PREWORD

Sakarya University Solarcar Project was initiated by two undergraduate students in response to
convocation of TUBITAK which is broadcasted via „Bilim-Teknik‟ journal to encourage
undergraduates to make a solar powered car. Since 2004 till now, consecutively five solarcar were
produced under SAITEM constitution and gained significant successes by 2009. The name of the
solarcar is SAGUAR which comes from combining of first letters of turkish Sakarya Solar Car
text „SAkarya GÜneş ARabası‟.

The study covers shortly all operational details across the board (constitutional, sponsorship,
logistical and promotional) belongs to 5th generation solarcar project of SAİTEM. The solarcar
with the code name of SAGUAR NL, had attended to World Solar Challenge ‟09 that is the most
prestigious solarcar race on the world. For the first time in years, SAGUAR shared this proud with
ITU GAE which is another turkish team by attending this race and SAGUAR got best degree of
the race belongs to Turkish teams by logging 1437 solar kilometers. Also SAGUAR project is one
of the most expensive projects of the world with 775.000,00 TYL (500.000,00 US $). One of the
points that invests a subject with interest is being crowned all at the heart of the session whole
world toppled into a severe recession. Major part of the requirements of project is procured as
goods and money from global and national companies.

Dot Project is used as project management tool and online system. Content of the study covers that
basic points of a non-profit undergraduate project, obtained experiences during the life of project
and if featured, observations which will come in handy at future. All rights of the study belongs to
reader, permitted to be run off copies by quoting as authority.

The knowledge un-internalized is meaningless. „Data‟ falls into shape in mind and heart of
candidate. Thence, it is strongly suggested to avoid to apply every knowledge in this study without
considering candidate‟s own conditions.

1. INTRODUCTION

Since industrial revolution, almost two hundreds and fifth years passed. The revolution that was
seeming as peace and liberation in the initial years. Then mankind come up against to burdensome
things such as global warming or climate changing because of those time‟s great inventions.
Eventhough we have got not a few studies and endevaours within the context of „anti-global
warming‟ in the second semicentennial of 20th century, it is clear to be needed at least a couple
decades to effectuate those studies in our daily life. To turn this decades into shorter time periods,
academicians are the principal performers. To make this world more livable for next generations,
we shall to cling on to common vision. In order to plant this idea to new generations, there are
lot‟s of organization operated around the world. One of this organizations, probably the most
prestigious is Global Green Challenge (also known as World Solar Challenge ) which is organized
once in every two years for last 20 years all across the Australia continent. Global Green
Challenge (GGC) is a race platform which covers universities and commercial automotive
companies from around the world . The race is operated along the 3021 kilometers across the
nothern to southern australia in daily traffic and it is organized at the dates that middle of spring
season of the well-known hottest climates of the world. SAGUAR Solarcar is manufactured to be
resistant to all this sort of hard conditions.

Currently, it is big deal that trying to benefit from solar panels in static platforms at utmost level
either in industry or in very special works. It can be settled down a system which could meet the
electrical requirements of a simple home or a city. EnviroMission Solar project in Australia is a
great example of this claim[1].

The solar panels which used in streets bulbs or decorates our roofs are usually silicon-based
traditional PV modules. This modules includes a thick glass capsule to cover it thence they‟re used
in static platforms because of heaviness. On solar powered vehicles, thin film solar panels are used
so as to provide minimum energy consumption.

It is commenced the SAGUAR NL Project on 2th of September, 2007. SAGUAR NL was


unveiled to national/international press again in a 2th of September,2009 in Istanbul TIM Maslak
Show Center about two months before the race.

1.1.Thesis Goal

The main purpose of this study is handing all gained experiences and knowledge on to new solar
powered outback travellers in order to humbly enlighten their hard road.

1.2.Organization of the Document

1.2.1. Chapter 1

Acquaints general information about the project. Project background and sources are expressed
detailed. The primary experiences for a university team are shared in this chapter.

1.2.2. Chapter 2

Acquaints general information regarding the race history, required documents, race conditions,
etc.. belongs to World Solar Challenge, with the fresher name; Global Green Challenge

1.2.3. Chapter 3

Covers the details of SAGUAR Project Team members and race crew. What is featured in the
building step of the team, what is critical to care about while constituting race-crew and similar
information are expressed.

1.2.4. Chapter 4

Chapter 4 covers the information about softwares and management tools that are vital parts of the
project. Due to team privacy, some informations that deemed as secret are not mentioned but some
informations that facilitates to create a „special team culture‟ are given as carried them out.

1.2.5. Chapter 5

Includes divisions are related to operation and details. Comprehending of specialities and
formative stages of SAGUAR project, also indicates it is completed under such tough difficulties.
In this chapter, work structure of operation, promotion,sponsorship and quality divisions are
expressed. The shared knowledge either are not detailed and comprehensive or do need to be
rejuvenated and kept updated at any given moment.

1.3.Project Background

Sakarya Solarcar Project first called into being by two undergraduates of Electrical & Electronical
Engineering in the name of Ersin Arslan and Kadir Tamkaya. The name of the team was initially
founded as „SAÜ GAE‟, changed as SAITEM and broadened to outlook. Within the name of
SAITEM, many projects are implemented and still ongoing such as Solar Boat Project(SATEK),
Low Altitude Test Satellite Project(SATU) and Sakarya Hydrogene Car Project (SAHİMO).
SAHIMO Project attended to Shell Eco Marathon and chosen as Most Efficient Car of Turkey by
twice in 2008 and 2009. In 2008, Shell Eco Marathon was in Nogaro, France and SAHIMO
completed that race as getting third award in urban challenge general category between 59
european cars. In 2009, same race moved out to the Berlin, Germany and SAHIMO got fourth in
general classification and third award between hydrogene powered cars all over the european cars.
This success is very important for our country as being first Turkish degree in 25 years race
history.

Furthermore, SATEK Project accomplished in October of 2006 as first solar boat of Turkey.
Unveiling ceremony is done wit participating of city council, diplomatics and sponsors on SAÜ
Sapanca Lake facility at the date of March, 2007.

1.3.1. 5 WHY‟s

5 WHY is one of the most important one of a corporational company‟s quality management tools
within the context of Six Sigma. By implementing this method, applicant is being able to see the
things will done are WHY really will. Thus, it creates satisfied rationales and comprehend to do
what and why. The WHY‟s and answers as followings;

Because solar energy is our future and we have to run for it

Because it provides zero emission and significant advantages over fossil fuels
and easier to sustain.

Because fossil fuels are poisoning mankind, causing wars and energy bottleneck.
 WHY Do You Think to Contribute This Situation by Building A Solarcar ?
Because automotive is important part of our daily life. Fix the part, fix the body.
 WHY Do You Really Build A Solarcar ?
If we don‟t, nobody will.

1.3.2. Sources

Shortly, sources define possibilities in hand at initial stages of the project. Those can be gathered
into a group as followings;

1.3.2.1. Material and Service Sponsorships

Name of required materials and services during the life of project. In case of economic
independence, this type of sponsorship does not carry weight a lot. Through SAGUAR comes up
with serious financial troubles, this type of sponsorship was carrying one of the biggest weight part
of the project. Graphic 5.6. demonstrates the financial equivalent of service sponsorships. As
clearly seen from graphic, major part of the requirements are totally met by materials and service
sponsorships. Sponsorships and their sustainability might be created by „teamwork‟. Details
regarding this teamwork are given in Chapter 5.

In the initial stages of SAGUAR, there were pretty rich service and materials sponsorship sources.
Graphic is given below demonstrates the obtained sponsorships just before commence date of the
project. Vast majority of these sponsorships obtained as natural consequences of achievements and
successes come from former SAITEM Projects.

The cost shown in the graphic is total amount of equivalent to cash and service sponsorships. Total
amount is 250.000,00 TYL (turkish currency, 1 TYL : 1.5 US $). It means this amount
corresponds to 38.8 % of the 644.200,00 TYL which is total sponsorship budget.

1.3.2.2. Financial Sponsorships

Leading fact of project schedule. Project is becoming free through financial sponsorships. It
expands the movement area and skills of managers. Ample scope is one of the most effective
factors of achieving to excellent from something ordinary (but no doubt that belief is the most
effective one along such a sort of project, because sincere belief somehow can bring the whole
needed money. It is what happened in SAITEM Projects). Project was commenced with cash build
up as amount of 3.000,00 TYL. The target of cumulative budget is at least 200.000,00 TYL which
is strongly essential to complete project at time crowned all. This amount is too hard to sustain
while industrial world is passing from the global recession term. Thus, SAITEM Sponsorship team
has worked with strategic mind and superhuman effort. Graphic is given below that demonstrates
consequence of this endeavours.

1.3.2.3. Individual Sponsorships

In the initial stages, individual sponsorships are critically important as project sources. It may be
considered sponsorship type either financial and matter-based or sincere and spritual. Most
important individual sponsors are team‟s own. The projects like SAGUAR need dedicated fellows
to be succesfully completed. Furthermore, families of fellows shall be positioned side by their
childs and very important to assist them in most difficult situations. Without a shadow of a doubt,
an undergraduate which is full concentrated and dedicated to this sort of project might have some
difficulties in his/her school life which is simultaneously needed to be run. But fellow can turn this

corner by working hard and well-planned. At this point, being side-by-side positioning of families
will positively effect to fellow‟s mood and concentration. Each dedicated fellow of the team shall
inform his/her family regarding how bad things are scenarized for them and what kind of liability
contracted for knotty road of the project. Otherwise, family distress will enforce student‟s limits
and make adverse effect on his/her moods.

We can list the all sort of individual sponsors as following;

dedicated fellows,
families of dedicated fellows,
academicians in school or institute,
critical administrators in school board,
local administrations,
local artisans and trades,
local press/media.

It is strongly needed a concernment to make those sources permanant. Dedication of a devoted


fellow is directly related with how his workings in parallel with his dreams and targets.
Experiences obtained in team inevitably showed that productivity of the fellow who has got
paralellized between personel targets and team positional targets is poles apart from who has not.
Another parameter that effects this dedication is common-devotion to targets. It is an obligation
that sharing and dividing of the goal as much as possible is provide an awareness and sense of
mission on the fellow‟s mind. This is also one of the most effective ways that kills saying I
instead of WE.

Making families dedicated is duty of fellows. Things are narrow to do here for team. Parents want
to see their childs successful at school and graduated as soon as possible. It is strongly
recommended for fellows or managers especially in the operation division, taking much courses in
current term from upper class to facilitate endeavours during the following years. This
recommendation belongs to turkish undergraduation system. Unfortunately, in context of
SAITEM projects, the role of academicians is communicating with school administratives and
providing a self-control mechanism. [roughly they fill in the blanks of hierarchy]. Academicians
might be very helpful in this sort of projects from either the technical view or management view.
An R&D research in the project can be sustained thought the medium of an academician‟s
consultant or individual helps. Which means individual sponsorship of academicians shall be
featured a lot. It is suggested to follow line authority in a way of bottom-up while hooking of
critical administrators in university. If activation of administrators are being at lower steps of
hierarchical stairs based on the directives come from upper stairs, this situation leaves icy

impression on lower steps regarding the project and its applicants, which clearly means antipathy.
Instead, secretaries or officers are better for starting point to climb upper stages in hierarchy.

There are some points will be requested from school;

Money to purchase a material,


Travel allowance for activities and fairs,
Allowance of a car with aim of working or visiting,
Digital print or advertisement materials,
Pep lunch before the race,
Gathering with team to cheer up.
Press and media assistance for an organization,
Consulting to an opinion,
Sending facsimilars, e-mails or dialing for critical to contact persons.

