Constitution

Preamble
(Members pledge)
We, the members of iCDs Society, in order to reach our highest potential as
students of STI, promote an environment conducive to learning, and be the
future leaders of our community, do hereby pledge to faithfully abide by the
policies set forth by STI and this constitution.

Article I
Name of the Student Organization
This organization shall be called Information Technology, Computer
Science & Digital Animation Student Society or iCDs Society.
Article II
Purpose
The purpose of this club shall be:
a. To promote the awareness of the members about the courses under
the ICT Department where iCDs is a departments academic
organization.
b. To provide learning and knowledge to the members of the organization.
c. To build and ensure camaraderie among the members and nonmembers of the organization.
Article III
STI School Base
The iCDs Society was established on June 2014 at STI College Naga.

Article IV
Founding members

Management of Funds

Funds or any profit which the organization may obtain shall only be
used for the purposes enumeratd in Article II. No part of the funds or
income may be distributed to its members or officers in case of
dissolution.
a. Collection of funds
This organization will be funded thru:
1.) Membership Fee
Students enrolled in the courses BS Information
Technology, BS Computer Science, Multimedia Arts,
Diploma in Information Technology and Senior High
School is automatically registered in this organization,
however, every student must pay 50 pesos to be an
official member.
2.) Seminars & Trainings facilitated by the
organization
There will be seminars and trainings to be conducted
which will be facilitated by the officers within the school
year. Each seminar, the officers may or may not collect
registration fees depending on the budget of the
organization.
3.) Sponsors
Moderators, teachers in the ICT, officers, are
encouraged to give letters to some individuals or
company to sponsor an event of the organization.
b. Disbursement of Funds
1.) Seminars & Training Expenses
This will cover the expenses for place (if outside of
school), snacks, other training materials and the token
for the speaker/s.
2.) Event Expenses (Acquaintance Party, Christmas Party,
etc.)

Compliance to STI Student Organization Policy
The student organization and all of its members shall comply with the
STI student Organization policy in the course of its operation.

By-laws

Article I
Meetings
Section 1: General Assembly - The general assembly of the members
shall be held on the 3rd Thursday of July every semester.A general assembly
should be conducted once per term and the President (and/or other member
of the officers) is expected to provide a status report on the activities and
accomplishments of the student organization. Also, a general assembly will
be conducted for the election of the new set of officers every 3rd week of
March.
Section 2: Special Meetings - Special Meetings of members shall be called
as the need arises by the President or upon the request of any Chairman of
the committee of the general membership.
Section 3: Notices - Notice of the time and place of the general assembly
and special meetings should be announced one week before the scheduled
meeting.
Section 4: Quorum - A quorum for any meeting shall consist of 50% plus
one of total membership.
Section 5: Order of Business - The order of business at the General
Assembly of the members shall be as follows:
a.Opening statement lead by the president of the organization
b. Checking of Attendance of the officers/quorom.
c. Agenda of the meeting (assembly proper)
d. Closing
Section 6:
Election of officers shall be held every second semester, 2 weeks before the
Final Examination week, during the year-ender general assembly.
Requirements for election shall be as follows:
1.) Election of iCDs Society officer shall be a NOMINATION PROCESS.
Every member has the right to nominate and vote for any position.
(1 nominee and 1 vote for every position).
2.) Any enrolled student can be nominated in any position as long as
he/she is a member of iCDs Society in the present semester.
3.) An iCDs Society member cannot be nominated if he/she is not
present during the election.
4.) iCDs member has the right to vote in the election, 1 member is
equivalent to 1 vote.

5.) The highest number of vote will be declared as the winner of the
said position.
Article III
Officers
Section 1: Officers - The officers of the association shall be the president,
Vice-president, Secretary, Treasurer, Auditor and the Public Relations Officer,
Business Managers and the Year Level Representatives. They shall be elected
by the official members of the iCDs Society.
Section 2: Qualifications - Any member of an organization may be elected
provided that they have the following qualifications:
A bona fide STI student
Without any academic delinquency as stated in the STI Student
Handbook for at least one (1) term previous to vying for position.
Without any history of disciplinary case.
Section 3: Functions and Powers of the Officers

President
o Oversees functioning and progress of the whole organization.
o Leads the meetings.
o Assigns a representative for the organization in any conferences
or conventions.
o Approves all financial transactions.
o Prepares the annual report at the end of the Academic Year.
o Handles the turn-over of responsibilities to the next set of
Officers.

Vice President
o Coordinates with all officers in all activities.
o In the absence of the President, shall lead the meetings and
assume the tasks of the President.
o He/she may also be the Activity Coordinator.
o Assist the President in preparing the annual Report.
o May review and validate financial transaction reported by the
Treasurer in the absence of the Auditor.

Secretary
o Takes and keeps minutes of the meetings.
o Conducts all official correspondence.
o Maintains official records and files.
o Disseminates information to all members
o Signs and submits all documents as may be required by the
school officials, and if applicable, the government.

o Prepares and reviews the Calendar of Activities.


o May check all financial transactions in the absence of the
treasurer.

Treasurer
o Keeper of finances and financial records.
o Checks all financial transactions.
o Prepares the annual budget.

Auditor
o Reviews and validates financial transactions reported by the
Treasurer.
o Checks all financial transactions in the absence of the Treasurer.
o Reviews the monthly financial report and annual budget
submitted by the Treasurer.
o Makes appropriate corrections whenever necessary.

Public Relations Officer


o Notifies all members of meetings, events, and activities.
o Encourages members active attendance.
o Handles the marketing or promotion of the organization and its
activities.

Business Managers
o Takes care of the logistical concerns during regular meetings
such as venue, video equipment, computers, food, as the case
may be.
o Finds economical materials to be used for events, activities, etc.
(decorations, tables, chairs, etc.)

Year Level Representatives


o Takes charge of their year level. They will act as the leader of
every year level they handled.
o They will be the bridge between the officers and the members of
every year level.

Section 4: Term of Office - All officers of the organization shall hold office
for one (1) academic year until their successors are duly elected and
qualified.
Section 5: Disqualifications and Successions

Disqualification and succession of any member will be approved by the


elected president of the organization. Conditions of disqualification and
succession shall be as follows:
If he/she did not attend 3 consecutive meetings, the president
can disqualify the member and elect a new one provided that the
other officers and the moderator approve it.

Article IV
Members
Section 1: Qualifications for Membership - Any bona fide STI student
may join a student organization, provided that they belong to the ICT
Department and pay the membership fee.
Section 2: Rights of Members - A member shall have the following rights:
a. A right to vote for its members and the right to be nominated then
voted as officers of the academic organization.
b. A right to suggest their opinion and views (provided that their
opinion will not affect someone or any rules of the school and the
community)

Section 3: Duties and Responsibilities of Members - A member shall
have the following duties and responsibilities.
a. Pay the membership fee upon entering the organization.
b. Actively participate in every activity of the school, the community
and the organization.
c. Attend the meetings the assemblies.
d. Abide the rules and regulations of the school, the community and
the organization.
Section 4: Suspension, Expulsion and Termination of Membership
Suspension, expulsion and termination of membership shall be in
accordance with the rules and regulation of the organization. They are as
follows:

Article VIII
Amendments of the By-Laws
Section 1: Amendments- These by-laws or any provision thereof, may be
amended or repealed at any regular or special meeting duly held for this
purpose.
The organization may make changes to its Constitution and By-Laws
when necessary to improve the effectiveness of its operation. Amendments
to the organizations constitution can only be adopted by a <Example:
majority> vote.
