave this setting on Automatic. Alert other computers to When an Enterprise computer does something that may invalidate the data displayed on other computers, it tells the update their screens others what it did and each computer reacts appropriately. (Enterprise only) On large and busy KennelSuite networks, this updating may be a distraction. If you clear the checkbox, the computers wont alert each other and youll have to update the screens manually. On a busy network this may not be an inconvenience because each computer is constantly updating its own display as normal work is being done.

Before you can use KennelSuite for sending e-mail to your customers, it must be configured with your specific information. Your computer must have a functional e-mail client installed. If you get your mail from a web browser and don't use a local program, you must still have something that KennelSuite can use as a transport system. Microsoft has included a simple mail client named Outlook Express (OE) with every version of Windows 2000 and XP. Even if you use a browser and don't use or care about OE, you can enable it for free so KennelSuite will have a way to reach the internet and send mail on your behalf. Perform the basic setup for OE and verify that you can send mail. Once OE or any other local e-mail program is working, KennelSuite can use it to send mail to your customers on your behalf. You can disable the system by clearing the check in the "Send confirmation..." box. As an added level of safety, you will be prompted with the destination address and asked if you want to send this message. From the main window: 1. 2. 3. 4. Comment Options

This is where you define the text that will print at the bottom of the quotes, receipts and invoices you give to your customers. It can be any text you want.

Security
This topic does not apply to the Basic edition, which has no security system and no concept of individual users. In Basic, all features are always available.

Password
This is the first thing you will see after clicking Tools-Security. This is where a user can change their password. User passwords are confidential and only the user who owns the password can change it. Passwords are case-sensitive and may contain letters, numbers and punctuation. Passwords are encrypted before they are written to the database.

Name Old password New password

The full name of the current user (that's you) Your current password, if any. Your new password. The characters aren't displayed.

Since the new password isn't visible, you must type it again for verification.

Lost Password
There is no secret backdoor that will let you break into KennelSuite if you forget your password. You should be careful to assign a password to the Administrator account, write it down, and keep it in a safe place. If you can login as the Administrator or a member of the Administrators group, you will be able to clear forgotten passwords for other users. If you can't login as a member of the Administrators group, the only solution is to send your database to our support department. Since the passwords are encrypted, we can't tell you what it is but we can remove it and send the database back to you. There may be a charge for this service.

User
Only members of the Administrators and Managers groups can work with user accounts. The Users tab isn't visible to members of lower groups.

Name New Change Clear Password

A user's full name Create a new user Change the user selected in the Name list. Remove the user's password. Nobody can change another user's password but members of the Administrators and Managers groups can remove it. This usually happens when they forget their password. Only a member of the Administrators group can clear the password of another member of the Administrators group.

Full name

This can be whatever you want but first & last is customary. These names must be unique in the database so, if you have two Bob Smiths, you can use a middle initial to differentiate them

User name

This is the name used to login to KennelSuite. This can be whatever you want but the first initial of the first name plus all or the beginning characters of the last name are customary. This is the initial password you assign when creating a new user. To protect your system, a user account should never be without a password. For a new user, you make up an initial password, tell them what it is, and then ask them to login and change it to something only they know. Once the new user has been created, only the user can change his or her password. If a user forgets their password, members of the Administrators and Managers groups can clear the password but they can't change it or discover what it is. See Also "Error! Password

Associate ID

This is a unique number that identifies each user. If you have your own system for assigning employee IDs, enter the number here. If you don't care, leave it blank and KennelSuite will create a number for you. Once the new user has been created, the Associate ID can't be changed.

Grooming commission

If this user is a groomer, and if you pay commission on grooming, enter their rate here. If you pay commission, you must also edit the grooming services in your price list (Lists-Prices-Items) to indicate which pay a commission. If a groomer who earns commission performs a grooming service that pays commission, KennelSuite will include the details in the Commission report.

Sales commission

If you choose to pay a commission, you indicate their rate here. You must also modify the service and product items in your price list (Lists-Prices-Items) to indicate that they pay commission. Sales commission is calculated for the user that adds a new item to a reservation or folio.

Group membership

Each user must belong to a security group. A groomer must belong to the Groomers group before you can create an appointment for them. Most users belong to only one group but groomers may belong to two groups. Since groomers have limited authority, if a groomer also has other responsibilities, such as receptionist or manager, you should include them in a higher group, which will extend their capabilities in KennelSuite. Only members of the Administrators group can add a user to the Administrators group. Only an Administrator can remove an Administrator from the Administrators group. See Also

Mark the groomer's skills here. The items in this list are defined in Lists-General Lists-Skills. If you don't want to use Skills Matching, you should not assign any skills to either groomers or grooming services.

Groomer Skills Matching


The skills-matching feature is useful in shops with more than one groomer, and the groomers have different abilities and training. By using this feature, you can avoid assigning a task to a groomer who is not qualified. Each grooming service can have a set of skills that you feel are required to do the job. Each groomer can have a set of skills that you feel the groomer possesses. There are three separate steps required to enable Groomer Skills 1. Add Skills to the global list 1. 2. 3. 4. 2. Permissions
This option is not available in Basic. Access this window by clicking Tools -> Security -> Permissions. Users belong to groups. You can customize the default permissions here. By default, all users inherit their groups permissions.

Groups & Users Types & Categories Group

Select one from each list. If a group is selected in the Groups & Users list, you can change the permissions for that group. If you agree with KennelSuites choices, you can check the box Use Defaults If you want to modify the default settings, uncheck the Use Defaults box and make your changes. If a box next to a permission is checked permission is granted.

User

If a user is selected in the Groups & Users list, you can change the permissions for that user. If the Inherit from Group box is checked, the selected user will have the same permissions as the group. If you want to modify the settings for the selected user, uncheck the Inherit box and make your changes. If a box next to a permission is checked, permission is granted.

Note: Only members of the Administrators group can change permissions. The default settings for the Administrators group cannot be changed.

To work with your price list and manage the services and products you sell click Lists-Prices-Items to display this window.

Padlocks
Each Category and Item displays an icon of a padlock in the list. Those with the padlock in the closed/locked position are part of the program and can't be deleted or moved because KennelSuite knows what they are. For items with closed padlocks, you may change the term to conform more closely to your conventions but you must not change the meaning. Items with open padlocks were created by you. You can rename or delete them as you wish.

Active Inactive

The Boarding category should contain only items that mean spending the night. These items are eligible for FlexRate pricing and the program uses the dates on the calendars to calculate the quantity. The only place these services are available is the first checkbox on reservations and folios.

Items

The Add and Change Item Screen allows you to add a new pricing item or change an existing item. Any new item you add will be available from the dropdown list on reservations and folios. This dialog provides different options depending on the category.

Add or Change an Item


1. 2. 3. Select the category to which you want to add an item. Enter a name for the item. This is what will appear on the screen from the dropdown list and on invoices. Enter an abbreviation for the item if desired. This is used in some printed and on-screen reports such at the Grooming Schedule. Keep the abbreviation short (6-7 characters). Space is limited on some screens and reports. Enter a description. This is optional; you can describe the item if desired. The description is not used anywhere else in the program. Check Taxable box to if you want KennelSuite to add sales tax. Items in the Service type are either taxable or not. Items in the Products type have two levels of tax.

Item Details
Charge Style Boarding By Day or By Night. If you select by day, the quantity on a reservation or folio will always be one more than the number of nights.. Medication By Day or By Dose. If you charge by day, the pet will be charged the medication fee for each different med no matter how many times per day it is given. If you charge by dose, the pet will be charged each time the med is given. Special Diet By Day or By Meal. If you charge by day, the pet will be charged the diet fee for each meal no matter how many times per day it is given. If you charge by meal, the pet will be charged each time a meal is given.

UPC/Product code Each item that you sell must have a product code. In addition, if there must be a different code for each different price level. When FastPath and FlexRate pricing levels are combined, each service can have as many as 12 different prices, which means 12 different product codes. KennelSuite doesnt care about the value of the code other than each code must refer to only one combination of product and price. The product codes are assigned when you define prices (Lists-Prices-View/New Item). There are three alternatives: 1. 2. 3. Enter your own code Use the Universal Price Code (UPC) that is printed on standard retail items Let KennelSuite create a code for you. If you add a price for an item but dont enter a product code, KennelSuite will create a unique code for you when you click the Save button.

The product code identifies an individual item/price combination, which means that there can conceivably be an infinite number of codes for the same item. The number of codes depends on how many prices you have assigned for an item. For example, boarding flat rate will have a different code than boarding small or boarding Airedale If you have pre-packaged products for sale, each will probably have a UPC assigned by the distributor or manufacturer. You should use these codes because it will provide consistency in your numbering scheme. More importantly, it will allow KennelSuites retail module to read the UPC with a bar code scanner.

FastPath Pricing
FastPath lets you set multiple prices for the same item. When you select an item on a reservation or folio by clicking the checkbox, KennelSuite searches for the most appropriate price. It does this, in order, from the most important to the least important level. When you select an item on a reservation or folio, KennelSuite knows who the pet is, its breed, and its size. See Also "FlexRate Options" on page 40

FastPath levels
Pet You can set a price for an individual pet. This is the first price that FastPath checks. If you have set a price at this level, FastPath selects it and does not look further for a price. You can use the Pet level pricing to give a discount to a certain pet or for multiple pets boarding together, perhaps because it belongs to a favored owner, or to charge a little more because the pet requires more attention. If there is no price set under Pet, KennelSuite will go to the next level to find the appropriate price. Breed You can use this level to charge different prices based on the pet's breed. This is the second place FastPath looks for a price if it didn't find one at the Pet level. Some breeds may require special care or caution when you work with them and you can set a breed price to get a little extra for your trouble. If you set a breed price, and there is no pet price, then KennelSuite selects the breed price and does not look further. If the breed price is blank, FastPath checks for a size price. Size Many kennels charge by the size of the pet. When you added the pet to KennelSuite, you selected a size. If you set a price at the size level, and if there are no prices set at the breed or pet levels, KennelSuite will select the size price. For example, if you charge a different boarding rate for small than large dogs, you want to select each under size and set the appropriate prices. Flat Rate This is the lowest level. If there are no prices set at the higher levels, KennelSuite will select the flat rate price. Flat rate means that all pets are charged this price for the service you have selected.

