1. Purpose
These Instructions and Guidelines outline the general requirements that CTT has
established for suppliers with regards to the International Material Data System (IMDS).
These requirements apply to production parts supplied to CTT by both internal and
external suppliers. These requirements may also apply to service parts if requested by
an end customer.
Unless otherwise specified, the information contained in these Instructions and
Guidelines is relevant for all Material Data Sheets (MDS) submitted to CTT as well as
any MDS created for release to any customer.
These guidelines have been compiled based on the requirements of our customers,
and also follow the recommendations of the IMDS Steering Committee.
In line with CTT customer requirements, CTT has adopted IMDS
Recommendation 001 as the only acceptable structural format within IMDS.
Entries not meeting IMDS Recommendation 001 will be rejected.
These instructions are intended to help suppliers start with IMDS and to be clear on
CTT requirements. These instructions and requirements should not contradict
established IMDS rules and regulations. It is expected that suppliers will pursue
additional IMDS training as appropriate.

2. Background
2.1. The ELV-Directive
In 2000, the European End-of-Life Vehicles Directive (ELV) 200/53/EC was created
with the goal of preventing waste from vehicles at the end of their useful life and
ensuring that reuse, recycling and other recovery efforts are implemented and
controlled. It is also a mechanism to reduce the overall volume of waste being disposed.
ELV specifically prohibits the use of Cadmium, Mercury and Hexavalent Chrome, and
restricts the use of Lead.

Global Automotive Declarable Substance List (GADSL)


The list of prohibited and declarable substances as defined by the global automotive
OEMs. This list consists of the substances identified within ELV, and an additional 100
other substances.

2.2. International Material Data System (IMDS)


The IMDS is the automotive industry material data system that is used to store
component and assembly Material Data Sheets (MDSs), allowing OEMs to
demonstrate compliance to the ELV-Directive and other applicable substance
regulations.
Access to IMDS is free, to access, go to www.mdsystem.com. Click new at IMDS,
then company registration. The remaining steps are self explanatory. The first person
registering will set themselves up as the Administrator and Contact Person. An email
will be sent with logon/password details.
After the initial access, the Administrator will be able to add other users.
From the Home page, you can also access news and other helpful information such as
How-To Guides and contacts for IMDS help desks worldwide.

3. IMDS Reporting CTT Requirements


When requested, IMDS compliance is a requirement for continuing business with CTT.
Failure to comply could result in loss of business.
CTT will request suppliers of production parts to upload data in IMDS and attach a
report showing acceptance of their data when sending PPAP documentation. Suppliers
are encouraged to use IMDS committee published material standards wherever
possible.

3.1. Use of Information


Each supplier entering information into the IMDS acknowledges that such information
can be used by CTT for purposes relating to the ELV Directive, ensuring compliance
with International, Federal, State and Local regulations, customer requirements, as well
as CTT standard terms and conditions.
Suppliers will be held accountable for any penalties incurred by CTT if material
information for their parts is not reported or is incorrectly reported.

3.1.1.

Confidentiality

CTT will treat all MDS data as confidential within the terms of the Supplier
Confidentiality Agreements. Supplied data is for the sole purpose of meeting customer
IMDS reporting requirements.

3.1.2.

Confidential Substances

When necessary, proprietary information/confidential recipes can be protected within


IMDS providing none of these substances are prohibited or declarable within GADSL,
by:
Utilizing the Joker facility within IMDS (not to exceed 10% of the total, see section 4.7),
or
Marking the MDS as confidential, preventing the recipient from viewing the basic
substance detail which is labeled as secret substance. This information is accessible
to the vehicle manufacturer and any CTT users that have been given Trust User
access by your company.
The above must only be used by exception; most materials wont fall into this category.