It is listed that essential line of making indivial sponsors of administrators as; Faculty Secretary,
Clerk of the Rectorate, Vice Administrators of a faculty or institution, Administrators of a faculty
or institution, Managers of General Services, Crew and Manager of Public Relations,Crew and
Manager of Press Relations, Deputy Rector, General Secreter, Rector.

Local administrations have great potantial but not useful due to official procedures. Also due to
having political views, needs to be cared against to trials of taking possession of the project and
arrogating project to theirselves. Through all of this dangers, local administrations (LA) work
based on „administrator‟ and implication of LA is important from this point of views;

Unlimited logistical assistance,


Unlimited local advertisement assistance,
Unlimited circle of acquaintance,
Limited financial assistance. But it depends on the magnitude of local sources and
regulations of local administration.

Shortly, needs to be kept tough relations with local press, artizans and industry from the view of
increasing of networks, reaching to critical persons, service-materials-logistical and promotional
potential.

1.3.2.4. Official Constitutions Facilities

At the beginning of the project, team was located in a little container in the university side by the
engineering departments laboratory buildings. From the reason that university is newly growing

technical equipments were insufficient and using of laboratories were regarded to student-enemy
rules.

Having some of the tools that mentioned in table below may facilitate the hard-works like
manufacturing or assembly and may help to R&D purposed studies during the life of project. List
of equipments and possible purposes according to discipline are given in table.

1.3.3. Targets

1.3.3.1. Transferring Experience to New Generation Fellows

The leading fact in this sort of non-profit student based projects is conveying information to next
generations. This is only way to be better by the time. „It‟s clear that there is no knowledge of
something incomprehensible‟[2]. In the countries that newly participating these kind of projects
such as Turkey, conveying information is not frequently happens. But in US, Canada, Australia or
Holland, it is tried by many ways such as meetings, organizing documents as it happened in UM

Solar, CalgarySolarTeam. In brief, sharing of experiences and knowledge national and
international platforms is principal purpose of this project and of the study.

1.3.3.2. Fastest Solarcar of Turkey and Middle East Region

Before the starting day of SAGUAR NL project, it was already holding the record as fastest
solarcar in Turkey and middle east region by 115 km/h. By commencing project, focused to get
130 km/h new record for region, not even if like Aurora or Nuna does for the world.

1.3.3.3. Business and Manufacture Communications

Contacts of project is substructure investment of following projects. All contacts shall be listed
and periodically be well-informed about what‟s happening in the project. It‟s targeted that
obtaining contacts that strong enough to pass a new daily electric vehicle production at the end of
the project.

1.3.4. SAÜ GAE

Sakarya University Solarcar Team (SAÜ GAE) was initiated by two undergraduate students in
response to convocation of TUBITAK which is broadcasted via „Bilim-Teknik‟ journal to
encourage undergraduates about making a solar powered car. Since 2004 till now, consecutively

1.3.4.1. SAGUAR X4

X1, X2, X3 models of SAGUAR designed and analyzed in computer but not produced. The first
SAGUAR produced is in the code name of X4. SAGUAR X4 had attended to Formula G at the
first year of the solarcar race of Turkey and got 4th place in overall classification, 16 solarcars.
The budget is 12 000 $ US shows how much narrow circumstances full with. Major percentage of
this cost comes from solarpanels.

1.3.5. SAITEM

Following year, after getting 4th position with such a low costed solarcar in previous race team has
expanded. Design of the car was renewed. New fellows from all disciplines are implicated to team
then it was merged into a large community which multi-disciplinary projects have been commonly
conducted. Name of the team was changed as SAITEM which means Sakarya University
Advanced Technologies Application Community. By 2008, newer SAGUARs produced under the
names of X5,X6,X7 and various successes obtained in Formula G.

1.3.5.1. SAGUAR X5

1 st Prize in group, 2nd in general classification in Turkish Solarcar Race. It took place in
International Autoshow ‟06 in Istanbul. Project budget is; 35.000 $ US.

X7 is our 4th generation solarcar which has the „Best Design Prize‟ and „Fastest Turkish Solarcar‟

2. RACE

The Global Green Challenge comprises two categories:

 The World Solar Challenge – for purely solar-powered vehicles


 The Eco Challenge – for eco friendly production and experimental vehicles.

Stretching 3,000km from Darwin to Adelaide, the Global Green Challenge puts technology,
research, manufacturing advancement and sheer determination to the test as the cars of the future
lead the drive towards a healthier future for the planet [3].

2.1. History

It began as one man's adventure across Australia in a homemade solarcar more than a quarter of a
century ago. Now, in 2010, that single intrepid and pioneering experiment has evolved into the
world's leading solar vehicle expedition across a landscape that is as remarkable as the vehicles
that traverse it.

Adventurer Hans Tholstrup drove a home built solarcar called the Quiet Achiever across Australia
from west to east in 1982. This pioneering adventure led to the inaugural World Solar Challenge in
1987, based on one simple concept: build a car capable of travelling from Darwin to Adelaide in
the shortest possible time, using only sunlight as fuel.The early principles described what must be
achieved, rather than how requirements should be met. While safety regulations were enforced and
limits were put on the size of the solar panel, the amount of energy that could be stored and the
minimum weight of the driver, participants were free to seek innovative solutions to many of the
automotive industry's problems.

The first challenge in 1987 saw twenty-three cars from seven countries depart Darwin. The
runaway winner was General Motors' Sunraycer. That car, built by the combined talents of GM
and its subsidiaries (notably Hughes Aircraft Corporation and Aerovironment) finished the
3,000km challenge in just 44 hours and averaged 66.9 km/h. Sunraycer's success was an enormous
influence on the development of the GM electric vehicles and became the centrepiece of GM's
corporate profile at over 240 major exhibitions. The challenge has since become a testing bed for
every facet of vehicle design from aerodynamics to tyres with participation in various forms from

automobile giants like Ford, Honda, Toyota and Nissan.A veteran of the first event, the
Engineering College of Biel from Switzerland, won the 1990 race in 46.13hrs (av 65.18 Km/h).
The team completely remodelled their car, Spirit of Biel utilising many of the principles that had
made Sunraycer so successful in 1987. Honda also entered, and the first incarnation of Dream
finished second 11 hours behind Biel. It is interesting to note that 20 years on Honda still use the
"Dream" concept in its worldwide adverting.

The 1993 event saw the advent of the 'in-wheel motor‟, which was employed by three of the 52
starters (Honda, Biel and Northern Territory University). Tyre manufacturers also took increased
interest, constructing tyres of low rolling resistance especially for the event. Honda reversed the
1990 result finishing in just over 35 hours at an average speed of almost 85 km/h. The third
incarnation of Spirit of Biel took second place, only three hours behind.

In 1996 the majority of starters finished the course and by 1999 finishing became an expectation.
With the original challenge of crossing the country being well and truly met, and Nuna III
recording an average in excess of 100km/h over the entire continent, event director Chris Selwood
presented the world with a new concept: the "Challenge Class" [5].

Later the Dutch Nuon Solar Team have won all races consecutively from 2001 to
2007.Eventhough Nuna5 have been advertised to attend very assertively for 2009 world solar
challenge, Tokai Challenger from Tokai University (Japan) have won the 2009 race by record
breaking, brilliant performance with average speed of 100.54 km/h.

2.2. Participants

There are 38 Solar cars and teams from 17 countries, including participants from Australia,
Canada, Netherlands, China, United Kingdom, USA, Turkey and India to name a few, as well
as participants from major manufacturers including GM Holden, Volvo, Hyundai, Suzuki, Skoda,
Ford, KIA, BMW, HSV and other group participants poised to take on the Eco Challenge
category of the Global Green Challenge. There are also teams participating from Annesley College
and Deep Green Research with their hybrid and electric cars.

At outlook, World Solar Challenge covers challenge class, adventure class and technology class.
Furhermore, as of 2009 race participants are divided into two main category according to solar cell
type to remove an obstacle of equal racing between the cars. At step of determining this issue,
event director Chris Selwood have taken opinions of all participants via yahoo group and decided
to thing needs to be done. SAITEM have given opinion about dividing into two category as silicon
and Ga-As.

Challenge class cars run to complete race route as fastest in according to technical regulations.
Innovations on the challenge cars create healthier and brighter applications for automotive sector.

Many subtitles might have individual innovative charachter like aerodynamic developments,
concentration techniques on solar cells, cooling of electronic hardware and manufacturing of ultra
lightweight and secured parts as well. So, the great contribution to automotive sector is itself.
Global companies like Honda and GM still use the concepts in hybrid or fuel cell equipped cars
from their participation to World Solar Challenge at past. It is benefitted from Sunraycer
experiences in design stage of EV1 and from Dream Concept in Honda‟s following dream concept
cars. Consequently, right after a short term World Solar Challenge is rejuvenated as Global Green
Challenge, as of now, covers the Eco Challenge category lead to compete cars which
manufactured with purpose of daily use.

Adventure class includes the cars which left from the past years or same car is secondly
participated. Designs are sometimes double seated like „Kelly‟ which is Australian TAFE solarcar
or daily like „BoCruisers‟ which belongs to Germany team, Bochum University.

The WSC event also incorporates a Technology Class for vehicles demonstrating practical
advancements in automotive technology.

2.3. Aims Of Organization

According to general regulations, main purpose of the race is „to stimulate research into
sustainable transport‟[6]. Of course this purpose covers those as subtitles;

To make attribution to purpose of building of environment based ideas in the world,


To increase of governments and global companies interests to issue, to make organization
appraisable by the companies as a theme of Social and Corporational Responsibility,

To sophisticate all kind of participants from the technical and logistical view, to bring them in
value and lifelong memories,

To orientate participants with the aim of performance raising to R&D and innovations[7].

2.4. Essential Documents

It is necessary to prepare various documents those are requested by the committee as soon as
application made and participation fee is paid. Those documents may be that includes either
technical and safety details of the solarcar or team structure details. To list and sum up those
documents in brief;

Battery Information Form; covers the technical details and explanation of the batteries.
Also, needed to demonstrate precautions regarding to emergencies of battery pack.
Calculation of Solar Array Form; covers the theoretical total power comes from the solar
arrays.
Form 2: The document covers the bottom-up details for composite,electrical-electronical,
and mechanical parts of the solarcar.
Form 3: The document covers the Safety & Chemical Incident Plan of the team.
Safety and Chemical Incident Plan: The document, shall be prapared both in native
language and english, covers to do lists in case of an emergency situation, a situation
dangerous for health, a leak of battery pack, etc... It is prepared by Safety Officer of the
team and confirmed by Team Manager.
Material Safety Data Sheet(MSDS): The document covers safey procedures of the
batteries, can be requested from manufacturer in case of needed. But as we mentioned
before, due to evaluating of batteries as dangerous goods brings extra-cost in
transportation.
Solarcar Driving Log Book; covers the proof of solarcar drivers at least 15 hours driving
experience declerated and signed by Team Manager as authority.In case of an accident
with solarcar during the race or pre-event testing, Logbook proves that this is not in
organization liability boundaries and interests directly solarcar team.
VIN (Vehicle Identification Number) : One of the most complicated issues during
preparations of 2009 race. VIN is like vehicle chassis number. The reason of being
requested that the car plate will be given to solarcar by Nothern Territory Government.
VIN Number shall be located in the car as form can be clearly seen from outside of the
solarcar. This number can be easily formed via in regards to standarts explained in
wikipedia. There is definitely no need to consult or apply any official constitution to get
this.

Pre-Event Testing Permission: WSC race regulation does not permit participants to test
solarcar in Northern of Stuart Highway after September 1st. Thence, SAITEM applied for
pre-event testing to make in Southern Territory. We requested this road permission from
Government of South Australia, Department For Transport,Energy and Infrastructure
(DTEI). As soon as arriving Adelaide before the race, the permission is taken with
permission letter which was sent us previously by making a payment of 50 AU $ to
Safety and Regulation Division which is located at Kateena Street Regency Park. There
was no investigation, no technical document about solarcar, they do not even see the
solarcar. Here is where money talks.

