Admin Officer He/She will report to the Project Manager Plan Pakistan - Southern Punjab Emergency Response/Relief Team Admin officer will be responsible to administrative matters, procurement items and other logistical activities. Will ensure that the rights and welfare of children are prioritized and that Plans Child Centred Community Development approach is part of all programme activities. . What does the jobholder plan? Competencies/Behaviour Role Duty Unit Staff Category Job Purpose Plans that procurement of all equipment/services are in line with office needs and budget. Plan to develop and negotiate working and/or cooperation agreements with governments, NGOs & other external bodies in an effective way to achieve desire objectives. Manage inventories, travel, agreements and filing Sound knowledge, understanding and practical application of administrative tools toward the smooth functioning and operation of the Programme Unit. Demonstrated proficiency in computer skills and relevant software packages. Capacity to produce quality procurement and logistical documents and deliver projects to agreed parameters. Conscientious and efficient in meeting commitments and deadlines in achieving results. Ability to plan and organize work by identifying priority activities and adjusting priorities as required. Ability to plan, coordinate and monitor own work plan. Ability to apply good judgment and participate in the resolution of administrative related issues and problems Commitment to continuous learning and willingness to keep abreast of new developments in the field of administration. Capacity to work under minimum supervision and support. Proactive, flexible and adaptable disposition. Able to think creatively about logistical solutions. Solid planning and organizational skills. What are the outputs and deliverables? To coordinate all logistics programs in areas of operation and ensure compliance with the organizations policies and procedures. To ensure management of vehicle fleets is in line with the Plan standards. Ensure appropriate allocation and safe use of vehicles throughout the program and ensure servicing and maintenance schedules are adhered to. To ensure that national transportation of freight is in line with program budgets and needs. Negotiate and prepare agreements with various stakeholders as needed. Any other responsibility assigned by the supervisor. What does the post holder oversee? Responsible for procurement of all equipment in line with office needs and budget. Compile, collect & timely write progress & other reports as needed/required. Assure appropriate utilization of all available resources. Remain fully informed on relevant political, security and humanitarian conditions in and surrounding cities. Develop and negotiate working and/or cooperation agreements with governments, NGOs & other external bodies as required. Criteria for Success Assure appropriate utilization of all available resources. Timely submission of regular and special administrative and logistical reports as needed/required.

Skills Fluency in oral and written English and Urdu is essential. Computer proficiency is essential (MS Word, Power Point and Excel) Organisational skills.

Qualifications and Experience Advanced university Degree in relevant subjects (Masters Degree or equivalent). A minimum of two years of experience in a development organisation. Experience of working in partnerships.
