I NTRODUCTION
This Introduction holds the answers to some frequently asked questions about
style manuals. New SKILLS Unlimited employees should see Appendix A
New Employees after reading this Introduction.

WHAT%IS%A%STYLE%MANUAL?%
A style manual ensures that all of your written communication with clients
and associates is consistent and correct. It provides uniformity in writing,
design, format, and style across multiple documents. This manual establishes
SKILLS specific standards for creating, formatting, and editing written
communication.

It is intended for all in-house, SKILLS employeesnot clients or associates.

WHEN%SHOULD%I%USE%IT?%
You should use it whenever you want to confirm that every aspect of a
document that you are producing will meet SKILLS standards, whether you
are writing an email or helping associates with their rsums.

WHY%SHOULD%I%USE%IT?%
Keeping your written communication consistent helps you to be
understandable, reliable, and recognizable to clients and associates. It may
strengthen your existing professional ties, bolster your professional image,
lead to a greater number of clients, and boost revenue.
This manual eliminates the need to remember every in-depth detail about all
of the documents that you produce on a daily basis. After getting familiar with
this manual, you will be able to use it to its fullest potential and trust that you
are correctly representing SKILLS with all of your interactions with clients
and associates whenever you use the written word.

These four basic steps will help you get used to the manual:

sections:

SKILLS Unlimited Style Manual

The name of each main section is listed on the tab dividers. Three of these
sections have sub-sections. Sub-sections give you more specific information
about the main sections.
Step 2. Read what each section is about. Descriptions of main sections are on
the tab dividers.
Step 3. Go to the page number that corresponds with the section or subsection that you want to brush up on. For example, if you are writing a letter
to a client, go to the Letters sub-section within the Templates section.
Step 4. Update the manual when you need to add information or change
existing information. The content of this manual is located in two convenient
places: the manual itself and the SKILLS Unlimited Style Manual Flash
Drive.
Step 5. See Appendix B Flash Drive to learn how to use the flash drive and
Appendix C Section Revision to learn how to revise a section.

When you design an advertisement, personalize the message to fit the
intended audience. Two advertisement examples are located in Appendix D
Client Handout and Appendix E Orientation Brochure. See Figure 1. Bulletin

E MAIL F ORMAT

Before sending an email, pay special attention to these five elements:


1. Subject Line
2. Greeting
3. Organization
4. Tone
5. Closing

1.!SUBJECT!LINE!
The subject line announces the topic and focus of the email. To help recipients
manage their emails, be as specific and accurate as possible.
Here are five tips to consider when writing a subject line:
! Write it. People may not read an email with a blank subject line.
! Make it personal. Include your recipients name and your company
name to create familiarity. Use the word you to develop an immediate
personal connection. See sub-section Writing Style in the Grammar
section for more information on the You Viewpoint.

! Keep it short. An inbox shows about 30 to 60 characters of a subject


line. Get right to the point in about six to ten words.
! Use title case. Title case means capitalizing all major words except
articles (e.g., a, an, and the), prepositions (e.g., of, in, and to), and
conjunctions (e.g., and, but, and or) with fewer than five letters, unless
they are the first or last words.
! Proofread. Change the subject line when you are forwarding an email in
order to reflect the current content. See Figure 3. Subject Line for an

Change your greetings to fit your audience. End a greeting with a colon when
you want to be more formal and with a comma when you want to be more
personable.

Here are three organizational tips to consider when writing the body of an

may help you build relationships with clients and associates by adding an
element of goodwill to your message.

Use a colon after an independent clause when you want to introduce a phrase,
a clause, or a list.

You can also use colons after phrases such as SSN and Last Name, as
seen in Appendix G. Applications.

2.!COMMAS!
A comma creates a pause within a sentence. Many people, when translating
their oral communication into writing, incorrectly insert commas where they
would have paused if they were speaking. Dont use a comma wherever you
would pause if you were reading the sentence out loud. Read the following
bullets for more rules about when to use a comma:

! Appositive Phrases. An appositive phrase re-identifies another


expression in the sentence. Put commas around these phrases.

Our company SKILLS has been an established business since 1990.

Correct(
Our company, SKILLS, has been an established business since 1990.

and or that link two independent clauses.

clause and a phrase.

Writing ethically means representing SKILLS in the best way possible and
showing that you respect your client. Ask yourself these questions to see if

Jargon is the specialized vocabulary that you use as a staffing agency. Jargon
may only be understood by you and your client, so use it only if all of the

SERVICE RATES

EARLY BUY OUT


SKILLS Unlimited offers an early buy out policy that is prorated over the course of the Temp-toHire period. The fee is derived from subtracting the pay rate from the service rate, which leaves the
per-hour cost. Multiply the per-hour cost by the number of hours remaining to get the buy-out
figure.

DIRECT HIRE
SKILLS Unlimited offers a direct hire fee of 10% times the first years annual salary.

INVOICING
SKILLS Unlimited invoices on a weekly basis for the hours that the associate worked the previous
week. All associates will appear on the same invoice; however, custom invoicing is available upon
request.

