This course uses simplified navigation paths, such as the following example, to direct you
through Oracle Applications.

This simplified path translates to the following:

This course uses a navigation path convention to represent actions you perform to find
pertinent information in the Oracle Applications Help System.
The following help navigation path, for example
(Help) General Ledger > Journals > Enter Journals
represents the following sequence of actions:
1.

In the navigation frame of the help system window, expand the General Ledger entry.

2.

Under the General Ledger entry, expand Journals.

3.

Under Journals, select Enter Journals.

4.

Review the Enter Journals topic that appears in the document frame of the help system
window.

Overview
In this practice, you will create an employee in the Vision Industries business group and use this
employee throughout the class.

Assumptions

You must have access to an Oracle Application Vision database or comparable training
or test instance at your site on which to complete this practice.

Replace xx in the practice with a unique identifier such as your initials or a number.
(For instructor-led training classes, this number will be assigned to you.) This is
necessary in order to create unique records within the database when you are
performing the practice.

Entering a New Employee Using the People Window


Responsibility = UK HRMS Manager

Log in as the UKHRMS/welcome user.

2.

Navigate to the People window.

(N) People > Enter and Maintain

The Find Person window appears.


3.

Click the New button to enter a new record.

4.

Click the Alter Effective Date icon.

5.

Enter 01-JAN-2005 in the Effective Date field and click OK.

6.

In the People window, enter the following information:

Define the Value Sets that will be used for the various key flexfields. Value sets define the
attributes or for the values.

Log in to Oracle Applications using hrms/welcome.

2.

Navigate to the Value Set window using the System Administrator responsibility:

(N) Application > Validation > Set

Defining Value Sets for the Job Key Flexfield

Define a new value set for Job Name segment using the following details:

Practice - Defining Grade Key Flexfield

Responsibility = System Administrator


1.

Navigate to the Key Flexfield Segments window using the System Administrator
responsibility:

(N) Application > Flexfield > Key > Segments

2.

Press F11 to enter query.

3.

In the Flexfield Title field, enter Grade% to search for the Grade Flexfield.

4.

Press CTRL+F11 to execute query. This retrieves all previously defined structures.

5.

Click in an existing structure and choose the New icon from the menu bar.

6.

In the Code Field, enter XXGRADE_FF, then tab. (XX is your unique group id). The
flexfield name automatically appears in the Title field.

7.

Check the Allow Dynamic Inserts check box.

8.

Save your work (Ctrl + S).

9.

Choose the Segments button to add segments in the Segments Summary window.

10. Enter or select the following information for Segment 1:


Number: 1 (this segment will appear first)
Name: Grade Name
Window Prompt: Grade Name (defaults from Name field- you can change)
Column: SEGMENT1 (column in table to store value)
Value Set: XXGrade Name (provides the LOV for this segment)
11. Verify that the Enabled and Displayed check boxes are checked to ensure this segment is
available in the key flexfield structure.
12. Choose the Open button to open the Segments Detail window.
13. Uncheck the Required check box to make this field Optional when entering data.
14. Save your work (Ctrl + S), and close the Segments window to return to the Segments
Summary window.
15. In a new record, enter or select the following information for Segment 2:
Number: 2 (this segment will appear second)
Name: Grade Level

Adding Flexfield Qualifiers

Key flexfields enable you to define the unique structure for your business entities such as jobs,
grades, and people group. The People Group flexfield lets you add your own key information to
the Employee Assignment. In this practice, you will learn how to define a structure and segments
for the People Group key flexfield for your business group. This People Group Key Flexfield is
owned by Payroll.
NOTE: You should verify that the Enabled and Displayed check boxes are checked as you enter
each segment. This will ensure that it is available in the key flexfield structure when it is used in
the application.

can define any details within that business group.

