Case study title: Online Enrolment at Kensington and Chelsea College Authors name: Jeffery Rea, IT Manager Background:

KCC is a general Further Education College historically focusing on adult students. We have a large number of part time courses and relatively few full time. KCC have had an online prospectus on our website linked into our student information system for some years now and we were one of the first colleges to achieve this (initially using Dolphin and now UNIT-e). We call this system KIPS KCC Internet Prospectus System. All the course details are drawn directly from the student information system and displayed on our website. This minimises work as the data only needs to be entered once and ensures that the course details advertised to students match the courses when they come to enrol. Intended outcome: While in funding terms the college is medium sized, the number of student enrolments is equivalent to many much larger colleges so the administrative overhead in processing enrolments is relatively high compared to income and this makes any way in which this process can be streamlined particularly attractive. Main body of content: Online Enrolment Our first online enrolment system went live a couple of years ago and consisted of a web based form for students to enter their details and select courses from KIPS. The form was emailed internally and then students were called back to take their credit card details over the phone. This worked around the technical complexities of taking payments online, but more importantly, allowed a manual check on whether places were available and a conversation to confirm which fee should be paid. Most of our courses have three fees, the standard fee, a concessionary fee for students receiving benefits and a full cost overseas fee. This was a pseudo online enrolment system in that the transaction was not

actually completed online. CHAPTER 1: GENERALITIES OF THE STUDY 1. INTRODUCTION In these days, time, effort and money are such vital things that have to be used very efficiently to have a satisfactory outcome whatever work is to be done. Modern day technology makes life simple and easy in many ways. The Internet, for example, is a very helpful tool for the students for research purposes. It also features online applications (e.g. Students Information System, Enrollment System, and Grading System) that help individuals to work through the World Wide Web. In other colleges and universities, they are already implementing Online Enrollment System for the ease and convenience of the students. However, in St. John Technological College of the Philippines, that is not the case. The students still undergo in manual enrollment procedure which is very inconvenient and hassle on the part of the students and of the enrollment staffs as well. One of the problems was the generation of forms. The students needed to fill-up four copies of the registration form (copy for the student, accountant, registrar and dean). Students were consuming a lot of time in doing such. Since the students are manually filling-up the official documents of the school, data redundancy has a great possibility in causing further complexity in the enrollment process. The enrollment itself can be considered as a problem for the students. From evaluation to validation, it is a long process, and students have to go back and forth in different offices (accounting, registrar, VPAA) to complete the enrollment procedure. It can be tiring and such a waste of effort for them. Another problem of the school was the lack of enrollment personnel especially in the accounting department which only had two personnel to accommodate all the students during the payment of tuition fees. The outcome was that the school had a hard time in accommodating large number of students, and that made it hard for other students to wait in line.... Chapter 1 The Problem and its Background Introduction A computer based system is a system in which the computer plays a major role and this kind of system is needed by every companies and institutions nowadays. This is the best way of storing and retrieving data on a server or hard disk rather than using papers and file cabinets. This will help the registrar of Buyabod School of Arts and Trade generates a quick and efficient data they need. The Buyabod School of Arts and Trade were established on the year 2000 under the Republic Act 87130. It is one of the prominent schools in the province that offers

Vocational and Technical Education. Its primary purpose was to develop, train and equip the students not only with knowledge but also skills in turn to produce quality workforce that is highly productive and adaptable to the newly emerging trends in technology. This school consists of approximately 600 students; as a result the assigned employees need to perform their work in an efficient time with precise information in order to accommodate all the enrollees and other old students. The Buyabod School of Arts and Trade use a manual method in their enrollment system. As a result they encountered unexpected problems like loss of information and slow transaction. As the proponents conducted their research and analyze the existing system, theyve decided to recommend a computer based enrollment system at that enables the faculty and administration of the school to gain a good services for every students and to address the problems that occurs because of their manual enrollment system so that institution will be one or the leading institution in the province. Background of the Study As the rapid improvement in our technology arises today, many useful and efficient machines are being used.
