Celebrate Recovery Preview Event Planning Guide

Wednesday, August 14th, 8:30-10:00A.M.

CedarCreek Church- Perrysburg Campus


The purpose of this event is to inform and excite area Christian counselors, attorneys, therapists, social service agencies and other organizations about CedarCreeks new recovery program called Celebrate Recovery.

Step 1: Create contact list of possible attendees Deadline: Monday, June 17th

Target attendees: 100 Target invites: 400-500 Reference attorney and counseling brochure, Help guide Alcoholics anonymous and Al-Anon representatives/regional directors, NAMI, Gamblers anonymous, area hospitals/doctors, food/donation ministries, court system Celebrate recovery campus leaders Business, Name (Last, First), address, city, state, zip, website, phone number

Step 2: Create Invitation Deadline: Monday, June 17th


Meet with graphics department Size: 4X6 ~1,000 Invitations should be sent to printer by Wednesday, June 19th (8 weeks prior to event)

Step 3: Create online RSVP form Deadline: Monday, June 24th

Step 4: Create Programming Guide Deadline: Monday, July 1st

A few versions Leave room for welcome and closing remarks

Step 5: Create Facebook and Twitter Pages Deadline: Monday, July 8th
Facebook: Celebrate Recovery- CedarCreek Church Twitter: @CelebrateRecoveryCC 10 messages to promote Celebrate Recovery o Action step! o Think categories and target audience o Use photos and videos

Step 6: Social Media Campaign Deadline: Ongoing beginning Monday, July 8th
Utilize Sprout or Hootsuite 2-3 posts per week on both Facebook and Twitter pages We could encourage attendees to like/follow us? Include in invitation? Goal: get Creekers excited about the upcoming switch to Celebrate Recovery Posts would be about the preview event itself and about Celebrate Recovery in general

Step 7: Email follow-ups Deadline: Ongoing beginning Monday, July 15th


Create template Use the same invitation that was sent out but within the body of the email Include an interesting fact about the program with each email o Ex: 70% of Celebrate Recoverys members come from outside the church

Step 8: Confirm Menu Deadline: Monday, July 15th

Volunteer from church for hot breakfast: hash browns, eggs, bacon o Contact: Ron Duschel- ron@tastyendeavors.com o Contact #2: Scott & Vanessa Furnstein- Vfuernstein@gmail.com Coffee from church Bagels from Panera Donuts? Muffins? Fruit Costco or Sams Visit stores for pricing, figure out the cost per person for budget

Step 9: Begin prep for day of event Deadline: Beginning Monday, July 8th
Create drawing of venue and placement of chairs, stage, food, tables, etc. Programming and/or music should be booked and confirmed Contact people about chairs, tables, music (talent or just background music?), audio needs, volunteers for day of (coffee, greeters, registrations, food) o Work with Perrysburg campus facility staff (Emily H) Collect food budget Resources for tables: bracelets?

Step 10: Solidify itinerary for event Deadline: Monday, July 22nd
Send itinerary to attendees and everyone involved in the event Confirm food order, (including plates, silverware, napkins, coffee, etc.) Confirm volunteers

Step 11: Follow-up phone calls Deadline: Beginning July 31st

Step 12: Press Release Deadline: Beginning July 31st


Who, what, where, when, why Quotes: campus leaders? State representatives?

Step 13: Design and print programs Deadline: Wednesday, August 7th
Color scheme? Font? Included: Name of event, time and location, itinerary, short description about Celebrate Recovery, website, information about guest speaker (if booked)

Step 14: Final list of attendees and name tags Deadline: Week of August 14th
Name tags include name, position and company/organization

Other Miscellaneous Tasks


Paperwork for tables at event, provide mini pieces of cardboard and markers for attendees to write their own cardboard testimony Decorations Head shot and bio for guest speaker Resources to take home?