Road Permission for the Race: Car plate means permitted to race in Australia. It is
inspected by officials from Northern Territory Government after checking security
procedures of solarcar during static scrutineering. Plates are given at the moment of
scrutineering or following day.

2.5. Race

2.5.1. Hidden Valley Raceway

Hidden Valley Raceway is priming and opening to use of participants two weeks ago from every
race starting date. Teams can use their paddock area 7/24 but in borders of good manners. It is
allowed to get into pist to make some tests and final adjustments.

2.5.2. Scrutineering

Each team has a line in scrutineering schedule. It is asked to teams what time they would like to
get into scrutineering upon their arrivals at Hidden Valley Raceway. At time determined in
schedule, teams shall bring their cars to Foskey Pavilion which is located vicinity around Hidden
Valley. Here, solarcars are rigorously inspected by technicals, race registration is made at second
floor of the pavilion. Hard copy of all race documents shall be filed and kept in hand during
scrutineering.

2.5.3. Classifications

Classifications are ordered a day ago from the race and solarcars are subjected to dynamic
scrutineering at the end of the finish line.

2.5.4. Starting to Race

Raceday morning, all teams bring their cars to State Square approximately at 05:30. It is requested
to have special interests to leave hidden valley raceway in the form as how it is settled down.
There, solarcars takes their position as classification line upon their degrees and exhibited to
public and media. Meanwhile, other cars of the convoy are taken to the park area side by the state
square but trucks and trailers are not permitted to enter. Trucks or trailers are waiting at a point
outside of the city and they join the convoy after race is started. At 08:30, All solarcars starts the
race successively by leaving thirty seconds or a minute with the following solarcar. Meanwhile in
Darwin centrum, traffic lights work and all lights green at first ten minutes. If could not be left the
city, it is obligated to wait at red light. Being in front classification is a great advantage from the
view of overtaking convoys. Because overtaking a solarcar means spending much more energy
then car actually needed and it might have long time and way because three or four cars are
overtaken at once. Also, it is reality that solarcar might encounter to another slower solarcar at the
lines overtaking prohibited and shadowed way by the trees.

2.5.5. Check Points

There are check points once at 300-400 km along the whole continent. There were two types of
check points at 2009 race, one is the traditional check points that waiting 30 minutes another is just
10 minutes to go. During the check points, it is free to charge batteries by keeping solar arrays to
sunlight perpendicular but definitely not permitted to touch to aim of mechanical adjustments,
even if it is tyre changing. At that situation, if there is something to do, after waiting check point
duration, car can be taken to another place then free to treat.

2.5.6. Observers

A race observer is travelling with team by changing at control stops. Basic needs of observer is in
responsibility of the team. Observer sits in front seat on mission control car, takes some notes
whether team obey the rules or not.

2.5.7. Trailering

The reason of not getting a result in first five is not perceiving of this rule. According to race rules,
solarcars can continue travelling by loading their solarcar into trailer to catch the control stops at
open time in case of any unwanted situation.
In third day of the race, SAGUAR had another dangerous spin at the exit of Dunmarra control
stop.SAGUAR has been fixed but also it have taken two and half hours. SAGUAR had to go faster

to catch next control stop and was doing 90-100 km/h two hours along. That night mechanical
parts of the car were changed, re-assemblied. Following morning, SAGUAR was going at high
speeds but battery level reduced. Team was stopped at that point and waited to be charged for two
hours then realized to miss next control point out again. As of that moment, solarcar loaded into
trailer then team hit the road to catch next control stop is Cooper Pedy. Following ten hours
SAGUAR were trailered till Cooper Pedy. If we exactly had been figured the trailering rule out,
we could have trailered as of accident in Dunmarra, which means a lot of times to charge
batteries, catch the control stop. SAGUAR exactly could have made pretty better performance at
least + 1000 km.

2.5.8. Race Results

Results are revealed in two category, Challenge Class and Adventure Class, of course according to
Ga-As and Silicon solar cells, categorized solarcars are awarded independently. Primary purpose is
fastest finishing of the total route, the secondary classification is made by in consideration of
solarkilometers.

2.5.9. Awards

A day after the race, award ceremony is held at Adelaide Convention Center at 6 pm. The team
which has 1st place of Challenge Class in General Classification bring the World Solar Challenge
cup to home for a year.

3. THE TEAM

Team of SAGUAR are gathered from SAITEM members. Vast majority of the team from Sakarya
University, but also team consists undergraduates from different universities. Eventhough most of
the team members are engineering based due to founder crew profile and predominantly dealing
with technical issues, team covers students from different major fields such as Business
Administratiton, Public Relations, Human Resources or even Tourism Management to apply
interdisciplinary approach of the project. Table given below shows the distribution of SAGUAR

Initially, race crew is determined as 17 fellows by making allowance for technical and logistical
requirements for World Solar Challenge‟s sticky conditions. But later on, race crew is deducted to
12 fellows because of financial difficulties. It was the worst moment of two years project timeline.
At step of listing race crew, one of the most important point is allowance to list of rookie fellows
whose are going to be in following races.

At step of listing race crew, everything which will be done in Australia shall be considered
rigorously from promotional to logistical. To make a brilliant file after the race, it is obligated to
have a little media crew which might be a professionally supported by the sponsor company or a
couple of experienced people about typing and taking photograph. Taking a professional media
crew with team to Australia depends on convincing of a media company to sponsor project or
financial situation to spend out. Experiences shows it is definitely essential point having a high
resolution camcorder and at least a professional camera. Promotion aside, number of fellows who
have driving licence in crew is important from the view of car rental processes. If couldn‟t have
rented a truck which needs a private driver, better to have a fellow who have driven long vehicles
at past. But definitely recommended that renting a trailer and towing it via pick-up similar load
unbalanced cars may bring fatal results. Thence, it‟s strictly recommended to race crew not to
drive trailer if possible. Might be considered as final choice. Responsibilities of the race crew are
determined by team manager and project manager before the race. Eventhough it is not practically
beneficial, knowing of what to do makes sense by preparing and sharing a checklist with crew.
However, when days left to oversea travel, things have been getting clear and times have
certainty. Then, everything shall be scheduled to do in Australia and shared with race crew. Best
time interval is the days after solarcar has sent.

4. PROJECT SCHEDULE

It is essential to benefit from many kind of tools to manage a project such a long-term and wide-
context like SAGUAR. Tools facilitate many issue such as financial reports, resource
management, following of duties. Some of the softwares that can be used to aim of project
managements are;

See the reference for a serious comperative table of project manament softwares[8]. In SAGUAR
a project management software have not been used in the proper sense. Bazı kaynaklar için
Microsoft Office Project 2007 is used for some sources. In this chapter, it is aimed that giving
simple assistant knowledge to manage a project through the medium of a software in a solarcar
project. Microsoft Office Project is not recommended for a solarcar project eventhough it has a
user friendly interface and is easy to use.Management and appointment of resources is not
practically involved for a complex project such as SAGUAR. Instead Oracle or Microsoft Office
Project Server can be used. Furthermore, Project.NET is used at online project management within
SAGUAR and it‟s named as SAITEM ODA.

Considering of all division independently while constituting the project in Microsoft Office
Project. The reason is there are not a few variants needed to follow during process. Also, in case of
not having bottom-up economical independence, project deadline is made allowance for possible
delays. Thence, making independent tasks cause to other divisions stay not effected by untoward
changes. Otherwise, a pretty little delay at critical points might cause a change-wave in whole
schedule.

4.1.Scheduling Steps

4.2.Concepts

It is easier to create a independent MS Project files for following titles; Engineering, Operation,
Logistics and Planning. Hierarchy and prioritization inside this titles is manager‟s profession. In
this subtitle it is discussed about rather critical concepts and what they actually mean.

4.2.1. Task

Project‟s step which is independent or dependent to another one. Needs to be completed within
determined time appointed by it‟s owner. In a solarcar project, covering of innovations that might
cause new sub-task is so important, depends directly to owner. Thence imagination and work-
discipline shall be considered while appointing of a fellow to critical task.

4.2.2. Owner

Owner is primer follower of the appointed task. Expectations from owner is taking required steps
or getting breakthrough attemptions in determined time boundaries. A task might not be completed
in time because of unsuspected reasons. But the important one is trying best attemptions in kind of
voluntarily conducted project. Unbelievably, good intentions might enable something impossible
to possible.

Owner is also responsible from development of succeeding owner which works with. This is only
way for cinching of project‟s future. It‟s importantly recommended that owners should enforce the
limits of succeeding owner‟s imagination and skills, encourage him when faced with sticky
situations, but also should leave succeeding owner alone to release creativity. Of course that
should be done in a way that not threat well-ongoing steps in boundaries of determined deadline.

4.2.3. Succeeding Owner(SO)

SO is seconder owner of a task. Succeeding owner is the following appointed one if a major
difficulty does not come up. SO should improve skills which related with the task before finishing
date. It is the only avenue of getting forward one more step than previous one. Also SO should
question,criticize the things owner does and note as better to do list, then share with team.

4.2.4. Milestone

One of the most critical points of a project. In software for a solarcar project, usually can be
considered such as mechanical assembly, completing of thrust system or having batteries to make
physical tests. In brief, the points are called as milestone which shows serious improvements are
done so then reveals new criticals. Also in a project, milestones causes a tension. Especially in
volunteer based organizations, this tension is necessary and required. In general, SAITEM projects
are conducted at the heart of „artificial tensions‟. When observed that things goes wrong, it is
strongly recommended creating artificial tensions via an activity, academical things or race
regulations.

4.2.5. Deadline

A date task shall be completed. As mentioned above, when owners feel a trouble at obeying to
deadline boundaries, definitely keep contact with managers and create „artificial tensions‟. The
artificial tensions which not created at time are messengers of unwanted followings.

5. DIVISIONS

5.1. Operation

The division has never lack of adrenaline and motion. In this chapter team management and
related titles are comprehensively investigated. This title covers some either very easy to use such
as charter,reporting..etc or changes depend upon applicant and difficult-to-successfully implement
such as risc management, team culture, common manners. It also seems beneficial to express that
contents regarding to secondly mentioned above shall be evaluated as only sharing of experiences,
necessary to determine of applicants own strategy about this issues.

5.1.1. Regulatory Statute (Charter)

A kind of member guide which draws the borders. Implementing of charter, this can be suggested
that while policies are strictly applied as defined as in charter about „not to do‟s‟, acting about
rules like „to do‟s‟ might be some more tolareted. As an example, while a fellow who ignores the
rule about „prohibited to act as follower of any political or religional views...‟, is being subjected
to defined punishment, another one who not implement the rule about task like „a web group
member shall keep official website updated once in every two weeks‟, is better to be tolareted.
Because, for example in SAITEM web group member is not found easily and they are working
very delicate. However, if a fellow consciously behaves in the contravention of the rules,
definitely punitive sanction as defined as in charter shall be acted.

5.1.2. Communication

It is truly not necessarily to sing paean pean to express how communication skill is seriously
effecting the success of the project. We‟ll follow the way detailing of issue by dividing into
categories as inner and outer formats of the team to take matters in hand.And while doing this,
we‟ll try to animate the possible communication based problems in reader‟s mind by sampling.
Before detailing of communication, essential to express that awareness of the communication is
worthy. Creating of a sensitive culture about communication‟s importance is one of the duties of
team manager. A manager will be made something to best self-favor if who can make team
accepted of this awareness.

