Design Document for

Safeguarding Church Assets

Purpose of the Course

Stewardship in any church is fundamental to the success of that particular


church group. Many times, as volunteers, we find ourselves in situations
where handling money for different events is a necessity. As a money
counting ministry coordinator, it is an inherent responsibility to train the
parish members who have so thoughtfully volunteered their time and talents
to count money every Sunday. The training would consist of not only
training the money counters, but also those in different ministries who
handle cash or checks and turn this into the parish. Accountability with
regard to record keeping is imperative. Not all volunteers have a
bookkeeping or financial background so there is opportunity for training in
these areas.

At the end of the training, all money counting team members will be able to
handle, process and document all money coming in to the church using
appropriate internal controls, provided software and church generated forms
with 100% accuracy

Audience Description

The target audience will be those ministry leaders and members of the
church who handle money for the parish at any time during the year and for
those who do weekly money counting. The volunteer members of these
different groups are men and women of varying ages and ethnicities, so it is
a fairly diverse group. Ages range from early 30s to those in their 70s. For
a few, English is a second language, Spanish being the first language.

RLO Outline

1. Internal Controls for handling money:

2. Collection Receipts Procedures
a. At least two unrelated parish members will count the money
after mass
b. The cash and checks will be separated. Loose cash will be
separated from cash placed in envelopes.
c. All checks must be stamped for deposit only using
provided bank stamp.
d. As amounts received in envelopes are counted, the amount
is recorded on the envelope.
e. Cash and checks will be counted and placed in lockable
bank bags, locked and placed in the safe.
3. Fund Raising Receipts Procedures
a. During fund raising events, the parish must appoint two
individuals to control and frequently collect all cash
receipts.

b. Similar to collections, all cash must be taken to a safe


location to be counted and placed in secure packaging and
dropped into the drop safe.