Setting User Profile Options


10. Navigate to the System Profile Values window.

(N) Profile > System

Note: A user profile is a set of changeable options that enable you to determine how your
application looks and behaves. For more information on user profile options, see Overview
of Setting User Profiles in the online help.
11. Deselect the Site check box, and select the Responsibility check box and enter the name of
your XX HRMS Manager responsibility.
12. Enter HR:Security Profile as the profile name and click Find.
13. Enter the security profile with the same name as your new business group: XXVision Inc
UK.
Note: Oracle HRMS automatically creates a view all security profile whenever you define a
new business group. After you set up all the work structures in your business group, you
can define restricted security profiles using organization and position hierarchies, and/or
payrolls.
14. Save your work.
15. Enter HR:Business Group as the profile name and click Find.
16. Select XXVision Inc UK as the business group associated with this responsibility (this
should have defaulted from when you set the HR:Security Profile option).
17. Save your work.
18. Return to the Find window and query the HR:User Type profile.
19. Enter HR with Payroll User as the value for user type.
Note: This means that you can see and enter fields in all HRMS windows.
20. Save your work.
21. Use the following instructions to exit from Oracle Applications:

Close the Navigator (F4) Click OK to Exit Oracle Applications.

22. Close the Java Console window (if exists).

Overview
In this practice, you will learn how to define the organization hierarchy in your business group.
Organization hierarchies show the different management reporting relationships that can exist
within an enterprise. You will also use hierarchies for government reporting and defining
security profiles.

Assumptions

Replace XX in the practice with a unique identifier such as your initials or a number.
(For instructor-led training classes, this number will be assigned to you.) This is
necessary in order to create unique records within the database when you are

Do not select the Primary check box.

Uncheck the Position Control check box.

This demonstration shows you how to represent financial reporting structures in Oracle HRMS.
Representing financial structure in Oracle HRMS helps you report about financial information,
such as costs, revenues and expenses. You can consolidate this information by cost center
manager. This further enables you to allocate and report employment costs as you deploy and
pay people. It also helps you in managing your projects and distribute your workforce based on
priority.
You can record costing information at the organization, assignment, and payroll levels. You can
also record costing details in the Element Link and Element Entry windows. The information
you can record at these levels depends on the Cost Allocation key flexfield you defined for your
business group.
Oracle HRMS enables you to integrate your HR reporting structure with your financial reporting
structure. You can automatically create your HR organizations based on your company cost
centers in Oracle General Ledger using Synch Orgs.
This guided demonstration explains how to implement automatic company cost center creation.

Use the Create and Maintain Company Cost Center Organization process to create company cost
center organizations for the companies in your business group. You can also use this process to
update the names, and existing start and end dates of organizations created using the Auto Orgs
feature.
Note: The Synchronize GL Company Cost Centers with Existing Organizations process
links existing company cost center organizations to GL account combinations. If you have
created Cost Centers in HR, this process creates corresponding GL Account Combinations.
The Cost Allocation Flexfield must use the same value sets as the Accouting Flexfield.

Overview
Lookups provide lists of valid values for certain items of information. This has two key
advantages:

It ensures that all users use the same terminology, which makes it easier to inquire and
report on the information.

It speeds up data entry because you can enter just enough to identify the value, and the
system completes the entry.

In Oracle HRMS, a list of values is called a lookup type. Each value comprises a code, a
meaning, and sometimes, a legislative tag. The access level of the lookup type:

User - You can add codes and you can disable supplied codes.

Extensible - You can add new codes, but you cannot disable supplied codes because the
system uses them.

System - You can neither add codes nor disable-supplied codes. You can only change
the meaning or description of supplied codes.

Assumptions

Solution - Defining Person Types

All the Oracle HRMS functional areas are built on a common platform of organizations and
people structures. You start the configuration process by defining the legal entities and operating
companies that comprise your organizational framework. Next you provide information about
the ways that different groups of employees work in your organization and the Configuration
Workbench generates the business groups and organizations with the job or position structures
you need.
A business group in Oracle HR is a container of country specific data. Usually each business
group will be tied to one and only one country, however sometimes if you do not have a large
presence in a country a single business group may contain data from more than one country.
On the Workbench Home page:

Select Organization Structures and Manage Organization Configuration to access the


work structures wizard. Use this wizard to configure your organization structures and to
modify, import, export, and load configuration