Inside the Operation

Members of Operation division can prevent communication problem by acting as all one person.
It means they need to be together, look for solutions together against to any issue related with
team. Team manager shall make consultancy with operation members in any case except of
emergency situations. And other operation members shall consult to team manager in any case to
make a final desicion and act by team manager‟s confirmation. All the time this togetherness shall
be as part of certain respect. Thence spontanously brings continous sincerity and affinity.
However, specially treating to a fellow with indignity or disrespectful attitudes in operation
division shows it‟s equivalent on the team shortest term. Members of operation division need a
communication sponsor company to meet cell phone costs. If this (or another kind of logical
service) is not happened meeting of phone costs by school can be requested. Graphic is given
below shows the cell phone costs of SAİTEM team managers by the years.

The reason of this sharp descent on graphic is based on a geopolitical solution which is founded by
SAITEM in starting of 2009. It is saved expenses up to 50 % in cell phone costs of team managers
by means of that solution.

Between Operation and Team

First an online platform should be prepared for team communication. This is called as „Lab‟ in
SAITEM like online laboratory. Active using of lab by all members might sign like a criteria about
what‟s new or discussed on the project. This is possible sharing of all recommendation, opinions
and „newly done‟ things at lab by members at once. Not being used of online laboratory closely
effects to process and creates concerns in minds. Every important updates such as meetings can be
informed to members via either online lab or messages to cell phones. Meetings shall be declared
to all members at least three days ago.

Inside the Divisions

Division manager is liable from communication flow, lack and any problems might based on
inside the division. Especially needs to be on the outlook against to mechanic,manufacturing and
composite works. Because those things might cause some irreversible problems due to being
conducted by directly delicate businessmen. To activate communication inside the division
manager may demand an interval reports or call for interval meetings.

Between the Divisions

Lack of communication between the divisions directly pertained to team manager and institutional
relations manager. Those kind of lack is the most significant reason of task delays. Solution might
be strenghtening communication of managers.

Between the Teams and Outer Environment

Outer environment is about everybody not aware of what is happening on project.

School administrators, families, sponsors, local and national public and all potential project
followers. Reporting is shortest and easiest way of transferring updates to outer environment.
Corporational companies do samething by publishing „Annual Reports‟ but it is usually includes
fiscal datas. For this reason, actual reports that ought to be followed are in title of
„Corporational/Social Responsibility Reports‟. Below, Covers of SAITEM‟s Activity Reports
which are monthly published along the project. It is easy to reach original copies of the documents
via reference.

Communication between the teams is fastest way goes to rapid development. It should be
conducted within the frame of respect and affinity. For instance, SAITEM has contacted with
many solarcar team from around the world such as Nuon, UM Solar, Waterloo or Calgary
solarteam. These communications have attributed to team prestige a little and a kind of quality
control of the works via experienced teams.

Social Platforms

This title needs to be outlined professionally. Unfortunately there are not much confirmed social
platforms such as Yahoo Group. Eventhough a lot of things readily mentioned and talked but
communication should not be at all. That‟s going to be rather beneficial to have common platform
to meet and share documents, memories, multimedias or similar things for solarcar team members.
In case of not managing this platform by race committee, a couple fellows can be appointed as
moderator between solarcar teams through common sense and it will become a guide for new
candidates of the Global Green Challenge. From last race on 2009, committee of Global Green
Challenge created a photo album to share organization pictures via Flickr [10].

5.1.3. Team Culture and Manner

It is the secret reality which lays on the basis of great success in any consequence. Members are
being aware of some values by means of team culture. It is not possible to feel as strictly speaking
what „teamwork‟ is. This is the point that beyond determination and commitment when everything
goes down and even a next step absolutely doesn‟t seem. SAITEM had paid great attention to this
and got the consequence as rejoiced. All new fellows of SAITEM has consciousness that real taste
of working together lays down under getting a product by working with impossibilities and sticky
conditions. The only way goes to have team culture is getting team culture as a trouble.

5.1.4. Meetings

Participation to periodically arranged meetings is an important criteria between team members at a


place things are done voluntarily. Normally meetings shall be short and efficient. To do this, team
members should come to meeting as prepared before which is possible by being awared how
important meetings are. In brief, that‟s why SAITEM charter has articles about meetings.

To sum up what is meeting for ;

Causes gathering team and becoming close friends.


To discuss about what is obligated to do or not,
To communicate divisions inside the team,
To reveals new opinions and to make up for wrongs,
To show who work sufficiently and whose in lack of motivation
Doubling the work urge right after every meeting,
Members should inform managers if there is reason about not participating,
Meeting is not only being at meeting.
Each members should bring what they have about the updates,

Futhermore, meetings of operation division might have long time even a couple days long.

5.1.5. Recruitment Policy

Recruitment policy is in initiative of operation division. Bringing candidates in project is a serious


administrative process and needs to be well conducted. Eventhough control of this process is
seeming like in hand of operation division, the members who will bring them in project‟s heart are
technical members and division managers. It is easy to list several policies to follow about
recruitment;

Membership at once

Its rather about traditional student unions in Turkey. Candidates come and sign some sort of forms
which are not covering serious informations and goes beyond the city surrounded by mountains.

Active/Passive Membership

This is what SAITEM implements in projects. In this sort of choice, candidate member enters to
team as passive member who has not allowed to get online laboraty membership. But also has to
join every activity and behave as an active member. It is hanged out to prove his enthusiasm and
wish to deserve being with team. A deadline is determined for passive members and in case of
suspecting not interests with project, it is strongly recommended to not loose a lot time with
passives.

Membership upon Invitation

It requires for candidates an invitation letter comes from inside of the team, which means it is not
allowed to enter the team if you‟re not wandering about where they are. That‟s ratherly bad idea
for non-profit organization‟s recruitment. Leading fact is sharing of facilities and experiences with
people as much as possible.

Number of candidates and accepted members are given in table below according to discipline at
the commencement of 2009 project .

As seen from the table, 12 of 44 members have got acceptance which equivalent to 27,27 % ratio.
Also some recruitment documents can be examined via references [11].

For instance, within one of these documents from Western Michigan Universiy Solarcar Team,
after requesting of identity informations in document for candidates those titles are presented to
choice what they would like to work on;

Project Planning, Budgeting, Marketing, Public Relations, Web Page, Body & Frame Suspension,
Brakes, Motor, Batteries, Communications, Telemetry, Solar Array, Artistic Design, Strategy,
Safety, Research, Electrical Assembly, Mechanical Assembly, Testing Driving, Photography,

Logistics, Sponsorship, Management, Education . Then candidates complete to recruitment
procedure by preferring titles they would like to enroll. Similar work has been made in SAITEM
but it was well rounded as well. In SAITEM one, some questions are asked to candidates and
wanted to explain as detailed their dreams, targets and main reasons of participation additional to
informations mentioned previously. As a great example of recruitment meetings, university of
arizona solarcar team has used their e-calender embedded on website to make everybody informed
about.

5.1.6. Interteam Education

Enables handing experience and knowledge on to next generations. SAITEM members have paid
great attention about this issue and looked for new solutions. It is clearly expressed that easiest and
best way of transferring is penning as paper like this study. Usually this sort of studies reveals as
undergraduation or graduation thesis. Istanbul Technical University Solarcar Team (ITU GAE)‟s
thesis can be given as an example to sample this sort of papers [13]. Also, in the header of „A Motor
Controller for the Solar Car Project‟ which is prepared by A. James Reghenzani from University
of Queensland Solarcar Team, can be shown as another example [14].

However, these methods may be followed in team;

One-on-One Training

Each divisions assign a member for each title to practise and teach new fellows everything about
questions by calling them to laboratory. Respond and give them new duties to warm and see what
they can.Of course it is better to have this training consecutively step by step.

Independent Documents

Creating documents about the specific issues or divisions in form like „How It‟s Made‟ by
assigned members. This method also makes education of new fellows easier. For instance a file
which is under header like „Solarcar Project and Electrical Electronical Engineering‟ enables
knowing of which issues are going to be concentrated in near future. Eventhough it‟s troublesome
will definitely work.

Conferences

It might be successive meetings in university or institution about specific titles, preferred in case of
limited time and crowded fellows.

5.1.7. Sharing Policy

SAITEM made in principle being open-sourced about the points those are not strategical and not
require very special endeavours. However sharing is made via official websites,blogs, WSC Yahoo
Groupa and social platforms such as facebook, scribd, etc...WSC Yahoo Group enables great
facilitation to participants to share and discuss everything.

5.1.8. Design

Design is a matchless supporter source for sponsorship and media divisions,thus, attractive and
simple design has significant place to convince outer environment for a solarcar project. Generally
volunteer based projects has this lack of design, but it can be covered by finding a volunteer who
works individually, getting along with a design studio as project sponsor or convincing the
university‟s administrators which belongs to virtual design works to wish from them. Design is
especially needed in sponsorship, media-promotional works or team equipments like t-shirts.

5.1.9. Formal Relations

The writings below is truly not interested for teams have great relations with administrators or
formal people, but it might interest the teams are obligated to obey student-enemy administrators
who have not proper vision.

Unfortunately, formal relations is one of the steps that require behaving as double-faced. It is
recommended to be skillful to lie without any hesitation and shame. Formal authorities might try
to use full authority to abandon from your intentions. In such cases, it is better to tell them
something they don‟t know or leave questions in their minds. Formal relations are generally laying
the basis of great lies, if an authority can lie to you frankly, you should have this potential to use
against as well. It is not recommended to lie in formal relations unless it is needed as emergency.

Leaving being true and honesty is never tolerated in sponsorship applications. But in formal
relations, shall be assuming an attitude according to person addressed to. Below, an example
dialogue is given to convince an authority as sample issue;

Member: Your Honours, we‟re going to attend World Solar Challenge ‟09. And we need „official
receipts‟ equivalence to money comes from sponsor companies.
Official: We can not give receipt for your project this year.
Member: Hmm, Is that not possible in anyway?
Official: Unfortunately, No.
Member: I see sir, what about foundation sources, last year told us to come this session.
Official: It might work,but i‟m not sure who is interested with.
Member: I think Mr. Şaban is interested with that topic. Maybe if we get Mr. President‟s
permission, he might look more calm to this issue. Do you agree?
Official: Uhmm, Might be. But don‟t make yourself tired. I‟ll talk with Mr. Şaban to not give you
receipt. We‟re sick of that project.
Member: I‟m really sorry sir, but this is very important race. I think it‟s last time. Need your
initiative.
Official: How many times this is last, Member. Each year you‟re coming with same issue. I‟ll leave
from being of your consultant stuff.
Member: Dear sir, we can‟t do without you( that‟s it: big lie). You all time helped us very much.
Official: That‟s right but it doesn‟t go on like this. Anyway we can talk tomorrow.
Member: Thank you sir, regards.

As seen here, member never thought about forgiving from needs. Just resiquedly endured and
enforce to convince official authority. Generally next step after this sort of dialogue is obtaining of
what is wanted. After all, project should has some upper ranked authorities to make this sort of
dialogues. And also, official authorities should be informed about the needs at commencing of the
project and waited for guarantee to meet.

5.1.10. Material Planning and Purchasing

Purchasing budget is determined by project manager at start of the project. Market research about
required materials is done and revealed a financial „value‟ according to purchasing method. Picture
belows contents purchasing materials, details and resources of them. Time intervals that has highly
flowing as cash, keystones of project budget,comparisons between project titles are shown in
graphics obtained via MS Project. As seen on the picture below, total value of purchasing
materials for World Solar Challenge is about 185.905,00 TYL. While 18.750,00 TYL of this value
is met as service rest of is purchased by cash.

Materials in the picture contents only purchased technical or survival things. These materials
aside,all places where payments made to for logistical purposes are listed and saved as .mpp file. It
is better to remind that Microsoft Office Project 2007 have not used in the proper sense but used to
aim of demonstrating by graphics of inputs and outputs conveniently.

