EP, to guarantee this, is important to deliver certain services during the process.


Be an EP Manager!
You can help an EP to live the international experience that they are dreaming with. In
this booklet you will find everything that you need to take into account being an EP
manager.

What is an EP Manager
An EP manager has 2 main functions:

Offer suppor and give orientation to the Eps, so
they can find the internship they want.

Be the conection between the EP and the LC
during the searching phase and when the EP is
realizing the exchange.
The EP manager is the person whi guides the Exchange Participant (EP) in the process of finding an
internship once the EP completes the raise.
Why is important to be an EP Manager?
Eps have a hugh quality experience.

Activities of an EP MANAGER
1
First Meeting with the EP:
Audit the Raise Process (Verify EP Form and Status).
Reallign expectations regarding the internship JD and the
country.
Myaiesec.net training and tools such as AFT.
Verify information in EP form and CV.
Training on how to apply for TNs (Sample email, cover,
motivational letters and Ans)
Explan information about AIESEC and different partners.

Support the EP during the process:
Solve questions regarding use of platforms and tools.
Help the EP in searching TNs and give advice about the JDs, cost of life, quality in certain
LCs, etc.
Help contacting TN managers if they dont receive a response of their applications.
Help filling out the EP AN.
Give advice when the EP is preparing the interview.
Activities of an EP Manager

Always be in contact with the EP:
Send and reply follow up emails, weekly as a minimum.
Tracking of follow up tools and EP status.
Keep the EP motivated during all the process.
Send possible TNs and relevant information.

Guarantee that the EP understand the rights and obligations
with AIESEC and inform about the XPP.

Help the EP in the post match process:
Guarantee that the EP sends the required documents that host LC needs.
Guarantee that the EP have a cultural preparation before the exchange.
Deliver information regarding delivery process. (Visa, Insurance, flight tickets, etc)
Potential Problems
Be very clear since the beginning in the expectations allignment meeting, the EP must know
that the searching needs to be focused on the focus countries, and the EP is not supposed to
be searching in just one city because if its like this the exchange realization will take more
time or will never come.
EPs that only apply for one city or country:
AIESEC has big, medium and small partners, the EP needs to understand that if he/she wants
to apply for big partners , the profile needs to be really high, (this includes working
experiece, 3 languages, AIESEC experience and a master degree in some cases) this is why if
the EP doesnt have a very competitive profile they need to understand that they should not
apply for this kind of internships. (Be careful in the selling of Global Talent program and the
application of global partners, also because the selection process takes around 2 months.)
EPs that only apply for big companies and are looking
for high salaries:
Potential Problems
Verify how the EP is aplpying, sending emails, and also how the EP is preparing for the
interviews. Look for the feedback of the TN managers to see how to improve the mistakes.
EPs that apparently are doing very well the process
but they are not getting matched.
If the EP is not replying to emails they must know that they are not fulfilling their obligations
with AIESEC, try to make sure that the EP read the contract as soon as the EP s raised.
EPs that dont reply to emails.
Remember that EP problems need to be solved following the correct guideline, always try to
ask for advice from the VP, NST, NCB or MC and always follow the XPP.
EPs with problems with countries or the company.
Tips EP Manager

Use different communication channels with your EPs, like Facebook, Skype, Whatsapp, etc. This
facilitates things to be faster.

Try to be your Eps friend, is important for them to feel that they can trust you to ask you
questions and concerns that they might have.

Avoid to make tracking during the weekends, is possible that your Eps are not available and they
dont reply to your messages.

Search for tools that allow your Eps and you to have a fast access and organized to all the
information of applications sent. Check the EP follow up tool.

Kepp your self informed about all the opportunities posted in facebook groups or the weekly
newsletter.

Tell your Eps to be in contact with other Eps that are also searching for opportunities, or EPs
that are already realized, they can give very good advices or recommendations.