At the Size, Breed and Pet levels, zero is not the same as blank. A blank price tells the program to keep looking. A price of zero tells it that there is no charge and it stops looking. If you don't set a price at any of the FastPath levels, KennelSuite will charge "zero" and you can enter your own price anytime before the pet checks out.

Surcharges
The Surcharge Screen allows you to add a new pricing item that is an extra charge, such as late check in, after hours, medicated bath, etc. The surcharges you add will be listed when you click the Surcharges button on a pets reservation or folio. This charge will be added to the pets account at check out. In the Main window: 1. 2. Open the Lists menu and click Prices then Items. In Type, select Surcharges from the dropdown list.

Work with Retail Products


Add your rates for sales tax
KennelSuite supports two levels of sales tax for each item. You will assign these rates to individual items when you create the items later. The two levels of tax rates are designed to accommodate various local laws. Some examples: Both federal and provincial taxes. State tax but no city tax. Different rates for the same item, such a food being taxed differently for working dogs as opposed to pets. In this case, you must enter the same item twice in the next step, give each a slightly different name and select different tax rates for each. In the Main Window: 1. 2. 3. 4. Open the Lists menu and click Prices. This displays the Price Maintenance screen. Select Tax from the Type list at the top of the Categories & Items list. Enter your local tax rate(s) as percentages. For example, if your tax rate is 6.25%, enter 6.25 and not 0.0625 Click the Save button to save the tax rates

Add your products to the price list


In the Main Window: 1. 2. 3. Open the Lists menu and click Prices. This displays the Price Maintenance screen. Select Products from the Type list at the top of the Categories & Items list There are several pre-defined categories. You may use these, rename them or delete them. To add a new category, click the New Category button. To add items to a category, select the category name in the list and click the New Item button. If you will be using a bar code scanner, you must enter the correct Universal Product Code (UPC) for the item. If you dont enter a code, KennelSuite will create one for you but it will not match the bar code on the label. You should find the UPC on the invoice from your supplier. Alternatively, you can read it from the label on the item.

Work with sales commissions


Commissions are not available in KennelSuite Basic. If you choose to compensate your employees with commissions on sales, you must take two steps. 1. 2. Mark the Pay Commission box for each applicable item when you add the item to the price list. Set the commission rate for each eligible employee. 1. 2. 3. 4. 5. Click Tools-Security Select the employee from the Users tab Click Change. Enter a percentage for their commission rate. Click Save.

Note that Sales commission applies to the person who sells the item (adds it to the res, folio or sales form). In the case of grooming services, the Grooming commission applies to the groomer who did the work. If your groomers are also receptionists and create reservations, they may earn double commissions. Of course, if Sally is a groomer/receptionist and she makes a grooming booking for Barbara, then Sally earns the sales commission and Barbara earns the grooming commission.

Work with groomer commissions


Commissions are not available in KennelSuite Basic Grooming services can pay commissions to groomers who work for commissions. To configure commissions: 1. Set up the grooming services 1. 2. 3. 4. 2. Click Lists-Prices-Items from the main window. Select a grooming service Click the View Item button. Mark the Pay Commission box

Beginning a sale
There are three ways to sell a product 1. 2. Add to a pets reservation or folio by clicking the Products tab at the top of the res/folio. Sell to an existing owner but dont associate the sale with a pets visit to the facility. 1. 2. 1. Select the owners name in the main list Click the Products button at the top of the main window. You will be asked if you want the sale to apply to the selected owner.

Sell to a casual, or walk in, customer. This anonymous sale is not recorded to any persons account. 1. 2. Click the Products button at the top of the main window. If there is an owner or pet selected but you dont want the sale applied to their account, select the option for Walk In / Casual and the sale will be anonymous.

Selling products
Once a sales form is open (a reservation, a folio, or a sales form for a casual sale), the remaining process is the same. There are two ways to add an item to the sales form: 1. Use the mouse or keyboard 1. Select the appropriate Category from the dropdown list along the top of the form. This will load the other 2 lists (item code and item description) Select from either the item code of description list. This will create a new line on the form that contains the item code, the description and the price. The initial value for Qty will be 1. The extended price will calculate automatically. Continue this process until all items have been added. If you select the same item twice, a new line will not be created. Instead, the qty for the previously added item will increase by one. You can also manually change the quantity and the extended price will calculate when you leave the qty field.

Use a bar code scanner. Scanning retail products is very fast, accurate and efficient. If your products are pre-packaged and have a UPC on the label, all you need is a scanner. If you want to print your own bar codes, youll probably also need to invest in a font. o o The ability to scan bar codes is always enabled when a sales form or the Products tab on a reservation or folio, is active. It is not necessary to select from the category list. Simply scan the bar code on the item and it will be added as a new line item, or the qty of an existing item will be incremented by one. If the speaker button is turned on, a sound will play after scanning. The tone will be different depending on whether the scan was successful.

If the scan fails, the most likely causes are that the item code being scanned was not found in the database because you havent added it yet, or the bar code on the tag is malformed and cant be read. Its also possible that your scanner is not configured to read the particular style of bar code on the tag.

Checking out
The check out window is the same as always except for the Walk In / Casual sale. In this case, because it is an anonymous sale, the check out window does not show anything about the owner (previous balance, etc.) and requires the exact payment. It there is an under payment, it goes against the house (your) account. Over payments are always flagged with the difference being cash back.

After the sale


Product sales are listed in various reports in the Finance section of the reports menu. Click the Reports button on the main window to see the various product reports.

Bar Code Fonts


If you will be printing some of your own bar code tags for items that do not come from your distributor with a standard UPC, you must take care. Make sure you are using a bar code font that your scanner can recognize. Depending on your scanner, you may have to purchase a font. Review your scanners documentation for the supported fonts and whether the scanners default configuration needs to be changed to read the font you have selected. Many scanners do not recognize the simple bar code fonts that come with many programs, such as MS Word. Sometimes the scanner can be programmed to read the font but you may need to obtain a more sophisticated font for commercial applications. Commercial bar code fonts are generally not free. If your facility is relatively small, some companies offer special low- or no-cost deals.

Tax
1. 2. Select Tax from the Type list Enter your tax rates in the appropriate boxes.

For product taxes, KennelSuite calculates the tax cumulatively. For example, if Tax 1 is 10% and Tax 2 is 5%, and you have marked a product to use both taxes, the rate will be 15%. If you have the same product that may have different tax rates depending on the situation, you must enter the product twice as a separate items with different names. For example, if food sold to pets has a different rate than food sold to working dogs, you can make Tax 1 the standard rate and Tax 2 the working dog rate. If your local tax laws are complex, it may be a good idea to set your base price to include the sales tax rather than having KennelSuite calculate the tax separately.

Product Mover
If you have been using version 5 of KennelSuite, which was discontinued in 2003 and didn't support retail products, you may have added products under one or more of the services categories. This utility will help you move items that are listed as a service into the products list. 1. 2. 3. 4. 5. On the main window, click Lists-Product Mover. This will open a new window. On the right pane, locate your product items Mark the box next to each item you want to move On the left pane, select the category to which you want to move the items you marked in the left pane You can click the New Category button above the right pane to create a new product category if none of the default product categories suit your needs Click one of the arrow buttons to move the items. If you made a mistake, you can mark the items in either pane and click one of the arrow buttons to move them back to a service category.

Rate Adjuster
The Rate Adjuster allows you to make price changes to groups of items quickly. You should make a backup before you work with the Rate Adjuster. If you make a large number of changes and then change your mind, it may be very difficult to undo everything. It may be easier to restore from your backup.

Update Selected Items


Update This button is disabled until you have selected a group of items and have configured the desired action. Clicking this button performs the action but it doesn't actually change anything in the database. You should review the changes to make sure they are what you want. Confirm This button is disabled until a pending update is in progress. If you are satisfied with the results, click this button to write the changes to the database. Once you click Confirm, you can't automatically reset the prices to their original values. To reset the prices, you will have to enter an action in the opposite direction. If your original action used a percentage to calculate the new values, you will have to calculate your new action carefully. Undo This button is disabled until a pending update is in progress. If you don't want to keep the pending update, click this to reset the prices to their state before you clicked the Update button.

Owner Records
The minimum requirements for an owner are first name and last name. The combination of first name, last name and address (first line) uniquely identify an owner.

Owner Tab

Format

If your address format is set to City / State / Zip (United States), you can't enter a city or state directly. When you enter a 5-digit Zip code, KennelSuite locates the appropriate location. If more than one city is served by that Zip code, the one the post office considers the primary is displayed. You can pick one of the alternates from the list. The default country is set in Tools-Options-Localize. Enter only the digits. When you leave the field, KennelSuite will automatically apply the display format you defined in Tools-Options-Localize. Items in this list are defined in Lists-General Lists-Referrals. When AutoCaps is on, certain words are automatically adjusted for proper casing. The first letter of each word is uppercase and the others are lowercase KennelSuite tries to apply correct capitalization to certain types of names, such as O'Neil, McDougal, etc., but you must watch for the exceptions. When AutoCaps is off, the case of the letters is not changed and remains as you typed them. The formatting is applied when you leave the field, not when you click the option on or off.