Report choices of MS Project have a large preferences, it is easy to choose a random date of the
project to see duties belongs to chosen date. Also milestones,critical dates can be controlled,
financial details can turn into well-rounded outputs, to do lists can be seen, and „who does what
when‟ s might be checked out.

Graphic given below is summarizing that material purchasing budget of SAGUAR Project by the
periods. Values are negative due to spending as outputs.

As clearly seen in Graphic 5.2., purchasing process is not about a specific period but is distributed
to each quarters of the years to homogenize outputs. Of course, the reason of immediate rising of
third quarter outputs can be guessed as being obligated to spend rapidly to meet some critical
requirements just before the race. And most important reason of this rising column is delaying of
battery order which is one of the milestones of project. This delay is comprehensively examined in
following title.

Purchasing

All purchasing processes are done under the name of Sakarya Univercity Rectorate. In processes a
commission company has been used due to university purchasing procedures not allowed to
purchase directly from abroad. To sum up purchasing processes;

Value of a random material is called as A(for example solarcells), shipping, costums clearence
and taxes will be added to this value. To get this huge material order from costums, a comissioner
company which is should have been already importing similar materials about what is wanted to
import. For example if this material is assumed like solar cells or batteries, a commissioner has to
be already importing about electronics. Otherwise taking charge of material by costums aside,
commissioner company might have import prohibitions like stopping of import and deleting of
trade note.

Purchasing is done via tendering procedure which is known as three different company fills
proforma providing that lowest offer comes from defined commissioner company. Then proformas
are sent to purchasing office and commenced the process officially. Commissioner company
makes the payment to company in abroad, makes final order, then university is able to make
payment to commissioner upon taxed bill right after taking products from customs. Choosing a
commissioner company has vital importance because some products like solar cells, electric
motors are so expensive to make single payment in full at once. At this sort of purchsing process,
should work with a company is able to do. Because it is not possible to make final order before
putting all money to account.

Purchasing of batteries in SAGUAR NL set a good example of possible troubles that might be
come out during the process. Battery‟s purchasing decision had been finalized at last quarter of
(*footnote)
2008. Commissioner company is anonym let‟s call it „Information‟ . It was engaged with
Information Company General Manager to provide electronical demands of the projects, solar
cells,batteries and MPPT‟s. A long time passed after this speech, but Information company had not
ordered (make payment to abroad) any of the products due to internal problems. SAITEM has
decided to products totally as of end of March,2009. Payment of solar cells was made by Team
Manager to SuncatSolarLLC, thence there was no delay about getting solarcells. But batteries and
MPPT‟s had not been ordered for a long time because of payment depends on to Information
company.

As of June to August 2009, Battery and BMS‟s had not ordered from the excuses like some
permissions inside the company, autorities went away for holiday season, lack of cash at finance
department. Also at this stage, Information company informed SAITEM about orders have been
done just waiting for confirmation. But Information company has missed a point that is most
critical one in this issue, that is batteries and BMS‟s are special products so within the context of
commission manufacturing which means manufacturing does not start before payment in full.
SAITEM has learned about that issue at phone speech with Peter Dooley who is authority to
distribute KOKAM‟s products around the Europe. Final ordered had to be made by peter dooley to
start manufacturing. This is because Information had not made payment to PeterDooley thence
PeterDooley had not made payment to KOKAM. Right after this sticky situation comes out,
operation division had afforded a lot to convince Information to be made payment. Because the
date is August and manufacturing takes at least 4-6 weeks, futhermore two and half month left for
the Global Green Challenge.

Then, Information had completed payment at 18th of August with delaying three more weeks.
Amazingly the delaying reason is not trusting to university to get payment.
In this case, according to Peter Dooley‟s saying manufacturing were going to take 4-6 weeks
which means approximately last week of September. This date was also about planned deadline
date to export SAGUAR and all crates to Australia although not exactly. Travel plan is starting in
first days of October by taking into consideration of some meetings and pre-event testing in South
Australia. After all happenings, actual devastating new come from KOKAM and Peter Dooley
about continuing battery manufacturing till 7th of October. That was unjustice situation because
normally promised manufacturing date was about 4-6 weeks, this was exceeding time limits one
more week but nothing else to do. Consequently, batteries had not assemblied to solarcar and team
was unable to make tests while being in Turkey. Later, battery shipping operated to directly Port
Adelaide and by getting them as long as being Adelaide assembly had been made at TAFE SA
O‟Hollaron Hill campus where SAITEM worked in Adelaide.

Shipping of batteries from Korea to directly Port Adelaide created another costums problem but
achieved that problem by preparing temporary importation papers and getting a petition about
these batteries are coming to be used just in borders of World Solar Challenge not trade purposes
from Event Director Chris Selwood on behalf of Organization. At this case, proper method is
working with a logistic agency to deal with import/export processes to release from devil of a
business. Below, Picture 5.4 shows the petition from Chris Selwood to achieve costums problem.

In addition, a deposit amount of 1.500,00 US $ had paid to South Australia costums within the
context of temporary importation paper as long as paying back when crates send back to Turkey.
Total cost of battery‟s shipping to Australia is 4.100,00 $US with shipping. But there was no need
already to pay for costums clearence and taxes when batteries enter to Turkey in solarcar.

Another great story is really worth to mention here about the Battery Management Systems(BMS).
Final order of BMS‟s is made by Peter Dooley at same time with batteries. Manufacturing of
BMS‟s had taken two weeks and shipped to Information company,Turkey without any trouble.
BMS‟s were in costums in first week of September, were waiting for clearence to be paid. But
because of the same slow-motion policy of Information company this stage takes almost a week.
In this period, Istanbul region had been badly affected by a terrible flood and BMS‟s were keeping
in branch of a cargo company. The branch of cargo was at worst place, totally surrounded by
flood. Lower floor of the branch was totally stayed under water, some equipments were lost, some
of them damaged. At this period, almost two weeks till 22th of September haven‟t been informed
about how BMSs are then they have released as non-damaged due to keeping at second floor of
branch.

5.1.11. Logistic Organization

Using of MS Project is going to be beneficial at logistical planning process. Especially „Display


and Analyze‟ tool makes following logistical duties easier. By means of this tool, many points
such as task usages, task forms, network and relationships diagrams,resource form and usages can
be observed independently and evaluated. Picture 5.5. can be given to sample.

Logistical costs are compared in Graphic 5.3. as turkish currency (TYL). When looked at graphic
carefully, importance of completing project at time is going to understood one more time. If
project might completed by covering all tests, transportation of crates can be easily made via
seaway. By doing this, the cost of transportation will be deducted to ~10.000,00 TYL from
49.000,00 TYL which means saving expense in ratio of 80 %.

Majority of logistical requirements was met by cash flow. If project has lack of cash, only solution
is increasing sponsorship/cash ratio by convincing logistical companies to be project sponsor.
Which is possible to feature global sponsorship endevaours. Sometimes contacting with unknown
global companies might be a solution because participants all around the world is contacting with
same global companies for transportation, car renting and flight tickets. Not focusing this issue
will be examined all across the board in sponsorship division.

Several action programmes are prepared as A and B, but subjected to C plan as a natural
consequence of financial situation. Under the following title, these plans, variations on plans, why
plans undergone to variations are comprehensively explained.

5.1.11.1. Australia Action Programmes

Action programmes were drawn up below as A, B and C plan which is consequently obeyed. A
and B plans were made according to logistical organization and pre-event testing in South
Australia. Consequently as a result of financial situation, obeyed to C plan, but in general C plan
somehow presented SAITEM to live extraordinary beatiful things during Australia journey. Plan C
were very efficient.

Plan A

Planned Crew: 17

Planned Route: Istanbul > Adelaide > Alice Springs (by pre-event testing) > Darwin and Race.

Origin of Accomodation: Adelaide. SAGUAR NL and crates will transport and 10 of 17 will fly in
to Adelaide.

1-3 October 2009:Arrival of SAGUAR NL and 10 /17 crew,


3-5 October2009:Final touches on solarcar. Getting required permissions to make pre-event testing
from South Australia Government or meeting with Mr. Selwood before starting pre-event testing.
At least, it will be great experience to go till border.
15-20 October 2009: If we might reach Nothern border, continuing from there to Darwin by
loading solarcar and materials to team truck. At this period, rest of race crew 7/17 could be directly
arrived to Darwin. They were going to bring some spare parts or anything else if comes out after
pre-event testing as need.
20-25 October 2009: Static,Dynamic Scrutineering and Classifications.
25-31 October 2009:World Solar Challenge 2009.
31 October – 3 November 2009: Preparing crates to get back home.

Plan B

Planned Route: Istanbul > Darwin > Northern Territory Pre-Event Testing > Race.

Comparison of Plan A and B

Plan A : Pre-event testing is going to gain a lot experience to team due to like a race copy and
being at more-virtual conditions. Here, team definitely need to a rental truck or semi-trailer and a
workshop in Adelaide. Which means to apply a ver well sponsorship strategy about providing
truck. It is urgently needed to develop a method to solve this logistical problem.

Plan B : Plan B is worse according to Plan A from the view of making pre-event testing in
outback. In case of drawing the arrival date to 10th of October, we‟ll release from trouble of
finding a workshop in Darwin due to Hidden Valley will be opening to participants.We can make
pre-event testing vicinity around Kakadu National Park with Road Permit which is taken from
Darwin. But there is afraid of pre-event testing will be shorter and harder then South Australia
Stuart Highway.

Use of Plan A is clearly seeming the best way of completing race in peace and comfort and
gaining incredible experience in case of getting financial problems over during WSC 2009. Plan B
is also ready to use if finance gets harder and it is not possible to make any plan cheaper then Plan
B if success is seriously targeted. Furthermore, if some business goes wrong at Adelaide, there
will be pretty enough time to cross Plan B.

Plan C

Plan C leans the situation comes out involuntarily. Actually, all questions regarding „how plan will
be‟ was depending on only one simple question: Where SAGUAR will be sent ? Respond of this
question took 5 months due to many reasons up to solarcar,financial situation and logistical
companies. This ambiguity had been solved by cash flows and transportation of SAGUAR NL to
Melbourne gained certainty in September. But race crew was considering as 17 fellows had to
reduced to 12 because of financial reasons.

Vehicle Destination: to Melbourne via air cargo transportation. Initially nothing has planned
about Melbourne but after talking with companies, one thing was clear that Melbourne was almost
single-destination from Turkey for cargo planes which can take our team crates. Also, cost of air

cargo for crates for single-route was about 25.000,00 – 30.000,00 €. Sponsorship applications with
many global airway companies were not taken seriously evaluated. Generally companies do not
prefer sponsorship instead of guaranteed money because anyway you have to transport your
solarcar to Australia. As of 2009, unfortunately any turkish airway company was not flying till
Australia. Turkish Airways provided 50 % sponsorship for transportation till Singapore. But
Turkish Airlines was doing till Singapore, then it is obligated to operate another oversea process of
a star-alliance airways or seaway from Singapore to Melbourne or any place in Australia.

Hopefully this situation is going to be changed in following years by Turkish Airlines with
implicating some longe-range aircrafts to fleet.

Consequently, SAITEM agreed with PAN Air & Sea Logistics as a result of long endeavours in
September for 22.500,00 € totally airway export and seaway import. Due to not having sufficient
cash to meet totally, seaway import was postponed to next dates, by doing this total cost was
reduced to 19.000,00 €. Then PAN was convinced to attribute a little sponsorship to project and
reduced 2.000,00 € more. Thence total cost for airway export in the route of Istanbul > Melbourne
is paid as 17.000,00 € (37.150,00 TYL) and gained certainty. Transportation took 6 days because
of being cheapest way. In this six days, SAGUAR followed the route like; Istanbul > Paris >
London > Singapore > Melbourne. If an airplane could be used directly to Melbourne by
Singapore, it could have taken a couple days, max 3 days to arrive with all kind of costums
clearence. Customs process and clearence had been done by PAN Logistics in Istanbul and
Melbourne.

