1. How to Register
Registration of Supplier can be done via TM Corporate website: http://www.tm.com.my/CONNECTING-YOUR-BUSINESS/DOINGhttp://www.tm.com.my/CONNECTING-YOUR-BUSINESS/DOINGBUSINESS/GEMS_SRM/Pages/GEMS_SRM.aspx

2. Fees & Payments


2.1. Fee for New Registration is RM150.00 inclusive of RM50.00 processing fee. 2.2. Payments are to be made by cash or credit card at any TM Point nationwide. To find the TM Point nearest to you, go to: http://www.tm.com.my/customer-care/tmpoint/kuala-lumpur.asp 2.3. Provide the Company Name, ROC/ROB/ROS Number during payments at TM Point. Please notify the officer that the payment is for New Supplier Registration under Revenue Code 632 632. 2.4. Please ensure that a copy of payment receipt is scanned and attached together with the registration form.

3. General Rules
3.1. The following entities are allowed to register as a TM supplier: 3.1.1. Sole Proprietorships 3.1.2. Registered Consortiums 3.1.3. Partnerships 3.1.4. Enterprises 3.1.5. Companies (Private & Public Limited) that are registered with the Companies Commission of Malaysia (SSM) 3.1.6. Government Agencies 3.1.7. Non-Governmental Organisations (NGO) 3.1.8. Local Councils 3.1.9. Professional Firms / Bodies i.e. Legal Firms, Accountants & Engineers. 3.1.10. Universities 3.1.11. Foreign Registered Companies

3.2. The minimum paid-up capital for Private Limited and Limited companies must be at least RM10,000.00. 3.3. Companies must obtain valid licenses for each category of work applied and provide copies as attachments during submission. 3.4. Suppliers must ensure that the following conditions are met: 3.4.1. 3.4.2. 3.4.3. 3.4.4. 3.4.5. The industrial sector registered is different from the industrial sector already approved by TM. Related companies are not allowed to register in the same industrial sector /sub-industrial sector. Two (2) or more different companies doing the same activity in the same premise is not allowed to register under the same industrial sector. One same equity owner in two (2) or more companies is not allowed to register in the same industrial sector. Two (2) or more companies that have the same Owner, Director or Management is not allowed to register in the same industrial sector.

4.1. Suppliers are required to attach softcopies of supporting documents via attachments of the online registration form. 4.2. Mandatory Supporting Documents: 4.2.1. Company Profile (Organization Chart, Services Offered, Product Information & Catalogue) 4.2.2. Organization Chart (Complete with Name & Designation) 4.2.3. Personal Particulars (Credentials & Experience) of employees holding main positions in the Company 4.2.4. Valid appointment letter from the Principal / Manufacturer for each items supplied and related technical information (catalog, specification, supply experience and etc) for agents / suppliers which market manufacturer goods (if applicable) 4.2.5. Certification with Government Bodies, Private Sectors & Public Sectors: 4.2.5.1. Contractors Registration Account from the Ministry of Finance Malaysia (MOF) 4.2.5.2. Construction Industry Development Board Malaysia (CIDB) 4.2.5.3. Contractor Services Centre (PKK) 4.2.5.4. Manufacturing License from Local Authorities 4.2.5.5. License to Trade Scrapped goods from the Royal Malaysian Police (RMP)

5. E-Mail Addresses
5.1. Suppliers shall ensure that ALL official corporate e-mail contacts are confirmed and validated. This is crucial as the corporate email addresses will play the following functions when the new SRM system goes live in 2010 for: 5.1.1. Issuance of a user ID (identification) and password. Please note the criticality in ensuring that this email address belongs to an authorised member of your organization who will later be submitting the application to TM, for creation of new user ID(s) for your organization. User IDs created for your company will give authorization to your staff to update your company data, enter tender response, participate in live auction; and Email notification as a reminder to you 3 months prior to the expiry of your registration; and Email notification to alert you that a PO has been issued to you via SRM Portal for your action; and Email invitations to participate in new bids or auctions

6. Reminders
6.1. Suppliers shall undertake and warrant that all data and information submitted during the application are factual and correct. Falsified or fraudulent information or documents will result in rejection of application or in the case where approval has been granted, will result in immediate cancellation.