Delete

The Delete button is enabled only when the Owner tab is visible. Deleting an owner will also delete the pets. An owner can't be deleted if there is a balance on the account or any of the pets are currently in your facility or have reservations on file. If an owner has no history (has never been to your facility), it is removed from the database. If the owner has history, it is hidden in a special category and is unavailable but remains in the database to preserve the history. A deleted owner can be recalled (undeleted) by clicking Tools-Undelete. If you are adding a new owner and get a message that it is a duplicate, look in the deleted file and you will probably find that the owner, or someone with the same name and address, is there. You can either undelete the owner, or make a minor change the name of the owner you are trying to add. For example, you can add a middle initial.

Accept check as payment Copy

If this box is not checked, the receptionist cannon accept a check when receiving payment. Click this button to copy the address to the Windows clipboard. This is useful for quickly printing a label or envelope with another program

Status Tab

Status

An owner has three states: active, inactive and deleted. Active is the normal state. The deleted state was discussed earlier on the Owner tab. When you make an owner inactive, all pets are also made inactive. The owner and pets remain visible in the main list (grayed) but you cannot make new bookings.

Rating

The rating is how you feel about the owner. The purpose of the rating is to give your receptionist a clue about how to handle this person, even

though she may not know anything about them. User Defined You can use this space to store any type of info you want. You can change the title (Your label goes here) under Tools-Options-General. KennelSuite doesn't know what this data is and doesn't do anything with it except display it here.

Security Tab
All information on this tab is encrypted before being written to the database. However, it is still a risk. If you choose to store this type of information, you should take care that your computer (the server if you have the Enterprise edition) and your backup discs are physically secured to prevent theft.

Credit Card Type Identification

You must enter all five pieces of information in order to save. This list is populated with the items you defined in Lists-General Lists-Credit Card. You can use this for your own purposes. Perhaps a driver's license. KennelSuite doesn't use it for anything except to display it here.

All information on this tab is required, except weight, tattoo and microchip. You have the ability to assign "?" for many items but we urge you to take the time to provide accurate and complete information. You only have to enter this data once and it will serve you well in the future if it is complete. The items in these lists were defined in Lists-Pet Details and Lists-Veterinarians. There is a special size "Cat". If the species is cat, the size should also be cat. KennelSuite uses this size in other parts of the program, such as occupancy forecasts.

If you change the info here later, the notes on the reservation or folio do not change. If you change this information on a reservation or folio, the data here will also change and become part of the pet's record.

Change Owner Tab

Occasionally one of your customers may transfer ownership of a pet to another one of your customers. Or you may be a breeder and want to transfer ownership from you to one of your customers. You can do this by selecting the new owner in the list and clicking the Change button. The pet and all its history will transfer to the new owner and entries will be made in the Events log for each.

Photo Tab

When you save the pet's record, the photo is renamed and copied into the image folder you defined in Tools-Options-File Locations.
Clear Change View Remove the photo from the pet's record Add a photo. This will open a browser and you can locate the image, perhaps in your camera or on disk. This changes the scaling of the image. If the image is larger than the available space, KennelSuite will scale it to fit the viewing area but it won't alter the photo itself. However, depending on the dimensions of the original, it may be distorted when scaled to fit. Clicking the View button will remove KennelSuite's scaling and show the photo in its actual size. Since that may be much larger than the viewing area, you can drag the photo around with your mouse. The mouse pointer will change from an arrow to a hand when scaling is disabled.

Reservation Toolbar

Back Save Check In Run Card Quote Clone E-Mail

Closes the reservation and takes you back to the main window. If you have unsaved changes KennelSuite will ask if your want to save them. Save and close the reservation This will check the pet into your facility. The reservation will be converted to a folio. Print a run card View and print a quote of the current charges Make one or more reservations based on the information in this reservation. Send a reminder to the owner with details of this reservation. If the button has a picture of an open envelope, it means that a reminder has already been sent. You can send as many reminders as you want. If you have configured the e-mail (Tools-Options-E-Mail) to automatically send reminders, and if this owner has an e-mail address on file, KennelSuite will send the reminder when you save and close the reservation for the first time. Use this button to send duplicate reminders.

Delete

This deletes the reservation. If an owner calls to cancel their booking, or if they never arrive, you should delete the reservation. KennelSuite will ask for a reason and will log the event. You can keep an eye on your customers who cancel frequently on short notice by running one of the Cancellation Reports. Deleting reservations is a normal task and any member of Administrators, Managers and Receptionists can do it.

Boarding & Daycare Tab

Quick Start
There are usually only three reasons a pet comes to your facility: boarding, daycare, or grooming. Everything else is usually an addition to one of those basic services. In this example, we'll assume that this is a reservation for boarding. 1. Click the first checkbox at the top left. The standard Boarding service is pre-selected in the dropdown list but you can select another. The items in this list were defined in your price list (Lists-Prices-Items) in the Boarding category. Click the date the pet will arrive on the top calendar. Click the date the pet will depart on the bottom calendar. The times are optional and will default to your opening and closing hours on the dates you select on the associated calendars. If you pre-assign locations, select one from the Locations list at the bottom left. This is optional. KennelSuite defaults to the "?", or unknown, location.

That's all there is to creating a basic reservation. You can continue adding more items to suit your customer's requirements. You can now save it or check the pet into your facility.

Details
Location This displays the location of the pet. You may pre-assign a location for a pet in a reservation or assign the pet a location when the pet arrives in the folio. This displays the total tax for all the taxable services. This displays the total charges for the pet's services that you currently have selected in the reservation or folio. Any sales tax that applies to the selected items is included in the total. This area is for adding any special instructions for caring for this pet. Comments can be 254 characters in length. This displays the quantity of each service you have selected. For example, when you select boarding, then select the check in, and check out dates, KennelSuite inserts the correct number of days depending on your charge style. You can change the quantity at any time prior to check out. You can also use decimals, such as 1.5. To enter a quantity between 0 and 1, begin with 0. You cannot enter negative quantities. Price The price of services. In most cases, KennelSuite will calculate the value for you by looking up the price for the selected service that you set in Lists-Prices. You can also use decimals, such as 1.5. To enter a price between 0 and 1, begin with 0. You cannot enter negative prices. In some cases, such as when you have chosen to use the FlexRates for boarding, KennelSuite needs to control the individual price in order to make the extended price be correct. You can tell if KennelSuite has taken control of a price because the field will have a shaded background and you cannot type over the existing value. Ext. Price Custom items KennelSuite calculates the extended price (Quantity x Price) and you cannot change it. To make KennelSuite easy to use, it lists the most common services for kennels, which are fixed on the screen. You can always change the wording of these services in Lists-Prices-Items to fit your facility, but you shouldnt change their meaning.

available in the drop-down lists at the bottom of each reservation and folio. When you place a checkmark next to the dropdown list, you can scroll to your desired service. You can add your own services. The services you add to KennelSuite are available in the drop-down lists at the bottom of each reservation and folio. Manual override When a service is selected on a reservation or folio, the price and quantity are automatically calculated. If you manually change the price or quantity that KennelSuite calculated, it is highlighted on the screen to indicate that a non-standard price is in effect. This highlight can be removed only by letting KennelSuite calculate for itself. This is done by de-selecting the service and then reselecting it. Calendars Click the calendars to indicate the dates of the pet's stay in the facility. The top calendar is the day of arrival and the calendar below it is the day of departure. The dates on the calendars will change to the colors you defined on Tools-Options-Colors when the date is a holiday you defined on Tools-Options-Facility. Run Card Notes Information you enter in these fields on a reservation or folio print on the run cards, become part of the pet's file, and will appear automatically the next time you create a reservation. Once a reservation is created, the information in these fields will stay with the reservation and folio even if you change the information in the pet's file. You can also change this information directly by editing the pets record. The maximum length of a run card note is 254 characters. Any notes about the pet or their possessions can be added here. This will print on the run card. Space is limited so you should keep your comments brief. Run Card Alerts The maximum length of an alert is 50 characters, but you should keep the alerts short to make sure they can fit on the run card size you are using. Some examples of alerts:

The reported time is when you said the pet checked in. The value comes from the arrival time field on the reservation. This time can be changed only on a reservation before the pet is checked in. Once the reservation has checked in and converted to a folio, the check in time becomes part of history and can't be changed. This field displays only on folios and in various reports.

Actual Arrival

The actual time is from the computer's clock when you clicked the Check In button. If you rely on the actual check in time, you should be careful to keep your computer's clock set correctly. If security is important to you, you should set your Windows permissions to prohibit your employees from changing the computer's clock. This field displays only on folios and in various reports.

Activities, Medications & Special Diets


There are separate schedulers for each of these services but they all look and operate essentially the same way.

Activities

Name

The list is populated from the items you added under Lists-Prices-Items in the Activities category. Each activity is a separate service item and has its own price and item code. The price is retrieved from the price list. You can manually change it here, if you wish. The days the activity should be performed. You can click the Everyday button or you can select individual days by clicking the box next to the day. KennelSuite's day is divided into five periods. Mark the box or boxes as required. Enter any special instructions here. Save the schedule and return to the reservation or folio. Add a new activity. You can add as many activities as you want. Each new activity has its own page which is indicated by "Page x of y" near the top of the dialog. You can use this system to create complex regimens during the pet's stay at your facility.

Click this button to delete an activity (page). You can't delete the last page. If you want to remove all scheduled activities from the reservation or folio, you don't need to open the scheduler. Simply remove the mark from the Activities checkbox and the entire schedule will be deleted.