Two crates are made for packing;

460 x 190 x 130 = Vehicle Crate

200 x 150 x 130 = Material Crate

It is an option if choice is not about making single crate to content everything or not possible to
transport such a big crate via airway. But should be very careful about being strong,strong crates.
Because these crates will be lifted many many times by forklift blades and should be considered
sometimes blades can damage to down layer of crates. It‟s importance would be very well
understood when considered such a long travelling has many place to stop like SAGUAR had.
Crates are better to have iron platform at under side for forklift blades. Otherwide might be
damaged. Other sides of crates can be made of 18 mm pine, not to use thinner one. There is no
need to avoid from weight because there is a concept named as volume-weight in airship cargo.
Volume weight is calculated according to crate dimensions. When it is exceeded, an extra cost
comes out. For example, total wieght of both crates was 1380 kg. But their volume weight was
2200 kg. Which means we could use 820 kg more but it couldn‟t because of not exactly knowing
what is the meaning of volume weight.

The easiest way of releasing from classic costums procedures is using of ATA Carnet. ATA
Carnet is a proof that this crates exports/imports temporarily and will be returned back as how it is
sent. Because of this procedure, everything in crates are explained by title,estimated weight and
cost. In case of accident,damage or loss, assurance company is liable to make payment according
to values defined in ATA Carnet. And crates definitely should be covered by travel accident
insurance. Its cost was about 600 $ US but no money to cover even this little cost.

Values of solarcar and materials which are actually unprizable in ATA Carnet shall be written
seriously. In theory, all ATA Carnet lists are examined and crates shall be investigated detailed by
costums officers but this is not happening according to third abroad challenge experience of
SAITEM. SAITEM experienced ATA Carnet third time with WSC and never touched to crates at
none of them. Before leaving crates to costums officers, some photos shall be taken for crates
inside and outside appearence. This is also shall be made for solarcar. In case of possible accident,
these photographs might be used as proof. Thence, officer at costums is liable to request these
copy of photographs from team manager. And some warnings should be sticked onto crates such
as; „CAUTION‟, „FRAGILE CONTENT‟, „World Solar Challenge‟, „Sakarya University‟.

Another important issue is about batteries. Through batteries are considered as dangerous goods,
transporter company would request MSDS (Material Safety Data Sheet). We had mentioned about
what MSDS is previously. The thing is recommended about that to not even mention a word about
the batteries to cargo company. Batteries shall be totally unplugged and camouflaged by large
black isolation tapes in kevlar battery box. Because it might cause extra cost.

Team Destination: to Melbourne via Malaysia Airlines. Cheapest tickets have been taken from
Malasia Airlines. 22.000,00 TYL paid for tickets after a long time pursued for round-trip tickets.
According to plan, 11 of 12 fellows could have been in Adelaide and another one will come at
10th of October to Adelaide. But through an irreversible fault of Malasia Airlines authorities,
tickets have been taken to Melbourne, not Adelaide. Tickets were irreversible due to issued group
tickets and stayed as Melbourne. Due to SAGUAR will be sent to Melbourne airport, everything
tailered to this new situation, contacted with people at Melbourne and „to do list‟ revealed in
Melbourne.

At Plan B, travelling of the team from Istanbul to Darwin have come out almost double cost of
Melbourne.Thence, Plan B had become antiquated similarly crates logistic was not possible,
either. Melbourne was preferred as cheapest way to go for both crates and team.

Car Renting: SAITEM‟s rental passenger cars are Toyota Tarago and Mitsubishi Lancer. Six
months before the race, reservations were made for possible destinations, Darwin and Adelaide.
Eventhough team went to Melbourne, cars were obligated to rent from Adelaide because it was
prohibited to rent to people under 24 according to Victoria Government (according to Thrifty,Avis
and Hertz victoria offices). Thence while fellows were joining some radio programmes and
meetings, 4 of 11 went to Adelaide from Melbourne to rent our cars and come back to Melbourne.
There is no doubt that cheapest company to rent a car in Australia is Thrifty. Sometimes it is being
very hard to find even wanted cars in Europcar and Hertz. Avis is also proper choice but not as
much as Thrifty. These rental car were rented via Travel Jigsaw for SAGUAR project.After
making reservation via internet, travel jigsaw calls you from England in following an hour to
confirm and listen your details. All kind of questions can be asked to Travel Jigsaw at
phone.Rental cars definitely shall be covered by full insurance. While changing from company to
company, full insurance cost is 33 AU $ per day.Otherwise accidents or damages may really cost a
lot.

As an example story, happenings to our one passenger car, lancer. While lancer parked in
Adelaide at Cannon St side by a bar, probably a drunk caused a damage on front body by jumping
on it. A cost of this damage was 385 AU $ and paid as soon as informed. If semi-covered
insurance could not have made, cost was going to be more than 2.000,00 $ AU. Recommendation
is not being rush to inform rental car company if any damaged happens. Because there is an
obligation to pay at the moment of information, should be waited till last day and if any damage
happens one more time, all would be paid at once. Otherwise, there is possibility to pay 385 $AU
one more time.

If SAITEM could have made full insurance, 385 $ AU could be some lower but not much
difference. These details surely shall be learned from company before renting car.

SCOUT; which is leading the convoy along the race and pre-event testing, makes final decision
about overtaking a car or stopping at road side by observing ongoing traffic conditions. Scout
warns the car in case of anything dangerous comes out on the road. Scout can drive maximum 500
meters at front of solarcar. Due to carrying mechanical fellows, contents spare wheels, tyres and

mechanical tools & equipments on baggage. Scout has radio connection with mission control.
Radio connection with solarcar shall be only in Mission Control to not confuse driver‟s mind,
many teams used this way. But SAGUAR driver had to listen both mission control and scout and
sometimes even trailer driver. Because more radio couldn‟t been purchased due to lack of cash.

MISSION CONTROL; is the car which conducts race. Mission control has radio connection to all
convoy and solarcar. When a road train or a car is overtaken by solarcar, mission control gives
confirmation to solarcar according to information comes from scout. Mission control contents
computers and telemetri equipments to see how well car is going on. Race strategy is managing
from this car that is why it is called as Mission Control. Also MC keeps Race Observer in front left
seat.

Trailer Renting:. SAGUAR and all equipments were carried vith Mitsubishi Triton single cab
and car carrier. Equipment crate was on the rear space of Mitsubishi Triton single cab till broken
down on the untoward accident. Triton was towing the trailer which carried solarcar crate. This
should be last method to carry solarcar and equipments. Using of trailer cause troubles and
unhealthy travelling thus renting of a truck or semi-trailer(of course with driver) is going to be
very relax and comfort eventhough some teams use it all the time. Most of the participants do not
have possibility to rent a semi-trailer like Michigan, but it is necessary to enforce all limits to pass
great organization. When SAITEM arrived to Melbourne triton and car carrier was taken from
Melbourne distributor of Handy Hire company. But due to be undergone a great damage in the
accident which occurred vicinity around of ti-tree town (180 km north of Alice Springs) at 17th of
September, triton had to be left to junkyard of Alice Springs and toyota commuter had rented when
team arrived to Darwin. Rental cost of triton and car carrier for a month is 4200 $AU and 2000
AU $ more paid for deposit via credit card. Also cost of toyota commuter bus was 2200 AU $ for
11 days.

Accident mentioned above occurred after leaving Adelaide in north of Alice Springs. Driver of the
triton could not take control by immediate manoeuvre when car carrier‟s rear wheels go out a little
bit to roadside while driving on fortunately empty road. It was easy to roll over in any immediate
manoeuvre from the reasons that pick-up and car carrier had no weight balance, roadside was
dusty and there was remarkable height contour difference between road and side. The pick-up was
rolled over and swept about 50 meters on the equipment crate then with breaking of crate front
body damaged a lot, but 2 team members could exit from the car healthy and excape lightly. The
miracle is nothing happened to trailer which was carrying solarcar behind of pick-up. It was about
08:00 am in 180 km north of Alice Springs. The cops just came to the accident site and called for
towtruck for damaged cars because they closed double lanes.

For cost of the damaged car (mitsubishi triton), rental company laid hand on 2000 $AU deposit.
According to rental agreement of Handy Hire, team had to leave damaged car to where it should
have been left, Adelaide. There was not money on the team to afford cost of transporting of
damaged car from Alice Springs to Adelaide, at this point Event Director Chris Selwood helped to
team a lot to solve this problem. Right after the accident, contacted with turkish people and general
consul of turkey to inform about the bad situation. And alternative ways were thought to tow our
car carrier till Darwin. It is attempted to rent a new car to tow car carrier from Alice Springs, but
couldn‟t get any result due to border prohibitions of Alice Springs city. This means it was not
allowed to go another city with car rented from Alice Springs. Meanwhile two cars were parked
belongs to Global Green Challenge Committee in backyard of the Hertz. Hertz was last chance to
try and amazingly it was closed at 01:00 pm because of the day was Saturday. One of two GGC
cars had a two bar behind of it and that was exactly what is needed. Urgently Chris Selwood was
called and mentioned about everything to him and requested from him to reach to GGC Officers
through their car plates. Then GGC committee was readily accepted about towing the car carrier
from accident site till Darwin. As of that day, convoy travelled with GGC Committee two days
along. Consequently this great dangerous accident had been a narrow escaped with only one day-
long loss fortunate to GGC Committee. For further and detailed information about accident migh
be looked at the reference[18].

Accomodation: 4 tents, 14 sleeping bags and 14 shakedowns were taken for 12 fellows team. It is
obligated to sleep in tent or in rental cars (for fellows who creeps about desert conditions) while
being in outback. In Darwin, it is allowed to stay in Hidden Valley paddock by using own
equipments. Hostel prices in Darwin is about 25-30 $AU for a night per person.After race is
completed hostel prices in Adelaide is about the same because at these dates, cities lives most
frequently visited dates by international backpackers.

During the whole race, SAITEM‟s accomodation costs are following;

Melbourne, Between the dates of 1 – 6 October, A Hotel on Flinders St,Melbourne


(1350 AU $, 5 night/11 fellows).
Adelaide, Sheakspeare Backpackers on Waymouth St. (1600 AU $ 8 nights,11 fellows )
Darwin, stayed in a random caravan park, rest of days were in HiddenValley Raceway.

Adelaide, After the race between the dates of 30 October-3 November, stayed at Cannon
St. Backpackers which was accommodating many solarcar teams such as Michigan,
Nuon, Tokai etc... (820 AU $)

Foods & Beverages: Best choice are pulse or conserved foods in canisters during the time of such
an oversea travelling. However, these foods and beverages can be sent directly to Australia inside
of the crates because crates are not investigating detailed (it worths for taking a little risk instead of
dealing with in Australia and outback, everything is pretty expensive). Hardest challenge is about
beverages. Fuel stations are pretty expensive in outback, thence it is required to make a beverage
stock before leaving from Darwin. Woolworth Supermarkets are proper choise to go in Darwin
centrum, generally there is a campaing about coke canisters.

Oil: In general, fuel prices are cheaper in city than outback. Also it is possible to see higher prices
in northern territory. Each car of SAITEM Convoy has logged approximately 11.000 km‟s during
the period of 33 days. Fuel is spent like water especially inside the city. Lancer and Tarago (later
changed with Kia Carnival) was used inside the city a lot.