8. Product Category
8.1. Suppliers may select as many Product Categories / Work Classification - Kod Bidang related to the area of expertise. There are no limitations as long as the Product Categories applied commensurate with supply and work experience. 8.2. Certificates from Contractor Services Centre (PKK), Construction Industry Development Board Malaysia (CIDB) and / or Ministry of Finance (MOF) relevant to the Product Categories selected are to be included during submission as supporting documents. ppendix. 8.3. 9. Getting Started Step by Step Guide to Supplier Registration


Before we begin, please ensure that you have all the necessary documents in order to make the registration process easier & faster. In addition, supporting documents required as per the checklist must be scanned beforehand, prior to starting the online registration steps, so that they are readily available in softcopy to be attached, as explained in Section 9 (Attachment). The maximum size allowed for all attachments is 10MB with a limit of 1MB per file. Types of files allowed are .pdf, .doc, .docx, .xls, .xlsx, .ppt, .pptx, .png, .bmp, .jpg, .jpeg, .jpe, .jfif, .gif, .tif, .tiff, .png and .ico. ico Please note that you are required to complete the online form in one (1) seating as saving options are unavailable. The page will also timeout / expire if left idle for more than one (1) hour. You are now ready to start.

You will then see the Supplier Registration Form, which is divided into 10 sections:

Fill in the Supplier Registration Form. All fields marked with asterisk * are required & mandatory fields. Please assist us in keeping our database consistent by entering your information in all UPPERCASE / CAPITAL LETTERS except for your e-mail and website.

Section 8: Product Categories You are given the choice to select as many Product Categories / Work Classification - Kod Bidang related to your companys area of expertise. However, please ensure that the necessary certifications are attached. The Main Categories are displayed in the Product Categories list.

Section 9: Attachment The Attachment section allows you to attach softcopies of supporting documents. The maximum size allowed for all attachments is 10MB with a limit of 1MB per file. Types of files allowed are .pdf, .doc, .docx, .xls, .xlsx, .ppt, .pptx, .png, .bmp, .jpg, .jpeg, .jpe, .jfif, .tif, .ico. .gif, .tif, .tiff, .png and .ico

Section 10: Data Privacy Statement Once all the fields have been filled, you can only proceed to the next step after you validate the Data Privacy Statement. Validation is signified by ticking Yes, I have read the data privacy statement and accept the terms.

Step 3: Submit the Form


Once all the sections have been completed, click Submit.

Note: The system will display any error messages at the top of the screen. Click on or scroll up to view the error messages.

Step 4: Successfully Submit Registration Form


Registration is now complete. You will receive an e-mail notification immediately upon successful submission of the registration form together with a reference number. Use the number as a reference when communicating with us as well as for enquiries. In addition, you will also receive an e-mail with a link to a general set of questionnaires for you to fill-up and submit back to us. The questionnaires will be used to gain additional information pertaining to your company.

Step 5: Application Approval


After your company information has been reviewed, you will receive an e-mail notification on your application approval or rejection. Please allow us three (3) working days to provide you the application results. Please be reminded that application will only be processed when we have received all of your supporting documents as per item 4 (Supporting Documents to Be Included During Application). If you application has been approved, you will receive 2 e-mails from us: 1st e-mail will advise you on your companys user ID 2nd e-mail will give you a temporary password to access the Supplier Self-Service (SUS) Portal The e-mails are sent separately for security reasons. 10. Guideline for Supplier Self Service (SUS) Welcome aboard as a family of TMs Supplier Relationship Management! The following guideline will assist you in managing your information and online details via our SUS (Supplier Self-Service) system. Among the areas covered in this Supplier On-Boarding Kit are: o Supplier Self-Service First Time Login o View Suppliers Certificate of Registration o Suppliers Company Own Data Maintenance o Suppliers Product Category Maintenance

SelfSupplier Self-Service First Time Login

The registration of Supplier that has been approved shall use this procedure to login at first time at TM Supplier Self-Service portal. This procedure is valid for the person who registered the company to become TM Supplier via online. The Supplier shall perform this procedure when receiving e-mails for user ID and password. Supplier will be receiving e-mails from TM SRM (srm@tm.com.my) with subjects TM SRM Registration: Successful Registered Supplier and TM SRM Registration: Password. The first e-mail will contain the login ID and the second e-mail will contain the password. You are now ready to start. 1. Start the task using the menu path. TM Corporate Website

Supplier Company Own Data Maintenance

The Supplier shall use this procedure to update company information via Supplier self-service portal. The supplier shall perform this procedure when company information has been changed or updated. The supplier must have supporting documents for all the changes of information for TMs approval. To start, suppliers should follow the following steps: 1. Start the task using the menu path. The Supplier shall use this procedure to add new product category. This procedure is performed when the supplier has new product that can be offered to TM. As a prerequisite, the supplier is required to prepare all supporting and relevant documents for all additional Product Category introduced to TM.