A grooming appointment requires 5 pieces of information and each must be entered in a certain order. Each piece gives KennelSuite information that it uses to present your options for the next piece. 1. Select the service(s) by marking one or more of the checkboxes on the left of the window. KennelSuite needs to know this first because you may be using Skills Matching and it can't select the eligible groomers until it knows the services and their required skills. 2. Select the groomer you want to perform the service(s) KennelSuite needs to know the groomer before it can configure the calendar to indicate which days that groomer is available.

You defined the groomer's schedule on Tools-Options-Grooming.

If you select a date and the groomer is not available, you will see the reason in the Status box below the calendar. 3. Select the desired date on the calendar. This tells KennelSuite the groomer's schedule on that date. 4. You defined the colors for the calendar dates on Tools-Options-Colors.

Enter the desired appointment time. This allows KennelSuite to calculate the default Promise time based on the default appointment length you defined in Tools-Options-Grooming.

Enter the Promise time, if you want it to be different from the one KennelSuite provided.

Once you have selected all 5 pieces, and there are no problems or major conflicts, you have created a complete grooming appointment and KennelSuite will allow you to save the booking. This process may seem rigid and complicated but it will save you time and keep you out of trouble. You will find that once you have done the basic configuration work of defining your business schedule and holidays, your groomers' work schedules and holidays, your skill requirements, etc (which you only have to do once --or at least very infrequently), the process of creating a grooming appointment goes very quickly.

Grooming is Complete
If this were a folio, you would see a checkbox labeled Grooming is complete. Check this box when grooming is complete. The checkbox doesn't appear on a reservation because the pet hasn't arrived yet.

Surcharges Tab

Add your surcharges here. KennelSuite will specifically ask you, at the moment of check in/out, about how you want to handle the three built-in surcharges. KennelSuite's surcharges are linked to the check in/out times but you can add your own surcharges to your price list (Lists-Prices-Items-Surcharges) and add them to reservations and folios when you choose.

Products Tab

Products are "hard goods" that you sell at retail. They are defined in your price list by clicking Lists-Prices-Items from the main windows and then selecting Products from the Type list at the top. Like services, products have names, belong to categories and have item codes.

Manual Operation
If you don't have a bar code scanner, you can operate the Products section manually. 1. 2. 3. 4. 5. Remove the mark from the Scan On checkbox. KennelSuite will remember this setting the next time you open the products tab. Select the category, such as Treats, from the dropdown list on the right. Select the item by selecting its name from the middle list, or its item code from the list on the left. You can manually override either the quantity or price if necessary. If you select the same item more than once from the lists, KennelSuite will increment the quantity for you.

Bar Code Scanner


Using a bar code scanner is much faster than doing it manually. 1. Mark the Scan On checkbox. This tells KennelSuite to take its input from the scanner and not the keyboard or mouse. This setting applies only when the Products tab is active. Mark the Sound On checkbox. This is optional but you will probably find it helpful when the sound s on. Most bar code scanners will make a sound to indicate they have successfully read a code but that doesn't mean it has been recognized by the software. KennelSuite will alert you with a tone if the bar code you scanned was found in your database. It will sound a different tone if the scanned code wasn't found. 3. If you need to make a manual override, clear the mark in the Scan On checkbox, make your change, and turn the scanner back on.

Daily Operation

Workflow
This is the systematic process for creating a new customer and caring for her pet. You create the owner and pet only once but this guide assumes you are starting with a new customer. For existing customers, you will select the pet in the main list and begin with step 3, Create the Reservation.

Create the Owner


Click the New Owner button on the main window's toolbar and enter the appropriate information into the Owner dialog. When you save the new owner, KennelSuite will insert it into the main list and select it automatically so you can quickly move on to adding a pet.

Create the Pet


Click the New Pet button on the main window's toolbar and enter the appropriate information into the Pet dialog. The new pet will belong to the selected owner in the main list. You can't add a new pet until you select an owner. When you save the new pet, KennelSuite will insert it into the main list and select it automatically so you can quickly move on to creating a reservation.

Create the Reservation


Click the Reservations button on the main window's toolbar. This button works only if there is a pet selected in the main list because KennelSuite needs to know whose reservation it is working with.

The Reservations button will open a list of pending reservations, if any, for the selected pet.

Click the New button to open a blank reservation for the selected pet.

Check the Pet In


When the pet arrives at your facility:
Open the reservation by clicking selecting the pet in the main list and then clicking the Reservations button on the main window toolbar. You can also open a reservation by double-clicking a row in the Expected Arrivals list on the Snapshot tab Review the details with your customer Click the Check In button on the reservation toolbar.

The reservation is converted to a folio and the pet is now in your facility and under your care.

Provide Services
During the pet's stay at your facility:
The essence of providing scheduled services is to use KennelSuite's Worksheets. You should print at least the Activities, Medications and Special Diets worksheets. This should be done as close as possible to the time you perform these tasks to make sure all pets are included. If you print them too early, you run the risk of having a check in or out occur after the worksheets were printed and a pet may miss the service, or your staff may waste time looking for a pet that has already checked out. Print your worksheets by clicking the Reports button on the main toolbar and selecting from the items in the Worksheets category. Since the worksheets contain only the tasks that must be done during a specific period on a specific day, your instructions to your staff should be "If it's on this worksheet, do it, initial it, and return it to me." You may want to file the completed worksheets for some period as backup in case there is a problem with the pet after it goes home.

Check the Pet Out


When the owner arrives to collect their pet:
Open the pet's folio and review it with your customer by selecting the pet in the main list and then clicking the Folio button on the main toolbar. Click the Check Out button on the folio's toolbar. This will open the Check Out window where your can receive payments.

The folio is converted to a history and the pet has left your facility.

End of Day Tasks


There are no required tasks that you must perform at the end of each business day, but this is a common list of things that should to be done. However you choose to deal with this, these tasks should be done in this order.

Print Reports
You will probably want to print at least these two types of reports at the end of each day. See also: End of Day Reports
Daily Transactions You can either print the summary or detail version. The purpose of these reports is to balance your till and perhaps make a bank deposit You will usually print at least tomorrow morning's Medications and Special Diet worksheets and leave them for the morning crew. You may also want to print tomorrow morning's Activities and Grooming worksheets.

It is critical that you do this every day. Remember store backup in a secure location away from the computer. See Also "Backup the database" on page 88

Exit KennelSuite
Click the Exit button on the main toolbar.

Logout from Windows -or- Shutdown Windows


This step doesn't matter to KennelSuite but it will help keep your system reliable and secure. If you prefer to leave your computer powered up all the time, you should logout from Windows to protect your system from unauthorized use. If you prefer to turn your computer off, you must let Windows perform its shutdown procedure before you switch it off.

How Do I?
Backup the database
To create a backup, you must be a member of the Administrators, Managers or Receptionists group. Tell KennelSuite where to write the backup. This needs to be done only once as part of your system configuration. 1. 2. 3. 4. Click Tools-Options Click the File Locations tab Click the Change button next to Backup Location Locate the destination. This could be the drive letter for your USB memory drive (recommended), your CD-RW burner, a Zip drive, a tape drive, a shared folder on a backup computer, etc. Click OK

Work with Owner Records


Before you can provide services or create a record for a pet, the pets owner must have a record in KennelSuite.

Display an owner record


Display an owner in either of the following ways. From the main window: 3. 4. 5. Find the owners name on the main list and then click the View button. Find the owner using the search facility and then click the View. On the bottom status bar, click the owners name if the owner is presently selected.

Create a new owner record


In the main window: 1. 2. Click the New Owner button, to display a blank owner record. Complete each field and click the Save button when finished.

The minimal information required in the owner record is the first and last name.

Delete an owner record


Deleting an owner record also deletes the pet records associated with it. Deleting an owner does not actually remove the owner and their pets from the database. They remain in the database to preserve their history but they are hidden from view. You can make an owner or pet inactive which keeps the visible and accessible but you cant create any new reservations. Disabled owners and pets are displayed in the main list in a dim color. In the Main window: 1. 2. 3. Display the owner record. Click the Delete button. To continue, click Yes.

Undelete an owner record


In the Main window: 1. 2. 3. 4. Open the Tools menu and click Undelete. In the Undelete screen, click the Owners option. Scroll the list and click the checkbox next to the name of each owner you want to undelete. Click the Undelete button.

Work with Accounts


The owner account is only accessible to members of the Administrators, Managers, and Receptionists security groups. The owners account displays all previous transactions, payments of services, and their current balance. See Also "Finance Reports " on page 123

Display an account
In the Main window: 1. 2. Select the owners name from the Main list. Click the Account tab.

You cannot edit the account information screen. The only way the account information can be updated is by adding an adjustment or receiving a payment. You can't change history.

Make an adjustment

You cannot edit the account information screen. The only way the account information can be updated is by adding an adjustment or receiving a payment. You can't change history. Adding an adjustment doesn't change your reported sales. This is a way to fix small mistakes, which tend to go in both directions and cancel each other out over time. Use the adjustments only to correct mistakes. If you make a big mistake, such as entering 800 instead of 8.00, you should enter the correct value into your accounting program and make a not that explains the mistake.

Receive a payment

Before you can provide any services, the pet must have a record in KennelSuite.

Display a pet record


Display a pet in either of the following ways. In the main window: 1. 2. 3. Find the owners name on the main list and then click the View button. Find the owner using the search facility and then click the View. On the bottom status bar, click the owners name if the owner is presently selected.