Melbourne – Adelaide : Unleaded 110 Cents , Diesel 115 cents


Outback Australia : Unleaded & Diesel changes up till 170 cents( 155 aver.)
Darwin -- : Unleaded 130 Cent, Diesel 138 Cent

Satellite Phone: It is mandatory having at least one satellite phone and giving it‟s number to
committee based on race reguations. SAITEM had decided to rent a satellite phone to get cheaper
instead of purchasing and rented from GlobalStar Company 40 days along for 50 $ cost and 250 $
deposit (satellite phone card included). But it almost had never been used due to high prices of
dialing. It is just a care of technical committee.

NOTE: When the team has accident in outback, our satellite phone was not working because of the
company (Global Star) had not opened satellite phone to international roaming. SAITEM had
taken help from an australian citizen on road who went to nearest roadhouse to call police and
healthcare professionals. This point should be cared a lot before leaving homeland.

5.1.12. Operation of Divisions

Right meetings and reports are notable titles in operation of divisions. Properly applying of points
mentioned in 1st Chapter and achievements of divisions creates success for operation division.
Great challenges on operation division is providing inner discipline and communication in other
divisions. However, operation fellows keep contact with people/companies like „critical to
contact‟s and „critical to accompany‟. These links benefit to targets and works of future at long-
term.

Other divisions shall present their division reports once in a time that determined by operation
fellows. Then, these reports are evaluated by operation division, if there is any essential
improvement, requested. Each division reports should include „what are done‟, „targets‟ and
„what‟s next‟, „needs‟ titles.

5.1.13. Most Ignorable Side: Acknowledgement

Quotation is enough to show how much important is acknowledgement at proper time to provide
sustainability of a project. There are many ways to thank. A solarcar team should benefit from
these ways against to accompanied people/companies. These can be made via e-mail, phone call
and cargo. Visits of thanks should never be ignored or postponed more than a month after the race.
It is needed to schedule due to visiting some sponsors simultaneously. Route of the fellow to
organize visits of thanks are;

“allowing a car from university for visits>preparing of gifts and acknowledgement certificates >
determining when to go> printing out of address information and drawings via internet>listing of
companies according to route > requesting a meeting from sponsors according to list > informing
team members who will join the meetings > warning of team members to be informed about the
sponsors which will be visited > listing of things will be requested from sponsor company via
excuse of acknowledgement”

At meetings, informations about future of the team should be given to sponsors and tried to
convince addressing person to accompany to next targets. Serious helps will bring itself by
providing co-operation of targets during the next processes.

Phone calls regarding thanks are so precious especially from the view of individual sponsors and
should be made by team manager of project managers.

5.1.14. A Unique Division: “Quality”

Quality has great diversity in definitions to be understood what exactly means. In simplest
meaning, is a superiority tool directly interests management, engineering and manufacturing.

Naturally, people find diverse definitions to this superiority tool through their different
requirements. Thus, quality is a concept that interests „how to be better‟ might be perceived
differently by different people.

For example, according to Six Sigma which is created by Motorola quality is defined as; “Number

of defects per million opportunities. ” According to ISO 9000; “Degree to which a set of
inherent characteristics fulfills requirements.[20]”

And again regarding with a solarcar, easy to define differently. Our quality comprehension brings
this definition which is thought fit because of being closed to comment and clear to understand;
„Completing All Tasks witin Determined Time Boundaries.‟ It is important to have solarcar
project applicants as a team should have a quality vision eventhough not realistic and concrete.
This reminds awareness of responsibilities in the team, aside of that, benefits for team member‟s
personal business life along rest of their life.

To Motivate

Motivation is like condition of „sine qua non‟ for all voluntarily working and dedicated fellows.
Many ways might be tried to rise it up such as joining of a respectable person to team meeting
from near environment of team or going out for a dinner under pretence of a birthday party (or
similar excuses).

Activities aside, best attractive factor is communication of team managers. Operation division
members or other division managers directly effects to team‟s motivation and enthusiasm by using
their communication skill and electricity, negatively or positively.

To Standardize

One of the most important things which determines sustainability of team, prevents time loss.
Standardization means all kind of materials in works of divisions have a certain structure, under
the reponsibility of operation division. Diversity of required materials are so high especially for
sponsorship and media & promotional division. To be more explicit, each company might not
want to see same materials or each channel,radio,TV might look for something different in
advertisement documents. Stardart file is constituted by combining of documents which are
comprehensively thought for all possibilities, contents responds of all question marks regarding to
project. Thanks to this, easy to be updated and improved. Documents which should reach a
standart form are listed below by divisions.

Standardization has a disadvantage which is easily able to be counteracted. Existance of standart


files should not be a barrier for file designing and arrangement skill of new fellows. If this
happens, new fellows can not judge, see missing points and change the files. For this reason, even
If all documents have a standart form, it should be wished from new fellows to compose new files

or to judge current files to enforce their imagination. By doing this kind of „urgently needed file
tensions‟ or similars, might be attributed to personal development of new fellows.

5.2. Media & Promotional Relations Division

Media & Promotional Relations Division have commenced to work right after Shell Eco Marathon
‟08 in SAITEM. Previously SAITEM was joining fair and making promotion activities but not
ordered. With swinging of division into action, media and promotion activities gained order,
continuity and showed incredible fast development by being well-known solarcar team of the
country within eight months. Most of the activities will be examined in following pages but
before, it is better to investigate „how - what to do‟ in Media & Promotion Divisions.

5.2.1. Media & Promotion Team

Media team should be constituted by fellows who has strong communication skills and
determination. Combining of these two characteristics will bring great endeavours, successes even
if it might take long time. Performance of the division is up to diversity and how rich inside of it
from the view of fellows. Internal structure of Media & Promotion Division causes to not fulfil
works as desired due to lack of volunteers can pay time for division. But despite everything,
SAITEM has merged into top solarcar teams of the world by means of promotion works by
superhuman efforts.

Each member takes equal-weighted responsibility in this hierarchy. Division Manager, should
have control inside the division, define advertisement strategy around the statistical works should

5.2.2. Defining Division Targets

Targets might be numeric for previously planned specific works. For example,broadcasting of
projects in 10 different national channels, reaching a million people primarily through fairs and
activities within a year. Targets are put by division managers and confirmed by operation division.
After determining targets, advertisement schedule is ready to be completed.

5.2.3. Advertisement Schedule

Advertisement schedule is prepared for the period from starting date of project till estimated finish
date. It is renewed by division manager once in 6 or 12 months. Advertisement schedule simply
might be done in MS Excel and shared with team. However, scheduling depends upon time in MS
Project and comprehensively defining all details on the file helps to hand on of knowledge to next
generation accurately. Schedule should content activites, TV & Radio programmes which has
become definite or thought to be attended. After completing at all, should be shared with shortly
outer environment (sponsors, families,school administrators and media authorities).

Best method to share activity schedule is via WEB Based Schedule which is used by some solarcar
teams (such as UM Solar), which keeps everybody informed about where project will be exhibited
or where to published next.

5.2.4. Advertisement Materials

Advertisement materials are necessary equipments for promotion activities. A large screen, 82
inch LCD (if not possible presentation), brochures, catalogs that covers all sort of detail of
projects, display posters, sound and microfon set, digital camera (professional for races),
handycam and professional camcorder, a rotating platform to show solarcar off on it, car dress
which has country flag or team logo on top surface, team clothes, etc...

5.2.5. Fairs & Activities

It is mentioned about the things needs to be done in fair and activities in National Leader‟s
responsibilities. This title is allocated to handle completed activities during the life of SAGUAR
Project. Activities which is organized to make people more sensitive about the environmental
challenge, World Solar Challenge, solarcar and other community projects along 2008 and 2009 are

TİM Show Center had allowed for unveiling ceremony and crowned all with „Turkey‟s
Solarcar Project‟ slogan. The ceremony had effectuated a month ago from solarcar‟s Australia
travel, broadcasted via chief news of many national TV channels , published by newspapers
and internet based websites. Many significant authority had attended to activity, and some
people made an honorary speech such as Sakarya University Rector, Motorola Turkey

5.2.6. Press Review

For either sponsorship or media/promotion endeavours, drawing up of Press Review document


which covers every published related or nearly related page/video/quote whatever, is awfully
essential. The document also will be understood as confidence source against to outer
environment. Thence, should cover every news to a dot in reachable form. News are prioritized by
best-known sources and what it contents. Attractive file design is mandatory.

5.3. Sponsorship and Institutional Relations Division

It was mentioned in Chapter 1st that is sponsorship kinds while defining what project sources are.
In this chapter, focused to deliberate „what is required‟, „how to do‟ from beginning to end by
sharing of gained experiences and emphasized the points which are definitely worthwhile to run
for future.

5.3.1. Sponsorship Team

Sponsorship team should be composed of members that can speak english, knows how to
communicate attractively. It is recommended that having members which well knows marketing
and anxious to grasp how to conduct industrial relations eventhough majority of team comes
together from engineering faculty. At beginning steps of project, it must bu decided who is going
to conduct/manage which tasks (which we named as Owner) and same for succeeded owners.
SAGUAR project had lack of volunteers to undertake any kind of tasks. Sponsorship endevours
were managed by three fellows. At this point, it is going to rise efficiency of efforts to have at least
5 members to deal with sponsorship endeavours and to share them equally. Roughly some issues
are like following; national applications, international applications, documentation,
standardization, new fellows education and trainings, fairs and activity sponsorships,
communication with sponsors, division reports, thanks visitings... However along the SAGUAR
project, rest of the team (technical division members) had benefited a lot for sponsorship
applications with the best of their ability. Especially ratherly technical sponsorships comes through
their efforts. Graphic 5.5. shows how effective work done by technical members and rate of how
sponsors allowed. As seen clearly, 30 % of all sponsorships had come through this way.

5.3.2. Defining Division Targets

To define division target, first it is an obligation to have strong necessity analyze. While setting
targets out, each of those should be listed ; obtained sources and possibilities, needed sources and
possibilities. Targets may have certainty once marketing searches are done. Upon some questions
worth to deliberate like how targets are defined by division and what can be unit for those. Here
the way breaks up into two direction, one is realistic targets (fits to common sense) another is
fantastic. Realistic one is absolutely hits the mark, as an example, in SAGUAR project financial
cash target was 200.000,00 TYL. Although unit of fantastic target is assigned something very
different, fantastic target is incredibly hard to hit but also needed to pursue along the project, used
as a sort of motivation source. This was put on SAGUAR Project as becoming applied to
companies about 2000 and achieving 8-10 percent success. Realistic target is successfull achieved
by providing cash input over 220.000,00 TYL. However couldn‟t have been reached to 2000
count, but applied to approximately 1250 companies. In this applications, 30 formal and 68
informal sponsor companies allowed to SAGUAR project by 7.84 % achieved.

5.3.3. Road to Success in Sponsorship

Sponsorship endeavours are conducted as being in the knowledge that every application is a
serious investment for project‟s future unless looking at achieved or not. Either it is an one-on-one
advertisement from the point of contacted people‟s glance or it will leave an effect,negatively or
positively, on company‟s board level. This might not result as an act because of company‟s
financial situations. But it is all the time possible to leave good impression on them. All
impressions becomes „independent positive‟ to become real in one day not even in short-term. To
extract a positive impressions from all possible meetings, needed to eliminate question marks
which might be encountered during the life of applications.There is no need to mention about
classical tenacity and determination expressions. Instead, giving samples from the project is going
to more efficient way. Let‟s take an anonymous company (that‟s what happened in SAGUAR NL).
SAITEM Sponsorship Division made first application to „Anonymous‟ company which is a global
and long established company in April of 2008. Communication with company had been sustained
along the project eventhough first negative results, and eight months later from first contact
Country Manager of the company called the team for another meeting to make presentation. After
a great, impressive meeting, company requested to fill an online application form and decided to
support after examining the form.

