SKILLS Unlimited Style Manual
WHY%SHOULD%I%USE%IT?%
Keeping your written communication consistent helps you to be
understandable, reliable, and recognizable to clients and associates. It may
strengthen your existing professional ties, bolster your professional image,
lead to a greater number of clients, and boost revenue.
This manual eliminates the need to remember every in-depth detail about all
of the documents that you produce on a daily basis. After getting familiar with
this manual, you will be able to use it to its fullest potential and trust that you
are correctly representing SKILLS with all of your interactions with clients
and associates whenever you use the written word.
HOW%DO%I%USE%IT?%
These four basic steps will help you get used to the manual:
Step 1. Browse the Table of Contents. The five bolded sections are the main
sections:

Introduction
SKILLS Unlimited Style Manual
The name of each main section is listed on the tab dividers. Three of these
sections have sub-sections. Sub-sections give you more specific information
about the main sections.
Step 2. Read what each section is about. Descriptions of main sections are on
the tab dividers.
Step 3. Go to the page number that corresponds with the section or subsection that you want to brush up on. For example, if you are writing a letter
to a client, go to the Letters sub-section within the Templates section.
Step 4. Update the manual when you need to add information or change
existing information. The content of this manual is located in two convenient
places: the manual itself and the SKILLS Unlimited Style Manual Flash
Drive.
Step 5. See Appendix B Flash Drive to learn how to use the flash drive and
Appendix C Section Revision to learn how to revise a section.

1.!SUBJECT!LINE!
The subject line announces the topic and focus of the email. To help recipients
manage their emails, be as specific and accurate as possible.
Here are five tips to consider when writing a subject line:
! Write it. People may not read an email with a blank subject line.
! Make it personal. Include your recipients name and your company
name to create familiarity. Use the word you to develop an immediate
personal connection. See sub-section Writing Style in the Grammar
section for more information on the You Viewpoint.

SKILLS Unlimited Style Manual
W RITING S TYLE
This section explains six stylistic aspects of writing to keep in mind before
writing anything for the company:
1. Ethics in Writing
2. Jargon
3. Positive Writing
4. Salutations
5. Voice
6. You Viewpoint
1.#ETHICS#IN#WRITING#
Writing ethically means representing SKILLS in the best way possible and
showing that you respect your client. Ask yourself these questions to see if
you are writing ethically:
! Can I stand behind what I have written?
! Is the document or message honest and truthful?
! Am I acting in my employers, my clients, my associates, and my own
best interest?
! Does the document or message violate anyones rights?
! Is the message acceptable and respectful?
Page | 37

2.##JARGON#
Jargon is the specialized vocabulary that you use as a staffing agency. Jargon
may only be understood by you and your client, so use it only if all of the
recipients of your writing are familiar with the jargon. Four examples of
staffing company jargon are
! On-Boarding
! Temporary Help
! Temporary-to-Hire
! Permanent Employee
3.#POSITIVE#WRITING
Try to present information as positively as possible. If what you are saying is
negative, dont say it more negatively than necessary.
Negative(
If Sam does not buy lunch, we will not eat.
Positive(
We will eat if Sam buys lunch.

(Positive(Writing(cont.)(
Negative(
We are withholding your check because we have not received your timecard.
Positive(
We will forward your check as soon as we receive your timecard.
4.#SALUTATIONS#
Professional titles (e.g., Professor, Senator, and Major) take precedence over
titles like Ms., Miss, Mrs., and Mr. Address women as Ms. unless they have a
preference for Miss or Mrs. When a persons first name could refer to either a
woman or a man, use first and last name.
Example(
Dear Taylor Walters,

5.#Voice#
You can write in active or passive voice. Active voice is when the subject
does the action. Passive voice is when the subject is acted upon.
Active(
Passive(
Active(
We are going to meet with the associate this afternoon.
Passive(
The associate is going to be met this afternoon.
Passive(
It is prohibited for timecards to be punched by coworkers.
Active(
It is prohibited for coworkers to punch timecards.

6.#YOU#VIEWPOINT#
Readers are more concerned with their own needs and benefits than with those
of the company. The You viewpoint uses words like you and your rather
than we, our, and I in order to keep readers' attention.
Original(
We would like to encourage you to consider applying for the job.
Revised(
You should consider applying for the job.
Try to use the You Viewpoint in your communication with clients and
associates in documents such as proposals. (See Appendix H Proposals.)

SELECTION PROCESS
SKILLS Unlimited screens applicants and relieves the burden of staffing. We test and interview
each associate. You can ensure that you are getting a quality employee due to our reliable reference
and background checks. We evaluate your specific needs and environment to make sure the
potential employee is a perfect fit.
SERVICE RATES
SKILLS Unlimited offers a markup of [Percentage] over pay rate for regular time (40 hours per
week). After 40 hours a week, over time rates will apply (1.5 X service rate). Each billing week
begins on Monday morning and ends on Sunday night.
TEMP-TO-HIRE
SKILLS Unlimiteds Temp-to-Hire conversion times allow 90 days to try-out a person before you
make a commitment. This helps ensure a perfect fit for both parties involved. After the conversion
time has been completed, you can transfer the associate onto your payroll at no additional cost. We
offer a 520-hour Temp-to-Hire conversion time.
DIRECT HIRE
SKILLS Unlimited offers a direct hire fee of 10% times the first years annual salary.
INVOICING
SKILLS Unlimited invoices on a weekly basis for the hours that the associate worked the previous
week. All associates will appear on the same invoice; however, custom invoicing is available upon
request.

A PPENDIX A N EW E MPLOYEES
Welcome to SKILLS Unlimited! We are excited about your future here. In
order to get you better acquainted, here is some information that you may
want to know.
OUR$HISTORY$$
We began in 1990 as a staffing franchise called Skills Unlimited, DBA. When
the franchise agreement ended in 2010, we dropped the DBA and have been
known as SKILLS Unlimited ever sinceSKILLS, for short.
WHAT$SETS$US$APART$FROM$OTHER$STAFFING$AGENCIES?$
Our slogan is Staffing with a Personal Touch. We understand that one of the
most important assets in a company is the people behind the product. Our
success is driven by our ability to bring added value to client and associate
relationships. We customize our service to meet the clients specific goals and
needs, and we strive to keep communication open in order to improve our
business. We like to keep things personal. To other staffing agencies, the
associate is just a number. We get to know each associate personally.

DRESS$CODE$
We must set an example for our associates as to how they should dress. Our
dress code is business casual with a focus on business. Men should wear
khakis or slacks and a button-down shirt. Women should wear skirts or slacks
and a blouse. When in doubt, dress more conservatively.
TELEPHONE$GREETING$
Use this telephone greeting when answering the phones:
Thank you for calling Skills Unlimited. This is [Your First Name]. How can I
be of service?

Step 2. Go to My Computer from the Start menu, and double click on the
