General Guidelines for Submission of Project Report- MBA (2015-17)


Contents of Project Study Report
The summer project report shall be titled Organizational Study and shall consist of
three sections viz.
Section I - Profile Study of the Organization (in detail) (Compulsory) and,
Section II - Problem Centered Study in the Organization (Either Section II or Section III
compulsory).

Section III- Routine work given by the organization

(Either Section II or Section III

compulsory).

Duration of Project Study: From April 1 to May 28, 2016 (8 weeks)


(As per existing syllabus: 40 marks internal (based on seminar and viva-voce conducted
by the faculty guide/research committee) and 60 marks external project evaluation Total 100Marks)
Type of organization that can be chosen for study (as per syllabus) - Nationally and
internationally reputed with all functional departments (at least 100 employees)
Requirements (mandatory):
Minimum of Eight E-mail based communication with the faculty guide at the college.

Step oneThe student is free to divide the Organization study (OS) and Problem centered Study
(PCS) into sub-areas for reporting via e-mail to the concerned faculty guide.
(However, problem centered study should duly follow the systematic research procedure given as outline. For example,
you cannot talk about the variables unless you have decided on the business and research problem).

A sub-area need not have any order (It can be based on where you start work for your
study, based on the organisational requirement).
The candidate can choose 2 or 3 sub-areas together and study in detail through reading
website, literature review, having discussions and clarifications with the concerned
managers in the organization or even customers/retailers or distributors for acquiring
deep in-sight about the area of study.

Step twoThe learnings in the specified area of study and doubts (constraints) need to be reported
to the college faculty, with a copy to iipc@rajagiri.edu (called trigger mail one).

The faculty needs to compulsorily read and direct the student as to what is to be done
further through e-mail with a copy to iipc@rajagiri.edu.

Step threeAll the stages of study need to be reported to the college faculty by e-mail. Faculty
instruction should also be sought at each stage.

Step fourOn return to college, the student has to produce all the e-mails as physical record for
verification along with the draft report. The draft report will not be accepted without
the e-mail print out.

Section I
Profile Study of the Organization
Report on the Profile Study may include information/data collected on:
Industry analysis-Challenges in the industry, number of players, pricing strategy,
nature of demand, nature of supply (production), Inter-firm behavior and their
implications, potential of the industry like growth rate, size etc.- ExplanationPreliminary understanding of the industry and its dynamics to better understand
the firm. Is it an Oligopoly? Or Monopoly? Etc if so how will be the generic
behavior of firm?
History/incorporation of the company. Explanation-Can be obtained from
website. Used to understand where it started, what business it did/does? And
where is it now? Who are the founders? Any importance for them no/has owner
ship pattern changed?
Vision/mission statements, if any ExplanationTalks about the aspirations of the
firm. Can you identify them in action when goal setting is done? What is the firm
strategy?
Corporate office/head quarters, number of units
Capital structure, initial investments, shares etc Explanation-Obtain a draft from
Website, Annual report and have a meaningful discussion about them relating to
the firms business model. Why such a structure? Advantageous? Limitations?
What need to be changed?
Business turn over, profit/loss, market share etc.
Ratios like Profitability, Activity, Liquidity, Leverage (Trends) and their
implications- Explanation-Work out these ratios and try linking them to the firm
business model. Is the firm operational ready? Solvent? Liquid? What need to be
changed?

Organizational structure/hierarchy, employee strength- Explanation-Is the


structure apt? What are the advantageous? Limitations? Employee Turnover,
Appraisal policy, Promotion, Get details from the HR department.
Products/services/customers/clients- domestic / multi domestic- ExplanationWork out their revenue contributions, pricing policy, and market share etc.
Production process/service operations- domestic/ multi domestic
Functional departments (like Production, Finance, Marketing, HR, Logistics etc.)
their organization and main activities- Explanation-Understand the role of each
designation within each department. How interdepartmental linkages
established? Understand how each department helps the firm on short term,
medium term and long term (functions).
Future plans & business strategy/expansion/diversification
USPs/innovative management/ practices unique to respective departments
SWOT analysis and how to move forward in the given scenario Explanation-SW
is internal to organization, OT are outside the organization.
Observations, if any (negative and derogatory remarks/comments to be avoided)
Any other relevant information gathered through interaction with company
managers or data from handbook, brochure, files or policy documents of the
company.

The profile study may run into 25 to 30 pages. The data presented shall be factually
correct.

Section II
Problem Centered Study in the Organization
Report on the problem centered study may include:
Title of the study
Elaboration of the problem/issue
Relevance of the study in relation to the firm or industry
Objectives
Methodology of study
Tools for data collection questionnaire/checklists
Sampling and sample size
Type of analysis to be used and the adequacy of the data collection tool to capture
the needed information
Presentation and analysis of data relevant tables, graphs etc.
Interpretation and conclusions
Suggestions/Recommendations

Routine work is any work given to a summer trainee. It has to be documented in the
specified format (below) and incorporated as part of the Organizational Study. Routine
work is to be orderly and should be listed and reported to the faculty guide in college for
his e-mail concurrence. The person who allotted this routine job (in organization) has also
to sign on a format (provided by college) and has to be produced when the candidate
reports back to college. Without signed routine work document the routine work will not
be accepted as part of reporting.
A few examples of routine work. It can be simple telephone calling of prospective clients,
or designing a marketing brochure or even accompanying a sales man for a sales call or
undertaking the shop floor time and motion study or helping the manager in a department
in any of his activities or understanding ERP implementation for the organization by
being part of the ERP team etc.
The problem centered study may run into another 25 to 30 pages making a total of 50 to
60 pages for the entire report. The routine work can also add up a few pages that have to
be incorporated as part of the Organizational Study report.
Format of Routine work:
1. Objective of the routine work
2. Achievements on completion of work
3. Limitations on completion of work
4. Learning from the work
5. Areas of improvement in the work for the organization
6. How routine work learnings can be incorporated as part of Organizational study?
7. Time duration in days for the work
8. Signature of the Authority who has sanctioned this work
The report shall be neatly typed and presented.
The draft report, preferably a spiral bound one needs to be submitted to the faculty guide
on or before June 04, 2016.
The final report shall be made after incorporating the suggestions and corrections they
receive from their guides/research committee constituted.
Submission of Final Report
Students are required to submit their final project study reports to the PGP office on or
before June 30, 2016.
The final report should be hard bound and two such copies are to be submitted to the
PGP office. One copy to be retained by the student after getting the Principals signature
An additional soft copy of the full project report in the PDF format in a reasonably
good quality CD (Sony, Moserbaer etc,) need also be submitted.
The final report shall also consist of:

A title page indicating the names of the student and the company and, the
examination register number and the college emblem (specimen copy available
with the PGP office)
Certificate (Approval sheet) from the college signed by the Principal and the
faculty guide in the letterhead of Rajagiri College of Social Sciences (specimen
copy available with the PGP office)
Copy of the certificate from the company and attendance
Declaration by the student (specimen copy available with the PGP office)
Acknowledgement
List of contents (specimen copy attached)
Executive Summary