3.2. Communication
Where IMDS is a requirement, suppliers will appoint an IMDS contact person. Suppliers
are expected to become self sufficient and competent in the use and application of
IMDS.
When there are sub-tier suppliers, it is the responsibility of the direct suppliers to CTT to
cascade information and requirements to their sub-tier suppliers and ensure that the
sub-tier suppliers comply with these same requirements.
Suppliers may be requested to input to IMDS as part of a new product introduction or
as part of a routine customer requirement for current product.
Where an IMDS requirement is part of a new product introduction program, the IMDS
requirement will be a requirement of the PPAP process.
Submitting data into IMDS does not replace the existing change request process.
Suppliers should send the MDS to CTT using the CTT IMDS Id. # 50009.
If any component MDS does not comply with GADSL requirements (e.g. contains a
prohibited substance or a restricted substance that exceeds the permissible
percentage) the supplier must contact their CTT Purchasing contact immediately.

3.3.

Application

IMDS requirements apply to:


All component materials, including metals, polymers, ceramics, etc.
Surface preparations and coatings present on the component in the finished
product.
Residual process materials that remain in the finished product.
Substances actually present in the finished product when sold.
IMDS Does not apply to:
Solvents contained in parts that volatize during or shortly after application.

Substances that may be formed during the lifetime of the product but are not
present when the product is sold.
Materials that are wiped or washed off the products before they are sold (e.g.
detergents).

3.4. Changes and Modifications


Suppliers with design control responsibility are expected to stay current with relevant
legislations e.g. ELV and IMDS rules and recommendations. CTT must be informed of
potential changes to CTT products before actual changes are made.
It is the suppliers responsibility to ensure that submitted MDSs are kept up to date.
Any time there are changes or modifications related to mass, material or substance
content, the existing MDS must be modified and resubmitted. When it is necessary to
change parts already in IMDS, changes shall be made by revising the original entry
using the Copy/new version function. This indicates that the new version of the MDS
replaces the old version. Do not create a new datasheet if the part number does not
change.
Changes that affect the following require revision of the MDS:
Material composition
Weight of the part/product
Changes to the Global Automotive Declarable Substance List (GADSL) relating
to materials used/listed.
Changes in IMDS reporting guidelines (e.g. IMDS Recommendation 001) that
invalidate previous MDSs
Submitting data into IMDS does not replace the existing CTT change request
process.

4. CTT IMDS Requirements


All IMDS information shall be written in English.
This section provides brief guidance for creating and submitting a MDS, and identifies
any specific CTT requirements. Detailed training and User Guides are available through
the resources identified in Section 2.3

4.1. Creating an MDS or Module


Select Create from the main menu, this will then bring up a sub-menu asking whether
you want to create an MDS or Module.
Module this should be selected if the component will be used for multiple MDSs or
multiple customers in IMDS. Modules are released for a suppliers internal use and
cannot be submitted to a customer unless attached to an MDS. Modules only contain
Ingredients information, they do not contain Supplier or Recipient data. A Module
would also be selected if a material used is not available in the IMDS system and is
being created internally.
MDS this is the format used to submit data to a customer and includes Ingredients,
Supplier and Recipient data. Modules can be used in the creation of an MDS.
Essentially, if the supplier will use this component again in IMDS create it as a Module
for repeat use. If this is likely to be the only time this component is required in IMDS
then create as a MDS. If created as a Module, an MDS will still have to be created to
submit to a customer.

4.2. Component, Semi-Component and Material


This section is common to both Modules and MDSs. After selecting Module or MDS
there will then be a choice to select Component, Semi-Component or Material.
Component this would be the most common selection for suppliers to CTT. A
Component can be an individual part or an assembly of individual parts. When
creating an MDS for an assembly, it should represent the tree structure (e.g. Bill
of Materials BOM) of the assembly being supplied under the CTT part number.
Fig. 1 shows a simple single Component as an MDS, the Component is signified
by the red square. Fig. 2 shows an assembly with multiple Components, Note
that both the individual components and top level assembly are signified by the
red square.
NOTE: Flat-BOMs (MDSs for assemblies where all the materials are structured
under one top level component) are only permitted for circuit boards and wiring
harnesses.