Create a pet record


An owner must exist before creating a pet record. 1. 2. 3. 4. Click the owners name. Click the New Pet button, to display a blank Pet record. Complete the fields to describe the pet: Click Save

Delete a pet
When you delete a pet, you are not necessarily removing them from the database. If the pet has any history, its record will only be marked as deleted, the historical information will remain, and the pet can then be undeleted. If the pet has no history, it will be permanently deleted. 1. 2. 3. Display the pet record. Click the Delete button. Click Yes.

Undelete a pet record

Tips for Working with Pet Records


An owner can't have more than one pet with the same name. This includes inactive and deleted pets. Sometimes an owner will give a new pet the same name as a pet from the past. Enter either the pet's age or its birth date and KennelSuite will calculate the other.

Work with Locations


When you work with reservations and folios, you can assign a pet to a location or leave it blank and KennelSuite will assign it a ?, which means unknown. Before you can assign a pet to a location, you must name the locations in your kennel in Tools-Options-Locations. There are two modes for the location selector on reservations and folios. KennelSuite will try to help you by selecting the mode that makes the most sense according to what you are doing, but you will want to switch between the modes to accomplish your goals. All means all locations will be displayed Vacant means only locations that are available for the range of dates you selected will be displayed

Assigning Pets to Locations


When you create a new reservation, the location is blank and the filter button displays a dripping faucet/tap, which means only available locations are listed. You may choose to pre-assign the pet to a location or leave it blank. A location is available only if it is unoccupied for each date in the range you selected on the calendars. If you are assigning multiple pets to one location, the All mode should be used. KennelSuite allows you to assign one location for multiple pets by using the All mode of the locator. 1. 2. Display the first pets folio or reservation: Assign the first pet to the location and make any other changes to the reservation or folio and then click the Save button. If you are working with a reservation, you may also click the Check In button. Open the reservation or folio for the next pet. Under the Location dropdown list, select the All option. This causes the location assigned to the first pet to be included in the list. Choose the same location as for the first pet, make any other changes and then click the Save button or the Check In button. Repeat this for each pet that will be sharing the location.

Schedule Meds, Exercise, and Feeding


The procedures of scheduling Medication, Special Diets, and Exercises are similar. A dialog box will appear when you check one of these services to schedule the medication, feeding or exercise with instructions.

Work with Reservations & Folios


Every appointment begins with a reservation, even a walk-in appointment. Before you can make a reservation, you need both an owner record and a pet record. It is not good practice to check a pet in before it has arrived or check it out before it has left. This can cause confusion and possible errors in the owners account. Remember that KennelSuite was designed to run in real-time.

To display a reservation
In the Main window, display a reservation in one of these ways: 1. 2. Select the pets name from the Main List and click the Reservations button. Choose the reservation you want to display and click Open. If the pet is due in that day, the pet will be displayed on the Snapshot tab, double-click the row of pets information.

To create a new reservation


In the Main window: 1. 2. 3. 4. Select the pets name from the Main List and click the Reservations button. This displays the Reservations List Screen. Click New to display a blank Reservation record. Select the service(s) for the pet, date(s) and any type of special instructions. Click Save.

Update a reservation
In the Main window: 1. 2. 3. 4. Select the pets name from the Main List and click the Reservations button. This displays the Reservation List Screen. Select the reservation you wish to update and click OK. Update the necessary information in the reservation. Click Save.

Cancel a reservation

Check a pet in
To check a pet in, the pet must have a reservation. 1. 2. 3. Display the pet's reservation. Verify or add any information. Click the Check In button.

Display a folio
In the Main window, display a folio in one of these ways: 1. 2. Select the pets name from the Main List and click the Folio button. Display the Snapshot tab and double click the row of that pet in the Guests section.

Update a folio
In the Main window: 1. Open the folio. Do this by selecting the pet in the list on the main screen, and clicking the Folio button. You can also double-click that row in the Pets In Kennel list on the Snapshot tab. Make the necessary changes. Click the Save button.

This is a potential security risk. To see which folios have been deleted, click Reports-Miscellaneous-Deleted Folios. You must be a member of the Administrators security group to delete a folio or view this report.

The next time you create a reservation for the pet, KennelSuite checks to see if there is anything saved from the last visit. If so, you will be asked if you want to include any of these saved details. Notes: The dates and frequencies are not included when the previous details are added so you must manually select the dates for each. KennelSuite cannot do this for you because the details are added as the blank reservation is being created and you havent yet selected any dates, and because KennelSuite cant know why you chose certain dates in the past (every day, every other day, etc.) Only the details from the last visit are saved. This means that if Meds were scheduled on the last visit but not on the current visit, the next time you make a reservation for the pet, no previous medication details will be automatically available. Prices are retrieved from the current price list and therefore may be different from the previous price.

Work with Daycare & Packages


Packages are normally associated with daycare but you can use this technique for anything. The only difference between how KennelSuite handles Daycare and Boarding is that Daycare means "spending the day", while Boarding means "spending the night". In both cases, the pet has a separate reservation for each visit to your facility, they are checked in and out, their services appear on the worksheets, etc. If you sell packages, such as 5-Day, 10-Day, etc. you add them as separate items in the Daycare category of the price list. The price you enter for each package is always the per day price. For example, if you sell a 10-Day package for $300, your per day price will be $30. To add a package: 1. 2. 3. 4. 5. 6. 7. Click Lists-Prices-Items from the main window to open the price list. Select the Daycare category. Click New Item. Give your package a name, such as "Daycare, 10-Pack". Click Save. Enter the per day price on the main price list window. Click Save.

To sell a package (if you take the payment in advance): 1. 2. 3. 4. 5. Select the owner's name in the main list. Click the Account tab. Click the Payment button. Select the Advance Payment option. Enter the total package price as the payment.

Click OK. At this point, the owner has a credit on his or her account and you are waiting for them to use it.

To use the package: 1. Create a reservation for the pet. Select the appropriate package from the Daycare line and KennelSuite will get the correct per day price. Each visit requires its own reservation. You can automate the process by cloning a reservation to make duplicates for future dates. 2. 3. 4. Check the pet in when it arrives. Check the pet out when it departs. On the Check Out window, don't enter a payment. This will cause KennelSuite to subtract that day's charge from the credit balance on the owner's account. Before you finalize the check out, look at the balance on the account. If this visit will use the last of the pre-paid package price (credit balance approaching zero), ask your customer if they would like to buy another package. With package deals, KennelSuite counts the money not the days. This gives you the flexibility to manage special circumstances, such as charging for a partial day because the pet went home early, let multiple pets in the same family share the same package, etc. Note: If you include other items in a package, such as boarding with a walk every day and a bath on the day the pet goes home, you can Create an item in the Boarding category called Boarding, Gold Plan (or whatever name you choose) and assign the per day/night price. Create new items in other categories, such as Playtime, Gold Plan and assign a price of zero. Print a menu for your receptionist that lists what items are included in each package.

When the receptionist creates a booking for one of the packages, she can refer to the printed menu to select the appropriate services and products that you have included in the package.

Work with Grooming Appointments


To make a grooming appointment its important to follow a certain order. 1. 2. 3. 4. From the main list, select the pet to be groomed. Open a reservation or folio. Select one of the grooming service checkboxes. Select the groomer from the drop-down list if you have multiple groomers. The calendar may change to indicate the availability of the selected groomer. Click the day you want for the appointment. You cannot make any appointments on red days, which indicates grooming is closed, the

specified groomer is not scheduled to work that day, or the groomer has restricted new appointments for the day. 6. 7. 8. Click Details to find an available time Select an appointment time from the dropdown list. Only the selected groomers available times are listed. The program will automatically select the promise time based on the default duration you chose in the Options dialog. You may change the promise time but it cant be earlier than the appointment time or later than the selected groomers work schedule. Add any comments or instructions in the Comments box and click Save or Check In.

Grooming Status
The status refers to the combination of the grooming service, the date selected on the grooming calendar, and the groomer selected in the Associate list on a reservation or folio. If the date on the calendar is black, the status will be open, which means you can book a grooming appointment. If the selected date on the calendar is colored, the status will indicate one or more of the following conditions: Kennel is closed. This means the facility is not open for business so you may assume that there are no groomers working on that date. See Also "Day & Time Options" on page 28 Grooming is closed. The selected groomer is not working on the selected date. It may be because she doesnt work on that day of the week or that she is on holiday on the selected date.

This means that Bath & Trim (or whatever name you may have substituted for the default) is selected and the selected groomer has overridden the schedule to refuse more trims. See Also "Quick Look Grooming Schedule" on page 115 A groomer can override an individual days schedule by opening the grooming schedule, clicking the date in the list, and selecting from the popup menu. This feature gives a groomer control of each days schedule. For example, if she knows she needs to leave work early on a certain day, she can mark the day no more reservations when the bookings reach the number she can complete in the allotted time. Alternatively, she may wish to limit the number of scissor trims but leave the schedule open for more baths. In this case, she would mark the day No more Bath & Trim.

Checking Out
The Check Out screen allows you to check the pet out of the kennel, take care of payment, and print a receipt or an invoice for the owner.

Checking out multiple pets


The Multiple Checkout screen allows you to check out more than one pet at a time to receive one total and one invoice.

In the Main window: 1. 2. 3. 4. 5. Select the owner that has pets checked in. Click the Check Out button. Select the pets to be checked out. Click OK. You will now see the Check Out window.

When checking out multiple pets, the entire process will be canceled if there is a problem with any of the folios, such as the check out date is in the future.

Checking out a single pet


There are two ways to check out a single pet: 1. 2. Select the pet in the Main List and click the Check Out button on the Main toolbar. This will open the Check Out window. Select the pet in the Main List and click the Folio button on the Main toolbar to open the folio. This will give you an opportunity to discus the details with the owner. There may be notes from the groomer of staff that you won't see if you go directly to the Check Out window Click the Check Out button on the folio's toolbar

The boxes with a shaded background contain calculated values and cannot be edited. Charges can be changed only in the folio.

