How to set-up a label template on word

1. Person qualified for this SOP:


Anybody who understands how to read this SOP ;p

2. Equipments and Consumables:


- computer (desktop/laptop)
- printer
- label paper
- ruler

Let’s begin ;)

3. Procedure
3.1. Measure the label paper with a good ruler. Preferably note down the measurements
in inch. On cases where the measurement is available on metric (cm), divide by 2.54
to convert it to inch.
3.1.1. Measure the size of the paper. If it is A4, Legal, or Letter, no
measurements needed.
3.1.2. Measure margins: top, bottom, left and right
3.1.3. Measure the size of the labels: height and width
3.1.4. as an example, we are going to make a following label: paper size = A4;
label size = 38 mm (h) x 21.2 mm (w); 5 columns x 13 rows evenly distributed;
margins = 1 cm (t, b, l, r).

3.2. Open Microsoft word program

3.3. Click File – Page Setup.

3.4. Click Paper tab and choose the correct paper size.

3.5. Click the Margins tab.


3.5.1. Key in all the margin details.
3.5.2. Don’t forget to choose “Portrait” or “Landscape” for Paper/printing
orientation.

3.5.3. click OK

3.6. Open “Insert Table” window

3.6.1. Key in the details of table according to the label paper used
3.6.1.1. Key in number of columns
3.6.1.2. Do not key in number of rows needed. Key in “1” instead.
3.6.1.3. Tick the “Fixed column width” choice and key in the desired length
(according to example, 38 mm)
3.6.1.4. Click OK

3.7. computer screen will display:

3.7.1. Recognize that the left end of the table (and usually right end of the table)
is not parallel with the page margin.
3.7.2. Adjust the table by pointing mouse pointer precisely above the left table
line; drag it so it is parallel with the margin line.

3.8. To redistribute the columns, block the whole columns and right click.
3.8.1. Click ”Distribute Columns Evenly”.

3.8.2. Column distributed evenly.


3.8.3. Recheck the width of each column by repeating step 3.8, but click Table
properties (the very bottom one).
3.8.4. Click “Column” tab and check the width. In this case 38 mm equals to
approximately 1.5 inch.

3.8.5. Click “Row” tab


3.8.6. Key in the measured height in inch (cm/2.54). Do not forget to tick
“Specify height” and choose “Exactly” on a drop down menu of “Row height
is”

3.8.7. Click OK

3.9. Columns are now evenly distributed

3.10. To add rows, we have 2 alternative way.


3.10.1. Through table tab on menu bar.
3.10.1.1. Click Insert  Rows Below, and repeat so that the total rows
reached the intended rows (for this example, target is 13 rows)

3.10.1.2. If you block two rows and add “rows below”, the amount of rows
added will be 2 rows, giving the final result of 4 rows.

3.10.2. Or, simply just put the cursor on the very left margin. Blinking cursor will
right at the left (outer) side of table. Press enter and a new row will be
created below the first row. Add rows to the desired row amount.

3.11. To remove the borders, fully block the table and just click the border icon on the
main toolbar. Choose no border.

3.12. To center (or whichever) the alignment in the table, fully block the table and
right click. Choose cell alignment and pick any cell alignment desired. For this
example I choose vertically centered and horizontally centered.

3.13. Computer monitor will display:

3.14. If you notice that there’s a second page: Don’t worry. Just use the table on page
1, and ignore the 2nd page. It’s something to do with Microsoft Word, just leave it.
3.15. Now your table is ready to be filled in!!!! ☺