Semi-Component this would be selected for those items that require further
processing at CTT i.e. we will change the weight. This typically applies to raw
castings and forgings, and items that require cutting to size, such as wire, PTFE
Tape etc. Semi-Components are identified by a yellow circle.

Material this is selected to add the material to the component. IMDS contains
a library of popular materials. The vast majority of CTT parts should be made
from materials found in this library. Fig. 3 below shows the three recognized
IMDS organizations that publish materials in IMDS for all users. NOTE: many

other suppliers also publish materials that can be selected and used; CTT does
not recommend using these. Materials are identified by two green circles.

Material names must be descriptive of the material and not be trade names.
Material names must be chosen from existing standards e.g. EN, ASTM, ISO etc.
Materials are chemical or compound mixtures i.e. metal alloys, plastics or
ceramics composed of basic substances e.g. brass is a material composed of
the basic substances copper and zinc.
Materials cannot be attached to Materials, but Components can be made up of
multiple Materials, e.g. a screw can be made up from the metal Material and a
preservative coating Material.
100% of the Materials must be identified, e.g. the sum of the basic substances
that make up the material must be 100%.
Process materials (paints, greases, adhesives, etc) and surface treatments
should be entered as Materials. For these types of materials, the composition
must be reported for the cured material as it remains on the vehicle, not the
composition of the material prior to its application (e.g. do not include the solvent
content of paint).
Basic Substance the chemical elements that make up each material.
Materials found within IMDS will already have Basic Substances applied in the
appropriate proportions. It should be a rare event that a supplier has to create a
material from scratch and would mainly apply to those supplying proprietary
materials.

4.3. Build the MDS


For this example a simple MDS Component will be created. There are a variety of ways
to create the MDS; the method a supplier chooses will likely depend on how much data
they will create themselves, versus using data supplied by their suppliers.
Select Create MDS from the navigation pane, and select Component from the main
field. The following screen appears:

Complete the blank areas in the form with the name of the component as detailed on
the CTT print in the Description field. The CTT part number is entered in the Part/Item
No. field. Finally, the measured weight of the finished component or assembly and the
weight tolerance are entered. Allowable weight tolerances depend on the weight of the
component.

4.3.1.

Material Field Description

This section will normally be self populated with the information that accompanies a
material found in IMDS.
Material name:

Must include the common material type (steel, aluminum, plastic,


elastomer, etc) as well as the standard/grade. Material names for
non-IMDS standards should be clearly descriptive and not be
alpha-numeric only.
Trade name:
The product trade name, usually relevant with plastics.
Material Number: Applicable for steel and iron according to EN 10027.
Symbol:
Applicable for plastics enter the recycling symbol per ISO 1043
(e.g. >PA66-GF30<)
Classifications:
Populated by IMDS when selecting materials from the library.
Classification has to be selected first if creating a material. They
need to be the lowest possible in the available list i.e use 1.1.1
rather than 1.1.
Norms/Standards: Industry Standards or Specifications (e.g. SAE 1008, DIN 1652-3,
ASTM etc.) that apply. Standards or Specifications quoted on the
CTT Print should be referenced here as conformation that the print
requirements have been met.
In-house Norms: Any applicable OEM standards (e.g. Ford, GM, Chrysler).
Suppliers:
Name of the material supplier
Remarks:
Any additional comments that need to be added to the MDS, such
as declaration of conformance to GADSL if joker substances are
used (see section 4.7).
Weight:
Weight of the material when added to a component.

4.4. Basic Substances


Basic substances are the chemical elements or chemical compounds that make up the
material.
All GADSL listed substances have to be disclosed. NOTE: when a GADSL
prohibited substance is reported, IMDS automatically flags this in red font.
GADSL substances are acceptable providing they are not prohibited or do not
exceed permissible limits.
Basic substances can only be attached to materials, not directly to a semicomponent or component.
If a joker is used, you must add a declaration of conformance as stated in
section 4.7.