While starting to long-term sponsorship endeavours, it is important to have impressive and


satisfied documents for questions of all kind of companies. In accordance with rule that impressive
materials for impressive documents, defining of materials and collecting is might be first step.

5.3.3.1. Collecting of Materials

How to decide in use of what kind of materials. What is the best way of introducing project ?
What will be required along the applications ? Will documents have simple standart model or
many kinds ? What will be used for auxiliary materials ? Which companies are suggested to first
apply ? Hundreds of questions like these need a response, following information is definitely not
cover all these questions, but may be thought as a little effort. The question of „what does a
company overrate in a sponsorship application‟ shall be responded and comprehensively grasped
by division fellows.

Of course, there are many kind of answers for this question. Priorities might be very different and
diverse by the sector. While some companies are interesting with project to support university
R&D works by eatmarking funds for sponsorship purpose, another may be in search of contacting
a relation with university circles through the medium of sponsorship. Some of the companies
might be looking a sponsorship based on only business-purposed ideas by requesting maximum
company advertisement. Also it should be known that business purposed ideas are not based on
realistic approaches because these companies can make an wide-range advertisement by paying to
a TV or being sponsor for concert similar activities. On the other hand, a solarcar project has great
potential to convince especially global companies as applied properly. All kinds of companies
regardless which sector, big or small look for following question marks;

Who Are You; the question covers these sub-questions; Describe the organization's
mission, history, overall goals and/or objectives in the simplest and elegant form. Having
a respond for these questions means going ahead, like 1-0 in a competition. Because you
have academical identity, you are the part of non-profit organization and working for
common values. In search of response to this question, looking around of some issues like
national values, common work of university-industry and environmental sensitivinesses
might help.

Organizational Background; shortly, history of organization and evolution period till


today.

Accomplishments; to list all past successes in order of magnitude/priorities.

Current Programs (Races, R&D‟s, Project and Advertisement Schedules); everything


about planned program. Planned works about the program shall be prepared. Total project
budget might be requested because the company will make a comparison regarding what
percent will be covering in respect to sponsorship amount. Advertisement schedule,
project schedule, planned R&D works and information about the race shall be covered.

Needs or Problems; please describe the the needs or problems that this program will
address. By doing this, advantages of program comes off regarding solution of problems.

Address to Whom; Please describe the approximate age distribution the program
adresses.

Expected Results; please describe what the target results are within the context of
program.

Sponsorship Kinds; here, sponsorship kinds and their financial magnitudes shall be
defined with certainty. Material sponsorship, logistical sponsorship, service sponsorship,
financial sponsorship, etc...

Publicity Plan & Sponsorship Alternatives; details of where to advertise company and
how scale.

Offer Deadline (fiscal start date - fiscal end date), fiscal start date and fiscal end date of
the project in respect of knowing financial sponsorship deadline.

References and who sponsors else.

Some outer sources might help in documentation. For instance, a quotation can be used from
someone remarkable to prove of project‟s aim in view of companies. These quotations shall be
chosen from where mostly trusted, United Nation Division for Sustainable Development, World
Wide Fund, TEMA(in Turkey), etc... However to invigorate a quotation may be directly related
with the project. Examples;

5.3.3.2. Documentation

Documentation only depends upon prioritization and compounding with visual design after
material collecting step. In step of documentation, size of documents and presentations ought to be
kept small as much as possible by considering e-mails, web servers limits (generally 3 or 5

megabytes). Because generally first meeting is left via e-mails (or calling), which means first
positive impression has to be left via e-mails.

Sponsorship applications require some auxiliary materials to have, those are shown to be example;
„Press Review‟, „Team Comparison‟, „Solar Energy Applications on Uptrend‟, „Sponsorship
Presentations‟, „Independent Project Presentations‟, „List of Requirements and Budget‟ etc...
However, simple type documentation might not work all the time. For example, in
sponsorshipapplication is made for solar cells,companies might request a file only covers what is
needed from themselves , what is presented to promote their company. Thus, an another type of
document is going to be useful if prepared at beginning of the project process for some needs like
battery, solarcells or logistical requirements.

5.3.3.3. Sponsorship Policy

Sponsorship policy is determined by division manager, sponsorship kinds and alternatives are
about this topic.

5.3.3.3.1. Sponsorship Kinds

Service :is covering kinds of service support to project in any area. Examples; to mill
model and moulds by CNC allowance or using of windtunnel to make aerodynamic tests from
a company‟s facilities.
Finance :Sponsorships based on papers. Costs of each alternatives determined by division
manager or common-sense by the division.
Logistical :A kind that focuses to meet logistical requirements, so what they are;domestic
logistics, oversea logistics, team flights, oil, accomodation.
Material :It‟s about allowing of needed materials. Market price is come out for these
sponsorship kinds and companies are classified into categories according to pricing. Graphic
5.7. clearly demonstrates comparison of Official SAGUAR Project sponsors.

5.3.3.3.2. Sponsorship Alternatives

Namesake sponsor company is where project name passes. Because it has right to be called as
project partner. Application for namesake sponsor is supposed to be started in last five months.
Otherwise it might prevent other sponsors to attend. The cost for namesake sponsorship shall be
more than 50.000,00 (Currency) if project has strong promotion baseline. Best applicants of that
kind are especially top teams like Umicore, Nuon and SolarWorld (Bochum). For other cost of
sponsorship alternatives might be reduced top-down,

5.3.3.4. Sponsorship Schedule

This paper has not made by SAITEM till 2010. Schedule includes all planned activities to be
attended and planned requirements to be met as a variant of time. Fairs and other activities
operated by team aside, important activities which bring business world and companies together.
Requirements are put into timeline in order of importance.

5.3.3.5. Where to Apply

Donations are given by official constitutions is the easiest way for sponsorship applications.

5.3.3.6. Meetings

Most important step of sponsorship endeavours is meetings which starts with phone calls. It is
believed to be of the opinion that issues mentioned above should take significant part of the phone
calls. Targeted addressees at phone calls who are interested with sponsorship and media relations.
This addressee may vary upon company to company in such countries have lack of
corporationalization like Turkey, sometimes may be PR manager, sometimes even deputy
manager. Eventhough usually „Corporational Relations Division‟ undertakes. First barrier is
secretarial stuff in a company. Especially, if you target to speak out with a high ranked person,
secretary is responsible to grasp what your intention to speak is and make communications harder
as much as possible. Possibility and time duration of phone calls reduces by bottom-up in
hierarchy in contrary to effect rises, each words become important.

Because people like division managers or board members in corporational companies has strong
communication skills and know very well to remind each spent word in mind and how to use them
as a weapon against to you. There should not be a taboo as impossible to reach upmost points in a
company like CEO,COO,CTO at the phone but it is really hard. Sometimes especially in case of
urgent situations, it may be required to reach these people. Sponsorship member should speak in
awareness of calling from a university, which means speaking like a rector at the phone. This
„rector‟ word does not implicates identity but diction and exphasis. Of course it depends where the
calling is made from and how the things goes on with rectorate, but it is a choice to say that calling
on behalf of rector, pass the main topic. Precious pronounciation is not harmful when spoken with
division officers or ladies. These acting courteously may help to direct to conversation as wished.

But it does not work with division managers or board members, keeping it cool is strongly
recommended. Here is where natural state wins. Deep and though voice, felicitous words and
knowing what is wanted, that is all need. By doing this, addressee is going to feel like talking to
rector or general secretary. Important criteria is definitely not using „sponsorship‟ word. Because
there is already a division to deail with this topic in that company, this may be called temporarily
as, „Project Partnership‟ or „Project Assictance‟. In accordance with the rule that „greater calls for
greater meetings‟, aiming of phone calls shall be primarily targeted to meetings.

Sponsorship team shall make a „Critical to Contact‟ list which covers the important people to
meet during the project in beginning of the year.

Team members shall familiarize well people/company who will be contacted. These can be done;
people/company bio‟s, press reviews and interviews, common values, current/past sponsorships,
etc... To convince sponsorship division manager of a company, knowing of company‟s highlighted
strategy and keywords may facilitate a lot. Because division manager is also responsible from
these words against to general manager and doing something for those keywords makes him/her
prestigious on board‟s sight.

First thing to do is hunting of division.Thence, meetings starts with officers and ends with
managers in corporational companies. There is usually no need to contact general managers or
similar high ranked one. But this way can be followed in case of emergency or anytime by
behaving as if it is emergency. Both, it is required to be well prepared before calling otherwise
whole may go down. Negative results must not cause adverse effect on mood and losing
motivation because of the reason we mentioned before that each calls are individual one-on-one
advertiseming work. Every new attemption turns into new experiences.

At phone calls, what happens normally is getting e-mail of authority and sending e-mail as
impressive as possible upon authorities need some time to read and evaluate it. Then documents
are evaluated and they make feedback at convenience. Let‟s assume a meeting fro feedback;

For timing of meeting, being earlier than noon should be taken into account. Our assumption is
meeting at 09:00 am, 10.02.2010. About being at meeting place, earlier is cheapness later is
reckless. Great time to be there ten minutes or a quarter before the time. Time should be arranged
according to traffic and wheather conditions. Official or classic clothes is better to wear in this sort
of meetings. Some hints which needs to be cared a lot; hands, nails, neck, letter and pen through
acting couteously for business life. Three fellows which should have one for technical details are
ideal. Speech is distributed to three people eventhough one is mostly speaking. Mostly speaking
one is chosen before meeting and have a seat where can easily see door for eye contact with one
comes into conference room. This is because first sight is most important criteria to judge
someone.

5.3.3.7. Web Management

All sponsorship documents shall be available for companies and media. This may be via provided
password for companies or media through project privacy. It is not possible all the time sending
documents via e-mails due to some web servers limits the mail quota as 3 or 5 mb, this situation
causes not sending of detailed documents or visual presentations. Thence, these documents can be
shared with outer environment through the medium of ftp or similar password protected online
system.

Adopt a cell

Adopt a cell campaign is widely used web application for solarcar teams. SAITEM had tried to
run campaign but only a week later stopped due to official procedures did not let it go. There are
several successful samples shown in the table below. Table covers the teams like period which is
campaing had run.As seen below, a serious support can be obtained by only campaign.

6. RESULTS

Eventhough, the team get race result not up to expectations, it is believed that being a part of
such a brilliant organization in Australia is real acquisition itself.

At the meeting with CSIRO, discussion was belonging to make World‟s Most Efficient
Electric Motor for SAHIMO project by readjusting of CSIRO In-Wheel motor to make
SAHIMO Most Efficient Car of the World in Shell Eco Marathon.

Race attributed significant experience both individually and corporationally to the team with
train of events from beginning to end.

Due to lack of financial inputs along the project, running of the project to fit schedule is
getting so hard.

Owing to circumstances that there was not enough cash to rent truck or truck driver, It was
obligated to pick everything with car carrier and as a natural consequence of this the accident
happened on 17th of October. For the next races, definitely truck or something like semi-
trailer has to be rented in anyway.

Technical knowledge aside, logistical knowledge which will be needed for next organizations
has been gained by operating every details of logistics.

Within the context of SAGUAR project which was named as“Turkey‟s Solarcar Project”,
totally a hundred companies have come together by common purpose. This is showing
significant gain either within the frame of corporational responsibility or university-industry
common work.

SAGUAR‟s story is important to be an entrepreneurship example for newly founded teams or


teams which are intend to compete World Solar Challenge in future. Experiences are shared
with world by publishing such a this sort of documents. Also after all, this study is a draft for
every teams and all the time open to update in any issue mentioned in the document. Doc
format of the study is available to share in case of contact with SAITEM Team.

During the competition, promotion of sponsor companies and country‟s have fulfilled by
interviews and TV records in Australia.