You represent your enterprise using key organization structures in Oracle HRMS. These
structures provide the framework so you can perform legal reporting, financial control, and
management reporting. You can set up these organization structures yourself, or use the
Configuration Workbench.
The Configuration Workbench delivers an integrated configuration management toolset for HR
systems and assists in the evaluation, configuration, deployment, and maintenance of HR
applications. The workbench suggests a basic structure of organizations for your enterprise based
on configuration models.
Once the basic enterprise structure is set up, you add the additional organizations and locations
that exist in your enterprise. You define the internal organizations that represent your internal
divisions and departments, and you define the external organizations that represent the
organizations outside of your enterprise. For example, you can set up an external organization to
represent the tax office for which your enterprise uses for reporting purposes.
Creating Organizations
You can use organizations to represent many levels of your enterprise, from the highest level of
organization that represents the whole enterprise, to the lowest level of organization that
represents a section or department.
Organization classifications define the purpose of an organization and its functionality within
Oracle HRMS. The classifications you assign to an organization control the additional
information you can set up at the organization level. The Configuration Workbench
automatically assigns the appropriate classifications to the organizations it creates.

Positions through Configuration Workbench

You can select the following classifications in the Organization window, depending on your
legislation:

All Legislations
All legislations can use the following classifications:

Business Group: Use this classification to group, manage, and control access to data in
accordance with the rules and reporting requirements of a country.

Operating Company: An operating company represents a division or line of business


within your enterprise that is legally registered for reporting in at least one country.

GRE/Legal Entity: Use this classification to represent the following organizations:


o

Ultimate Legal Entity: this represents the enterprise, and typically, the enterprise is
the highest (global) level of a business organization.
Legal Entity: this represents the designated legal employer for all employmentrelated activities. The legal authorities in a country recognize this organization as a
separate employer. In an organization hierarchy, a legal entity may report to an
operating company or to the ultimate legal entity.
Consolidated Legal Entity: this organization acts on behalf of multiple operating
companies that are not legally registered, or simply on behalf of the enterprise in a
country.

Employer: Use this along with the GRE/Legal Entity classification to define an
organization as a legal entity that is responsible for employing people in a particular
country.

HR Organization: Use this classification for all organizations to which you want to
assign employees and contingent workers.

Payee Organization: Use this when defining an external organization that is the
recipient of a third party payment from an employee, for example a court-ordered
payment. You can then select this organization on the Personal Payment Method
window when entering a third party payment method.

Bargaining Association: Use this when defining an organization that is involved in


negotiating a collective agreement. A bargaining association could be any organization
representing the employees in negotiations, for example a trade union. The UK

You can define one organization with multiple classifications or you can define separate
organizations to represent different types of entity. For example, you can classify an organization
as a legal entity as well as an HR organization if it's the same organization. If they are different,
then you create two organizations.

Representative Body: Use this when defining a representative body. This may be a
body defined in legislation, such as a European Works Council, or may be defined by the
employer, such as a Sports and Social Club.

Disability Organization: Use this when defining an external organization with which
employee disabilities are registered.

Medical Service Provider: Use this when defining an organization that provides any
medical services, such as medical assessments, to the people in your enterprise.

Constituency: Use this to define a constituency to group together workers eligible to


vote for particular elections.

Company Cost Center: Use this to define organizations in Oracle HRMS that map to
cost centers in Oracle GL. You can set up your application so that whenever a cost
center is defined in GL, a corresponding organization with this classification is defined
automatically.

Professional Body Information: Use this to define an organization that is a


professional body. Organizations with this classification are available to assign to people
in the Qualifications window.

Operating Unit : Use the operating unit organization classification if you also use
Multi-Org applications. You can associate an operating unit with an HR Organization.
The application uses the HR Organization to find the operating unit to which a person
belongs.

Use the Organization window to create:

Business groups

External organizations (for example, tax offices, insurance carriers, disability


organizations, benefit carriers, or recruitment agencies)

Internal organizations (for example, departments, sections or cost centers)

GREs/Legal Entities

If you use the Configuration Workbench to configure your enterprise structure, then you only
need to create the additional internal and external organizations you require. For example, you
can set up additional organizations to represent the internal divisions or departments, and
external organizations for reporting or third party payments.

legislation also enables you to select a bargaining association in the Union Processing
window to set up a union element.

