Under close supervision and technical guidance, provide support to the Deputy
Representative and the programme coordination in a variety of tasks related to
programme planning, implementation and follow-up including the programme budgeting
and budget monitoring. Specific tasks includes collecting information, generating reports
from SAP/VISION, maintaining records archives, and preparing documentation and
correspondence pertaining to programme activities.

The key responsibilities of the Programme Assistant will be:


1. Collects data and other information on development and/or subject-matter activities of the country or
area. Main tasks include: maintaining and keeping the VISION/SAP budget table, funds planning,
allocation, monitoring of fund and grants implementation, as well as monitoring of outstanding DCTs.
2. Maintains, logs, files, and archives, as well as updates records in prescribed format for subsequent use.
3. Prepares background material, working papers and tables (e.g. financial implementation status, DCT,
etc.) for briefing, meetings and review sessions. Processes and examines the information and data in
accordance with instructions received, making necessary abstracts and computations- this includes
consolidating inputs or note from sections.
4. Prepares transactions in VISION/SAP system such as FRs, FCs, payment requests, contracts (based on
the approved ToRs) etc., to be reviewed by supervisor related to disbursement of programme funds.
5. Manage the agenda of the Deputy Representative in coordinate with sections and partners, arrange
appointments for them, receives visitors, screen phone calls, respond to routine request for
information and assists in making travel arrangements for consultants hired by the coordination or
M&E sector.
6. Take notes during various meetings moderated by the Deputy Representative (coordination,
programme management, resource mobilization task force, spotcheck, programme reviews, etc.
Follow up agreed action plans or recommendations from each meeting and document the actions
taken.
7. Performs other duties, as required. The duty may include occasional field trip to support the
implementation of the HACT assurance activities, etc.

Completion of secondary education


University level studies an asset
Project development skills
Computer operating and software skills: Word, Excel, Power Point and Financial SAP
Five years of office experience in similar post, including record-keeping and
processing of information abstracted from computer system.
Fluent in Spanish and working knowledge of the English language.
