William Penn Music Boosters Meeting Minutes

Presidents Report
o Home Show is Saturday (September 26)
o Volunteers are needed to organize the Marching Band Banquet for December. Kelly Doty and Karen
Hopkins volunteered to organize.
o There was a donation by an anonymous person to pay for the children who have outstanding balances in
Marching Band so no one would be excluded from participation due to band fees not being paid. The
parents of the children being gifted the money will be notified and Barb will send a thank you to the person
on behalf of the Booster Organization.

Treasurers Report As of August 31, 2015 there is a balance of $5806 in the Checking Account, $27,045.27 in
the Money Market account and $1328.21 in the kids escrow account.

Home Show Update Saturday, September 26.


o Light have arrived! They are being set up on the football field as the meeting is occurring.
o 21 Groups and 22 Judges will be here on Saturday. Our band will be fed in the Band Room and the Judges
will be fed in the Staff Center.
o We have had food and beverages donated. Thanks to all who donated.
o The concession stand will be selling: hamburgers/cheese burgers, hotdogs, marching tacos, chicken fingers,
French fries, cotton candy and beverages (soda/gator aid/water).

Chair Reports
o Chaperone Chaperones have been assigned for all games/competitions with those parents who have
responded to Rita. However other parents have expressed interest. If they contact Rita arrangements will
be made to provide them the opportunity to chaperone.
o

Hospitality no update at this time

Fund Raising We are permitted 2 fund raising activities per function the two opportunities for outdoor
were the Ad Book for the Home Show and the Save Around Coupon Book.
 The Ad Book or the Home Show NO ads were sold by students for the ad book this year. Since we did
not have an outdoor show last year we used the sponsors ads from the indoor show last year.
 The Save Around coupon books last year we sold 1400. This year only 8 people from Marching Band
and 14 people from Choir took books to sell.
Indoor starts in December. Don asked for a volunteer to shadow him to see how it is done as next year he
will not be doing it (his son is a senior). Mandy Poe has volunteered.

Pit and Production Josue was busy building props for the home show and was unable to attend.

Booster Table
 Foam Fingers are in. Kelly brought them in for everyone to see. It was determined to sell them for $4
each and Karen bought the first one.
 Additional hats have been ordered since they sold so well last year.
 Question was asked if we are setting up the table in the lobby prior to the game as we did last year
Barb will be checking with Mrs. P. to see if this is the case for this year.
 For the Pink Out game on October 31 we will sell the remaining wrist bands and lanyards left from last
year.
 The ear buds did not go over as well as expected. The price has been lowered to $1. We will not be
ordering any more.

Kelly would like a budget for next year so she knows what she can spend. Also, we will be ordering
merchandise that is generic (Colonials, William Penn, etc. - it will not be specific to just the music
program at WP)

AOB
We have been asked to address the children regarding PDA. This will be handled during the next football
game (Friday, September 25).
Barb is investigating Jacket Orders more information will be coming soon.
Indoor Home Show is March 19