Managing Tips

If there are grooming charges on the folio(s), KennelSuite automatically lists the groomer(s) who did the work. You can also select any other employee (user) to receive a portion of the tip.

List of Charges
The left side of the window contains a facsimile of the customer receipt. If you are doing a multi-pet checkout, the charges for each pet are listed and each pet's information is separated by a colored horizontal line. If there are sales taxes charged, a tax line is included. If you have not configured KennelSuite to charge sales tax or if there are no taxable charges for the pet's visit, then the tax line does not appear.

Current Charges
The total charges for all pets being checked out are listed here.

Previous Balance
If there is a balance on the owner's account, it is shown. You can see details of a previous balance by clicking the View Account button. If the previous balance is not zero, or especially a negative number, you should investigate the reason for the balance.

Taking a Payment
The various forms with which an owner can pay their charges are listed here. Each form of payment must be completely filled out to continue the check out. The Check Out window includes information about balances on the owner's account but its purpose is to accept payment for the folio(s) being checked out. If you enter the payment that is due for the folio, the previous balance will remain. If you enter the amount due at the folio and they pay for their previous balance, the balance will be zero.

Over/Under Paid
The difference between the total charges for this folio and the amount being paid now. Since the amount you enter as a payment can be used for more than one purpose, you must decide what you want to do. KennelSuite doesn't know why the owner has a balance on their account. Maybe it's an advance payment for the charges on this folio. Maybe it's a deposit to hold a future reservation(s). Maybe it's both. Maybe they overpaid by mistake sometime in the past. KennelSuite can't decide how to apportion payments you receive so you must do the thinking. If the customer wants to pay for only this folio, collect the amount in Total Charges. If they want to settle their account, collect the amount in Total Due. If Total Due is a negative number, maybe you want to give them money back. If the negative number is a deposit for a future reservation, you probably want to keep on their account. If the negative number is a deposit for this reservation, you probably want to apply it to this folio. Etc.

If Previous Balance is not zero, you probably want to click the View Account button to learn why there is a balance on the account. Then you can ask the customer what they want to do.

Under Paid
If the Total Payments are less than the Total Charges, the difference is displayed here. The amount is always shown in red for visibility. Apply to owner's account If you click this button and then complete the checkout, the amount underpaid is applied to the owner's account (unsecured credit extended by you). This increases the amount the owner owes you. Apply to house account If you click this button and then complete the checkout, the amount underpaid is applied to the facilitys account. This reduces the amount the owner owes you but no money is exchanged. This option should be used if you want to forgive the unpaid amount, perhaps because the customer is dissatisfied or you want to give a special discount for some other reason.

Over Paid
If the Total Payments are greater than the Total Charges, the difference is displayed here. The amount is always shown in red for visibility. This balance will display in the owners account as a credit for future use.

Cash back Click this button to tell KennelSuite that you are giving cash back to the owner. This will appear on the owner's account as Cash Back and is used to balance the transaction as well as provide an audit trail.

Apply to owner's account Click this button to tell KennelSuite to apply the extra amount to the owner's account. This will appear on the owner's account as Advance Payment and will reduce the amount the owner owes you. This can also be used to pay down a balance but, since it will appear as Advance Payment, you may prefer to enter payments only for the current charges to complete the check out. You can then begin a new transaction to accept the additional payment as Received on Account. From the main window, click the Account tab and then the Receive Payment button. The result of accepting the extra amount here or on the Receive Payment window is the same: the owner's account will be paid down. The only difference is the way the payment is classified, which is just informational and does not affect any functions in the program.

Printing at Check out To print a receipt or Invoice


If you have selected a receipt printer, this checkbox is enabled. If it is checked, a receipt will print. If the customer does not want a receipt, uncheck the box. If the amount paid is equal to or greater than the Total Charges, a receipt will print. If the amount paid is less than the Total Charges (over paid), an invoice will print.

Work with History


After a pet has been checked out, the folio becomes a history, which cannot be changed.

Display a pet history


In the Main window: 1. 2. 3. Select the pets name from the Main List. Click the Pet History button Select the previous visit(s) you are interested in

Click the printer button on a history's toolbar to print the history or a duplicate receipt. Histories cannot be changed. Once a pet checks out, the record of the transaction becomes permanent. You can enter a correction, and a reason for the correction, by clicking the Adjustment button on the Account tab on the main screen. On the history screen, KennelSuite displays the date & time you said (reported) the event happened as well as the actual time from the computer's clock. Let's say an owner dropped a pet off after the kennel closed last night. The computer was off so you took the pet in and made a note to enter the information today. When you check the pet in with KennelSuite, you will say the check in happened yesterday. KennelSuite will warn you that the check in date is in the past but you can ignore it because that is what you intend. When the pet finally checks out, the history screen will show the reported check in to be one day earlier than the actual check in.

Work with Surcharges


If you have enabled deadlines for boarding based on the times of the day, KennelSuite will compare the actual time (from the computers clock) to the applicable deadline time during check-in and out events. If the actual time is beyond a deadline, KennelSuite will prompt you and ask how you want to handle the situation. You can: Add an extra day to the boarding charge. Add an extra half-day to the boarding charge. Add the standard surcharge that applies to the event (after hours, early check-in, late-check-out). This will select the appropriate item on the Surcharges tab of the reservation or folio. Do nothing

If you choose to let KennelSuite change the quantity of the boarding service, the reason for the change will not be noted anywhere and you may need to explain to the owner why the number of boarding nights/days doesn't seem to agree with the calendar dates. If you let KennelSuite add a standard surcharge, i.e., Early Check-in, Late Check-out or After Hours, then that item will appear to the customer as a separate charge. You can manually add an extra charge by clicking the Surcharges tab on the main screen, and you can manually change both the quantity and price on a reservation or folio to suit your needs. If FlexRates are active, the extra day and extra half-day options are not available.

Manage Users
Only members of the Administrators and Managers groups are able to add or change user security. Users can later change their own password. No one, not even an administrator, can access another users password. An administrator or manager can remove (clear) another users password but they can never discover the actual password.

Add a user
In the Main window: 1. 2. 3. 4. 5. 6. Open the Tools menu and click Security. Click the Users tab, and then click the New button. This displays the New User screen. It contains a blank form for a user record. Add the required information. Assign the user to a group membership. Click Save. Continue registering users, if desired.

Make Copies (Cloning)

To make it easier to create future reservations for regular customers, you can create copies (clones) of a current reservation or folio. You can clone reservations up to 1 year into the future. You should clone only grooming and daycare reservations. You can clone boarding reservations but you will probably find that cloning works best for 1-day events.

Since boarding may span several days, it's easier to create a new reservation, let KennelSuite carry the previous info forward, and then fine-tune the details. KennelSuite will create a new reservation for each date you selected. All details will be copied except the dates and frequencies for services like meds, diets and activities. Each new reservation will have: The same check-in and out date All services, notes, comments, etc. from the cloned source If there were meds, diets or activities, each will have the correct times of day but only the check-in date will be selected

Make Mailing Lists (Labels & Export)


KennelSuite offers the ability to create mailing lists that are based on different criteria. You can print directly to the supported label types or you can export the data for use with other software. You can also print mailing labels as a return address for your facility.

Create mailing labels


1. 2. 3. Open the Tools menu and click Labels and Export. At Type, click Labels. At Search, select the desired conditions.

For some groups of customers, you must supply further information, such as dates, cities, etc. Fields for these are displayed when you select a group of customers. 1. 2. At Size, select the stock number of your labels. If the Auto update box is marked, the search will occur each time you make a change. Since this constant updating can take some time, you may prefer to leave the Auto update box unmarked and manually cause an update by clicking the Update button when you are ready to get the results. You defined your boarding services by adding items to your price list in the Boarding category (Lists-Prices-Items). Grooming reminders Pets with a reservation that includes a grooming service and the grooming date is within the range you specified (inclusive). You defined your grooming services by adding items to your price list in the Grooming category (Lists-Prices-Items). Grooming ticklers Pets who have had grooming in the past but their last appointments were more than X weeks ago, and they don't have a grooming reservation for the future. You specify an integer value for X to create this list. Vaccination reminders Pets that have reservations and at least one of their vaccination dates is missing or will be expired between the dates you specify (inclusive). If the Include all box is marked then all pets with missing or expired vaccinations will be included regardless of whether they have a reservation. Revenue exceeding Owners who spent more than the amount you specified between the dates you specified (inclusive).

Export a mailing list to a file


1. 2. 3. 4. Open the Tools menu and click Labels and Export. At Type, click Export. At Include field names, click to deselect if you do not want the field names on the first line of the file. Click the checkbox at Auto update to display the size of each mailing list automatically at Status as you select it. (Otherwise, you can click Update each time you want that information.) At Search, specify which group of customers to put on the mailing list. For some groups of customers, you must supply further information, such as dates, cities, etc. Fields for these are displayed when you select a group of customers. After you click OK, complete the Export dialog to specify the destination for the file. If Auto update is off (not marked), you must click Update to refresh the search before printing or exporting.

Exported data format


The data is written to the file you specified is in Comma-Separated Values (CSV) format. You can use this data to create customized form letters and labels by using another program that supports Mail Merge, such as Microsoft Word. If you want to send e-mail to your customers, you can extract only the e-mail addresses from the exported data. If you want to send e-mail, you should check with your ISP regarding their rules. Many have restrictions on how many addresses can be on a single message and how many e-mails you may send in a certain amount of time. It's beyond the scope of this document, or Plane Software's support system, to tell you how to work with another program's mail merge function or how to write code to extract and format only parts of the exported data.