Note: For information about querying existing organizations, see: Finding an Organization
2. Enter a name for your organization in the Name field. A check is performed to see if
organizations with the same name already exist.
All Oracle applications you install share the information entered in the Organization window.
Therefore organization names must be unique within a business group, and business group
names must be unique across your applications network.
You can create two organizations with the same name in different business groups but this
can cause confusion later, if the HR: Cross business group profile option is set to Yes and
you decide to share certain information across all business groups. If you decide to create two
organizations with the same name, be sure that this will not cause you problems in the future.
3. Optionally, select an organization type in the Type field.
Organization types do not classify your organization, you use them for reporting purposes
only. The type may identify the function an organization performs, such as Administration or
Service, or the level of each organization in your enterprise, such as Division, Department or
Cost Center. You create the organization types you require by entering values for the Lookup
Type ORG_TYPE.
4. Enter a start date in the From field. This should be early enough to include any historical
information you need to enter.
5. Enter a location, if one exists. You can also enter an internal address to add more details such
as floor or office number.
6. Enter internal or external in the Internal or External field. You cannot assign people to an
external organization.
Examples of external organizations that may require entry are disability organizations,
benefits carriers, insurance carriers, organizations that employees name as beneficiaries of
certain employee benefits, and organizations that are recipients of third party payments from
employees' pay.
7. Save the basic organization details.
Defining Positions
A position is a specific occurrence of one job, fixed within one organization. For example, the
position Finance Manager is an instance of the job of Manager in the Finance organization. The
position belongs to the organization. There may be one, many, or no holders of a position at any
time.

1. Navigate to the Organization window and select the New button to create a new organization.

You can set up both organizations and positions to define reporting structures in your enterprise,
but be careful to avoid duplication of information. It's best to define most of the detail at position
level. Use your organizations to show your highest level of departments or divisions and your
positions and position hierarchies to show the reporting groups in your enterprise.
Defining Position Components in the Configuration Workbench
In the jobs and positions interview, you have chosen to use the detailed reporting capability of
positions to represent the primary working roles in your enterprise. A position can have multiple
post holders and a person can be assigned to multiple posts. You define the rules that control
assignments when you define each position.
Each position you define will identify a specific role in the enterprise, which you can manage
independently of the person in the post, and it will belong to one specific department or
organization. The name of each position must be unique.
To make it easier for you to manage unique names for positions you can define a structure for
position names that identifies separate components or segments with separate rules for validation
of each segment. For example, you can have a position Title segment with text names, and
another segment for position Number with numeric values. Standard capabilities mean that you
can use the different segments of the name for queries or grouping records in a report.
When defining the segments that make up the structure of a position name you should also
consider if any of your segments are really part of the definition of a common job type. Using
job types for a position you can efficiently manage common information that applies to many
different positions. For example you can define a job type of Manager.Level 1 and use this for
comparison of positions across departments or lines or business, or for setting common job
requirements. You can then define ten manager type positions in your HR department, each of
which has responsibility for a different management function or group.
When you define a position you enter a value for each segment of the position name structure.
Most customers who use positions choose between one and five segments.
Note: Do not use segments with values that change regularly, for example, Salary Ranges or
Expense Approval Levels that change every year. Use the name to uniquely identify the position
and use standard capabilities of the system to enter and maintain related information for
government reporting, valid grades, and skill requirements.
We recommend that you use the same structure for position names in all countries in which you
operate. However, later in the interview you can define exceptions to this common structure for a
single country or for a set of countries that you define as a Region. See: Defining Regional Jobs,
Positions or Grades in the Configuration Workbench
Identify all the components you might use to define the structure of a Position Name and then
consider if any of these are really part of the definition of a common job type. For example, you

Positions are normally used in role-based enterprise structures where clearly defined rules largely
determine the ways employees work, and the compensation and benefits they receive.

Select Organization Structures and Load Organization Data to access the spreadsheets
into which you enter or import the location and organization details for each business
group. After you enter your data into the downloaded spreadsheets, you upload the data
to the open interface tables for Oracle HRMS and run the Data Pump to upload your data
from the open interface tables to the HRMS tables.

Select Jobs and Positions and Load Job/Positions Details to access the spreadsheets into
which you enter or import details about your jobs or positions and set their values for
each business group. After you enter your data into the downloaded spreadsheets, you
upload the data to the open interface tables for Oracle HRMS and run the Data Pump to
upload your data from the open interface tables to the HRMS tables.

might consider Title, Name, and Code as components of a position. When you review these you
might consider that the Position name should contain Title while the Job name should contain
Name and Code. With this choice, you could define common types of job using the combination
of Name and Code and maintain reporting or other details for these common job types.