4.5. Substance Application Code Requirements


If Lead or Nickel is present in a component, the application tab will appear and the
supplier must assign the appropriate substance application code. This is the code that
allows the use of the substance providing it meets one of the application codes. For Pb
in bearings, application code [51] must be used. If necessary, right-click near Pb in the
application field and select edit.
If Mercury, Hexavalent Chromium or Cadmium is present, the application tab will
appear, however, these substances are prohibited by CTT and will not be accepted,
regardless of application.

4.6. Plastic and Elastomeric Materials


o When naming Plastic and elastomeric materials, include the common material
type in the name.
o Under Symbol for polymeric parts, follow ISO1043/ISO1629 requirements to
enter the appropriate symbol.
o These materials consist of a basic polymer and other materials that may include
colorants, pigments, fillers, flame-retardants, plasticizers, etc.
o Do not submit plastic and/or elastomeric materials with the basic polymer as the
only substance.
o Reactive basic substances (monomers, vulcanizing agents, etc) should not be
included in the MDS unless there is a potential for residues in the final part.
o See IMDS Recommendations 3 (Rubber (Elastomer) Material Compositions), 10
(Plastic Material Compositions) and 13 (Thermoplastic Elastomers) for more
detail on creating these materials.

4.6.1.

Polymeric Marking

If a component contains a polymeric material (5x material classification in IMDS see


Fig. 8), then the material falls under the Parts Marking Standards according to
ISO1043 and 11469. Parts marking information is mandatory for all 5.1x material
classifications with total weight > 100g and for all 5.3 classified materials with total
weight > 200g.

4.6.2.

Recyclate Information

Recyclate information is only applicable for materials in the following classifications:


o 5.1
- Thermoplastics
o 5.1a - Filled Thermoplastics
o 5.1b - Unfilled Thermoplastics
o 5.3
- Elastomers/Elastomeric Compounds
o 5.5.2 - Textiles (in polymeric compounds)
Once a material from any of the above classifications has been associated with a semicomponent or component, recyclate information is required. A separate tab will appear
on the material for this information. For components, the recyclate information is
mandatory for any applicable material with a weight greater than 25g.
Because semi-components do not have a defined weight, recyclate information is
mandatory for all applicable materials associated with a semi-component.

4.7. Substance Level Reporting Joker Substances


IMDS contains some joker substances that can be used to cover up to 10% of the
material composition. No jokers may be used for GADSL substances all GADSL
substances must be declared.
The maximum allowable amount for joker substances is 10% per material.
Only jokers that best apply to the substance may be used. See Fig. 9 for the list of
acceptable joker substances.
Acceptable jokers may be found in the IMDS by inputting system in the CAS-no. field
when doing a basic substance search. The not yet specified joker can only be used on
prototype parts. It shall not be used for production parts.
Whenever these jokers are used in a MDS, it must be declared that the material is in
compliance with the GADSL. There are two ways to do this:
o At the materials section under remarks use the following statement: All GADSL
substances have been disclosed in this IMDS submission
o For a component that has numerous nodes, especially for those that contain
information from several sub-tier suppliers, make the following statement of
declaration in the Parts Description Field located in the Recipient Section in the
Company Data window: All GADSL substances have been disclosed in this
IMDS submission.
NOTE: when substances are reported as ranges, these are calculated by IMDS in a
manner that can invalidate the fixed amount of not declared substances, e.g. (from
IMDS FAQ):
Substance a - range from 25 to 29 - weighted average 27
Substance b - range from 36 to 40 - weighted average 38
Substance c - range from 26 to 30 - weighted average 28
Joker - REST - 7%
But
o Even though substance a has a weighted average of 27, it COULD have as little
as 25%
o Even though substance b has a weighted average of 38, it COULD have as little
as 36%
o Even though substance c has a weighted average of 28, it COULD have as little
as 26%
In reality, all we know is that the lowest total of substance a, b, and c are 87% so the
joker could be 13% which is > 10% and sets off the warning.
This condition is rejectable by CTT and its customers.