Back History

Closes the forecast and returns you to the main window. Shows historical information about occupancy. Only the Sizes view is available for viewing history. The default date range is 30 days but you can change that by clicking the calendars. Displays a graph of your past or expected occupancy.

Detail

The forecasts and history contain only numbers. If you want to see who are the pets represented by the numbers:

Select a non-blank cell in the grid and click the Details button Double-click a non-blank cell. In the Locations view of the forecast, you can pass the mouse pointer over a cell and see a popup balloon with the pet info.

Colors

In the standard Locations view of the forecast, occupied locations will have a number and the cell's background will be colored. When you engage the Colors button, additional information is provided. Vacant One pet More than one pet belonging to the same owner. More than one pet belonging to different owners.

Pivot

The default Locations view shows dates in the rows and locations in the columns. When you engage the Pivot button, the rows indicate locations and the columns indicate dates. When you engage the Font Size button, the font size is reduced and more rows and columns are displayed. This option exports the raw data to a file that you can then import into another program, such as Microsoft Excel, for more analysis. The export is written in Comma-Delimited Values (CSV) format.

Balloons

Allows you to choose what information appears in the popup balloons.

Note: Balloons arent supported on Windows 2000 and on some types of remote access systems such as Remote Desktop and Terminal Services. You can temporarily prevent balloons from displaying by holding down the Ctrl key.
Help Starts the Help system.

Sizes View

This view shown the number of pets who are scheduled to check in and out on each date in the range and how many of each size are scheduled to be in the facility at the end of the day. Limits You defined your limits for each pet size in Tools-Options-Locations.

Color Bold

When your forecasted occupancy reaches or exceeds a limit, it will display in color. Blue is the Warning threshold. Red means you are at or above capacity. For better visibility, you can display the exceeded thresholds on bold.

Occupancy This determines how the pets are counted.


All Boarding Grooming Daycare Includes all pets scheduled to be in your facility for any reason. Includes the pets scheduled to be in your facility for the selected service category. The same pet may appear in different views, such when a boarding reservation that also has a grooming service.

Locations View

This view gives counts of the number of pets scheduled to be occupying each location on each date in the range. When you pass your mouse pointer over an occupied location, a balloon appears listing the pets.

History View
The History View is similar to the Sizes View of the forecast except it goes back in time so you can see what happened in the past.

Quick Look Grooming Schedule

This view lists appointments for the selected groomer. If you have a computer in the grooming area, this is the view that is normally visible most of the day. The legend at the bottom explains the information in the third column. Items in red are added by the individual groomers to restrict their schedule. This is done by clicking on the date. A popup menu will give more options. The colored rows indicate the built-in Bath & Trim service. It is the second item from the top on reservations and folios on the Grooming tab. Many groomers like to restrict the number of trims they do in a day for health and safety reasons, and this highlight makes it east to see the workload. This view lists the guests who are at your facility now. It is similar to the Guests section on the Snapshot tab on the main window. The colored column indicates how the list is sorted. Change the sorting by clicking in the title area of a column. See Also "Pets in Kennel " on page 122

This gives you a quick to judge the number of activities you can expect over the next two weeks as a way to predict your general workload and to schedule the right number of staff members.

Reception Activity

The Reception Activity is a suite of views to help you staff your reception area according your expected volume of customer traffic, and to spot trends over time. By selecting different combinations from the dropdown lists on the toolbar, you have several views.

Reports
Reports are a valuable shortcut to managing, tracking and completing your everyday and monthly tasks. A multitude of reports are available that cover a complete range of information. You can View a report or Print a report. Some reports, such as the Owner Account and Pet History, depend on the owner or pet selected in the list on the main screen when the report list opens. Depending on which security group the current user belongs to, different reports will be included in the list. "Error! Reference source not found." on page Error! Bookmark not defined. is controlled by each user's group membership.

Viewing & Printing Reports


Reports provide information about your finances, daily tasks and other data. After you open a report, you can print or cancel to return to the main window.

To select a report

To print a report
All reports are available as a hard copy. In the Main window: 1. 2. 3. Click the Reports button Select the report you wish to print and click the Print button. Verify the printer you wish to print to and click Print.

To select a worksheet
Worksheets provide information about your daily tasks and along with other data. When you select a worksheet, you will need to specify a selected date and a Time of Day for the desired worksheet. When you open a worksheet, you can print or cancel to return to the main window. In the Main window: 1. 2. 3. 4. 5. Click the Reports button. Select the worksheet you wish to view Click the View button. Click the date and time of day on the calendar. (Time of Day applies only for the Medication, Special Diet, and Activities worksheets) Click OK.

To print a worksheet
It is ideal for your staff to work with hard copies. They can handle an authoring task by initialing the medication worksheet when complete or your receptionist can confirm holiday reservations by checking off the Confirmation report. In the Main window: 1. 2. 3. 4. Click the Reports button. Select the report you wish to print. Select the printer you wish to print to Click Print.

Worksheets
The worksheets are used by the kennel staff to perform their normal duties. Since the worksheets are specific to the day and time of day the task should be done, they relieve your staff of the need to think too much. You can give the worksheets to the kennel staff on a certain shift and tell them "if it's on this worksheet, do it, initial it when it's done, and return the worksheet to me." The worksheets should be printed immediately before each shift begins. This guarantees that the information is current. For example, it's okay to print the next morning's worksheets as part of the end-ofday routine because the kennel is closed and no pets will be checking in or out. However, you should avoid printing an afternoon worksheet on the previous day or

in the early morning because pets may check in or out and the information on the worksheet will be incorrect.

Activities
This report lists the detailed instructions for each pet's activities. You defined your activities in your price (Lists-Prices-Items-Activities) list and then added them to a pet's reservation or folio.

Confirmation
This lists the pets that are scheduled to be boarding or have a grooming appointment on a selected date. It does not include pets already checked in that will be there over the selected date. This report is normally run for a major holiday. For example, you can run a report for December 25 and then call the owners to confirm their reservation. It also includes a warning (!) if any of the pet's vaccinations are missing or will be expired on the selected date.

Special Diet
This report lists the detailed instructions for each pet's feeding. You defined your diets in Lists-General Lists-Special Diets and your standard feeding quantities in Lists-General Lists-Feeding Quantities and then added them to a pet's reservation or folio.

Special Services
These reports list special services that are scheduled for the selected date. You defined your Extra Services in Lists-Prices-Items-Special Services. Since you created them, KennelSuite doesn't know what they are. It just knows what you have named them, how much they cost, whether they are taxable, etc. Since KennelSuite doesn't know about what the service means, it is limited in its ability to create reports. The Special Services reports simply list information about the owner and pet for the dates you have selected. For example, if you add a new service called "Delivery", you can run this report for a certain day and it will list all the pets that are scheduled to be delivered to their home.

Grooming
This worksheet displays a schedule of pets to be groomed on a specific date.

Medication
This report lists the detailed instructions for each pet's feeding. You defined your standard meds in Lists-General Lists-Medications and then added them to a pet's reservation or folio.

Status Reports
Pets in Kennel
These pets have checked in and are physically in the facility. When you view the report, it is displayed as a list that can be sorted by clicking a column title. When you print the report, it is listed in order of the pets locations. This is useful for walking through the facility to make sure everyone is in his or her expected place at the end of the day. Some kennels take this report off-site along with the backup disc in order to have quick list of the animals in case of a fire or other calamity in the kennel that night.

Kennel Report
These pets were in the facility on the selected date for any reason. This report conforms to the requirements of the Pennsylvania dog law.

Pet Reports
Breed Counts
A list of the number of pets grouped by their breeds. The list is sorted in descending order with the most popular breeds at the beginning.

Pet Vaccinations
This report lists pets and their vaccination status. The default is to include only active pets that have one or more vaccinations missing or expired as of today. You can disable the default filters and include inactive pets and pets that have all vaccinations current.

Pets by Breed
This report lists each pet in your database grouped and sorted alphabetically by breed.

Pets by Veterinarian (Summary)


This report lists the number of pets grouped by their veterinarian. The list is sorted by the counts in descending order with the most popular vet at the top.

Pets by Veterinarian (Detail)


This report lists the names of pets in your database and their owners grouped by their veterinarian. The report is sorted alphabetically by veterinarian.

Forecasts & Schedule Reports


2-Week Overview
This report lists counts for various tasks and events for the next 2 weeks. It is often used to estimate staffing levels.

Boarding Forecast
The expected occupancy on the selected date. The pets are grouped by their species and by the date they are expected to arrive. The Count column summarizes the number of pets in each group.

Boarding Forecast by Location


The expected occupancy on the selected date. The pets are grouped by their preassigned location. The first column indicates whether the pet is arriving, departing, or staying through the date.

Occupancy
This is a printer report of your future occupancy. Since this type of data is constantly changing, printed forecasts become obsolete quickly.

Sales Summary, Forecast


This report totals the charges on folios and reservations that are scheduled to check out within the range of dates you specify. As with all forecasts, these reports tend to become invalid quickly due to changes you make to reservations and folios.

Finance Reports
Accounts Receivable, Payable and Non-Zero
These reports show the difference between the sales made and the payments received, and are used to generate invoices and monitor credit balances for deposits, advance payments, etc. Accounts Receivable These owners owe you money Accounts Payable You owe these owners money. It could be that they have made a deposit to hold a future booking. On the other hand, perhaps they overpaid on a previous checkout and have left the balance on their account so it can be used later. Non-Zero Balances This is the combination of Receivables and Payables

Commissions
This is a suite of reports regarding the commissions earned. When you select this option, you have several ways to customize the result.

