System of Systems Building Project: Data Work group meeting 5/24/13

The Data group meeting of System of Systems building project was held on 5/24/13 between 10:00am to 12:00pm. This meeting was attended by 19 participants. The meeting focused mainly on the submitted responses received in response to the recently issued RFP for the Extended IS. The meeting started with Tom Sheaffer having the attendees complete a Project Readiness questionnaire (to help us understand if the members are aware of the tasks that have been accomplished so far and whether there were things that need to happen before we implement the system). Tom also described the RFP review process that we put in place. This was followed by Gulal Nakati going over the respondent responses via summarized columnar comparisons. The comparisons included brief overview of the respondents and the main requirements as explained in the RFP which included questions under: General functionality of the software, Ability to track participant and organizational data, Ability to develop and administer outcomes and assessments, Reporting capabilities, Data integration, Training and other related areas such as security, disaster recovery, vendor support and Service Level agreements.

Towards the end, Tom also went over the summarized submitted cost proposals. The responses from each of the vendors were reviewed and feedback was sought from the group members. There was a very lively and lengthy discussion around various requirements and what the respondents were offering and proposing. Given the confidentiality requirements of the RFP submitted responses, we will not share the details here. The group also talked about their impressions from the software demonstrations. The next steps for the Project team include following up with the references provided, having conversations with our sister cities (part of the Wallace Funding) who are going through the similar process and also compiling the scores on each of the vendors by the proposal review Team.