Contractor shall have the right to litigate in Civil Court. All debt-collection matters. In the event collection action is initiated by Contractor to collect such debt,
or any portion thereof, Client agrees to pay any additional sums, including, but not limited to, collection costs, interest at the rate of 18% per annum, and
attorneys fees.

The flash drive stores a complete, digital copy of the Manual. Follow these
steps in order to help you organize all of your written communication:
Step 1. Insert the flash drive into a USB port on your computer. If a window
with the files does not automatically open, see the next step.
Step 2. Go to My Computer from the Start menu, and double click on the
name of the flash drive.
Step 3. Search for the file that you want to open, and double click on the file
name. Feel free to add documents to the flash drive. For example, if you have
a folder of potential advertisements on your computer, drag and drop that
folder into the flash drive if you want all of the digital information located in
one place.
Step 4. Safely remove the flash drive when you are finished by left-clicking

1. Even though you will be doing work for
various SKILLS clients, we are always your
employer until we find you that perfect,
permanent job. Your SKILLS Supervisor is your
contact for work assignments and questions.
2. When we have a suitable assignment for you,
you will know right away. Likewise, you should
call your SKILLS Supervisor once a week to
keep us informed of your availability to work.

or have an emergency or illness that prevents
you from reporting to work, call immediately.
Not showing up for work without first

during work hours, you must call your
SKILLS Supervisor before leaving. They will
talk with our client and find a replacement if
necessary.

G ETTING P AID

You will be paid an hourly wage that may vary


from job to job. Your SKILLS Supervisor will
tell you how much each job will pay before
you accept the assignment.

Fridays are paydays. Checks are available in


our office on Friday mornings. If you want
your paycheck mailed, let us know in advance.
SKILLS Unlimited is not responsible for a
delayed check.

To ensure there are no delays in receiving a


check, accurately fill out and submit a timecard
no later than Monday morning at 9:00 a.m.
Your hours are to be rounded to the nearest
fifteen minutes. Either hand deliver, email,
or fax a signed and completed timecard to
SKILLS Unlimited. It must have your
signature and that of your on-site supervisor.
If we do not receive your timecard by Monday
morning, we will not be able to process it, and
you will not receive a check until the following
Friday. Fraudulent timecards will result in
immediate termination.

As a SKILLS employee, you will be expected

clients:
1. Dress appropriately for assignments. Some firms
have formal dress codes, and others are
more casual. We will tell you exactly what
to expect; when in doubt, always dress
more conservatively on your first day.
Avoid extremes in hairstyles, clothing, and
accessories.
2. Be on time. Be punctual and dependable
from the first day until the last.
3. Call SKILLS in emergencies. Call our 24-hour

EMPLOYEE AGREEMENT AND CONSENT TO DRUG AND/OR ALCOHOL TESTING
I hereby agree, upon a request made under the drug/alcohol testing policy of SKILLS Unlimited, to submit to a drug or alcohol test and to furnish a
sample of my urine, breath, and/or blood for analysis. I understand and agree that if I at any time refuse to submit to a drug or alcohol test under
company policy, or if I otherwise fail to cooperate with the testing procedures, I will be subject to immediate termination. I further authorize and
give full permission to have the Company and/or its company physician send the specimen or specimens so collected to a laboratory for a screening
test for the presence of any prohibited substances under the policy and for the laboratory or other testing facility to release any and all
documentation relating to such test to the Company and/or to any governmental entity involved in a legal proceeding or investigation connected
with the test. Finally, I authorize the Company to disclose any documentation relating to such test to any governmental entity involved in a legal
proceeding or investigation connected with the test.
I understand that only duly-authorized Company officers, employees, and agents will have access to information furnished or obtained in
connection with the test, that they will maintain and protect the confidentiality of such information to the greatest extent possible, that they will
share such information only to the extent necessary to make employment decisions, and to respond to inquiries or notices from government entities.
I will hold harmless the Company, its company physician, and any testing laboratory the Company might use, meaning that I will not sue or hold
responsible such parties for any alleged harm to me that might result from such testing, including loss of employment or any other kind of adverse
job action that might arise as a result of the drug or alcohol test, even if a company or laboratory representative makes an error in the administration
or analysis of the test or the reporting of the results. I will further hold harmless the Company, its company physician, and any testing laboratory the
Company might use for any alleged harm to me that might result from the release, use of information, or documentation relating to the drug or
alcohol test, as long as the release or use of the information is within the scope of this policy and procedures as explained in the paragraph above.
This policy and authorization has been explained to me in a language I understand, and I have been told that if I have any questions about the test or
the policy, they will be answered.
I UNDERSTAND THAT THE COMPANY WILL REQUIRE A DRUG SCREEN AND/OR ALCOHOL TEST UNDER THIS POLICY
WHENEVER I AM INVOLVED IN AN ON-THE-JOB ACCIDENT OR INJURY UNDER CIRCUMSTANCES THAT SUGGEST POSSIBLE
INVOLVEMENT OR INFLUENCE OF DRUGS OR ALCOHOL IN THE ACCIDENT OR INJURY EVENT, AND I AGREE TO SUBMIT TO