Daily Transactions
To KennelSuite, a transaction occurs when someone gives you money for any reason. It may be a payment for the current charges on a folio and is made at the moment of checking out. It could be a payment for services already provided but haven't been paid for because you extended credit, or it may be a payment for something that hasn't happened yet. These reports show the payments, such as cash, check, credit card, etc., received on a certain day. They do not include house charges because nothing is received when you extend credit. This report is normally printed at the end of each day and is used for making a bank deposits and balancing the till. Transactions (payments) don't have anything to do with sales. They simply indicate that someone gave you money.

Owner Account
This shows the details of all sales and payments associated with the selected owner for the range of dates you specify. Information includes the employee who handled the transaction, pet, owner, purpose of the transaction and amount. The way to find the cause of a non-zero balance is to go to the last page of the account and read backwards until you find the last zero balance. Then read forward to learn what happened to cause the sales and payments to be unequal.

Calendars All Selected Comments

Click the calendars to select a range of dates for the report If this option is selected, all events in the account are included. If this option is selected, only the events that occurred between the dates you select on the calendars are included. If this option is selected, comments you or your staff have made are included. If this box is not marked, the comments are excluded.

Price List
This is your price list. Because KennelSuite offers so many options for pricing, it may be useful to review this periodically and look for inconsistencies in the range of prices you have set. There are separate reports for services and products.

Sales
When a pet checks out, all charges on the folio are recorded and appear on these reports as sales. It doesn't matter whether you have been paid. KennelSuite considers them to be sales once the check out is completed or a product-only sale is completed. These reports are normally printed at the end of each month and the summary numbers are given to the accountant or manually transferred to your main accounting program.

Sales Forecast
This report totals the charges on folios and reservations that are scheduled to check out within the range of dates you specify. As with all forecasts, these reports tend to become invalid quickly due to changes you make to reservations and folios.

Marketing Reports
These reports provide marketing and demographic information that may be useful.

Revenue by City
A list in descending order of sales you have made grouped by the customers' city.

Customers by City
A count in descending order of customers you have added to the database grouped by their city.

Revenue by Size
A list in descending order of sales you have made grouped by the pet's size. You control the size list under Lists -> Pet Details -> Sizes.

Top Spenders
A list in descending order of sales you have made grouped by individual customers. Your customers who spent the most will be at the top but that doesn't necessarily make them your best customers. Their percentile ranking, especially the view on the performance tab of the owner's record, is a better indicator.

Referrals
A count in descending order of the number of customers referred to you grouped by the type of referral. You control the size list under Lists -General Lists-Referrals.

Miscellaneous Reports
Deleted Folios
This lists all deleted folios and should be reviewed periodically to be aware of the practices at the front desk. Only members of the Administrators group have access to this report. Deleting folios is a common way for employees to defraud you. Keep an eye on this report. There is almost no good reason to delete a folio.

Events
This lists the contents of the event log and may be useful when troubleshooting certain situations. It may be very large. To print a limited range of pages, click the small printer icon at the top of the report instead of the large printer button at the top of the window.

Pet History
This lists the details about the selected pets previous visits to the facility. From the on-screen view you can print the history and a duplicate receipt.

Owners
This lists details about owners and their pets. It may be very large. To print a limited range of pages, click the small printer icon at the top of the report instead of the large printer button at the top of the window.

Veterinarians
This lists details about the vets you have defined.

Cancellations
This lists information about owners who have been no-shows or have cancelled within 48-hours of their reservation. Excessive cancellations may be a good reason to change the owners rating to Caution or Unwanted. Detail Summary

End of Day Reports

This feature provides an easy way to print a batch of reports. You may not find every report you want but this includes the most common choices. You cannot add your own reports to this feature. To add reports to the End of Day batch: 1. 2. 3. 4. 5. Select a report from the Available Reports list. To select multiple reports, hold down the Ctrl key and click on each. Click the arrow button to move the reports. Click Save if you want to keep this setting. Reverse the process to remove reports from the batch. Click Print to send the batch to the printer.

Working with E-Mail Templates


Be careful when learning to work with the e-mail system. If you are using a live database, you may inadvertently send your customers bogus messages during your testing process. You should make reservations and send test messages only to yourself or a test owner until you are comfortable with how this system works.

The HTML Template


A template is a standard HTML document that KennelSuite uses as the foundation for the confirmation message it sends to your customers. We have included a sample named ResTemplate.htm, which you will find in the templates folder. You may modify the template or create your own from scratch. You are free to design your template as you please. KennelSuite is not aware of any text, graphic images, formatting, etc. that you use. You should keep a copy of the original template for future reference. Working with HTML documents requires skill and experience on your part. If you are not familiar with this type of development, you may want to hire a consultant to teach you or to design a new template to your specifications. Please do not call KennelSuite technical support for help designing your template(s) or working with HTML. This work is done outside of our program with software tools provided by other companies.

Keywords
Keywords are codes that you embed in the body of your HTML template. KennelSuite understands what these keywords mean and will use them to insert information from your database into the template

Enterprise Configuration
This is an advanced topic and applies if you have Enterprise and want all computers to use the same template. If you are using Enterprise on a network, we assume you have the experience to use this as a guideline. Plane Software does not provide support for network configuration. If you do not understand this information, you should engage a professional to help you. Since the fully qualified filename of the template is stored in the database, each computer on your network must be able to locate it by referencing that name. The easiest method to implement and to describe follows. It is not the only, or necessarily the best, method. The reason for all the rules is that the template location is stored in the database so all computers must be able to access that same path. This also why you must use the mapped drive when editing the template. If you edit the template from the server and you don't use the mapped drive, your HTML may contain references to the server's local drive (D:, for example) and when a client gets the template, it will be looking for, say an image, on drive D: and it won't find it. 1. Copy your template file to a folder. The default location for the preinstalled template on the KennelSuite server is C:\Program Files\Plane Software\KennelSuite IX\data\templates 2. 3. Its filename is ResReminder.htm The template can be anywhere but it's probably best to leave it in \data\templates on the server. The data folder must be shared on the server so the clients can get to it. You can share the templates folder separately if you want. Share the template folder. This is usually done by right-clicking on the folder from WIndows Explorer (My Computer), selecting Sharing and Security, assigning a name, and granting permissions. All machines, including the server, must map a drive to the templates folder or to one of its parents. You will probably want to configure every computer to do this automatically on startup All machines, including the server, must map the same drive letter. "T" might be a good choice (T for Templates) but it doesn't matter. When you edit the template, you must remember to access it through the mapped drive, even if it's local. Any images referenced by the template can be in the template folder or in a child folder (at any level below the template folder)

Troubleshooting CD Backup
We have found that backing up to rewritable CD (CD-RW) is not very reliable due to the nature of the technology. It can also be difficult to configure and troubleshoot. We recommend backing up to USB memory, sometimes called flash, jump, thumb, and key drives.

How a Backup Works


When you click File-Backup from Plane, it performs a two-part function. Plane first does a maintenance, which cleans up your database, then it checks six components before it can write to your device. Does the drive exist? Is the drive ready? Is the backup device writable? Does the medium (disc) have the correct volume label? (if checked in Tools-Options-File Locations) Is the backup location different from the regular database location? Is there enough space on the backup drive?

If any of these tests fail, you will get an error message. Normally if you get an error message, it is from the second part of backing up. Plane is asking Windows the six questions and Windows will reply to Plane if one or more are not responding. Can we fix this? No, unfortunately Plane cannot check the device driver or the drive. If there are problems, it must ask Windows to perform these tasks. Before pursuing to the solutions listed below, please make sure that you have the following: Enough space on the disc A formatted CD-RW disc Backup location is configured correctly in Tools->Options->File Locations

Solutions
If you receive an error backing up and you have your configuration set correctly, here are a few tips. Change your backup location in Tools-Options-File Locations to your local disc (C:\) and do a backup from Plane. If the backup completes, the problem pertains to your drive or device driver (not KennelSuite). Manually backup KennelSuites data in Windows explorer. Open windows explorer and find the file, ps.mdb (default path: C:\Program Files\Plane Software\KennelSuite IX\data). Select the

ps.mdb and drag it onto your back up device. If you need assistance on finding your file ps.mdb, please contact us. If you cannot manually copy the ps.mdb onto your back up device, see if you can copy any file (other than Plane) onto your device. Make sure your database (file ps.mdb) is not selected as read-only. Right click on ps.mdb and select properties. The read-only attribute should not be checked. Contact your device drivers manufacturer; they may have instructions on how to do backups with their software.

Update the CD software from the driver's manufacturer and get the latest Windows updates (http://windowsupdate.microsoft.com).

CD Checklist
If you have trouble backing up from KennelSuite to a CD, make sure all the following are in order. The CD drive can write to a CD (CD-RW). The drive that came with your computer may be able to read CDs but not write to them. You are using rewritable discs. They will be labeled CD-RW (or perhaps CD+RW). Discs labeled CD-R will not work. You have installed the correct software that enables your drive to write to rewritable discs. Windows cannot do this on its own. You need to install special software. This software makes the CD-RW drive "look like" a regular hard disc to Windows. Windows XP has some limited capability to write to a CD but this is not sufficient. You must install the special software. Some CD-RW drives include this software on the CD that comes with the drive. Some do not. At Plane Software we use Easy CD Creator from Roxio (www.roxio.com) to easily write to our CD-RW drives. KennelSuite CANNOT write your backup to a CD-RW without the correct software that enables your drive. The CD-RW disc has been formatted. Formatting a disc prepares the blank media for writing. After the CD-RW software is installed, you should format ach disc by opening My Computer, right-clicking on the CD-RW drive, and clicking Format from the popup menu.