4.8. Supplier Data


Include the name and details of the person responsible for creating and sending the
MDS.

4.9. Recipient Data


Suppliers should send the MDS to CTT under IMDS Id. # 50009. This applies to all
parts. These will be reviewed and accepted or rejected by the CTT IMDS Coordinator.

4.9.1.

Part/Item Number

Input the CTT part number for the part/assembly. The part number will be a maximum
of seven numeric digits. Do not include dots, hyphens, spaces, etc. This enables CTT
to use its part numbers as the main search criteria in IMDS. The part number may /
may not be the same as the drawing number.

4.9.2.

Description

Input the CTT component or assembly name as stated on the CTT drawing. If the part
is a semi-finished part or casting, please include that in the description.
If joker substances have been used, include a declaration statement as described in
section 4.7.

4.9.3.

Drawing Number

Input the CTT drawing number. It may / may not be the same as the Cummins part
number. The drawing number is usually stated on the top left corner the CTT drawing.

4.9.4.

Drawing Date

Input the date of release of the current revision of the drawing. This is found in the table
on the top right corner of the CTT drawing.

4.9.5.

Drawing Change level

Include the current revision level as shown on the top right hand corner of the CTT
drawing. This is found in the table on the top right corner of the CTT drawing. (Note: the
date on the bottom right corner shows the date when the drawing was first created and
this should not be used in the MDS)

4.10. Sending / Proposing / Publishing Material Data Sheets


Suppliers to CTT will use the Send function to send the MDS and make it viewable in
the CTT IMDS system.
The Publish function must NOT be used, as this will make the MDS viewable to
anyone with access to IMDS.
The Propose function is used to send and MDS to several recipients. With each
addition of a new recipient, the user will be asked for information on that
component/material that is specific to the recipient. This allows suppliers that have
multiple customers for their parts to create only one MDS.

4.11. Review of MDS by CTT


MDSs submitted to CTT may be either accepted or rejected by the IMDS Coordinator.
Any MDS that is rejected will be accompanied by adequate feedback to the supplier to
allow timely and accurate corrections.
Possible reasons for rejection include, but are not limited to the following:
o Violation of an IMDS rule as noted by the IMDS automatic check function
o English not used as the standard language.
o Inclusion of an ELV Annex II or GADSL prohibited substance.
o Incorrect part number, or part number format
o Part name/description not as it appears on the CTT print
o Material names (for non-IMDS material standards) do not adequately describe
the material
o The tree structure is incorrect, e.g. material listed as a component, incorrect use
of semi-component, substance attached to a component instead of material,
Node errors etc.
o Exceeding the joker declaration of 10% per component / No declaration of
compliance when joker substances are used
o Not yet specified or Development Sample Report used on a production part
(only acceptable when used on prototype parts).
o Classifications are not properly assigned, e.g. stainless steel should be classified
as a highly alloyed material, not low or unalloyed. Also need to have the lowest
classification permissible in IMDS (eg: 1.1.1 must be used rather than 1.1)
o Application code for Pb in bearing is not [51].
o Drawing numbers and dates do not match that shown on CTT drawings (both
are found on the top right corner).

5. Creating PDF File for PPAP


If IMDS is requested as part of a PPAP, the supplier needs to send a PDF file in the
PPAP pack showing that their MDS has been reviewed and accepted by the CTT IMDS
team.
To do this, click on Sent symbol

Search for the MDS (not MDS request).


Enable search by recipient and find CTT (IMDS account code 50009) as shown below

Click Search and then select apply. Open the searched MDS. Check that it is accepted
by CTT. (You can see the MDS status by reviewing the recipient field.

Only if the MDS is accepted, click on the pdf file symbol (found above the tabs) and
select point of view = CTT (ie customer name).

Click OK and a Pdf file will be created. Save it and send it with your PPAP documents.
