Abstract

In order to accommodate with modern technology that had invaded our lives,
it is very important that we stay updated with its latest versions. Technology
is simply, the application of knowledge to solve problems or invent useful
tools. Especially, in the field of science and computer technology, its very
vital to always try to improve your running system. The aim of this project is
to implement a faculty information system, which is web based software of
high level of authentication and authorization constraints. Security and
privacy of facultys data is maintained ensuring safety. Its our Vision to come
up with the system that can compete with similar systems, and more
importantly to be user friendly software, which helps automating faculty
affairs

and

improving

internal

communication

between

student

and

administrators. The system will also help in saving time consumed in storing,
retrieving and updating the faculty records. Also reduce the workers required
in this area. The software tool developed would help the users to modernize
outdated

and

obsolete

information

technology,

therefore

improving

institutional and individual access to consistent data. In addition to this, the

improvement of services provided to student, faculty and administrators,
increasing efficiency and improves educational process.

Introduction

Technology is always has been around, going back to the stone age. The
development of a simple tools from wood or shards of rock show some of the
first applications of knowledge to create technology to save a problem.
Thereby technologies significantly affect human ability to control and adapt
to their natural environments. Since the invention of the computer, life has
been going easier and more classified, and this magic device has been
involved in every to the aspect of our lives. The revolution in information
technology is grateful development of computer science.
The main concern of this project is on building an information Technology
system, which is term that describes any technology that helps to produce,
manipulate, restore, and communicate, protecting information and/or
disseminate information in order to perform complex function required by an
information technology department today, it has to use computer servers,
database management system and cryptography .
We use the term Information technology or IT to refer to an entire industry. IN
Actuality information technology is the use of computers and software to
manage information the development in information systems is vital to the
operation and management of every organization.
In this Documentation, we are implementing a software of a faculty
information system, which is concerned a heavy duty in order to come up
with a remarkable software tool.
1.1. Problem definition

The educational system inside the faculty is complicated and requires lots of
effort and time to manage its different affairs. In order to define those
difficulties we need to have a detailed overview on what happens inside the
faculty. Each department within the faculty(department A,B,C,D...) would
have a number of students in each level, where in each level there will be
assistants and professors assigned to teach those students. There is also a
batch of subjects assigned for each level and to each professor and
assistant. Each level within the faculty has an academic advisor facilitating
the educational process to students. There are also employees working
within the faculty as in the secretary department and laboratory keepers.
Another major issue inside the system is that the system will contain all
records concerning the attendance, timetable, and the announcement of
midterm, practical and final results.
The different departments or branches inside the faculty individually have a
huge number of records that needs to be registered, for retrieval and
updating matters. Keeping the records of all these features could be hard
and might be inaccurately stored if made On a paper-based system, where
the potential of record lose is high and may lead to great chaos!
Any Faculty system that communicates through papers to manage the work
cycle could face certain problems, Such as registering students at the
beginning of the year. Entering these records manually is time consuming
and may refract human error. Also attendance recording: there is a great
potential of human error or even losing the paper itself.
Another difficulty that may face users is creating reports. Reports could be
for the attendance of mid-term exam, practical exams and final exams, also
for the announcement of results. Warning and academic warning requires
also to be documented in reports. Creating these reports could contain faulty
errors that may lead to lots of problems like depriving a student or not
registering a course. This is also time consuming and requires lots of effort.

So in order to reduce the presence of such errors and improving the

efficiency of interaction between different parties within the system, an
organized computer software system is required.
