Agency DHS Meeting notes: Why standardize: So, unambiguous information can be shared across systems improving efficiency and coordination. o Members gave examples of things that mean different in different systems. Reduce additional processing resources, as information is processed for analysis. o This includes manually comparing field names, changing formats etc. Standardize terminology System of Systems Project is using logic model and common language is critical to measure outcomes across the OST/After-school spectrum. Current terminology issues: Examples of different choices for fields like race. Ethnicity, marital status, and gender . Do we keep the terminology same when doing surveys etc. o Examples of different names for same things across different program/affiliations. How do we enforce/implement standardization? Data Dictionary: Sample example of a typical Data Dictionary Other MIS systems in use including PCAPS and how they define their data. Group agreed that it would be a good idea to look at the reports that we eventually want to come out of the system and use that as a basis for data dictionary. The standard reports that were recently developed with input from various stakeholders will be shared with the group members to assist with the development of Data Dictionary. MIS Integration: What data should be aggregated? o Ideas for integration: Live or episodic uploads (with automation in place) Next steps: Inform the larger Group of our work. Use the sample Data Dictionary template to develop one for the System of Systems Project. Next meeting tentatively in 2 months (date TBD) Set up online discussion board to discuss/share ideas till next meeting.
